This new version incorporates many of your suggestions, and we’re confident you’ll find that the enhanced features and functions of Destiny 11.5 meet all your needs. This document introduces you to the Destiny 11.5 features available in Destiny® Library Manager™, Destiny® Textbook Manager™, and Destiny® Asset Manager™. We know you’ll want to start using these enhancements right away. All Destiny Products New Destiny Logo: After installing or upgrading to version 11.5, you will see a new Destiny logo, unless your district has a custom logo. District Welcome Page Improvements: Create a customized Welcome page (including text, pictures, and links) that lets you search for a particular school. Resource Lists Ownership Enhancements: New features enhance the availability of Resource Lists and offer ownership options. Link to Follett Community: Access Follett Community, an online space for you to collaborate, share, learn, and communicate with other Follett users about Follett products as well as other topics of interest. New Material Type Icons: Follett has updated the default material type icons in Destiny 11.5 to help you and your patrons quickly identify materials for Destiny Library Search, Elementary Visual Search, Destiny Quest®, and Textbook Manager. Increased Visibility of Homerooms: Create and edit homerooms from multiple locations within Destiny. Library Manager EBook Enhancements: Several enhancements were made to provide a consistent eBook discovery and access experience for your patrons. Require Approval for Comments in MyQuest: Monitor conversations between friends in MyQuest by requiring approval, which lets administrators review comments before they reach the recipient. Enhancement to Import Titles: Library Manager compares the first 150 characters of titles during import to determine whether an incoming title is a duplicate. Prevent Temporary Record Creation Without Permission: Circulation desk staff need the appropriate permission to create a temporary record during checkout. Resource List Enhancements in Destiny Quest: Switch between your personal Resource Lists from multiple locations without leaving Destiny Quest. Destiny Quest Mobile Enhancements: Enhanced Resource List functionality and direct access to Follett Shelf™ are available in Destiny Quest mobile. Barcode Printing Enhancement: When printing copy barcode labels, you can choose to sort them by barcode number. © Copyright 2013 Follett Corporation. 2 Show Book Cover Images in Circulation: TitlePeek™ subscribers have the option to display cover images in Circulation. Titlewave Integration: You can jump from a title in Destiny to a list of similar titles from Titlewave. Display Sublocation: The Sublocation field from the copy record now displays in multiple places. Digital Content Solutions Enhancements to WebPath Express™ Home Page: The Browse feature is now available on the WebPath Express Home page. Enhancements to the WebPath Express Search Page: The redesigned Search Results page makes filtering your search more intuitive. WebPath Express District Statistics Report Enhancement: A new option lets you run a report to tally the number of WebPath Express searches by site and for the entire district. Textbook Manager Groups of Textbooks: You can use OR and AND to assign multiple textbooks to a class and only require that students receive one of the textbooks to meet the class’s needs. Order Textbooks Enhancements: Districts with a textbook warehouse can cancel an entire order after it has been approved and cancel requested copies that are backordered. Open Orders by Title Report: Districts with a textbook warehouse can generate a list of titles that are on order, along with the number of copies needed for each site. Alternate Site Type: Group your Textbook Manager-only sites, including a textbook warehouse, into regions, boroughs, parishes, or anything that is relevant to your district for reporting purposes. Textbook Checkout Summary Enhancements: New options—such as adding a teacher’s name, class period, and textbook title user-defined field or inserting a page break or signature line between sections—are available in a site-level Textbook Checkout Summary report. Enhancement to Import Textbooks: Textbook Manager compares the first 150 characters of titles during import to determine whether an incoming title is a duplicate. Update an Instructional Classification: You can update the instructional classification for all textbooks with checked-out copies, with a few exceptions. Asset Manager Asset Help Tickets: You can now determine whether any documents are associated with an asset description record or an asset item record, and you can limit who can view, add and edit, and delete the documents. Current Circulations Dashboard Report: A graphical snapshot of asset circulations is now available as a Dashboard report. This document provides a brief description, along with step-by-step instructions if applicable, of the new and updated features and functions in Destiny 11.5. What’s New in Destiny 11.5 5 Destiny (All Products) New Destiny Logo Feature Description: A new default district logo for Destiny replaces the green tree. Feature Information: After upgrading