It is one of the few months that the name presents an opportunity to be used in the theme of this article. And the answer to the question, as far as the CPPC is involved, is yes you can. Recently I had a conversation with an industry leader and longtime member in regards to locating a source. It surprised me that they were not using the CPPC website as a tool. The wealth of information and education provided on our website, www.claimsnet.org, is helpful in performing your transit claims responsibilities. Please consider using the following areas to assist you in excelling at your facet of the industry. The first and strongest tool is under the Members section and as the CPPC Roster. This is a list of our members and allows you to search for them in a format that should serve your needs. Don't forget that under the zip code search to only use the first three digits of the zip code. You can also search by name, company name, or state they are located in. This will require a user and password that you can obtain by contacting the CPPC Executive Director, if you do not have one in place. Take this opportunity to see and possibly update your own information or to check for its accuracy. The Members section also offers other information including copies of this Newsletter online. The CPPC information includes Bylaws and Policies that govern our organization. For specialty and unique sources there is Vendor/Supplier section. Also can find industry accepted forms if you're looking to update your information or the way you provide it. www.claimsnet.org also offers areas to advertise within this Newsletter and the rates involved. You will not find another method to reach people within the transit claims industry in a more economical fashion. Our classifieds section offers a free opportunity to sell items or fill needed positions. There are areas to see a calendar of events on the horizon and an area that presents membership information. (OR HOW NOT TO PACK A PILLOW TOP MATTRESS) Mrs. Billye Thoma Trilogy Claims Service The customer called the Booking Agent immediately after delivery to report their “lumpy” mattress. (SEE PHOTOS) The customer faxed over the Claim Form for this 1 item - for this national account customer, the agent needed to verify that the damages were transit related and handle this “essential” item right away. Was the mattress an old mattress and damaged due to age and usage; was the mattress just lumpy and needed to be flat for a while. The inspection and photos showed that the mattress had a huge “lump”. The lump was definitely due to improper packing and was transit related. The photos show the huge lump in the middle of the mattress. The manufacturer’s website showed this Pillow Top Mattress for $2,500.00. The customer only claimed $800.00 for the mattress, so payment was made as claimed. Please review with all personnel the importance of properly preparing a mattress/box spring for shipping. Salesmen: you are the 1st contact; you should always verify the size and note the paperwork with the size/make/type. Packers ~ you see the mattress/box spring; let the crews know what to expect. Van Operators ~ keep shrink wrap as part of your supplies and make sure you pick up the correct mattress cartons. It appears that the mattress was packed in a mattress carton; however, the carton was not “wide” enough for the width of the pillow top. Apparently the mattress was “squished”, not squeezed but “squished” into the carton. The cushioning materials of the pillow top mattress were pushed to the middle and held together during the interstate move. The foam and cushioning adhered together making a big large lump – this mattress could no longer be used. While the Van Operator attempted to protect the mattress by putting it in a mattress carton, the carton was not the correct width/depth. What is the correct way to handle the pillow top mattress - shrink wrap only; shrink wrap and then put into a mattress carton; get a bigger carton. CPPC - 8 Proper Preparation helps reduce claims! The days of walking into a house, doing repairs, leaving the same day with a satisfied customer and a check in your hand are over. Today, things are much more complicated…we project manage third party inspections; custom mill parts, repair drywall damage from the sofa too big for a hallway, order and replace washing machine control panels, coordinate TV repairs, research china patterns, order and install replacement tops and yes, we even repair furniture! Not only have the job requirements changed, the customers have changed. Many shippers have become smarter, greedier and generally more difficult to deal with every year. Bottom line, keeping our sense of humor is the key! In an effort to let them know how they sometimes sound to us, here’s an open letter to shippers. Dear Mr and Ms Shipper, Let me begin by saying I’m sorry you had trouble with your move. The moving company tries hard to provide the best service possible, but sometimes things happen. Is this the worst damage I’ve ever