Don’t be a “NO SHOW” to other C.A.R.E.T.S. agents A. Updating/Checking your Contact information a. Click the Add/Edit tab. b. Scroll to ‘Roster/Quick Modify’. Enter your member ID and click ‘Edit’. c. Update/Verify your Contact Information and Preferred Contact Order. d. Click ‘Submit Agent’ to save. Go to Quick Modify field and enter your member number. 1 Click on the Edit function to begin update. Verify ALL information on the left side of screen. Double check Email address. 2 3 Indicate your preferred order of contact by selecting from the drop down. Be sure any contact choice is supported by an entry on the left side. The information listed and the order of priority selected in this function is what will appear on your listings. Every field selected on the right side (Preferred Contact Order) must be supported with information entered in the corresponding field on the left hand side (Contact Information). Using this function will also update contact information in the Agent Roster in C.A.R.E.T.S. However, any updated office information MUST be done by submission of the proper paperwork to your association. Go to www.SRAR.com and Login to CRISNetMLS/ Matrix. Click My Matrix tab. Scroll to Settings and click. Click on My Information. Check and/or edit the information. To change auto filled information click on the “Override” button located to the right of the field and enter your new information. Click “Save”. 5. Click on Header & Footer; scroll the views of Headers to choose from and by clicking on the small button located on the left side you can choose your header. Click “Preview” along the lower left, click on “No Photo” or “Use Custom Photo” along the upper left. Click “Save” when done. (Note that the default choice in this section is “No header or footer”. This is the FIRST choice on the top, if you want a header or footer you MUST select one of the Headers listed). Click “Save”. 6. Click on Email Signature tab. Enter your NAR suggested email signature including CalBRE# and click “Save”. (See Below for example). What is a professional REALTOR® signature? You can build a custom Market Watch for each property type. You can view each property type, and time back at ANYTIME! You never have to go back and readjust a search unless you WANT to. To use Market Watch open the widget so you can see all the status types. On the lower left side of the widget is a field that will default to “Residential”. You will notice on the right side of that field is a down arrow, by clicking this you will be able to view your selection of property types. (“Crossproperty” is a search that allows you to combine multiple property types in a single search). Click on the property type you want to do a search for. Moving to the right of the widget you will notice a field that has the default “24 Hour”, by clicking the down arrow on the right side of the field, you will be able to view your results back from 24 hours, to 7 days. Under the time field are the options to Customize or Reset. When you set up a NEW search in Market Watch you will only have the Customize option. By clicking this on you will be able to set up your market search parameters. You will notice that you are not asked to identify status type, as the Market Watch widget is set up to do just that. When you have entered all the parameters you wish to include, click "Save". You will notice that in this search there is no way to view the results from the criteria page, and there is no status type option. Once you have clicked save you will be able to view the widget on the home page and also view the results by status type going back as far as 7 days. To view your results click on the status type you want to view, along with property type and number of days back. View any changes in a specific status type! View the property type in your market area by clicking down arrow and then clicking on the property type. TOGGLE back and forth between status type, property type and number of days back – ANY TIME! Open your Market Watch Widget. A B 2. Select the property type you want to build a Market Watch search for. (Remember you can build a Market Watch search for EACH property type – one does NOT interfere with the other, they are independent searches). Click the down arrow to the right of the column and then click on the property type. The default is Residential (A). 3. Next click on “Customize” (B). 4. The following screen will appear. Enter your search information in the fields as you would for any other search. However, you will notice that the Market Watch search screen is different from other search screens. a. You have NO toggle tabs along the upper right b. You CAN NOT select a status c. You CAN NOT view results. The purpose of this search is to MONITOR status activity in specific market area(s). In this particular search function MUCH LESS is better. Suggestion: Try entering property types and zip codes only! When done, click on “Save”. You are now able to view status results! From the Market Watch widget you can click on the status type to view properties that have been updated for a particular status: In this scenario – The search information used was Single Family Residence