The idea is to sell a perishable asset today at a lower price if you think it will go unsold. But Yield Management also means waiting to sell something tomorrow at a higher price if there is overlap in when the spot will be used. In terms of radio, Yield Management is a method of broadcast revenue management based on the calculation of revenue received in relation to the amount of airtime sold. Revenue Yield Management is an enterprise application designed to help managers and sales people maximize revenue. It is the act of controlling and cultivating inventory. Revenue Yield Management is not a “sometimes” practice – it is practiced every day. It is the most important job that the manager does. Without Yield Management Revenue, the sales people hit the streets with yesterday’s information, or worse yet, nothing at all to guide them in making sales. Yield Management, if administered wisely and committed to daily, can deliver average revenue increases of 3 – 7% for most stations. In some cases, it can deliver much more. It is the task of the sales manager and sales people to learn, understand, and apply the techniques of Revenue Yield Management in the ever-changing environment of radio sales. Just a few short years ago it was station against station, battling for business on the streets. Today, it is group against group. Cultivating and Controlling inventory Yield Management can: • Provide sales people with current information for making sales • Maximize selling as much inventory as possible at the very best price, regardless of the time of the day, the day of the week, or the month of the year • Provide managers and sales people an edge over their competition • If administered wisely and committed to daily, deliver average revenue increases of 3 – 7% for most stations 5 Principles of Yield Management • Perishability • Projections • Pricing (Pricing, Yield, Demand Curve and Sellout) • Program (VIERO BEST RATE YMS) LAN International 1 YMS Overview • Procedures (manual steps required) Perishability A Perishable Asset or Perishable Inventory is an asset that represents a lost opportunity for revenue for the company if it is not sold today. Examples include: an empty airline seat on a flight from Minneapolis to Denver on May 12, 1999; an unbooked hotel room at the rack rate at the local Holiday Inn; a half empty freight truck driving on a delivery from Chicago to San Francisco or radio avails left unsold to be filled with promotions, music, etc. Projections Using projection knowledge, Sales Managers must be able to forecast demand on an ongoing basis so they: • Know where they are at all times • Make effective pricing and allocation decisions • Manage high-demand periods Pricing Yield Management is also referred to as Revenue Management since managing yield maximizes revenue. Revenue Management revolves around asking how much. • How much do people want to buy? • How much can we charge? • How much inventory do we sell at a discount? • How much inventory should we keep in reserve? • Do we change the price of the remaining inventory and when? • By how much? The answers to the how much questions lie in the following components: • Pricing – Supply and Demand When demand exceeds supply, prices go up When supply exceeds demand, prices go down • Yield – Potential versus Realized Price x Demand = Revenue Yield Potential (RYP) The Actual Sales = Revenue Yield Realized (RYR) Revenue Yield Realized divided by Revenue Yield Potential = Yield (RYR/RYP=Y) • Inventory – The Demand Curve The Price of a radio spot is at least partly a function of how much inventory you have 2 LAN International Best Rate The more avails you have, the less expensive they are The fewer avails you have, the more expensive they are • Sellout – Achieving 85% Sellout to reach LY Actual Goal As inventory sells out, the price of the remaining inventory rises along the demand curve. A demand curve is the functional relationship between price at different levels and quantity (or demand) that describes consumer behavior in a marketplace. The more inventory to sell, the lower the price; the less inventory the higher the price. The airline industry discovered an alternate way of pricing. Demand Curve Pricing is often referred to it as Yield Management. As a radio manager, Demand Curve Pricing is the most important thing that you do. At the end of the day, your performance is judged by how much inventory you were able to sell at what price. Budget isn’t the driving force behind Yield Management and Demand Curve Pricing, but it does have a role in the process. Performance is measured by how much you go over, or fall under the station budget. What is most important? Selling as much inventory as possible at the very best price is most important, regardless of the time of the day, the day of the week, or the month of the year. It’s a much larger task than most ever imagined, but if you apply and discipline yourself to practice Yield Management and Demand Curve Pricing every day, you will always know that sales revenue has been maximized, inventory was not sold too low, games were not played that distorted inventory value, and orders were not taken that didn’t make sense. The Essence of a Demand Curve Let’s build a Demand Curve. The building block of the Demand Curve is a graph. The two axis’ of the graph are: 4 • Supply – how much is available. • Price – how much to charge for that available supply. It was commonly accepted that one best price fits all, and that everything should or could be sold at one best price. Airlines discovered an alternative way of pricing. There may be one best rate for most consumers, but others are motivated to buy only when the rate is low. Still others are willing to pay more for a product if the need is great enough. Instead of selling all the seats on their planes at one perfect rate, airlines began pricing seats at different rates and the results were dramatic. A Few Facts to Remember About Pricing 8 • Maximizing the Revenue or Yield of a fixed inventory means finding the right price, for the right buyer, at the right time. • One price does not fit all buyers, and one price will not allow you to maximize revenue. • The right price, for the right buyer, at the right time, is a moving target – it changes daily. • Field Management is most effective