seen? ARE YOU KIDDING ME?! No, not even close! I could write a book about the moving damage I’ve seen over the years, but no one would want to read it! Let’s just say my record book is a place no one wants to be. No one hires us unless there is a problem. No one ever calls and says, “go see Ms Shipper to celebrate the perfect move.” I understand your move did not go perfectly and you’re upset, but think about how some of your claimed items sound to us… • So, which 2 of the 200 scratches on the top of this coffee table do you think are new? • I understand your Grandfather made this desk but that doesn’t make it an antique and it certainly doesn’t make it worth $2000! • Oh, this broken Menorah is a family heirloom? Hmmmm, let’s just take a look at the markings on the base. Oh my, look… a Made in Japan sticker! BILL RUBLE ARTISTIC FURNITURE RESTORATION What’s that? This is absolutely, positively, without question the worst move you’ve ever had? These marks look more like dirty dog paws than handprints to me… • Well, actually this is not solid cherry, it’s pressboard with paper veneer the color of cherry. • No, I have never inspected bras with burst bladders before…oh, the Victoria Secret Holiday edition? It was packed under books and burst? Yes, I see the stains…ARE YOU KIDDING ME??!! • So, you paid $400 for this lamp? Look, there’s a Walmart price tag for $35 on the bottom! (For future reference, you really should check for and remove all of the price tags before I get here) • No, no, no! I understand the power sex toy makes a terrible noise when you turn it on, but I don’t want you to show me…Uhhh, there’s no external damage, so I’ll check with the claims adjuster to see if they want third party inspection! Yikes! • Before you claim the $1 plastic cup, the Barbie with the head broken off, the dented bar of soap, the binder with the bent cover or the ream of paper with 10 sheets creased, breath in…breath out…and let it go! • I’m not looking for a fight, but just for fun, let’s clarify the term, “destroyed”. According to American Heritage 5th College Edition, it means “completely spoiled, ruined”…a 3” scratch on the top of a pressboard desk is not destroyed! • Pleeeeeeeease don’t tell me what I need to do to repair the damage and pretty pleeeeeeeease don’t tell me to “slap some putty” in it. • Can’t find the damage? Oh no, don’t you dare get the halogen light out to look for the 1/16” nick on the dresser top!!!! Maybe it’s not even there any more…it must have healed itself! • I’m sure the vase was broken…and yes, I’m certain it was from the Ming Dynasty, but you really shouldn’t have thrown it out before I got here! I do understand each and every one of your items are important to you, but if you could just breath in… breath out…and let some of these things go, we’d all be winners. Please tell us the truth and don’t force us to play detective to prove you’re “fibbing.” The moving company will take responsibility for damage caused by their employees; they want to play fair, but sometimes you want more than is fair. A little respect would go a long way. We’re trained professionals…sometimes 3rd or 4th generation craftsmen. We can’t always tell you what you want to hear, but we will always tell you the truth. Dry climate really can cause ¼” cracks on tops and sides; those black marks look like impacts from your vacuum cleaner; the dings on the dining room chair backs are the same height as the table and those “scratches” on the crib appear to be baby teething marks, not transit. In closing, please know we work hard to provide quality service for you and your claims adjuster…we take great pride in our repairs and problem solving skills. Most importantly, we try to keep our sense of humor and hope you will do the same! Hey, this girl did not get to where she is overnight. Sweet and Cynical’s column is here to answer your questions. Mr. Cynical and Mrs. Sweet thank those that have taken the time to send in questions in the past and welcome new ones. Dear Sweet and Cynical, I am beginning to see more and more cashouts to customers rather than authorization for repairs; yet the customer is being told to contact the repair vendor direct if they want to have repairs completed. It concerns me that we are not being asked direct to do the repairs. The only explanation I am receiving to this matter is that the claims processors are under the gun to resolve the claim under a time line and they are cashing out to get the matter resolved and off their desk. I know there have been discussions before that time lines on these matters take into consideration repair time, if cashouts on non-repairable items are completed timely. Has that allowance time for repairs changed and the vendors not advised? It just seems to me that proper customer service is not being offered, if they are not arranging for the repairs on the customer's behalf. Plus in this economical times, a customer is more likely not to have the repair work done. Not only does that leave the damage in front of the customer