General Event Guidelines
LODGING ROOM RESERVATIONS
There are two account choices for your event. Individual Pay accounts require each person attending the
function to make their own reservations and assume the financial responsiblility for that reservation. Master
Bill accounts require group financial responsiblity, including a lodging deposit and a master rooming list from
the group coordinator. Each type of account will have a master folio to which all function charges for food,
beverage service, and conference services will be billed.
DEPOSIT/PAYMENT POLICY
All facility rentals require a signed contract and an initial deposit to secure your lodging and function rooms.
Thirty days prior to the group event, agreed upon catering and lodging deposits are due. All deposits are
then rolled over into the event final billing, unless the event has been cancelled. In the event that requested
deposits are not received, all lodging, banquet and function space will be released. There is no direct billing
option, and the Enzian Inn does not accept purchase orders.
All final payments shall be settled with check or credit card no more than thirty (30) days from the billing
date. If payment is not received by thirty-seven (37) days, finance charges will be applied. On day thirty-eight
(38) a charge of 7% will be added to the balance owing. An additional 3% will be added every thirty days
thereafter.
CANCELLATIONS
Cancellations made 90+ days prior to the contracted date forfeit the signing deposit. Cancellations made
60- 90 days prior to the contracted dates, forfeit the original deposit and may be charged 25% of the
projected total revenue, excluding lodging. Cancellations less than 60 days prior to an event may result in
charges up up to 50% of projected total revenue, excluding lodging.
Any lodging rooms cancelled inside the contractual period, for both master bill and individual pay accounts,
are subject to full room revenue charges inside the cancellation period.
FUNCTION ROOM AVAILABILITY AND CONDITIONS
The Enzian Inn function rooms are well equipped to host multiple function venues, and group sizes. All
meeting rooms are equipped with complimentary wi fi, and audio/projection packages are available for
reservation. Our largest meeting room is equipped for 3 screen projection if requested.
Function rooms are not available before the time agreed upon with the Enzian Sales Office. Additional time
may be requested, however, additional room charges may apply. Changes made 36 hours or less prior to the
function date may result in additional charges. The Enzian reserves the right to relocate your function to a
more appropriate space should your group number change.
Please contact the Group Sales office for approval guidelines for decor. No posters or other attachments to
the wall surfaces of our facility may be used. Confetti is not allowed in any area of the Enzian Inn.
PARKING
Parking at the Enzian Inn is complimentary for all guests of the hotel.
Catering Guidelines
MENU SELECTIONS & MEETING GUARANTEES
Lunches and dinners have a minimum catering number of 30 persons for our dining selections. Lunches to go
have a 30 person maximum. A large banquet event can host a maximum of 200 attendees.
We ask for all catering menu selections, including any special dietary requests, 60 days prior to your event, but
must be received BY 30 days before your event. If the event is booked inside the 30 days, immediate menu
selections will be required.
Due to fluctuations in wholesale food prices, the Enzian's catering menu prices are guaranteed 90 days prior
to the group's event, for all selected menus. At 30 days before the event, all selections are considered firm, and
no additions can be made to the menu. Should the group wish to add catering items for lunch/dinner menus
after that time, and should the Enzian be able to accomodate the additions, a 25% service charge will be added
to the additional items.
In addition to menu selections, details of your event will be needed 30 days prior to your event, but preferred 60
days prior to your event date. This includes, but is not limited to, meeting times, your final program or agenda,
audio projection needs for your function, and the estimated number of attendees for all meeting spaces, break
services, and catered meals.
CATERING GUARANTEES
A change in catering numbers can be made up to 14 days before the event. After that time no reductions are
possible. By 10 a.m. 10 days before the event, the guaranteed number for the event is to be confirmed with the
sales office. If the 10 day out guaranteed numbers are not received, the last estimated number given to the sales
office will become the guaranteed number. The Enzian plans a 5% protective cushion for your ease of mind.
Surprise increases can be managed up to the day of, within the 5% protective cushion, at dinner menu costs.