in industries where: • The inventory is perishable. • The inventory is sold or committed to in advance. LAN International Best Rate • Demand fluctuates widely. • The market place is diverse. • The incremental cost of selling and servicing additional units is low. • The incremental cost of producing additional units is high. Summary of Revenue Yield Management • Revenue Yield Management is based on the economic principle of Demand Curve pricing. • Demand Curve pricing increases rates as supply (i.e., inventory) diminishes. In a SUPPLY sensitive market, the lower the supply (i.e., inventory), the higher the price. The greater the supply, the lower the price. LAN International 9 YMS Overview Revenue Yield Management Demand is unique for every day and daypart. As well as each of the distinct spot lengths: 15s, 30s, and 60s. Managing radio inventory is no small task, even if the inventory is for a single station. • 10 There are five primary radio dayparts: • AM • MD • PM • EV • ON LAN International Best Rate • On the average, stations air ten (10) commercials per hour. • Commercials generally air all day but most of a station’s revenue is generated between 6:00 AM and Midnight, or, eighteen hours per day. • The radio week has seven (7) days to sell. • There are 365 days per year. Question: How many pricing decisions does the manager have to make for each station per year? Here is the formula (and answer): 10 (commercials per hour) X 24 (hours per day) X 7 (days per week) X 365 (days per year). 613,200 pricing decisions per station per year. Assuming a fifty (50) hour workweek spent on nothing but pricing, each hour would require 12,264 pricing decisions, or 245 pricing decisions for every hour of a fifty (50) week work year. And that doesn't even account for the different spot lengths. VIERO BEST RATE YMS helps to make the job easier. LAN International 11 YMS Overview How VIERO BEST RATE YMS Works VIERO BEST RATE YMS is an automated system. Every night it automatically pulls information from VIERO RMS and merges that information into VIERO BEST RATE YMS to reflect an accurate inventory picture for the next day. VIERO BEST RATE YMS searches its datamart for nightly downloads from Traffic and uses that data to generate current daily demand prices for unsold available inventory. These prices are maintained in a portion of the VIERO BEST RATE YMS program referred to as a Rate Card. Rate Cards (spot prices) are based on inventory usage, calculated daily and seasonal demand, and availability for a given station. With VIERO BEST RATE YMS you can: 12 • Increase rates on high demand dayparts and maximize unsold inventory. • Monitor a side-by-side comparison between the BOB figures and inventory sellout figures as well as BOB actual-to-BOB estimate. • Adjust rates by the reality of market demand. • Generate real-time Rate Cards. • Reduce the number of bumped spots. • Make more money by better managing inventory. LAN International Best Rate VIERO BEST RATE YMS Pricing Prices change at least once every day to react to market conditions. VIERO BEST RATE YMS automatically reacts to market conditions by adjusting current prices to take advantage of demand and generate more revenue. How VIERO BEST RATE YMS sets the price The VIERO BEST RATE YMS team does a process known as seeding. This process is typically used in one of two ways. When a new station is activated, the initial rates for the station are seeded using the AUR for the station for the time period being activated. VIERO BEST RATE YMS will look at the AUR and inventory in VIERO RMS and build a default demand curve using the average unit rate of the sold inventory. VIERO BEST RATE YMS can be used manage inventory and rates out to the end of the following calendar year. As time progresses VIERO BEST RATE YMS is further expanded so that at least 15 months of future inventory can be managed and priced assuming they are built inside VIERO RMS. The seeding process is just the beginning. Using Best Rate a user can manage all aspects of how prices are sets. How Many Rates The seeding process generates rates for each of the 5 standard dayparts (AM, MD, PM, EV, ON) every day for 365 days a year. That is 1825 dayparts a year per station. With 1200 stations that makes 2,190,000 station-dayparts per year. Each of these “station-dayparts” has its own special prices that are separate from all of the others. These are: standard 60 second spots, standard 30 second spots, and standard 15 second spots. In addition to these there also are: premium 60's, premium 30's and premium 15's (:P60, :P30, :P15). A premium spot is one that is placed first in a commercial pod or sits as an island in a commercial pod all by itself surrounded by programming with no other commercials. So every station-daypart really has 6 current prices: (:S60, :S30, :S15, :P60, :P30, :P15). Availability Besides the price, there is another number in the rate card displayed above. That is the availability. For example in the data above for :60 second spots on Monday AM it says “2 @ $52”. The 2 means there are 2 units available. Sometimes this number is negative. That means there is oversell. For example see Wed AM :60. It says “-7 @ $101”. That means there are 7 units sold that must be moved into some other daypart in order to play. Notice that the oversold numbers are displayed in red. Inventory numbers are important to understanding rates. Demand Curves One of the more powerful features is how the prices change automatically to reflect the current demand on the station. When there is a lot of inventory remaining to sell, prices should be low enough to move the inventory and generate revenue and demand. When there is little inventory remaining, prices should be high enough to slow down the pace of sales and thus save some inventory for the last minute buyers who are willing to pay a premium to get on the air now during a high demand daypart. Why Demand Curves Using a demand curve pricing model benefits radio stations and media buyers. Media buyers that are price sensitive benefit because they get some control over their costs. They can buy spots out in the low demand future. Radio stations benefit because these lower rates induce sales and reduce the risk of inventory going unsold. Buyers that are less price sensitive benefit because they get more control over their schedules. The radio stations benefit because these higher prices generate more profit. Overall the process selects the right price for the right customer. Selecting the right price for the right customer generates more revenue than is possible using a one price fits all model. How Many Demand Curves VIERO BEST RATE allows the user to customize a special demand curve for any collection of dayparts and any of the 3 standard spot lengths (60sec, 30sec, 15sec). There can be a separate demand curve for all station dayparts and all spot lengths. Initially the system uses a default demand curve for all station dayparts. The application then allows a user to select any collection of dayparts and weeks and create a new demand curve for those dayparts. 