After completing this course, you will be able to: • • • • • • • • • • access Stratus navigate the Home Page, Info Centre and Stratus conduct a Search using the Quick or Flex form work with the search results conduct a Map Search conduct a Pre-Defined Search work with saved searches set up and use Prospect Searches search by MLS# search the Notice Pages. Who Should Attend this Seminar This seminar is designed for TREB Members who want to learn the basics of how to use the Stratus system. If you would like to get an overview of the various search components, then this seminar is for you. How to Use the Workbook This workbook contains all functionality covered in class. Since all procedures include step-by-step instructions, as well as screen captures, you will be able to use the workbook at home or at the office. Notes Stratus Fundamentals 1 About This Workbook Workbook Conventions The workbook uses the following conventions: • The names of objects that require user action, such as menu items, buttons, or function keys on the keyboard are in bold. Example: Click the Print View button. • Labels such as names for dialogue boxes, toolbars or fields are capitalized. Example: The Print dialogue box appears. • If you must press two or more keys simultaneously, they are separated by a + symbol. Example: To close open programs, press the Ctrl + Alt + Del keys on your keyboard. Throughout the workbook, you will see two types of icons in the left margin: The light bulb signals a tip that will help make your task of using Stratus easier. The note signals information that you should note. The procedures in this workbook reflect Windows 7 operating system with Internet Explorer version 11. Stratus is compatible with Safari, Fire Fox, and Chrome browsers; however, some of the functionality may vary. Notes 2 Stratus Fundamentals Chapter 1: Accessing Stratus Chapter 1: Accessing Stratus To access Stratus, you must have a connection to the Internet and be using the Internet Explorer browser 9 or higher. You may also use Safari, Firefox, or Chrome. Note, however, that only the functions within Stratus are cross-browser compatible. NOTE: It is recommended that you use IE 9 or 10 for maximum performance. If you have a Windows XP or Vista computer, you will not be able to upgrade IE; therefore, it is recommended that you use Chrome or Firefox. Logging on To access Stratus: 1. Establish an Internet connection. 2. Open your preferred browser by double-clicking the icon on your desktop. 3. Type www.torontomls.net in the Address field. 4. Press the Enter key on your keyboard. The Welcome screen appears. Notes Stratus Fundamentals 3 Chapter 1: Accessing Stratus Welcome Screen 5. If this is your first time logging on with an Authenticator, you will first need to register your device. To register: • On the Welcome screen, click on Click Here beside First Time Users Enroll Authenticator and Select PIN. • Read the TREB Enrollment Agreement. • Click I Agree. • Answer each of the security questions. These will be used to confirm your identity in the event that your Authenticator is lost or if your forget your PIN. • Enter the serial number on the back of your Authenticator. Notes 4 Stratus Fundamentals Chapter 1: Accessing Stratus • Create a 4-digit PIN number that you will use to log in to Stratus from this point forward. The PIN must be numbers only. • A screen confirming your enrollment will appear. To access Stratus, click Stratus MLS System. You will be returned to the Welcome screen. Enrollment Confirmation 6. In the User ID field, type your user ID (your TREB Member number). 7. Click in Your PIN # field and type the 4-digit PIN you created when you enrolled your Authenticator. 8. Press the gray button on your Authenticator to generate a random, 6-digit password. This password is only valid for 60 seconds. Enter this number in the Authenticator Password field. 9. Click the option button for Log on to the Stratus. Notes Stratus Fundamentals 5 Chapter 1: Accessing Stratus NOTE: If you are using a browser other than Internet Explorer, you will only be able to log on to Stratus. 10. Click the Log On button or press the Enter key on your keyboard. NOTE: If you type your User ID or PIN incorrectly, you will get an error message asking you to try again. Error message 11. The Stratus Home Page appears. Notes 6 Stratus Fundamentals Chapter 1: Accessing Stratus NOTE: Once you have logged on to Stratus, your session will expire after 30 minutes of inactivity. Before the session is terminated, you will receive a TMLS Timeout Warning Message. Click Renew to continue working in Stratus without being required to log in again. You have successfully logged on to the Stratus system. Wireless Access TREB offers several wireless options. With each, you will require your authenticator to login and access searches and other functions. • iPad, iPhone Download our free Stratus MLS app from the Apple Store or iTunes. To locate the app, search for Stratus MLS. • BlackBerry®, Android or Windows phones Open your mobile browser and navigate to www.mobile.torontomls.net where you will be prompted to log in. • Other mobile devices and tablets Open your choice of browser and navigate to http:// unplugged.torontomls.net. While this site is less sophisticated than the first two options, it is very functional when mobile access is required. Help is organized so that you can read it like a book, select a topic by index keyword, or use the Search tool to find help on a topic by keyword search. Collapse/ Expand Left Side Panel News Resources Today’s Listings & Alerts My Links Left Side Panel The Left Side Panel provides access to the functions of Stratus, My Lists and the Links menu for connecting to other resources. It appears throughout Stratus, either at the left side or collapsed in a row at the top of the