to remind them of their unsatisfactory move, it could bring that item back into play the next time it is moved. Why would it not be everyone's goal to either repair or remove all such items out of the customer's possession, so that we avoid possible repeat claimage? How can we get this matter discussed so that all parties are best served. We need the repair work during these lean times, so that we are there as this economy turns around. Can you two give us any insight? I really think this is where your interpersonal skills have to come into play. If you are lacking in that area, you might need to get some assistance from a sweet talking little phillie, I am sure Mr. Cynical can hook you up with quite a long list of those. Mostly rejects, and not his doing; but that is a story for another time. Okay, back to the subject at hand. If you have not already established a strong interpersonal relationship with those that are assigning you work, then shame on you. Those relationships make you more than just a repair vendor on a list. That relationship will cause those assigning you, to treat you different. The reason, is that they seem to know you. You are more than a name on the list. If you have missed this valuable element; then run, don't walk to your phone and get on the wire. Make that contact, establish that relationship and make yourself, your abilities and your needs known. That does not mean go in there whining about your financial dyer straights. It means build a working relationship where you are known and are more than just another name on a list. Make sure those assigning you know your work skills and your desire to do the work and make their customer whole. Learn what time constraints they are working under to complete the tasks in their office and let them know if you can meet them and what you can do to make their job easier. These factors can turn that potential cashout into your next work assignment. You are not going to step on toes if you ask why a claim has been cashed out rather than repairs being assigned. There could be extenuating circumstances that are making cashouts necessary. Again your relationship with those assigning you can make asking these questions easier. It has been an ongoing topic for quite some time and it seems to be even more prominent when you are sometimes literally waiting for that next assignment. I wish I had a crystal ball that could give us all some positive insight for the near future, but we all know that isn't going to happen. I have heard from several of my work associates on this subject matter and we have tossed the pros and cons of this matter around more than once. I would like to see all the carriers spend their time making repairs their goal. We must all remember, if the carriers make it a priority to press repairs, all the repair firms have got to find a way to do them quickly, and efficiently, so I don't have to suffer for your slowness. I agree with Mrs. Sweet’s idea of tight relationships. I definitely get more work from those people who have met me, and grown to accept my outlooks. I think she will do well at selling houses to first time buyers. It will be like her first husband's life after their marriage. Gathering of this information should start with the initial contact with the customer and shared with all parties that will be involved in the handling of the shipment. More than one of us have looked across the office and wondered why we still have a fax machine. For some, it is a multi-purpose machine which also serves as a printer or scanner. For others, it simply sits. I ask, who uses the fax anymore? If you have been around you may remember these originally costing from $1500 to $2500. Now these things can be found for less than $100. Sure we have the expense of the fax line, but how many assignments do we get via fax anyway? It would be nice to shed the expense of the fax line, equipment and supplies. may send faxes from any computer. This comes at a fee; however there is a 30day free trial. Freefax is also a free service. Of course nothing it totally free so this one is filled with advertising to pay for the service. The cheapest plans start at around $10. Be sure to check the allotted number of faxes per month. Once you sign up, you’re generally given a toll-free fax number as well as access to a website where you can view and store your faxes. Watch out though, some may offer only fax numbers based on where they are. If you’re an Iowa firm and you choose one in Arizona, you may have to explain a bit about the Arizona fax number. There really is not much of a reason to have a fax machine anymore unless it serves the other purposes of scanning and copying. Your computer can handle those same duties. For some, this can be a nervous proposition as how could you trust your computer with the handling of an assignment? You will be ok. One way is to simply dump the machine and plug the fax line into the modem on your computer and let the computer receive all your faxes. Just this is a big step forward