14 LAN International Best Rate Demand Curves in VIERO BEST RATE YMS The following is a demand curve control. Note the sliders. The x axis represents percent of inventory sold. The y axis shows average price. You can select one spot length at a time at the top right and that curve will appear in the lower slider section. Edit the shape with the sliders and the shape automatically changes in the upper left so you can see it relative to the other spot lengths. The selected dayparts and selected weeks are displayed in the upper left so you can confirm the selections. The line segments between sliders let the user know that there are spot prices in between the sliders. For example if there are 50 spots in a daypart then about 14% of them will fall evenly along the line segment between the first and second slider. This means every spot has a different price. The next spot you sell is always more expensive. Inventory Updates The current inventory is kept in the Traffic System. Each night VIERO BEST RATE YMS automatically gets the latest inventory report for all stations from Traffic. In addition to the automatic update that runs once a night, a manager can update the inventory on demand. There is a button in the Sales Manager module that initiates an inventory update. These on demand updates can be useful if the inventory picture changes during the day and new pricing is required. In addition, a manager can initiate a break type inclusions update from within VIERO BEST RATE YMS on the Break Type Selection Control. LAN International 15 YMS Overview Rate Control VIERO BEST RATE YMS gives the sales manager complete control over their prices. The rate control is the place for that. First you select which weeks (or months) you want to modify then you see the following control page. You can select any dayparts just by clicking on them. Then drag the slider up and down to change the prices. Using this control you can set the price for any daypart to any value. Be aware that selecting multiple dayparts or weeks and changing them together only raises or lowers their individual respective rates by a percentage. For example, if you select two dayparts and one is $5 and one is $50 - VIERO BEST RATE YMS will tell you your average rate is $27 dollars. Now, if you raise this by 10% you will see an average price of $30. This does not mean that each daypart is now $30! It only means that their combined average price is $30. The real price after raising the two dayparts by 10% would be $5.5 (rounded $6) and $55 respectively averages to $30. Notice that changing the price moves the whole demand curve. The Rate Control shows both the current price on the demand curve and the maximum price. Both of these numbers change as you drag the slider. While the prices are changing the BR Estimate (VIERO BEST RATE YMS Estimated Revenue) also changes. You can change the prices for any dayparts until you arrive at any target “BR Estimate”. Or you can set the prices to what you think is possible and see how high your estimated revenue can go. 16 LAN International Best Rate The BOB Estimate is a revenue target for each month that stations publish to corporate on a weekly basis. This Rate Control is a very powerful tool to help managers set pricing. Premium Markup The 6 different spot types: (P60, P30, P15, S60, S30, S15) are S=Standard and P=Premium. The Premium Markup Control in lets managers define a markup to go from a standard price to a Premium Price. This number can be set independently for any week and daypart. Demand Curves in Detail with Formulas VIERO BEST RATE YMS maintains a unique demand curve for every station, daypart, and spot length. While all demand curves start with the same initial values, it is possible to modify these curves as finely as :15’s in the AMD of 06/07 or as broadly as every possible demand curve for the entire year. Every demand curve starts at a base, or minimum price, with 0% inventory sold. The demand curve then proceeds upwards with control points at 14%, 29%, 43%, 57%, 71%, 86%, and 100% inventory sold. On a normal curve, pricing will adjust at every point along the demand curve, so when the inventory sellout is 26% this will have a different price then 29%. Even if two dayparts have exactly the same demand curve and exactly the same base rate, they still do not automatically have the same current price. Remember that the current price on a demand curve also depends on the inventory sold. Total Inventory and Standard Price VIERO BEST RATE YMS uses 6 different spot types: (P60, P30, P15, S60, S30, S15) where S=Standard and P=Premium. Each of the 6 spot types has its own beginning inventory (Allowed) and its own quantity sold. These correspond to the 3 different spot lengths (60, 30, 15). The input to the demand curve is the total Sold fraction for the next spot available to sell. The output is the standard price. (sold fraction = Sold / Allowed; sold fraction for next available spot is (Sold+1)/Allowed). Price S60 = Base Price 60 * Demand Curve Markup for ((Sold T60 + 1) /Allowed T60) Price S30 = Base Price 30 * Demand Curve Markup for ((Sold T30 + 1) /Allowed T30) Price S15 = Base Price 15 * Demand Curve Markup for ((Sold T15 + 1) /Allowed T15) Premium Price The prices for the premium spots come from a markup over the standard prices. This premium markup is set by managers and is not related to the demand curves. Price P60 = Price S60 * Premium Markup Price P30 = Price S30 * Premium Markup Price P15 = Price S15 * Premium Markup Current Price