screen. You may change its location using the Collapse/ Expand button. Stratus functions include: • Info Centre: Gives you quick access to listings, and reference tools. • Search: Includes the New, Map, Saved, Prospect, Pre-Defined, and MLS# searches. You can also search the Member Roster and Brokerage Roster. • CMA: Allows you to create a Comparative Market Analysis that you can present to your client. • Calendar: Provides a convenient format for tracking important events, meetings, and appointments. Open houses in your market area can be displayed on the Calendar. • Financial: Allows you to calculate Mortgage Amortization, Mortgage Pre-Qualification and Mortgage Qualification. • Settings: Allows you to customize the appearance and default settings of Stratus. Also allows you to create and edit your market areas for Today’s Listings and change your password for Manage My Profile. My Lists The links in this section provide access to the following: • Favourite Listings: Click to view, in list format, all listings added from various searches. Displays up to 100 listings. • Listing Cart: Allows you to gather listings from multiple searches in one place so that they can be printed or emailed together. Holds up to 100 listings. • My Listings: View a list of all of your active listings. • Recent Searches: View a list of your most recent 100 searches, with the most recent at the top of the list. • Recently Viewed: View a list of your recently viewed (up to 100) listing Detail View forms. Notes Stratus Fundamentals 17 Chapter 2: Navigating in Stratus LINKS The LINKS menu provides a list of links to real estate related websites and resources. To go to one of the websites or resources, click on the desired link. If the Left-Side Panel is collapsed, you will find the Links menu across the top, above the Top Tab Menu. In this case, hover your mouse over LINKS to see the list. Click on the resource you want to view. To view the news from other Boards/Associations, click the down arrow at the top right of the section and click on the desired Board. Notes Stratus Fundamentals 19 Chapter 2: Navigating in Stratus Today’s Listings The Today's Listings section lets you keep track of up to six market areas of your choice. When you log in each day, you will see the latest new and updated listings in these areas. Today’s Listings are tracked from midnight to midnight. Clicking the links takes you directly to a one-line display of the relevant listings. To customize Today’s Listings: 1. From the Info Centre, click Manage Today’s Listings. Manage Today’s Listings 2. Click in the Market Area 1 name box and type the name for the market area, for example, Trinity Bellwoods. Notes 20 Stratus Fundamentals Chapter 2: Navigating in Stratus 3. In the Class(es) section, select one or more property class(es). In our example, we will choose Residential Freehold and Residential Condo & Other. 4. In the For Sale/Lease field, select one or more options. In our example, we will choose For Sale. (If you selected Commercial in the Select Class(es) section, there would be a third option, Sublease.) 5. In the Area list, select the area in which your market area is contained. We will choose Toronto. 6. In the Municipality list, select one or more Municipalities. We will choose Toronto C01. 7. In the Community list, select one or more Communities. We will choose Trinity-Bellwoods. Notes Stratus Fundamentals 21 Chapter 2: Navigating in Stratus TIP: To select multiple Municipalities or Communities, press and hold the CTRL key on your keyboard while making your selections. NOTE: For any one Market Area, you will see up to a maximum of 250 New and Updates. If too many municipalities or communities are selected for one market area, you may reach your maximum early in the day. 8. To create additional market areas, repeat the above steps. TIP: Apply a check mark next to Show Open Houses in your Market Areas on your Personal Calendar to easily update your calendar in Stratus with Open Houses in your Market Areas. 9. To save your market areas, click Save. 10. To return to the Info Centre, click the Info Centre link on the Left Side Panel. You should now see the names of your Market Areas in the Today’s Listings section and the system will immediately begin tracking New and Updated listings. Alerts The Alerts section, below Today’s Listings, contains up to three links. • Click on New Prospect Matches to view a summary of the listings sent to each of your Prospects. Notes 22 Stratus Fundamentals Chapter 2: Navigating in Stratus • The second alert is a reminder of expired or expiring Prospects. Click on Expiring/Expired Prospects to access your Prospect Searches. To learn how to extend these Prospects, see “Extending a Prospect Search” on page 146. • A third alert is a reminder of expired or expiring CMAs. A CMA expires six months after it was last accessed. Click the link to view the CMA(s) expiring and to extend, if desired. Resources The following resources can be accessed on the right side of the Info Centre. • City of Toronto Neighbourhood Maps: A convenient link to the city’s website providing information about the 140 neighbourhoods that make up the City of Toronto. Notes Stratus Fundamentals 23 Chapter 2: Navigating in Stratus • IDX Management: Provides access to manage Internet Data Exchange (IDX) settings. • Products & Services: A directory of companies providing real estate related products and services. • Reverse Phone Directory: A link to www.411.ca where you can perform reverse searches by phone number or address. • Schools: A list of links to the websites of the school boards in the GTA. • Technology Corner: Provides information on system updates as well as links to training manuals that can be downloaded for your convenience. • Training Videos: Learn about the many features of the Stratus