and zip code 91335. I am looking back 24 hours. You will notice that there are 2 New Listing, 1 Price Change, 1 Back on Market and 2 Sold. By clicking on the status I want to view I can see the actually properties. Clicking on Price Change status the property appears. At any time I can view status information for other property types, or number of days back by simply clicking the down arrow to the right of the field and clicking on the option I want. See below: This is the same search used in the example above, however by clicking on the option to look 7 days back the status results will reflect information going back 7 days. Retrieving the properties is done in the same manner as above. NOTE: To save particular results you must select listings and store them in a cart or in a Watched Listings list. To erase an entire search and start over again, click on the “Reset” option from your Market Watch widget. You will notice that the word “Customize” will appear again, click it and start a new search. To update a search in Market Watch, click on the “Customize” option and enter your updated information to the search criteria and then click “Save”. 7. Remember that EACH property type provides you with the ability to run ONE Market Watch search apiece. You can enter multiple sub-property types, multiple area’s (zip codes, map search areas, etc.). The ONLY search function that allows you to combine property types is Crossproperty. You can view your searches at any time and for any time period by simply selecting using th4e drop down arrows. TIP How to View all your Widgets: Hovering the cursor over the title of the Widget, you will notice that the cursor turns into an anchor. By holding down the left mouse or keypad key, you can drag your widget to any location on the Matrix homepage. You will also notice that by hovering over the Widget title and moving towards the right hand side of the Widget you will see an “ ” box or a down arrow ( ) or an up arrow ( ). By clicking on the “ ” you will be able to put the Widget back into the “Additional” widget. By clicking on the up arrow, you will be able to compact the information that is in that widget and thereby only view the title of the widget. By clicking on the down arrow, any information compacted in a widget will appear under the widget title. These functions can be used for any of the widgets. The Additional widget holds all the other widgets! And like all other widgets – you can compact or display the information in the widget by clicking the up or down arrow on the right of the title bar. You can also place widgets in Additional by clicking on the “X” to the right of the title. To display the information in a widget, click the down arrow and all items in the widget will be visible. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 9 Matrix Speed Bar Definition: The Speed Bar uses specific key words to search for listings, open house and agents in a single search field. Location: The Speed Bar is available just below the menu bar on every Matrix screen. For a list of sample shortcuts, click on the grey question mark to the left of the Speed Bar. How to: Type the criteria into the Speed Bar search box and include a space after each criterion. To run the search, press the Enter key on your keyboard or click the magnifying glass icon box. to the right of the Speed Bar search Results: In the example above, we are searching for Active listings, single family homes, priced at $500,000-$600,000, three or more bedrooms, two or more bathrooms (always enter bedrooms before baths) in Reseda (you can use a zip code or area number). Searching using MLS#: Enter as many MLS#’s as you are searching for. The numbers can be separated by using a space or a comma between each entry. Click enter on your keyboard, or click the magnifying glass icon to the right of the search field. NOTE: Notice you can enter alpha characters in upper or lower case. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 10 How to Save a Speed Bar Shortcut The Speed Bar Shortcut allows you to create Custom Shortcuts that can be Saved and used in the Matrix Speed Bar anytime. Step 1: From the Home Page of Matrix type your criteria in the Speed Bar and hit enter on your keyboard or click the magnifying glass in the Speed Bar search box for a list of sample shortcuts. Step 2: In the Search Results page click the Save button and select New Speed Bar Shortcut link to create a speed bar shortcut. Step 3: On the New Speed Bar Shortcut screen, type the Shortcut name you would like to use. You must use alpha numeric characters and “/”.The symbols “&”, “-“ and “_” are allowed. You may also type a description. When you are finished, click the Save button. ALL saved Speed Bar Shortcuts MUST begin with the “/”. Shortcuts are not case-sensitive. Step 4: Click “Save” located on lower left of screen. Your Speed Bar shortcut is now saved. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 11 Step 5: To view a Speed Bar search enter the “/” and the name, click enter or the magnifying glass to see results. Delete or Edit a Speed Bar Search To Delete a Speed Bar search: 1. To find all Speed Bar Shortcuts go to My Matrix tab. 2. Click on Settings. 