Formula To get the current price we came up with these formulas from above: Price S60 = Base Price 60 * Demand Curve Markup for ((Sold T60 + 1) /Allowed T60) Price S30 = Base Price 30 * Demand Curve Markup for ((Sold T30 + 1) /Allowed T30) Price S15 = Base Price 15 * Demand Curve Markup for ((Sold T15 + 1) /Allowed T15) 18 LAN International Best Rate VIERO BEST RATE YMS Forecasting The forecasting in VIERO BEST RATE YMS is made of two different parts. There is an inventory forecast that is sometimes called the projected sellout or the inventory estimate, and there is a revenue forecast that is called the BR Estimate. Projected Sellout What Inventory Is Projected? Inventory is projected for all active stations for all future dayparts from today out to as far as each station is seeded with rates. Typically stations will be seeded out until the end of the current year or until the end of the next year. With 1200 stations and 5 dayparts per day and 365 days per year, VIERO BEST RATE YMS projects inventory for 2,190,000 station-dayparts per year. Each station and daypart also needs forecasting for three spot lengths (60sec, 30sec, 15sec) and two inventory streams (premium vs. standard inventory) and two priority groups (priority 0+ vs. priority 40+). When Is the Inventory Estimate Changed? The projected sellout can change every time there is a new inventory pull from VIERO RMS. VIERO BEST RATE YMS looks at every newly pulled station and recomputes the projected sellout. This happens by default once a night for every active station. This also happens on demand when the user presses the “update” button in the Sales Manager module. The break type inclusions from the previous night are updated as well by using the Break Type Selection window. How Does BR Compute the P40+ Projected Sellout? The best predictor of the future is the past. 63 days of history is used to build a table for every active station with 35 dayparts (35 = 5 dayparts per day times 7 days per week). These 35 dayparts are used to represent a typical week on that station. This typical week is then laid over all future weeks for that station and it becomes a rough attempt at a projected sellout for all future dayparts. This first try is then modified to fit the particular inventory that is already present in each future daypart. If the rough attempt is too high because it exceeds the quantity allowed in a particular daypart then the projection is limited to that quantity allowed. If the rough attempt is too low because it is below the quantity sold in a daypart then the projection is raised to equal the quantity sold. If the daypart is already oversold then the quantity sold is projected as the sellout . It is assumed that the traffic system will eventually move any oversold spots to where they can clear. The application will not try to guess where that inventory will be moved. Why 63 Days? The number of days of history to include was chosen to be a multiple of 7 so that a whole number of weeks is always selected. Selecting a multiple of 7 prevents averaging more of one day of week than another. Also the number was chosen to include at least 2 months of data which provides the most history possible while allowing VIERO BEST RATE YMS to still be able to process all of the data quickly. 63 is the smallest multiple of 7 that includes at least 2 months. What About Shifting BTAs? Shifting BTAs with priority 40-49 happens before the inventory forecast is computed . If the station has elected to shift BTAs into evenings then it appears as though all BTAs with priority 40-49 were actually scheduled in the evening daypart. What About the P0+ Projected Sellout? The priority 0+ inventory is composed of priority 40+ inventory together with priority 0-39 inventory. Having made the projection for priority 40+ inventory, VIERO BEST RATE YMS can 20 LAN International Best Rate create the projection for priority 0+ by just adding the quantity sold with priority 0-39. This means that the application does not project any extra inventory sold with priority 0-39. The main business happens with priority 40+. How Does BR Handle the 3 Spot Lengths and 2 Inventory Streams? The 3 spot lengths and 2 inventory streams make 6 spot types: S60, S30, S15, P60, P30, P15 (where S=Standard and P=Premium. At first these spot types are projected separately. They have separate historical averages and the projections are adjusted independently for future inventory. Then when that process is complete, a second pass is made to ensure the limits on the whole daypart are not exceeded. For example suppose a daypart has the following data: Spot Type Allowed Sold Historical Average S60 10 15 13 P60 10 4 7 Individually the forecast would be 15 S60s and 7 P60s. The 7 P60s does not seem to need adjustment because it is safely between the 4 sold and the 10 allowed. Looking at the daypart as a whole we see 20 units and 20 minutes allowed. If left as-is the projection would suggest a final sellout of 15+7=22 units and 22 minutes. Since this violates the limits on the daypart as a whole the projection for P60s must be reduced to give a final projection of 15 S60s and 5 P60s. Revenue Estimate How is the Estimate Computed? The revenue estimate is the sum of the current revenue to date in each future daypart plus the revenue that is expected from the remaining inventory at the current rates along the demand curves. For example suppose we find a station and a daypart in the future where only S30s are being sold. Suppose there are 10 S30s already sold and the revenue to date is $900.00. (That makes an AUR of $90.00.) Suppose the projected sellout from the inventory forecast is 30. (Then we are expecting to sell 20 more units.) Suppose the demand curve for this daypart is flat and the rate is uniformly set to $100.00 per spot. Then the estimate would be the revenue to date which is $900 plus the spot rates from spot number 11 to spot number 30 along the demand curve. Since these are $100 each the BR estimate is $900 + 20*$100 = $2900. When Does the Estimate Change? There are two ways the BR Estimate can change. One is when the projected sellout changes because of a new inventory pull. If the projected sellout goes up then the estimated revenue goes up too. The other way is when the rates change within VIERO BEST RATE YMS. If a manager adjusts demand curves, or the premium markups, or the current rates on the rate control page, then these all can change the estimate. Raising rates will raise the estimate. Lowering rates will lower the estimate. LAN International 21 YMS Overview What About the P0+ Estimate? Just like with the projected sellout, VIERO BEST RATE YMS is mainly interested in P40+ Estimate. VIERO BEST RATE YMS will set the P0+ Estimate equal to the P40+ Estimate plus any P0-39 revenue to date. The window displays Gross revenue that is bound to Commercial inventory spots with a priority code of 0 or higher (0+). 