to version 11.5, you will see Destiny’s new logo in all new installations and in existing installations, unless your district has a custom logo. If your district has customized a logo, it will be retained. The Destiny Administrator can add introductory text, pictures, and links. You can search for or expand site type lists to find a particular school instead of scrolling through all of the individual site names. Feature Information: Configuring the District Welcome Page Before the district Welcome page is available to users, the Destiny Administrator needs to configure the page using an HTML editor. When the page is ready, the Destiny Administrator can display it to all users. It is helpful to have either a working knowledge of HTML or a commercial HTML editor. To customize the Welcome page: 1.Log in to Destiny as the Destiny Administrator. 2.In the upper-right corner of the page, click Setup. 3.On the Sites subtab, click the Edit icon next to the district. 4.Scroll to the bottom of the page. 5.Click Edit Page. To add text, HTML content, or both to the Welcome page: 1.Next to Introductory Text, click the Edit icon. 2.Enter a Title, in plain text. 3.In the Body field, enter plain text or HTML. 4.Click Save. © Copyright 2013 Follett Corporation. 8 To add an image, follow these suggested instructions: 1.In the \FSC-Destiny\fsc\districtResources\images directory, create a \welcomepage folder. 2.Add the graphics files to the folder. 3.Add the following HTML to the Introductory Text to point to the file, such as: <img src=”/ imagestore/welcomepage/picture.jpg”>. Note: Make sure to use “/imagestore” and not “/images”. 4.When finished, click Save. To create and name a group: 1.Click the Add Group icon. 2.Enter the name of the group. 3.Select the sort order. 4.Click Save. 5.Repeat steps 1–4 for each desired group. To add links to the groups: 1.Click the Add Link icon. 2.Enter the display text and the URL. 3.Select the group for the link. 4.Click Save. Links appear in alphabetical order within a group. 5.When finished, click Close. When the page is ready for display: 1.In the upper-right corner of the District page, click Setup. 2.On the Sites subtab, click the Edit icon next to the district. 3.Scroll to the bottom of the page. 4.Next to Customized Welcome Page, select the Display to all users checkbox. 5.Click Save. © Copyright 2013 Follett Corporation. 9 What’s New in Destiny 11.5 Searching for a Site You can either search for or browse to a school’s link on the Welcome page. To search for a site, enter a keyword in the Search for Site Name box, and click Go. The search results include all schools whose name includes the search characters. Any string of characters will produce search results; however, the search cannot accept a site number, an alternate site type, or an alias. When the search results appear, click the name of the desired school. If the desired school is not in the search results or a “No matches found” message appears, try another search term. To bring back the complete list of sites, clear the search term, and click Go. To browse for a site, click the plus sign next to a site type. In the list that appears, select the desired site. Access Level: Configuring the District Welcome Page Destiny Administrator Searching for a Site All users Importance: Users in large districts no longer have to scroll through hundreds of site names. You can quickly and easily search for or expand site type lists to find a particular school. The Destiny Administrator can create a custom district Welcome page with introductory text, pictures, and links and then display it for all users. This lets district administrators ensure that all users within the district receive consistent and timely messages. © Copyright 2013 Follett Corporation. 10 © Copyright 2013 Follett Corporation. 11 What’s New in Destiny 11.5 Destiny (All Products) Resource List Ownership Enhancements Feature Description: New features enhance the availability of Resource Lists and offer ownership options. Library administrators can reassign the ownership of a public Resource List to another local user. In addition, you now have the option to publish Resource Lists across the district, share a Resource List by adding co-owners, copy your own Resource List to start another, and copy another user’s public Resource List and use it as your own. Feature Information: Transfer Ownership of a Public Resource List Administrators or other users with the appropriate permission can reassign the ownership of a public Resource List from one user to another local user. Note: You cannot reassign a Resource List that has multiple owners. Important: You must transfer Resource Lists before deleting the original owner from Destiny. To transfer ownership of a public Resource List: 1.Navigate to the Catalog tab, Resource Lists option. 2.Select the Public Lists subtab. 3.Next to the locally owned List you want to transfer, click the Transfer Owner icon. 4.On the Find Patron screen that opens, search for the List recipient. 5.Click the Select button. © Copyright 2013 Follett Corporation. 