system, and related applications, by watching brief training videos. • TREBCommercial.com: Access the Board’s public website for commercial real estate • Member Roster: Provides information on TREB member agents. Search by last name, first name, or e-mail address. • Brokerage Roster: Provides information on member brokerages. Search by brokerage name, e-mail address, or district. Now that you are familiar with the Info Centre, go to the next section to learn how to navigate the searching functions of Stratus. Notes 24 Stratus Fundamentals Chapter 2: Navigating in Stratus Navigating Stratus At the Info Centre, click Search on the Listings Menu of the Left Side Panel. The Search screen appears. . Top Tab menu Search Add/Edit Left Side Panel Today’s Listings From this main screen, there are two navigation panes: the main menu on the Left Side Panel of the page, and the search tabs located on the Top Tab Menu. The Left Side Panel appears throughout Stratus, either at the left side or collapsed in a row at the top of the screen. You may change its location using the Expand/Collapse button. Notes Stratus Fundamentals 25 Chapter 2: Navigating in Stratus Collapse Left Side Panel Search Expand Left Side Panel Select a Search tab To search for listings using the Top Tab Menu, you would click on one of the search tabs. Using the Action Toolbar Stratus has an Action Toolbar with commands that are specific to the current page. For example, when you submit your criteria for a search, the results screen will have an Action Toolbar as illustrated below. Notes 26 Stratus Fundamentals Chapter 2: Navigating in Stratus Action Toolbar To access a command, simply click on the corresponding button on the Action Toolbar. The functions for these buttons will be discussed in the corresponding chapters of this manual. For now, we will look at one button, the New Window button. Opening a New Window On the Action Toolbar you will find a New Window command. This tool allows you to open a second (third, fourth, etc.) window in Stratus without navigating away from your current page; it remains active. For example, you may be working on a search for Client A when you receive a phone call from Client B and need to conduct an entirely different search, while on the phone, to answer Client B’s question. With the first search results on the screen, simply click New Window on the Action Toolbar. A new window opens. You may have several windows open at once! You will not time out of your previous window unless all windows are inactive for 30 minutes. When you select New Window, you will see the following warning: Notes Stratus Fundamentals 27 Chapter 2: Navigating in Stratus Take care not to save a search in one window with a name used in another open window. Using the Breadcrumb path Moving around in Stratus is more streamlined than ever. When searching in the system, you will see, above the main search screen, a breadcrumb path. Click on any segment of the path to return to that screen! For example, when viewing the results of a search, if you want to start a new search, click Search in the path. If you want to access the Listings menu, click Listings. In this chapter, we will explore the New Search. When you select Search from the Left-Side panel on the Info Centre, your landing page is the New Search tab. The New Search allows you to search using either the Quick Search form or the Flex Search form. We will explore both in this chapter. The other search tabs (Map Search, Saved Searches, Prospect Searches, Pre-Defined Searches and MLS# Search) will be covered in later chapters. Starting a New Search To start a new search from the New Search tab: Notes Stratus Fundamentals 31 Chapter 3: Conducting a New Search 1. In the Class section, place a check mark beside the class you wish to search. You may search the following: • Residential Freehold • Residential Condo & Other • Commercial. NOTE: You are able to select one, two or all three classes; however, if you select more than one class, you will be forced to use the Flex Search form. We will learn about Flex Search later in this chapter. In our example, we will select Residential Freehold. 2. In the Availability section, click to place a check mark beside one or both of the following: • Available: Listings that are active. These listings will have a status of Dft, Ext, Lc, New, Pc and Sc. • Unavailable: Listings that are no longer active. These listings will have a status of Exp, Lc, Lsd, Sc, Sld, Sus and Ter. NOTE: The Unavailable option searches for unavailable listings within the previous 2 years (Residential) or 4 years (Commercial).To search beyond this period, you must access the Archives, which searches back to 1986 for Residential and 1989 for Commercial. TIP: In order to select the Archives option, you must first select Unavailable in the Availability section. In our example, we will select Available. 3. In the Sale or Lease section, click to place a check mark beside one or more of the following: Notes 32 Stratus Fundamentals Chapter 3: Conducting a New Search • For Sale • For Lease • For Sub-Lease (Commercial searches only). In our example, we will select For Sale. 4. Click Continue. The search form appears with fields based on your class, availability and sale/lease selections. When two or more classes are selected, the Flex Form appears. You may use the Flex form for any search. To change the form, click the Search Form down arrow and select Flex Search. For more details, see Selecting a Form below. TIP: If you want to change the setup for your search, perhaps to include unavailable listings or to include another class, click Search in the breadcrumb path to start again. Selecting a Form Once you set up your search by selecting class, availability and sale/ lease options, you are ready to choose the characteristics for the