1. Click the Daypart Revenue Link. The Daypart Revenue window appears. LAN International 39 Management Tools and Reports Create User Defined Dayparts Stations wanting to utilize User Defined Dayparts in BEST RATE YMS should first consult with their Regional Yield Manager (RYM) to determine if it would be beneficial for them. User defined dayparts can be created in BEST RATE YMS. However, the dayparts must be created by LAN customer support. Contact customer support to request the daypart creation and the necessary daypart request forms. Station management should understand that implementing UDD in BEST RATE YMS can be time consuming and require multiple steps to properly utilize the feature: • Review current daypart structures as currently defined to assess if changes need to be made. • Once UDD has been implemented adjustments existing demand curves may need to be considered. The following guidelines must be followed for UDDs: • Best Rate allows up to 8 User Defined Dayparts (UDDs). • UDDs can be placed in any Standard Daypart EXCEPT Overnight. No Overnight splits are allowed. • Monday-Friday, Saturday and Sunday must all contain the same number of UDDs. For example, if you define 5 UDDs for Monday - Friday, then Saturday and Sunday must also have 5. • UDDs must begin and end on the hour or half-hour. (12:30 PM to 3:00 PM is valid; 12:15 PM to 2:59 PM is invalid) • UDDs cannot overlap Standard Dayparts. The UDDs inside a Standard Daypart must add up to the entire Standard Daypart time span. • UDD split times can vary across the Monday-Friday grouping, Saturday and Sunday. UDD split times cannot vary inside the Monday-Friday grouping. • All UDD Short Names, Long Names, and Descriptions must be consistent across all days. • UDD Short Names can contain a maximum of 6 characters. • UDD Long Names can contain a maximum of 50 characters. • UDD Descriptions can contain a maximum of 100 characters. Once the form is completed, forward it to LAN customer support. Once the UDD worksheet has been completed and returned to support it will be forwarded to BEST RATE YMS development implementation. Implementation will take approximately 30 days to define the new User Defined Daypart structure in the Best Rate system for each particular market. 40 LAN International Best Rate When the dayparts have been created you can show data associated with the dayparts by clicking the User-Defined Daypart button on any BEST RATE YMS window that includes the button. Sample LAN International 41 Management Tools and Reports Change Rates 1. Click the Change Rates link. The Select Desired Weeks window appears. This window enables you to select the weeks an months to obtain data to view or work with. Sample 2. Click the drop down menu in the upper left hand corner to select a station. 3. Refer to the Change Rate module for related information. 46 LAN International Best Rate Set Premium Markup The 6 different spot types (P60, P30, P15, S60, S30, S15) are either P=Premium or S=Standard. The Premium Markup Control lets managers define a markup to go from a Standard price to a Premium Price. 1. Click the SET PREMIUM MARKUP link to set the Premium Markup after selecting the dayparts. The Premium Markup window appears. Sample 2. Click the Premium Markup drop down menu. Sample LAN International 47 Management Tools and Reports 3. Select the appropriate Premium Markup, from 50% to 300% of standard rates. • Click the SAVE button to save your changes and return to the Change Rates page. • Click the RESET button to reset the premium markup, removing any changes and allow the window to remain open. • Click the CANCEL button to reset the premium markup and close the window. If you will work backwards on the calendar months, loading Broadcast weeks, you will avoid missing days or overlapping work. 48 LAN International Best Rate Use the BTA Control window The BTA Control window allows you to shift inventory for those markets that package BTA (Best Time Available) spots with standard daypart spots. The avails on this window are based on the break types you have setup in the Standard column on the Break Type Selection window. These spots include all Priority 40+ spots (50+ if the Shifted option is selected). From the BTA Control window you can choose whether to shift those BTA spots to evenings so that additional availability shows in the AM-PM dayparts. 1. Click the BTA Control link from the Tool Bar under Inventory. The BTA Control window appears. Sample 2. Click the drop down menu besides BTA Control: to select the station. LAN International 49 Management Tools and Reports 3. Click the drop down menu besides Inventory: to select Unshifted or Shifted in order to highlight the Shifted or Unshifted Inventory. Unshifted Avails = The total number of minutes or 60 second units that are available for purchase within the selected daypart and day. Shifted Avails = The total number of minutes or 60 second units that could be available for purchase within the selected daypart and day if BTAs were shifted to evenings. 4. Click the drop down window next to Inv. Options to select Time or Units in order to highlight the Shifted or Unshifted Inventory. 5. Click the Previous Week and Next Week buttons to move from week to week. You cannot view past weeks beyond the previous week. 6. Use the Save button to save your changes or the Reset button to delete your changes. The window remains open. Shifting the BTA's into evenings does not affect or change the placement of those spots in your traffic system, it only affects the available spots displayed in VIERO BEST RATE YMS and in the rate cards. Changes are not reflected in VIERO BEST RATE YMS until the next inventory update. Today's VIERO BEST RATE YMS data is Unshifted. This has not been set to change. 