12 6.When a confirmation message appears, click Yes. The ownership of the List changes to the patron you selected. The patron’s name appears in the new Owner(s) column on the Public Lists subtab. Publish a Resource List across the District Users with the appropriate permission can make their Resource Lists available at multiple schools. To publish a Resource List across the district: 1.Navigate to the Catalog tab, Resource Lists option. 2.Select the My Lists subtab. 3.Click either Add List to create a new List or the Edit icon to publish an existing list across the district. 4.Select the Make this list Public locally checkbox (previously called Make this list Public). 5.Select the Make this list Public across the district checkbox, and then click Save. © Copyright 2013 Follett Corporation. 13 What’s New in Destiny 11.5 On the My Lists tab, a checkmark appears in the new District Public column. Note: The name of the existing column has changed from Public to Local Public for clarity. On the Public Lists subtab, a checkmark appears in the District column. Lists without a checkmark are local Lists. Share Ownership of a Resource List Users with the appropriate permission can share Resource Lists, allowing multiple people to edit a List. This enables teams of teachers or students to collaborate on a Resource List. This List can be private or public, local or district-wide. To share ownership of a Resource List: 1.Navigate to the Catalog tab, Resource Lists option. 2.Select the My Lists subtab. 3.Click the Add List button, or, on either subtab, click the Edit icon. 4.Under Add co-owners, enter a search term in the Find Patron field. Note: The search results list only includes patrons who have a Destiny login. © Copyright 2013 Follett Corporation. 14 5.Next to a patron, click Add. The patron moves to the Selected Users list. 6.To add additional co-owners, repeat steps 4 and 5, as needed. To remove a co-owner, click the Remove icon. 7.When you are done selecting the co-owners, click Save. The List appears on each co-owner’s My Lists subtab. Also on the My Lists subtab is a new column that shows the original owner and a More button. Click the More button to see the co-owners. On the Public Lists subtab, the Owner(s) column displays the same owner and a More button. If any of the owners is from another site, the site’s Short Name appears in parentheses in red. Copy a Resource List Users with the appropriate permission can copy their own or another user’s Resource List. To copy a Resource List: 1.Navigate to the Catalog tab, Resource Lists option. 2.Select the Public Lists subtab. 3.Next to the List you want to copy, click the View button. 4.From the I want to list, select Copy this List, and then click Go. © Copyright 2013 Follett Corporation. 15 What’s New in Destiny 11.5 5.On the Copy <Resource List name> screen that opens, do any of the following: • Change the name of the List. The default is Copy of <Resource List>. • Make it public. • Enter a description. • Add co-owners. 6.Click Save when you are done. The List appears on your My Lists subtab; modify it if desired. If the new owner does not have the right to view certain content, that content is hidden. Access Level: Transfer Ownership of a Public Resource List The Site Administrator has the permission by default only if he or she already has the View Local Public Lists permission. Publish a Resource List Across the District Site Administrator, Library Administrator, Textbook Administrator, Asset Administrator, Media Administrator Note: District library catalogers, district textbook catalogers, and district asset catalogers do not have the ability to publish their Resource Lists. Share Ownership of a Resource List Site Administrator, Library Administrator, Textbook Administrator, Asset Administrator Copy a Resource List No users have the existing permission by default. © Copyright 2013 Follett Corporation. 16 Permission: Transfer Ownership of a Public Resource List Transfer ownership of Public Lists Note: One of the following existing permissions is required: Access My Lists for assets, Access My Lists for library, Access My Lists for media, and/or Access My Lists for textbooks AND View Local Public Lists and/or View District Public Lists Publish a Resource List Across the District Publish My Lists across the District Publish My Lists View Local Public Lists (previously called View Public Lists) Share Ownership of a Resource List Share Ownership of My Lists Create multiple Lists Copy a Resource List View District Public Lists Importance: When you delete a patron record, you also delete the patron’s Resource Lists. Occasionally, you may want to retain a particular Resource List. For example, a teacher, who has retired, had created a public List containing resources and reference material for his classes. The List is still valuable for students. Now, you can reassign ownership to another user before you delete the patron record. In addition, the new features let you make Lists available to more people. You can share Resource Lists with other schools in the district. If you view a List that is particularly useful, you can copy that List and make it one of your own. This is much easier than manually creating a copy. You are able to copy any List you can view. Sharing Lists lets teams of teachers or students collaborate on the creation of a Resource List and co-own it. This shared List can be private, public, local, or district-wide. © Copyright 2013 Follett Corporation. 