listings you want to find; however, you may wish to select a different search form. To select the Search Form that you require: • Click the Search Form down arrow to select one of the following: a. Quick Search: Contains most of the fields relevant to your basic criteria choices (e.g. class and availability) b. Flex Search: For customizing your search by selecting only the fields you require from a list Search Form down arrow Notes 36 Stratus Fundamentals Chapter 3: Conducting a New Search In this section, we will use the Quick Search form. Using the Quick Search Form All listing searches (except an MLS# Search) require you to specify a search area before any criteria can be submitted. To enter your location criteria: 1. In the Location section, select one or more areas. Selecting up to three areas will populate a list of municipalities. Action toolbar Count Not check box Area Municipality Community GTA In our example, we selected Durham. TIP: You can select multiple items in any list box. To select multiple items, press and hold the Ctrl key on your keyboard while you click each item. NOTE: There is a Not check box above the Area list box. Placing a check mark in the field will Exclude the selected criteria from your results. For example, if you place a check mark in the Not field, and then select Durham Notes Stratus Fundamentals 37 Chapter 3: Conducting a New Search in the area list, your results will include all Areas except for Durham. The Not criteria is available for most list boxes, drop-down lists and text boxes. 2. In the Municipality field, select one or more municipalities, if desired. (This field is only mandatory in certain searches such as those accessing Archives.) Selecting up to five municipalities will populate a list of community names. In our example, we selected Ajax. 3. To further narrow down your location, you may select one or more Communities. In our example, we selected Central and Central West. NOTE: If you select the check box for either GTA or Ontario, the above fields will become disabled. NOTE: Stratus has added a wonderful new feature. On the Action toolbar, you will see a Counter, showing how many listings match your criteria. Each time you enter another criterion, the number automatically updates. To learn more about this feature, see “Previewing Your Criteria” on page 54. Notes 38 Stratus Fundamentals Chapter 3: Conducting a New Search TIP: When conducting any search, you can access maps to determine the community names in a selected municipality. On the LINKS menu, click ReDistricting Map. Click in the Search field and type the municipality name. (You may also type a street name, address, or postal code.) Ensure that there is a check mark beside Communities. Then click Search. The map will zoom into the desired area and display the Community names and boundaries. Use the zoom in (+) or zoom out (-) tools on the map to adjust the zoom level, if necessary. Zoom tools Show communities Municipality name Community name Notes Stratus Fundamentals 39 Chapter 3: Conducting a New Search Using the map to select location Another way of describing the mandatory location information is by using the map. To select a location by map: 1. At the search form, click Map on the Action toolbar. The search form is replaced by a map. 2. On the map, draw a polygon or radius to define your search area. Notice that the Counter displays the number of search results in the drawn area. To learn more about drawing a location, see the chapter on Map Search. Counter Criteria Map Shape drawn Notes 40 Stratus Fundamentals Chapter 3: Conducting a New Search NOTE: When you click on the polygon or radius tool, you will get a message informing you that you cannot maintain your Area and Municipality selections if you draw a shape. Click Continue to draw your location on the map. 3. To return to the search form, click Criteria on the Action toolbar. Now that you have selected the mandatory location information, you are ready to enter additional, optional criteria. Completing Optional Fields Once you have completed the mandatory fields, you may continue entering (or selecting) search text for one or more of the remaining fields. The following subsections describe the various ways in which to enter criteria. TIP: You can clear the form at any time by clicking the Clear button, found on the Action toolbar. Choosing items in a list box List boxes allow multiple selections. Peruse the list with the scroll bar on the right side of the box. Click to choose the item you want. To choose multiple items, press and hold down the Ctrl key, then click each item desired. The following screen capture shows an example of a list box. Scroll bar Notes Stratus Fundamentals 41 Chapter 3: Conducting a New Search TIP: To select multiple items that are in sequence in the list, click on the first item and then hold down the Shift key as you click on the last desired item in the list. If you want all items in the list, it is not necessary to select any. Choosing items in a drop-down list Drop-down lists contain a list of items from which you must choose only one option. Peruse the list by clicking the down arrow on the right side of the box. Click on the option desired to select it. The following screen capture shows an example of a drop-down list: Down arrow Entering values in a text box Click inside a text box to enter a text value. If the text box is preceded by a drop-down list box, choose one of the options in the list (e.g., equals, contains, starts w/, or ends w/) before entering text values. TIP: If you are having trouble obtaining a match while searching a text field with equals, try starts w/ from the drop-down list, then enter the first few characters in the text box. For example, if you entered a street name “Equals Hilltop” with no results, try using “Starts w/ Hill”. This search finds properties matching listings on Hilltop as well as Hill Top. Notes 42 Stratus Fundamentals Chapter 3: Conducting a New Search NOTE: Text in a text box is NOT case sensitive; however spelling matters. The system will search for the exact text-string that you type. OR searches Once you enter search text in a text box, click the OR button, if available, to enter additional options. The system interprets each entry you add with the OR button as another way to search the listings. In the following screen capture, the search finds streets beginning with “Mc” or “Mac”. To delete a value, click the X beside the entry. Click to remove criterion TIP: The Not option must be used with caution in an “or” field. By choosing “not” for the “Mac” text above, the search will return all street names that do not begin with “mac”. Notes Stratus Fundamentals 43 Chapter 3: Conducting a New Search Entering date fields Stratus accepts dates in several different formats. The following examples show the ways in which you can enter April 3, 2014. Formats Examples mm/dd/yy m/d/yy mm/dd/yyyy m/d/yyyy 04/03/14 4/3/14 04/03/2014 4/3/2014 TIP: You may also enter the date as 4/3 or 4-3. The system will assume the current year and convert the date to the correct format. The following screen capture shows an example of a date field. TIP: Typing the letter “t” will give you today’s date; you can also have the system subtract a specific number of days from today’s date by typing “tnumber of days” (e.g., If today is April 10, the system interprets “t-2” as April 8). If you leave the To field blank, the default will be today’s date. The system will accept upper or lower case letters. Entering min/max ranges Search fields using Min and Max boxes allow you to search a range of values. Enter the smallest acceptable value in the Min box and the largest acceptable value in the Max box. The following example finds properties with a List Price greater or equal to $500,000 and less than or equal to $700,000. If you specify a value only in the Min field, the system finds listings with a list price equal to or greater than the value entered. Notes 44 Stratus Fundamentals Chapter 3: Conducting a New Search NOTE: The system does not accept spaces, commas or dollar signs in numerical values. Commercial searches, however, do accept decimals so that dollars and cents can be entered for lease prices. Entering MapArt coordinates and postal codes Would you like to search only a portion of a Community? Or part of one Community and part of another adjoining Community? You can use the map to draw a search area, as seen on page 40, or you can input the MapArt page number, column and row as search criteria. Postal Codes can also be inserted as criteria. Searching a specific map section As an example, we will enter MapArt values to search a specific map section in Thornhill that runs from Highway 7 to John Street, and from Bathurst to Bayview. The area is found in the MapArt book on page 355, columns 19-23, rows W-X. Remember, to successfully conduct a MapArt search, you must enter a location consisting of at least one area. Our example is found in York. 1. In the Area field, click the down arrow and choose an area. In our example, we selected York. 2. In the Map # Min and Max fields, enter the MapArt page number that you wish to search. If you are searching a range of page numbers, enter the first number in the range in the Min field, and Notes Stratus Fundamentals 45 Chapter 3: Conducting a New Search the last number in the range in the Max field. In our example, we wish to search page 355 only, so we entered 355 in both fields, as shown in the following screen capture. 3. In Map Column Min and Max fields, enter the column that you wish to search. If you are searching a range of columns, enter the first column number in the range in the Min field, and the last column number in the range in the Max field. In our example, we wish to search column 19 to 23, so we entered 19 in the Min field and 23 in the Max field. 4. In Map Row Min and Max fields, enter the row that you wish to search. If you are searching a range of rows, enter the first letter in the range in the Min field, and the last letter in the range in the Max field. In our example, we wish to search rows w to x, so we entered W in the Min field and X in the Max field. 5. Enter any other search criteria, as desired. 6. Click Search. The results appear in the standard list format. You may prefer to use the Map Search to draw an area instead of using map coordinates. The Map Search will be covered in another chapter. Notes 46 Stratus Fundamentals Chapter 3: Conducting a New Search Searching by postal code You can search by exact postal code, or a portion of a postal code. You can enter as many postal codes as you wish. In our example, we will search for properties that have a postal code beginning with M4E or M4L. To search by postal code: 1. In the location section, select at least one area. In our example, we selected Toronto. 2. In the Postal Code drop-down list, click the down arrow and select Starts w/, Contains or Equals. In our example, we selected Starts w/. TIP: Use starts w/ if you know only the beginning character(s) of the postal code. Choose contains to search any part of the postal code. Select equals if you know the exact postal code. Select ends w/ if you don’t know the beginning character(s). 3. Enter the postal code. In our example, we entered the beginning three characters of the postal code, M4E. NOTE: Do NOT include any spaces when entering a postal code. For example, M4E2K6. 