50 LAN International Best Rate Select Break types The Break Type Selection window allows you to select which break types will be used to calculate information within VIERO BEST RATE YMS. There are two input streams: • Premium • Standard Click the Break Type Selections link from the Tool Bar under Inventory. The Break Type Selections window appears. Sample To Add a Break Type to a Stream: 1. Select the break type from the Choose Break Types: drop down menu in the center of the page. LAN International 51 Management Tools and Reports 2. Click the add button above the desired stream. To Remove a Break Type from a Stream: Use the check boxes next to the break or the Remove All button to remove one or more Break Types from a stream. Use the Save button to save your changes or the Reset button to remove your changes. The window remains open. If you are unsure of whether or not to check the Exclude Locked Pooled Spots checkbox, check with your Traffic Manager for details on what the locked pooled spots represent and why they are locked. Counting these spots will reduce available inventory and drive demand rates upward. 52 LAN International Best Rate Commercial Revenue Reports Commercial revenue reports display the revenue generated by only the commercial revenue. The revenue figure on this window comes directly from the local revenue management solution and includes all commercial revenue. The reports for each management level will differ; however, the following general details are valid for each type. Sample Use the radio buttons to display Revenue in Gross or Net dollars. Use the radio buttons to display Inventory for M-F AM-PM, M-F AM-EV, M-Su AM-PM or M-Su AM-EV. Use the drop down window to select Reporting Period. LAN International 53 Management Tools and Reports Use the Previous Quarter / Next Quarter or Previous Month / Next Month buttons to move back and forth between quarters/months. Commercial Revenue Report Columns All (Grouping) At the top of the page: Information is rolled up for all and then broken down by each manager. Each name is a hyperlink to the other reports. At the bottom of the page: Information is rolled up for all Last Year Actual Groups and then broken down by each Revenue Range, i.e.: $339K+, $128K - $339K, $63K - $128K, $29K $62K, $0 - $29K Last Year Actual Groups are calculated by taking all of the STATIONS in the group and ranking them from lowest to highest Last Year Actual. The stations are then divided into five different 54 LAN International Best Rate equal groups or buckets. How these buckets fall out determines how the five Last Year Groups are listed. A gap between Last Year Actual Groups indicates that there were no STATIONS that fell within that revenue range: $29K - $60K, $63K - $128K would indicate no stations with revenue 61K or 62K. LY Actual The monthly gross revenue for the selected calendar month from the previous year is obtained from the BOB report and includes both National and Local Revenue. The value is computed by summing up the following BOB account codes: Local Revenue Agency, Local Revenue - Agency Political, Local Revenue - Direct, Local Revenue - Direct Political, Local Sales - New Business Agency, Local Sales - New Business Direct, National Sales – Agency, National Sales - Agency Political, National Sales - Direct Political, National Sales - New Business Agency, National Sales - New Business Direct, Sales Incentive Revenue. BestRate Net Revenue Calculation adds: Local Agency Sales Commissions and National Agency Sales Commissions, Local Revenue Debit Adjustments, Local Revenue Credit Adjustments, National Revenue Debit Adjustments, National Revenue Credit Adjustments. N/A is displayed in the LY Actual column for stations whose previous year's actual revenue is not present in the database. This can sometimes occur when a new station is acquired, or when an existing station is awaiting finalization of its budget. BR Estimate (BestRate Estimate) BR Projected Sellout * BR Rates A monthly spot revenue estimate, that details the current forecast of revenue for the calendar month based on projected inventory usage and gross pricing. This data is calculated by BestRate using BestRate Rates at projected % Inventory Sold Using Priority 0+ Inventory. This figure will change if the user changes the Break Type selections in BestRate. BOB Estimate (Business on Books) – Estimate The monthly gross revenue is based on information gathered from Business on Books. It is estimated by the manager and entered into BOB each Thursday before 12 PM. This figure is imported directly from the most recent BOB revenue report. 0+ Revenue (As of most recent update) (Revenue to Date) The actual current revenue of sales to date for the calendar month as reported by the Local revenue management solution. This figure will change if the user changes the Break Type selections in BestRate. % of Last Year Actual Percent of Last Year Actual (Priority 0+ Actual Revenue /Last Year Actual) LAN International 55 Management Tools and Reports The percent of total Last Year Actual achieved to date. This figure indicates how a Market’s/station's revenue is pacing to the Last Year Actual. The percentage is calculated by dividing the Priority 0+ Actual Revenue by the Last Year Actual. % Minutes Sold (Percent of Inventory) Indicates the percent of total inventory (priority 0+, in minutes) that has been sold thus far for the month as reported by the local revenue management solution. This figure comes from VIERO RMS each night. 