17 What’s New in Destiny 11.5 Destiny (All Products) Link to Follett Community Feature Description: A new button in the upper-right corner of Destiny provides access to the Follett Community website. Follett Community is an online community that provides professional development, support, and single sign-on integration with Follett products and services, as well as access to Follett leadership. Feature Information: Creating a MyFollett ID You can access Follett Community via the Community button on any page in Destiny. When you log in to the Community for the first time, you are required to create a MyFollett ID. Your MyFollett ID integrates with your Destiny and Titlewave accounts, empowering you with a single sign-on for all products. To create a MyFollett ID: 1. Log in to Destiny. 2. Click the Community button. The following message appears: 3. To log in to Destiny in the future with your MyFollett ID, create a bookmark using the MyFollett link in the message. 4. If you don’t want to log in to Destiny with a MyFollett ID, dismiss the message by selecting the checkbox. 5. After selecting the link or the checkbox, click OK to dismiss the message. The Follett Community website opens. © Copyright 2013 Follett Corporation. 18 6. In the upper-right corner, click Log in. The Login page opens. 7. Click Register. 8. On the Register page, fill out your information. Enter the username and password you want to use for your MyFollett account, enter the reCAPTCHA text, and then select the checkboxes. Note: If you forget your username or password in the future, MyFollett will require you to enter your email address and date of birth before sending it to you. 9. Click Register. MyFollett sends a confirmation email to the address you provided during registration. 10. Open the email message from MyFollett and click the link to activate your account. 11. Be sure to select the checkbox if the computer or mobile device you are using is shared. 13. Click Log in. The MyFollett Welcome page opens. 14. To open Follett Community, click the Follett Community link. Integrating MyFollett and Destiny To integrate your Destiny with MyFollett you must bookmark the URL provided when you click the Community button in Destiny (as discussed above). To integrate MyFollett and Destiny: 1.Click the bookmark you created when you set up your MyFollett ID. 2.Enter your old Destiny username and password, and then click Login. Destiny opens. © Copyright 2013 Follett Corporation. 20 To integrate MyFollett and Titlewave: 1.After logging in to Destiny, click the Community button. 2.In the upper-right corner, click MYFOLLETT. 3.Click Titlewave. Titlewave opens. 4.Enter your username and password for Titlewave. If you don’t have an account, you can sign up for one. 5.Click Sign In to Titlewave. Accessing Your Follett Products With a Single Sign-On Once you create your MyFollett ID and integrate all of your Follett products, you can easily access them with a single sign-on. To access your Follett products with a single sign-on: 1.Open the URL you bookmarked when you created your MyFollett ID. 2.Log in with your MyFollett credentials. Textbook Manager also has updated default material type icons. Feature Information: If you have updated material type icons, the upgrade will not overwrite the icons. There are neither subtypes nor elementary visual search icons in Textbook Manager. Note: The elementary visual search icons are larger versions of the standard icons. Feature Information: If homerooms are set up and students are assigned to them, you can generate the following reports, lists, and notices by homeroom: • Current Checkouts/Fines - reports and notices Note: With a mail server and email addresses in the supervisors’ records, you can email this report to the homeroom supervisors. Make sure that their email addresses appear in the Current Homerooms list. • Barcode Labels • Patron ID Cards • Patron Names • Patron Statistics - Historical • Patron Statistics - Summary Note: Only homerooms with currently assigned patrons appear in the lists when you select or group by Homeroom. You can also check out library materials by homeroom. In the Back Office tab, Update Patrons option, you can update the following for patrons: • Patron type • Graduation year • Grade level • Homeroom • Card expiration date • Teaching status (Textbook Manager only) • Patron status • Any of the user-defined fields • Access level, based on homeroom © Copyright 2013 Follett Corporation. 30 You can also delete your patrons by homeroom in Update Patrons. To create and edit homerooms from the new option: 1.Go to the Back Office tab. 2.Select the Manage Homerooms option. 