4. To add another postal code to your search criteria, click the Or button and repeat the previous steps. In our example, we added another postal code using Starts w/, then entered the first three characters, M4L. Notes Stratus Fundamentals 47 Chapter 3: Conducting a New Search 5. Enter any other search criteria as desired. When you are ready to submit the criteria, click Submit. The results appear in the standard one-line summary format. Adding Additional Fields Would you like to customize your search form? All New Searches (Quick, Flex, Pre-Defined, Map) have the ability to add fields that are not on the search form by default. At the bottom of the search form, you will find Other Fields. To add one or more additional fields: Notes 48 Stratus Fundamentals Chapter 3: Conducting a New Search 1. Click the Add a Field drop-down arrow. 2. Select a field that you would like to use, for example, Lot Front. The Lot Front field appears in the Other Fields section of the search form. 3. Enter the value(s) required for the lot front measurements. In the above example, we added a required minimum lot front of 50 feet. 4. To add an additional field(s), repeat steps 1-3 above. Submitting the Search You already know exactly how many results your search will return, because with every added criterion, the counter on the Action toolbar changes. To submit the criteria and view the results: • Click Submit at the bottom of the form. The results of your search will appear in a list format, which we will explore in the next chapter. Notes Stratus Fundamentals 49 Chapter 3: Conducting a New Search You have successfully submitted a search using the Quick Search form. In the next section, you will learn how to complete a search using the Flex form. Using the Flex Search Form The Flex Search form provides full flexibility in selecting the fields required for completing your search criteria. It is a fast and flexible search for users familiar with the names of the search fields. You create a custom search by choosing only the search fields you require, one at a time, from a drop-down list. • When you select more than one class at the New Search page, you will be forced to use the Flex Search form. • Flex Search is the only search that will allow searching multiple classes, for example, Freehold and Condominium. • When using a Quick Search form, you can switch to the Flex Search form at any time. All criteria entered on one form will carry over to the other form. • When using a Flex Search form, you can switch back to the Quick Search form at any time as long as you are only searching one class. All criteria entered on one form will carry over to the other form. TIP: To select a different search form, see “Selecting a Form” on page 36. To conduct a search using the Flex Search form: 1. Click New Search on the Top Tab Menu. 2. In the Class section, place a check mark beside each class you wish to search. You may select one, two, or all three classes. Notes 50 Stratus Fundamentals Chapter 3: Conducting a New Search NOTE: If you choose more than one class, be aware that a particular search field in one class may differ from the same search field in another in terms of text choices or search field format (e.g., drop-down list, text box, etc.). Stratus combines the search fields for classes in a meaningful way. When a search field contains a list of choices in each class (e.g., Style for Residential Freehold differs from Style in Residential Condo & Other), the list is combined. To search effectively, either don’t choose any, or specify one or more that apply to each class. 3. In the Availability section, select one or both availabilities. 4. In the Sale/Lease section, select one or both options. 5. Click Continue. If you selected more than one class, the Flex Search form appears automatically. If you only selected one class, the previous form used by you will appear. You may need to change the Search Form. (See “Selecting a Form” on page 36.) Notes Stratus Fundamentals 51 Chapter 3: Conducting a New Search 6. In the Location section, select one or more Areas. In our example we will select Toronto. 7. In the Municipality field, select one or more municipalities, if desired. In our example, we will select all Toronto central municipalities (C01-C15). TIP: To select multiple options in sequence in a list box, click on the first option (Toronto C01), hold down the Shift key on your keyboard and click on the last option (Toronto C15). All options between become selected. 8. If fewer than five municipalities are selected, you may also select desired communities. TIP: You may use the map to select your location, instead of selecting Area, Municipality, and Community. For more information, see “Using the map to select location” on page 40. Now that the mandatory location fields are complete, you are ready to enter additional search criteria. 9. In the Other Fields section, click the Add a Field down arrow and select a search field. In the example listed below, we selected Seller/Landlord Name. 10. Enter (or select) search text as required. 11. Repeat steps 9 and 10 until the search criteria is completely defined. TIP: To search for listings that have a virtual tour, select the Virtual Tour URL field, then choose Starts w/, then type “h”. The “h” represents the first letter in a virtual tour’s URL address (e.g., http://www.virtualtour.com). 12. If at any time during the data input process you wish to delete data in a search field, click the x to the right of that field. To clear all search criteria in an “or” list, click the x below the field. NOTE: As with the Quick Search form, when you enter criteria, you will see a running count of how many results the criteria will return. On the Action toolbar at the top of the search criteria, click Preview. Preview Save Search Counter 2. A pop-up appears, listing your criteria and showing the count after each criterion is entered. Now that you have previewed your search criteria, you can either submit it, or close the pop-up and modify it or save the criteria. Saving Your Search Once you have entered your search criteria, you may save it and use it again for another search. Enter a descriptive name for your search in the Search name field. 