56 LAN International Best Rate Total Revenue Reports The Total Revenue tab allows managers to show non-commercial spot revenue. The window shows a total picture of a region only for reporting purposes. How Total Revenue is Counted : Commercial Rev (As Of) comes from VIERO RMS. It is the same figure displayed as the 0+ Revenue on the Commercial Revenue tab. The additional revenue figures - Sports, NTR, Premiere, Other, come from the BOB report. Specific account entries in BOB for 'Premiere', 'Sports', etcetera, tied specifically to a region are displayed on this tab. All of these columns are added together to produce the figure presented in the Total Actual column. What Might Be Missing: Because VIERO BEST RATE YMS relies solely on those BOB Account Numbers that are specifically entered for that region, if the money exists that is not tied to a station in the market within the region - VIERO BEST RATE YMS won't see it. For example, many markets use a separate BOU - Business Operating Unit - to track their Sports, or their NTR, or their Other money. If they track that money under 'NTR' or something else outside of the station ledgers, VIERO BEST RATE YMS doesn't see it. If you were to pull their BOB report, it would list all of the stations in the market including their NTR station. While the NTR is another station of sorts, since it does not carry spot revenue, VIERO BEST RATE YMS does not see it. Tool Description One Look Planner The One-Look Planner is designed to give the seller a quick way to see what is available to sell and How much should be charged for specific time periods and/or specific avails. Rate Cards Rate Cards display a stations rate for a specified period of time. Alerts Alerts can be used to indicate inventory usage and any problems that might be pending in usage, Templates Templates can be set up with those specs that are used most frequently to be used over and over again. Refer to the following sections for more information. • AE tools • Miscellaneous tools • The VIERO BEST RATE YMS report LAN International 63 YMS Tools YMS Tools Alerts Good News A Smiley indicates Good News. The good news is that Priority 0+ Revenue To Date exceeds your LY Actual. The alert lists the Priority 0+ Revenue To Date as well as the Last Year Actual for that month. Cautionary Alert A Yellow Flag is a Cautionary Alert. A Cautionary Alert indicates the Inventory usage is outpacing revenue to goal for the period selected. Your percent selected beginning inventory sold (M-F AM-PM) exceeds % Revenue to BOB Estimate by more than 5% but less than 9%. The alert will list the % of Selected Inventory Sold as well as the % Revenue to BOB Estimate. 64 LAN International Best Rate Critical Alert A Red Flag is a Critical Alert. A Critical Alert indicates the Inventory usage is outpacing revenue to goal for the period selected. Your percent selected beginning inventory sold (M-F AM-PM) exceeds % Revenue to BOB Estimate by more than 9%. The alert will list the % of Selected Inventory Sold as well as the % Revenue to BOB Estimate. Red and Yellow alert flags are tied to the % of BOB Estimate. Alerts are tied to the % of BOB Estimate rather than to the % of Last Year Actual to eliminate most of the red and yellow flags for the current and the following months. Refer to the One Look Planner setup section for related information. LAN International 65 YMS Tools Update VIERO BEST RATE YMS 1. From the Data Selection window, click the Best Rate button. 2. From the Best Rate Setup window, click the Update Data button. The validation message appears. 3. Click Yes. The VIERO BEST RATE YMS Data from VIERO RMS will be updated VIERO BEST RATE YMS cannot produce an up-to-date structure based on demand if inventory reports are not current; therefore, it is important to stay current with order entry and spot placement or rotation. Refer to The VIERO BEST RATE YMS report and the Sales Manager and the VIERO BEST RATE YMS report sections for related information. 66 LAN International Best Rate Templates Templates can be set up with those specifications that are used most frequently. To Save a Template 1. Click the Save As Template button to save the selections you have just made as a template. The Save As Template dialogue window opens. 2. Enter a name in the Save As Template dialogue window. 3. Click Save to save the template. The Save As Template window closes and you are returned to the One Look Planner. To Access a Saved Template 1. Click the drop down button next to -Select a Template- to display a list of saved templates. LAN International 67 YMS Tools 2. Select the template from the list of saved templates. 3. Click the Open Template button. Users are allowed to save up to 10 templates. To make room for new templates, delete older, seldom used templates using the Save as Template window. Templates are login specific, they are saved based on the user login. Click the Open Template button. 4. Click the Save As Template button to save the selections you have just made as a template. Premium Displays all the Premium spot length daypart rates. It does not include the avails or rate for the standard spot lengths. The available inventory being displayed is based on total available minutes left to sell. Premium inventory is all Premium spots based on the break types that you have setup under the 'Premium' column on the 'Break Type Selection' window. 60 Second Displays all the :60 spot length daypart rates. It does not include the avails or rates for the other standard spot lengths. The available inventory being displayed is based on total available minutes left to sell. 30 Second Displays all the :30 spot length daypart rates. Avails displayed in rate card will not match the avails in Traffic, as VIERO BEST RATE YMS provides an optimized view of what should be sold as opposed to the actual view from VIERO RMS. 1. Rates and Inventories You can select the spot types you want to display on the rate card. Select Standard, Premium or Both. 92 LAN International Best Rate • Standard will display BOTH Rates and Inventories for Standard Spots. • Premium will display BOTH Rates and Inventories for Premium Spots. • Both will display ONLY Inventory for both Standard and Premium Spots. The settings are maintained when you change from Standard to Premium. Rates Rounding You can round rates to the nearest dollar or five dollar. Select $1 or $5. Display Options When selecting weeks, if more than 6 weeks are selected, the user has the option of how they would like those weeks to display. No more than 12 weeks can fit on a single window and still be legible. Select the number of weeks to display per page. Comments You can choose to add a comment that will print in the footer of the printed rate card (only on the printed or print preview version. Cannot be seen when viewing). Enter any comments to include on the card. E-mail Recipients Holds the email addresses of the people to whom you want to email the customized Rate Card. LAN International 93 Rate Cards 1. Enter the email addresses of the people to whom you want to email the card. Avails displayed in VIERO BEST RATE YMS will not match the avails in VIERO RMS, as VIERO BEST RATE YMS provides an optimized view of what should be sold as opposed to the actual view from VIERO RMS. 2. Standard and Premium rates are displayed separately. Rates will not be blended. 