3.After you add or edit a homeroom, click the Save button. Previously, Destiny merged 856 tags for all schools into one title record and then displayed all links for every school that had the title. In version 11.5, links will no longer appear at schools they do not belong to. Destiny displays the link that is appropriate for each school. • You can now add site-specific URLs to non-Follett eBook title records. Unlike 856 tags, these links appear only at an individual school. • “No copies” no longer appears in a library search or in Destiny Quest’s Title Details for nonFollett eBooks. • An Open button appears for all eBook records to promote a consistent discovery and access experience. Coming Soon In addition, the following enhancements to publisher-hosted eBooks purchased through Follett are being released later this year. If you upgrade prior to the release, you will have access to the features upon their release via an auto-update. The publishers include Lerner Interactive, Abdo Interactive, Abdo eBoost, Capstone Interactive, and Catalist Digital Audiobooks. More information about enhancement to publisher-hosted eBooks: • The Follett Shelf Update (reconciliation) includes publisher-hosted content titles. When you purchase publisher-hosted content from Follett, the nightly Follett Shelf Update imports these title records into Destiny. You can also import the MARC file you receive from Follett. • Destiny displays publisher-hosted eBooks in Search Results in Destiny Classic and Destiny Quest. • Through the new single sign-on capability, you can access publisher-hosted eBooks on the publishers’ website without logging in again. • Destiny makes this content available in Follett Shelf searches, as well as in the Follett Shelf Digital Resources tab Feature Information: Importing Titles Containing 856 Tags Destiny now uses special import logic so that a title record only displays the link that is appropriate for each school. A new checkbox appears on the Import Titles page: This file contains eBook records for only this site. © Copyright 2013 Follett Corporation. 34 If you do not clear the This file contains eBook records for only this site checkbox, the following happens when a record imports: • Import Titles attempts to match the incoming and existing records as usual. ▪▪ If there is no match, Import Titles removes all 856 tags from the record and saves them into a new database table for local URLs associated with the site being imported into. ▪▪ If there is a match, Import Titles changes all matching 856 tags into local URLs, which only appear at the local site. Existing 856 tags that don’t match the incoming record remain untouched and appear at any site in the district. If you clear the checkbox, the following happens when a record imports: • Any 856 tags appear at all schools in the district. • Any 856 tags remain as 856 tags. They are not moved to a table. • If the incoming record contains 856 tags with a valid subfield 5 (containing a site ID), those 856 tags appear only at the specified school. Note: If any incoming 856 tags contain a subfield 5 with an incorrect Site ID, Import Titles skips them and writes an exception in the Job Summary. Export Titles builds an 856 for each local 856 tag and puts a subfield 5 with the site-specific information in it. Creating Site-Specific URLs You can add site-specific URLs to non-Follett eBook title records. These appear only at your school. To create a site-specific URL: 1.On the Title Details screen for a non-Follett eBook, click the Local Websites button. 2.Click the Add URL button. © Copyright 2013 Follett Corporation. 35 What’s New in Destiny 11.5 3.Enter a complete URL including the protocol (Ex. http://). 4.If you want text to appear in the Title Details instead of the URL, enter it in the Description field. 5.Click Save. 6.Click Close on the Update Site-Specific URLs screen. Because you now have a title record with more than one local URL, Title Details has no Open button. Patrons will need to select the link they prefer. The Open button on the Search Results list links to the first (top-most) URL displayed on the Title Details screen. You can add, edit, and delete these URLs as desired. You cannot re-order them. Notes: • To create URLs that appear at all schools, you can click the Edit Title button on the Title Details screen and add them on the Resources subtab of the Easy Editor. You can also add an 856 tag in the MARC Editor. • At the bottom of the Explore section in Title Details, site-specific URLs appear above any districtwide URLs (856 links). © Copyright 2013 Follett Corporation. 36 Coming Soon Adding Publisher-Hosted EBooks to Destiny Publisher-hosted eBooks that you purchase for your Follett Shelf are also available through Destiny, allowing your students to see all the available resources after one search. There are two options for adding publisher-hosted eBooks to Destiny: • You can import the MARC records you receive from Follett. • The nightly reconciliation job, Follett Shelf Update, can add publisher-hosted content to Destiny, ensuring that Destiny and Follett Shelf show the same titles owned by that site. The Job Summary lists the publisher-hosted content Follett Shelf added, skipped, or removed. Note: The initial integration process between Destiny and Follett Shelf does not include publisher-hosted content. The first Follett Shelf Update will add the publisher-hosted eBook records to Destiny. Patrons can search for and access these materials without logging in again. More information about adding publisher-hosted eBooks to