as now all your records are already digitized and allow for easy backup, forwarding, or anything you desire. Yes, you may also fax from your computer. Simple detail that is easy to visualize is what will catch the reader’s attention first. So identify the strong and pertinent words that best highlight your services, your abilities and any specialalities that you may offer. Now is not the time to play it safe. It is time to get the attention or do what you can, to get that attention. It is Spring. Let those that need to know, that you are blooming, full of color and life and ready to step into their game. When was the last time you picked up the phone and made personal contact with those past clients? You can not rely on your past performance and hope that you are on their mind when that next job arrives. Keeping the lines of communication open with those that you need work from, is a very important element. When I would get a ceramic figurine that was broken I would need to figure out how to do ceramic repair and re-glaze it. When you have lawn furniture that is damaged, you figure out how to work with metal finishes. One of the more interesting situations I’ve been involved with in the last couple of years was just finished up a month ago in New York City. The shipper had just moved back from London with an extensive collection of Day of the Dead artwork. I wasn’t that familiar with this type of artwork although I had seen some of these pieces in the past. This artwork consists of skeleton type figures. Some have cigars in their mouths and other skeletons crawling out of their heads along with bugs coming out of the eyes. You get the idea. By Dan Manning Manning Claim Services Allendale, NJ Hey, I thought I was a Furniture Repairman! Most of us have drifted into this business usually from different directions. Very few people start out in life wanting to be restorers for moving and insurance companies on transit claims. I, myself, came into this business through an antique business I had back in the 1970’s. I had the antique business for about 8 years. I had repaired items prior to that time just for “pocket money” then just kind of drifted into the antique business and I liked repairing things. This shipper had about 6 pieces of artwork damaged. All of the artwork is made out of paper Mache – very intricate and all hand painted. This claim had, in addition, another 40 items on it along with this artwork. Being curious as to what this Day of the Dead stuff was, I googled it and found out that this stuff is highly collectible. I found out it was Mexican by nature. Most of it was made in Mexico and this artwork originated back to Aztec times. Apparently, the Day of the Dead is celebrated on the same day in Mexico in conjunction with All Saints Day. As I progressed into the transit claims business and starting doing more and more of them I found that I was getting involved with the repair of items that were very different. I think I can speak for the majority of repair firms at this point that we fix things that have little or nothing to do with furniture half the time. I remember when I had my antique business I learned how to plaster and gold leaf because I used to pickup oils and prints just to accent the furniture. Inevitably, you get stuff in auctions that is damaged and you just learn how to fix it. Sort of the same thing happened as I progressed into When the Spanish conquistadors came into Mexico they tried to convert the population to Christianity. They tried to let the local natives hold onto some of their traditions then bend them into their ideology – hence, Day of the Dead which has been celebrated since the Aztec’s ruled those portions of Mexico. We needed to take these Day of the Dead pieces of art work back to our shop and it was, by far, some of the wildest stuff we ever worked on! CPPC - 29 C P P C One of these items was a 5 ft. lg. x 4 ft. high dragon with spikes on its chest that had been broken off (how did the craters even crate something like this?) I haven’t worked with paper Mache since the 2nd grade so that was something different and a bit “Out of the Box” as far as what we, normally, do. was, also, a bit of an experience. I went to an art supply store to learn how to do this all over again. I talked with the artists there about the medium and the best way to shape it. We needed to make fingers, little skulls and small skeletal pieces for the art work then incorporate them onto the artwork then hand-paint them with ultra fine brushes. I guess in this day and economy, we all need to start looking more “Outside of the Box” in finding different ways to generate income. At the end of the day it was kind of fun to do this. This I don’t think I’m any different than any other repair firm out there that’s been doing this for a while. We start out repairing furniture and re-enforcing chairs and we end up morphing into something else. I would encourage anyone out there who has come across “Different” repairs to submit your stories about them.