11. Use the radio buttons under Rate Rounding to determine how the dollar amounts will be displayed. 12. Use the radio buttons under Alert Display to determine whether or not Alerts are displayed on the rate card. 13. Click the REFRESH PLANNER button to generate the rate card. The One Look Planner is generated. If multiple stations are selected, a different tab is created for each of the individual stations. When station tab is pressed, the report for that station comes up showing the information selected. 98 LAN International Best Rate If both Standard and Premium inventory was selected, rates will be broken up by Standard and Premium. LAN International 99 Rate Cards Good Until gives the expiration date for the rates. This is normally 5 business days but will be set by local management in the One Look Planner setup. Alerts are displayed at the bottom of the rate card if the Alerts Display Checkbox was checked. Alerts are displayed only when you select one day, one daypart, and one spot length. If you select multiple days, dayparts, and spot lengths, the alert is not displayed. Refer to the One Look Planner and One Look Planner setup sections for related information. 100 LAN International Best Rate Remove a station from the Station List window window 1. Select the Stations from the Station List window by highlighting the call letters. 2. Click the REMOVE button to remove the station from the Station List. The user can add a maximum of nine stations. If the user attempts to add more than nine stations, they will receive an error message. The Ctrl key can be used to select a group of stations while the Shift key can be used to select multiple stations from a list. 3. Use the drop down calendars to select the From date. 4. Use the drop down calendars to select the To dates. The user must use the drop down calendars to set the dates. The user cannot click in the fields and type to add dates. LAN International 101 Rate Cards These are date ranges. The user cannot cherry pick days or select multiple ranges. The Spot Specs selections enable the user to limit rates to selected weeks within that range though. Dates must always be in the future. The user cannot select the current day or dates in the past. 5. Click the GO button to add the weeks included in the date range to the Spot Specs selection area. The broadcast weeks included in the date range selected appears in the Spot Specs area to be used on the One Look Planner. Refer to the Define Spot Spec parameters and One Look Planner sections for related information. 102 LAN International Best Rate Print and save Rate Cards 1. Click the PRINT button to print the Daily Rate Card. The standard Windows Print dialogue window opens. Select the printer and the number of copies and other printing options. 2. Make the appropriate selections. 3. Click the Print button. 4. Close the window by clicking on the Windows Close box (X) in the top right-hand corner of the window. 5. Click the SAVE TO EXCEL button to save the Daily Rate Card to the Windows Clipboard. The Windows dialogue box opens. Click OK. LAN International 103 Rate Cards 6. Open Microsoft Excel. 7. Paste the rates into an Excel spreadsheet from the Clipboard. The Daily Rate Card is pasted into the Excel workbook. For Market and Station Detail pages, a date stamp is included. 104 LAN International Best Rate Sample LAN International 105 Rate Cards The 26 Week Rate Card The 26 Week Rate Card displays the rate card data for the current week of the selected broadcast month out 26 weeks. 1. Click the 26 Week Rate Card link. The 26 Week Rate Card opens. Sample 2. Click the drop down menu next to Station: to select a station. Users will only see the stations they have access to based on their PeopleSoft assignments. Rates are displayed for each of the 26 broadcast weeks starting with the current broadcast week. Days are grouped with M-F (Mon.-Fri.) combined and SA-SU (Sat.-Sun.) combined. AVAILS, % SOLD and RATE are displayed accordingly for each daypart (AM, MD, PM, EV and ON) and spot length (60, 30 and 15). Sales management will be able to setup the Alerts according to criteria they select. In addition, they will be able to determine when the alerts run and how often. Only management has access to the One Look Planner Setup. AEs do not have access but should understand how and why these dates are set and by whom. If you do not have access to One Look Planner the following message is displayed: You do not have access to the site. Please contact the site administrator to gain access. Click on One Look Planner Setup link. The One Look Planner Setup window opens to the Standard Setup Tab. LAN International 113 One Look Planner Setup Use the Standard Setup tab The One Look Planner Alert Set Up: Standard Setup Tab allows you to setup broad, 'catch-all' or 'global' alerts that have no date ranges or recurrences associated with them. Standard alerts have no date boundaries and are applied from the day created until no inventory exists. 1. Select a Station using the drop down menu. Users will only see the stations necessary based on their PeopleSoft assignments. 2. Select the day or day-blend to use in the alert by clicking on the Day drop-down menu. 114 LAN International Best Rate 3. Alerts can be defined as granular as a day and daypart once per year or as broad as M-Sun AM-OV summed together per week. Alerts can not be define past the week boundary i.e. a monthly prime alert. B Best Time Available (BTA): A commercial not tied to a specific time or daypart, but that is run at the best spot time available of the remaining spots for a time period. BOB: Business On Books -- An application used throughout the Enterprise to report forecasted revenue. BOB Actual: The actual revenue to date figure based on the most recently run BOB report (usually the previous Wednesday is used as the run date). BOB Estimate: Your Manager’s revenue estimate for the month. Bound: Revenue that is filtered by revenue types, priority codes and selected break types.