Destiny: • Patrons can create reviews in Destiny and/or Follett Shelf, but reviews are only available where the patron created them. • When you import title records for publisher-hosted content from Follett, Import Titles merges the records with those from the Follett Shelf Update. • Merge Titles ignores these materials, and the Duplicated Title checkbox does not appear. • Alliance Plus Recon and Process Misses will ignore these materials. • You cannot change the material type, circulate these titles, or retrieve them in Copy Status. You can add copies, but you cannot barcode them or assign a Circulation Type. The Copy Status is always Follett eBook. • Deleting 9xx tags will not delete 956 tags for publisher-hosted title records. These tags have a “9” as a first and second indicator and a subfield 5 containing “40.” • In order for eBooks to appear in New Arrivals in Destiny Quest, the title record must have a copy record. Searching For and Accessing EBooks The material type icons for Follett eBooks and non-Follett eBooks have not changed. You can limit Search Results by material type—select Sound Recording (nonmusical) for audiobooks and Electronic Book (eBook) for interactive eBooks. New icons identify these material types: audiobook interactive eBook Search Results include only publisher-hosted content owned by your school, even when searching across the district. Library Search displays these eBooks and audiobooks in Search Results, Title Details, and the Elementary interface. Destiny Quest displays the material type icon on the book cover in Search Results, My List, and My Bookshelf. To access these eBooks, patrons must log in to Destiny and click the Open button, which opens a new window at the publisher’s website and displays the eBook. Single sign-on capabilities for all the current publishers eliminate the need for the patron to log in again. Note: Patrons cannot open these titles in any of the Follett readers. If a publisher has an app, patrons can download the titles and read them in the publisher’s reader. No matter the source, patrons click an Open button to access an eBook. In Search Results: • Every eBook with a URL in an 856 tag displays an Open button. • For non-Follett eBooks with more than one 856 tag, the Open button links to the first 856 tag in the record. • In Title Details: • EBooks with only one 856 tag display the Open button. • Non-Follett eBooks with more than one 856 tag display the links in the Explore section of Title Details, rather than the Open button. • In Destiny Quest, the Open button appears only in Title Details. In Search Results and Title Details: • In the Elementary interface, the Open button appears in Search Results and in Title Details. • For searches at the district level, neither Search Results nor Title Details displays the Open button. Depending on the title, 80 characters were not always enough to eliminate duplicates during import. For example, consider the following two titles from Safari Montage. Assigning textbooks to a class as a group gives you a choice of the textbooks while still fulfilling the Textbook Checkout Summary (Williams Case) report. For example, a group provides the choice of Title A OR Title B OR Title C; or the choice between Title A (hardbound book) OR Title A (eTextbook). Feature Information: Only district textbook managers can create groups. District textbook managers can assign any combination of groups and individual titles to a class. However, before a district textbook manager can create a group, classes must be set up in Textbook Manager. A textbook: • can only be in one group for a class. • can be in multiple groups if each group is associated with a different class. • cannot be part of a group if it has been added individually. Note: Textbooks assigned individually to a section that is later added to a class group are promoted to the group. To create a group of textbooks and assign textbooks to it: 1. Navigate to the district’s Back Office tab, Update Classes option. 2. Next to the course you want to create a group of textbooks for, click the Edit Class icon. 3. Click the Textbooks button. 4. On the Update Textbooks page, select the as part of a group (only one title in the group is required) radio button. 5. For customers who manage their class textbooks by uploading a Textbook Associations XML file, an optional Group element was added to the XML file. A district textbook manager can create groups and add or remove textbooks accordingly. Feature Information: Previously, there was no way to close orders that had an open status. For example, a school requested 14 textbooks from the district textbook warehouse. The warehouse approved the order and shipped the 12 copies it had on the shelf. While waiting for the two remaining textbooks, the school called and said two students dropped the class, so they didn’t need the additional textbooks. To cancel backordered textbooks: 1.Log in to Destiny as a district textbook warehouse user. 2.Go to the Catalog tab, then the Order Textbooks option. 3.Locate the order in the Shipped section, and click the View Order icon. 4.Next to Number of copies on backorder, click Edit. 5.On the Backorders page, enter the number of copies to cancel in the # to Cancel field. 