3. Click Save. You have successfully saved your search criteria. Sharing saved search criteria Once your search criteria is saved, you are able to share the saved search with your colleagues. To share your search with others: 1. Using a saved search Now that you have saved your search criteria, you can use it again at any time, either as is or with modification. To use a saved search: 1. Click Saved Searches on the Top Tab Menu. 2. In the list of saved searches, click on the search that you wish to use. 3. Click Results to submit the search criteria and view the resulting listings. 4. Click Continue to view and/or edit the criteria. After retrieving the saved criteria, you can save it again. 1. Open the saved search, as above, clicking Continue to view or edit the criteria. 2. On the Action toolbar, click Save Search. • To save your own search, click Save. If you made any changes to the original saved search, you will see the message that follows. Click Save to overwrite your original criteria or Save As to save with a different name. Type a new name to save the search criteria as your own. Deleting a saved search Saved searches can only be deleted by their owner. You cannot delete shared searches. To delete one of your saved searches: 1. On the Top Tab Menu, click Saved Searches. 2. Click on the name of the search you want to delete. NOTE: Stratus limits search results to 200 listings. Modifying your Search Criteria Stratus offers several methods for modifying your search criteria. Using the Breadcrumb Path To modify your search criteria using the breadcrumb path: 1. Above the search results list, click the Criteria segment in the breadcrumb path. The criteria form appears. Criteria 2. Revise your criteria as desired and resubmit the search. Using Revise Criteria To modify your search criteria using Revise Criteria: 1. Above the search results list, on the right-hand side, click Revise Criteria. The criteria form appears. Revise Criteria 2. Revise your criteria, as desired, and then submit the search again. Notes 62 Stratus Fundamentals Chapter 4: Working with the Search Results Using the Dynamic Criteria Panel Stratus has a feature that allows you to modify your criteria as you go. In other words, as you make a change in the criteria, you immediately see the revised results on the screen without resubmitting the criteria. This is done using the Dynamic Criteria Panel which can be accessed in any search results list. The Dynamic Criteria Panel does not appear by default, but is easy to activate. To the right of the Revise Criteria button there is a small down arrow. Click that arrow to activate the Dynamic Criteria Panel. Show Dynamic Criteria Panel With the panel displayed, you can click on the corresponding arrow to hide or collapse it. Notes Stratus Fundamentals 63 Chapter 4: Working with the Search Results Hide panel Dynamic Criteria Panel To modify your criteria using the Dynamic Criteria Panel: 1. Display the Dynamic Criteria Panel, if necessary. 2. Enter any change(s) into the criteria fields. 3. After each change, notice that the results list to the left changes automatically. Continue adjusting the criteria as needed. NOTE: The Dynamic Criteria Panel can be used in all searches: Quick, Flex, Map, Saved Searches, and Pre-Defined Searches. In each, changes can be made on-the-fly with results appearing automatically, without the need to resubmit. Viewing the Search Results When you submit your search criteria to view the resulting properties, the results appear in a list format by default. Using the tools on the Action Toolbar, you may also view the results in detailed format or in Notes 64 Stratus Fundamentals Chapter 4: Working with the Search Results the map view. We will explore each of these view formats in later topics in this chapter (see page 72). NOTE: Stratus will return search results to a maximum of 200 listings in all searches. Working with Results in List View Search results appear in a list format, displaying 20 listings per page. Navigation buttons To navigate to the next page of results, use the navigation buttons above the list. From left to right, the buttons represent “First Page”, “Previous Page”, “Next Page”, and “Last Page”. Changing how many listings you view at a time You can change the number of listings that appear per page to a number other than 20. To change the number of listings you view at a time: Notes Stratus Fundamentals 65 Chapter 4: Working with the Search Results 1. Click the down arrow in the Page Size field. 2. From the drop-down list, click the option you want. The number of listings displayed changes accordingly. If you select All, Stratus will display up to 200 listings on the page. Selecting listings To perform an action on one or more listings, it may be necessary to select them. This is done using the check boxes at the beginning of each row. Select all listings • To select one or more listings: Click to place a check mark in the check box beside the desired listing(s). • To deselect a listing: Click the check box to clear it. TIP: Selecting all listings will only select the listings on the current page. If you want all listings, ensure the Page Size is set to All. If the Page Size is not set to All, you will see a message offering a choice of selecting only the listings on the current page or all (for example, Select all 53). Sorting listings Stratus displays the listings found by your search in a simple list format. You can sort the list by any column, for example, by Style. You can also perform a multi-level sort to group the results logically, for example, by Community; within Community by Type. You can sort in either ascending (increasing) order (a to z), or in descending (decreasing) order (z to a). Sorting by a single column To sort by any single column: 1. Click any column heading to sort it in ascending order. A small up arrow will indicate ascending order. 