We cannot guarantee meals if increases are above 5%. Should we be able to provide meals, due to your increase,
there will be an increase of 25% in addition to the meal price.
** Should there be more than one entree request for a plated meal, there must be a minimum guarantee of
40 meals per selection and the higher entree price will be charged for each selection. The specific number of
each entree is required at the time of guarantee. The Event Organizer is responsible for providing a means
of identifying individuals and their meal selection to the server.
SPECIAL DIET REQUESTS
If there are concerns for a guest regarding food allergies, we are prepared to answer questions or guide you
through our menu selections. Many products and foods we serve do have ingredient lists that my help to
determine if common food allergies such as milk, egg, or nut products are included. It is however noted
that we are unable to ensure that those products in their production prior to arriving at the Enzian, or in
their ultimate preparation at the hotel, are guaranteed to be free of cross contamination with possible food
allergens.
Options for special dietary concerns are available upon request. All special diet requests must be made
known to the sales office no later than 30 days prior to the group event. This includes selections from the
options provided by the sales office and the name of the attendee for each option selected.
Tickets will be provided to the Group Coordinator to be given to the specified attendees and must be
presented to your server in order to ensure attendees receive the correct selection. Pricing for special
requests will be equal to the price of the main catering selection.
FOOD GUIDELINES
No outside food will be permitted on to the premises by the patron or any of the patron's guests. No
food or beverage may be taken "to go".
ALCOHOLIC BEVERAGE GUIDELINES
The Enzian Inn does not have a permit with the Washington State Liquor Control Board. Should your
function include alcoholic beverages, the group must either purchase a banquet permit for the function, or
hire a contracted bar/bartender who will provide the permit. Commercial bartender names are available
upon request.
Whether you choose to privately host your own bar, or hire a contracted bar, a per bar set up fee of $110.00
plus tax and service charge will apply. The set up includes ice, lemon/limes, wine glasses, napkins, wine/
bottle opener, cutting board and portable bar (based upon availability), and ice water. All other supplies ae
the responsibility of the group or bar catering service.
Should a reception/cocktail hour prior to dinner service be scheduled for longer than 30 minutes, we
require food/snack for attendees during this time. Please check with the Enzian sales office for options.
A group hosted dinner wine option is available. This allows for 2 bottles of wine per table of 8. There is no
bar set up fee. Wine glasses will be set at the table, and corkscrews provided. It is expected the group will
provide thier own wine and banquet permit, as well as open and serve the wine.
We (Enzian Inn) do not serve alcohol. Under no circumstances can any Enzian Inn employee open, pour, or
serve any alcoholic beverages. No one under the age of twenty-one (21) be allowed to consume alcohol. We
are not responsible for the actions of your patrons and you agree to hold us (Enzian Inn, owners,
magagement, employees) harmless from any and all claims, demands, losses and liability to or by third
parties ariseing from, resulting from or in connections with service perfromed or to be performed under
this agreement.
HOSPITALITY ROOM
If a Hospitality Room is reserved, there is an initial set up fee of $75.00 plus tax and an additional daily
service charge of $35.00. This includes ice, wine glasses, napkins, wine/bottle opener, cutting board, limes &
lemons. A Hospitality Room should be contracted in the same manner and guarantee as meeting spaces.
Lodging rooms are limited capacity rooms, and cannot be informally used to offer group hospitality times.
A banquet permit is required to be secured by the group.
ENTERTAINMENT GUIDELINES
If your group is planning for on site entertainment, entertainment venues must be approved by the
Director of Sales before entertainment is communicated to patrons of the event. We have a list of local
venues we are happy to provide upon request.
SMOKING POLICY
The Enzian Inn is 100% non-smoking facility.
TAX AND SERVICE CHARGE
A service charge of 18% and an 8.4% sales tax will be added to all food and beverage service. The 18%
service charge is subject to Washington State Sales Tax of 8.4%. Service charges and taxes are subject to
change.