6.Click Save. 7.If you canceled all the backordered copies and the receiving site has received all the copies you shipped, the message Order <number> is now complete appears. The quantity of copies you canceled appears in the Canceled column under Titles. 8.Click Close. To generate an Open Orders by Title report: 1.Log in to Destiny as a district textbook warehouse user. 2.Go to the Reports tab, then click the Textbook Reports option. 3.Select the Open Orders by Title report. 4.From the Select & sort by list, select either Title or State/Textbook ID. 5.If you selected Title, enter a range. If you selected State/Textbook ID, enter the ID. 6.If you selected Title, select the checkboxes to include Teachers’ Editions, Resource Kits, or both. 7.To limit the report to orders created in a particular date range, select or enter the dates. 8.Click Run Report. For example, you can group your Textbook Manager-only sites into a region for reporting purposes. Feature Information: The Destiny Administrator can name this alternate site type (a user-defined field) and then name and assign each Textbook Manager site, including a textbook warehouse, to a group. Once the Destiny Administrator groups the sites, the district textbook manager can limit the following reports by these new groups or alternate site types: • Student to Textbook Statistics • Textbook Checkout Summary • Textbook Inventory Change Analysis To name the alternate site type: 1.In the district setup, navigate to the Sites subtab. 2.Click the Edit District button. 3.Scroll down to the Textbook Management section. 4.In the Customize User-Defined Alternate Site Type field, enter a name. 5.Click Save. To define and assign an alternate site type to a site: 1.In the district setup, navigate to the Sites subtab. 2.Click the Edit icon next to the name of the site you want to assign to an alternate site. 3.Click the Alternate Site Type drop-down to select the appropriate site type. 4.If needed, click the Other button to create a new alternate site type. 5.When the Manage <alternate site type name> page opens, enter a name of up to 50 characters in the Alternate Site Type field. Now, you can update the instructional classification for checked-out textbooks, except for the following: • Textbooks with an instructional classification of Digital Material (never barcode), if any copy in the district is checked out or any site in the district has unlimited copies. • Textbooks with an instructional classification designated as consumable that have checked-out copies. To update an instructional classification: 1.Log in to Destiny Textbook Manager. 2.Search for the textbook that needs updating. 3.When the search results appear, click Details. 4.Click Edit Title. 5.Select an Instructional Classification from the drop-down list, or click Other to define a new one. 6.Click Save. Create, manage, and archive work tickets for your asset items in need of repair or maintenance. You can also let patrons with the appropriate permissions create Help Tickets to inform you when asset items need maintenance. Users with the new Create help ticket for self permission and district asset managers can create Help Tickets in one or more of the following locations: • An asset’s Items tab • My Info in the new Custodian section • My Info in the Checked Out Assets section • Patron Status in the new Custodian section Users with the new Manage help tickets permission can manage Help Tickets in the following ways: • Helpdesk technicians can create new Help Tickets when a user contacts them about an asset item needing repair or maintenance. • Helpdesk technicians can view all the open Help Tickets in the queue, determine the work to be done, and assign them to the correct technician. • Schools and districts can create Servicing Teams that are responsible for repairs. They can designate a team head and assign teams to the asset templates. • Once a school or district creates a Servicing Team, Asset Manager automatically assigns a Help Ticket to the head of the local team responsible for that asset. If there is no local designated head, Asset Manager assigns the Ticket to the district head. If there is no district head, the school or district must manually assign the ticket to a technician. • The detailed version of the Deleted Assets report includes Help Ticket information. • The district asset manager has access to all the Help Tickets in the district’s Back Office. Feature Information: Setting Up a Servicing Team Templates can now include information on the team responsible for repairing and maintaining that type of asset. You can create district-based and site-based servicing teams to fit your needs in the asset template. In Manage Servicing Teams, all teams are visible to all sites. However, the head of a Servicing Team is site-specific. Each site can define a servicing team head for their site. This team head is visible only at their site. The district can define a servicing team head. This team head is visible only at the district. Once a school or district creates a Servicing Team, Asset Manager automatically assigns a Help Ticket to the head of the local team responsible