3. Click on Speed Bar Shortcuts. 4. A list of all Short Cuts will appear with the criteria used listed under the Short Cut name. By selecting a Short Cut you can delete it by clicking on the Delete option located on the lower left of the screen. To Edit a Speed Bar search: 1. Go to My Matrix Tab. 2. Click on Settings. 3. Click on Speed Bar Short Cuts. 4. A list of all Short Cuts will appear with the criteria used listed under the Short Cut name. Click directly on the name of the Short Cut you want to edit. Update the information you want to update on the Criteria screen. When done click Save. Click save again when prompted. Your updates have now been saved. NOTE: You can NOT retrieve results from the Speed Bar list, you MUST enter the NAME of the Short Cut in the Speed Bar field. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 12 CREATING A CUSTOM DISPLAY There are now two ways to set up a Custom Display in Matrix. Creating a Custom Display from the Agent 1 Line When viewing results from an Agent 1 Line display (the default display). You can change the order, the column width, the fields included or excluded. It is convenient and simple to do! 1. To change the size of a Column, hover to the right side of the Column name. A double bar with arrows on each side will appear. To change the width of the column, click on the arrow and holding the left key, drag to the position you want and release the key when done. 2. To adjust Column Alignment , hover over the column title slightly above the column name. An “Anchor” type symbol will appear. When the “Anchor” appears click on your left key and a box will appear. Select a position under the word Alignment and click on Apply when done. 3. To move the location of an entire column hover over the column name, when the “Anchor” appears hold the left key and drag the column into the position you want. Release when done. This works best when you are hovering over the top area of the column. 4. To remove columns or to add columns to a display, hover and click. A box will appear that will give you the options to Remove Column or Insert Column (when inserting a column the column will appear to the right of the column you have clicked on). www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 13 a) To Insert Column click on the option to insert. A field that will allow you to choose the fields you want to add will appear, you can scroll and click the list or along the bottom you will see the word Search, begin to enter a field name and your choices will condense. Click on the choice and then click Apply. b) To Remove Column, click on the option to Remove and the column will be removed. 5. To save a “Custom Display”, click on the Icon to the right of the Per Page - www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 14 Click in the field that reads “Agent 1 Line”, back space and then enter the name of your new custom display. After you have named it, click on the option to “Save as a Copy”. Your new custom display will now be saved! You can now view any results list using your custom display by clicking on that option in the Display field. NOTE: When you have set up a “Custom Display” from a specific search following the aforementioned instructions, the display for that search will appear in your custom format. To return the search results display to another display or back to the Agent 1 Line you need to click on Revert unsaved changes. This will allow you to look at your search results in any format. Building a Custom Display from the Custom Display Scre en The second option for a custom display is to use the Custom Display Screen option in My Matrix. 1. From the Matrix home page click on the My Matrix tab. 2. Scroll down and click on Settings. 3. Click on “Custom Display”. 4. You can select a property or agent type Display. 5. When you click on Add the following screen will appear – a) Enter the name you want to give the display. b) Begin to select the fields you want to add to the display – you can scroll the field or start entering a field name in the Search field – click on the field and then click Add, when the field is added it will appear in the Selected Columns area. To remove a field you would highlight and click on Remove. c) To arrange the order from left to right that you want your fields to appear in, click or highlight the field you want to move in the Selected Columns area and click the Up or Down buttons. d) When done, click on “Save” and then click on “Done”. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 16 7. To edit a custom display you may do so in one of the following ways: a) From the results view you can insert, remove, resize or re-locate columns just as you would if you were building a Custom Display from the results page. Click on the display you want to edit, make your changes and then click on the Manage Display icon to the right of the words “per page” and click “Save Changes”. This will update your display to incorporate the changes you have made to the display. b) From the My Matrix, Settings, Custom Display window you can Edit a display by clicking on the name of the display you want to change, clicking on “Edit” and then removing, inserting, resizing or relocating. To do this you click on the items you want changed from the Selected Columns area and then click remove, or click the Up or Down boxes to relocate or to re-center or change column width go to the Custom Column Properties and make changes. Remember to click Save and Done from this action area! 8. To delete a custom display you can do so from the Manage Display icon or from the My Matrix, Settings, Custom Display area. 9. To set a particular view as your opening default, click the “Gear” Icon located on the far right under the “Results” tab. Then click on the option the reads “Set Current Display, Sort Order and Count per page as Search starting display”. Remember that at any time when viewing you Results list you can change the format of the display by clicking on the Display field drop down arrow and then clicking on the view you want. Even if you have saved a certain view as the opening default, you can change the view at any time. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 17 Carts CRISNetMLS Matrix provides a feature that allows you to select certain items from a search results screen and add them to a “Cart” for quick access. Listings that you add to a “Cart” will remain in the “Cart” regardless of any changes/modifications the listings go through. From a “Cart” you can quickly access listings and print or email for your clients. A cart is automatically added each time you enter a contact into Matrix. To add items to a “Cart” follow the steps below. 1. To add a “Cart”, you must add a contact. 2. Click on MY MATRIX tab on your CRISNetMLS Matrix homepage. 3. Click on Contacts. 4. On the bottom left of your “Contacts” screen you will notice an ICON that says “Add”. Click it on. 5. Enter the first and last name of your client and the email address. Click save when done. 6. You have successfully created a “Cart”! 7. Now that you have created a “Cart” you can begin to add items into that cart. It’s EASY! 8. You will notice that the opening default of your “Carts” option will read “Cart My Residential” . By clicking on the down arrow located on the right side of the field, you will see a list of all the “Carts” you have available in Matrix. If you do not see a client/cart at the bottom on the list you will see “More Click” by clicking your entire list of clients/carts will appear. Click on the name of your “Cart”. Your Client will appear in the field. 10. Select listings from your search results and click on the “Add To” button to the left of your “Cart” name. Depending on the number of listings you have selected to add to a cart, that number will now appear to the right of the “Cart” name. 11. You can remove items from a cart by selecting items when you are in the “View” mode and then clicking on the option that reads “Remove Checked”. Selected listings will be removed from the “Cart”. Recent Search history shortcut Matrix has provided a feature that allows you to retrieve searches done in the last 30 days, and will hold a total of 50 in this area. This feature is NOT to be used in place of saving a search as a New Saved Search, New Auto Email or New Speed Bar Shortcut. This function allows you to pull up searches that you have not yet saved, after 30 days the search will no longer show. 1. Click on the down arrow for Recent Searches. 2. Scroll the list and then click on the search you want to view. The results list will show. 3. If you do not see the search you are looking for, click on the View All located on the lower right corner of the drop down and all of the 50 searches stored will show up provided they still fall into the 30 day window. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 20 Creating A Custom Search The CRISNetMLS Matrix platform allows you to create a custom search for each property type. Creating your own search allows you to add search fields to suit your personal preferences. Follow the steps below to create your own search page. This example demonstrates how to create a custom residential search, but the instructions for other property types are the same. You can also customize a default search screen by adding additional fields that will remain on your search page for future use. 1. From the Search tab, click the Create Your Own link for the property type you want to create a custom search for. 2. Click the Add link to add search fields for the property type you selected . Note: The Add Additional Fields option is available at the bottom of all search pages for all property types. When you add additional field to ANY search screen it will place itself on the bottom of the screen UNDER the Additional Fields function and remain there for usage at any time and for any search UNTIL you remove it. These added fields are used in the same way as the defaulted fields; they can be used for every search, for some searches or for no searches. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 21 3. To add search fields, begin to type in name of field in the SEARCH field located on the lower left of Available Fields, or click the name of the field in the list of Available Fields, then click the Add button to add the selected field to your custom search. Click Back to save to screen. To select multiple fields at once while scrolling the list, hold down the CTRL key (Windows) or Command key (Mac) on your keyboard as you select the fields you want to add to your custom search. You can also use the SEARCH field to type a field name and then ADD. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 22 Keyword Search Adding keywords to your searches allows you to quickly find or eliminate listings from your search results based on keywords that a listing agent may have used to describe a property in the Property Description or Agent Remarks fields. Keyword Inclusion Use the wildcard symbol (*) to search for keywords that a listing agent may have used in the Property Description or Agent Remarks field to describe a property. For example, to search for listings that contain the word TLC, type *TLC* in the Property Description or Agent Remarks fields. Note: To search for multiple keywords, separate each keyword with commas (,). For example, to include the keyword fixer and exclude the keyword short sale, type *fixer*, !*short sale* in the Property Description or Agent Remarks fields. The search results will return all listings that contain “fixer” but do not contain “short sale”. Keyword Exclusion Use an exclamation mark (!) before a keyword to exclude listings that contain specific keywords that a listing agent may have used in the Property Description or Agent Remarks field to describe a property. For example, to exclude listings with the words “short sale”, ttype !*short sale* in the Property Description or Agent Remarks fields. Note: To search for multiple keywords, separate each keyword with commas (,). For example, to include the keyword fixer and exclude the keyword short sale, type *fixer*, !*short sale* in the Property Description or Agent Remarks fields. The search results will return all listings that contain fixer but do not contain the short sale. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 23 Reverse Prospecting Reverse Prospecting provides listing agents with statistics on how many times their listing was emailed to a client by another agent. Follow the steps below to get started. 1. From the My Matrix tab click the My Listings link, the My Listings widget: 2. Click the checkbox next to a listing that you would like to view email statistics for, then click the Reverse Prospect button. 3. The Reverse Prospect Results screen displays the Auto Email ID, Auto Email Results Count, the first name, last name, Public ID, and Email address of the agents who sent their client an auto email that contained your listing. Note: The Results Count is the number of listings that were auto emailed by the agent listed. Your listing is one of the listings in the results count (lower result counts are better, meaning your listing is one of a few listings that matched their client’s search criteria). www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 24 MY HIT COUNTER My Hit Counter feature provides you with an overview of your listings performance. To view the number of hits your listings have received, on your CRISNetMLS Matrix homepage: 1. Click on the “My Active …..” link in you’re my Listings widget. You will be taken to your listings screen. In the upper left hand corner of the screen you will see a field that says My Listing Inventory. 2. Click the down arrow on the right hand side of the field. Scroll to the bottom and click on the option “My Hit Counters”. NOTE: You do NOT need to select any listings to perform this function. 3. A screen like the one below will come up. To read the report starting from left to right: 1. ML# - the Multiple Listing number for your listing. 2. S – Status (A = Active, S = Sold, P=Pending etc.) 3. Str# - Numeric address number 4. St Name 5. and 6. City and Area respectively 7. List Price 8. thru 13. represent the portal activity for each listing. www.srar.com Tech Support SRAR-SFV 818 947 2202 SRAR-SCV 661 295 7117 [email protected] 25 Searching for Listings on Your Mobile Devices Follow the steps below to access the CRISNetMLS Matrix platform from your mobile devices. 1. Open your mobile device’s web browser and navigate to http://www.crisnetmobile.com 2. Enter your User ID and Password in the available fields. 3. Click the Login button to start searching for listings. Note: Access to CRISNetMLS Mobile is free, however, your wireless carrier may charge extra for Internet data usage on your mobile device. Special Character Description Example Greater than or equal to: Allows you to search for values that are greater than or equal to the value you entered. When using the + character, it must follow the value you enter. Bathrooms: 3+ Finds all listings that have 3 or more bathrooms. – Less than or equal to: Allows you to search for values that are less than or equal to the value you entered. When using the – character, it must follow the value you enter. Bathrooms: 4Finds all listings that have 4 bathrooms or less. – Range: Allows you specify a numeric range. List Price: 150000-200000 Finds all listings with a list price ranging from $150,000 to $200,000. Either/Or: Allows you to enter multiple values in a single field.