for that asset. Otherwise, it is in the Unassigned section. A Help Ticket History is started, containing the following information: • Ticket number • Summary • Description (Details), if entered • Default Priority – Medium • Status – Open • Assigned to (if a Service Team head exists) • Requestor’s name, email address and phone number, if entered • Number of items submitted for repair This same information is added to the item’s Transaction History. Creating a Help Ticket from MyInfo Users with the new Create Help ticket for self permission and who have the Use Asset Search permission can create a Help Ticket for the items viewable in My Info. Users with the new Create Help ticket for self permission and who are Custodians of assets can view a list of assets and create Help Tickets for them in My Info. To create a Help Ticket from the Back Office tab: 1. Log in to Destiny and select the Back Office tab, then the Help Tickets option. 2. On the Track tab, click New Ticket. 3. To identify the asset item, click Select. 4. Enter one of the following: Item Barcode, Item Serial Number, or Asset Displayable Name. 5. Click Go. 6. If multiple search results appear, click Select next to the correct one. 7. If a Servicing Team (with a head) has been assigned to the item’s template, the Assigned to field is automatically completed on the New Ticket page. 8. If you have physical possession of the item, select the Item submitted for repair checkbox. 9. Use the drop-down lists to select the Priority and Status. 10. Enter a Summary of up to 255 characters and, optionally, Details of up to 1,000 characters. 11. If you know who will repair this item and no Servicing Team has been set up for this asset, assign the Help Ticket to a technician. To search for and select the appropriate technician, click Select. 12. 1f you know how long the repair will take, enter or select an Expected Completion date. 13. Results Asset Manager creates and automatically numbers a Help Ticket in the following scenarios: • If you assigned a technician and the ticket status is Open, it appears in the Open section of the queue. • If you assigned a technician and the ticket status is Pending, it appears in the Pending section of the queue. • If you didn’t assign a technician and the ticket status is Open or Pending, the ticket appears in the Unassigned section of the queue. Managing the Help Ticket Queue Users with the new Manage Help Ticket permission can manage Help Tickets in the following ways: • View the item information. • View the Help Ticket’s history. • View the item’s Asset Status page. • View the item’s Transaction History. • Update the Priority—High, Medium, or Low. • Update the Status—Open, Pending, or Closed. • Assign or reassign the ticket to a technician or repairer. • Update or enter an expected completion date. • Update the Requestor Information. • Add notes. • Close a Help Ticket. • Reopen a Help Ticket. On the Track tab of the Help Tickets option, you can do the following: • Expand or collapse any of the sections: Unassigned, Open, Pending. • Sort each section by clicking the column heading. • Edit a ticket. Editing a Help Ticket Help Ticket managers can update the information in a Help Ticket, record the progress of the repair, and add notes. To edit a Help Ticket: 1. Select the Back Office tab, then the Help Tickets option. 2. Next to the ticket you want to edit, click Edit. © Copyright 2013 Follett Corporation. 102 3. Review the item’s information. If you have optional permissions, you can click the item barcode number to view its Asset Status page, and from there, its Transaction History. 4. To view the help ticket history, click View History. 5. Update either the Priority or Status, if desired. Updating the Status moves the ticket to the corresponding section of the queue. 6. To assign or reassign the ticket to the technician responsible for resolving the issue, click Select. To remove a technician, click Clear. 7. Enter or select an Expected Completion date. 8. Update the Requestor Information as necessary. 9. Next to the asset name or Add Note button near the bottom of the screen, click the Paper icon to add progress notes. a. Enter up to 1,000 characters on the Note page. b. Click Save. 10. Click Save when you are done. Closing and Archiving a Help Ticket When a repair is complete, you can add a resolution and close a ticket. You can enter up to 1,000 characters. 8.Click Save. The Help Ticket moves to the Closed section of the Archive subtab. Reopening a Help Ticket Help Ticket managers can reopen a closed Help Ticket when a requester reports a persistent or unresolved issue. To reopen a Help Ticket: 1.From the Back Office tab, Help Tickets option, ensure the Archive subtab is selected. 2.Next to the ticket you want to reopen, click Edit. 3.Click Reopen. 4.Enter a Description, or reason for reopening the ticket. 5.Enter or select an Estimated Completion date. 6.Click Save. The Help Ticket moves to the Open section on the Track subtab. By default, it has a status of Open. Asset Manager assigns the ticket to the same technician and adds the Reopen Description and Expected Completion date to the Help Ticket History and the item’s Transaction History.