2. Click it again to sort in descending order. A small down arrow will indicate descending order. Ascending order Descending order Notes Stratus Fundamentals 67 Chapter 4: Working with the Search Results Sorting by multiple columns You can sort by multiple columns. The first sort is the broadest category, within which the other columns are sorted. The second sort is the next-broadest category, within which the narrowest category is sorted. To sort by multiple columns: 1. Click on the column heading for the first sort category, for example, click on Community. If you want the communities listed in reverse (descending) order, click on the heading a second time. 2. Hold down the Ctrl key on your keyboard and while holding it down, click on the column heading for the second category, for example, click on LSC. 3. Continue holding down the Ctrl key as you click on the next column heading. While you can sort by additional columns, too many columns used may not be very meaningful. Note that the column headings used in the multi-level sort are highlighted, indicating that they are selected. Narrowing the results list You can select specific listings from the results list to display as a subset. To narrow the search results: 1. Select the listings you want in the subset using the check box beside the desired listings. 2. In the Action Toolbar, click Narrow. Expand Printing the Search Results All result views, (list, details, map) provide options for printing. Results are converted to PDF format before printing. Select the listing(s) that you want to print. 2. On the Action Toolbar, click Print. The print dialogue box opens. Options appear when some listings are selected 3. Select either List Rows to print the one-line list format, or Detail Views to print the detailed listings in their current report format. TIP: If you want to print the details view, ensure that the desired report format is chosen in Details View before selecting Print. 4. Click the down arrow in the For field to select what listings to print: The Current Listing; All (number) listings; or The (number) selected listings. 5. Click Print to print the page. 6. In the print dialogue box that opens, select your printer and how many copies you wish to print. Then click Print. Emailing the Search Results You can email listings to your client in your choice of detail views, and you can include a map. Look for the Send button on the Action Toolbar. To email listings: 1. Place a check mark beside the listing(s) that you wish to email. If you want to email all, don’t select any. 2. On the Action Toolbar, click Send. The Send dialogue box opens. In the Message body, edit and format the message, if desired. However, do not delete the instructions for viewing the listings. 6. Click the For down arrow to select the listings you want to email. You are able to email all of the listings or only those selected. 7. Click the Form down arrow to select the report format you wish to use for the emailed listings. The default is Client Full. 8. Place a check mark beside Send a copy to yourself, if desired. 9. Place a check mark beside Include map, if desired. 10. Click Send to send the email. Changing Search Results View The default view when you submit a search is List View. There are however, other views offering different details for the results. Details View Click Details on the Action Toolbar to view the listings, one-by-one, in detailed view. Details Notes 72 Stratus Fundamentals Chapter 4: Working with the Search Results The first listing in the results list appears in the default view, Broker Full. Links in Detail View In Detail View, above the listing, you may find one or more links: • Form: Click the down arrow to change the displayed form from Broker Full to one of the other ten report formats. • Units: Click the down arrow to change the room measurements between Feet and Metres. • Attachments: When attachments are available, there will be links to the documents. These links appear as paper clip icons. In the above example, there are links for Disclosures, and Other document(s). Attachments may be Floor Plans, SPIS, Financials, Feature Sheets, Notes Stratus Fundamentals 73 Chapter 4: Working with the Search Results Environmentals, Schedules, Disclosures, or Other (which may include survey). Select attachments • Virtual Tour: When a virtual tour is available, a link is provided. Click the link to view the virtual tour. • Propertyline PDR: Clicking this link will take you directly to the MPAC propertyline™ Property Detail Report (PDR). If no PDR is found for the property, a message will indicate that no match was found. A link will be provided to the full propertyline™ website, where you can search for the PDR by address. Select the attachments you wish to include in the email. The Property Details Report cannot be sent as an attachment. Map View To view your search results on a map, click Map on the Action Toolbar. The listings are plotted on the Bing map, each represented by a round, numbered marker. Below the map is a list of the results. The numbers in the list correspond with the numbered markers on the map. Other Features Statistics Stratus offers summary statistics and information about categories of listings found by your search. To view this information, click Statistics on the Action Toolbar. Statistics A pop-up appears, containing two tables: Statistics, and Counts. • The Statistics table displays highs, lows, and statistical values (e.g., mean) for list price, taxes, etc. • The Counts table displays the number of listings by category, such as community, type, etc. Notes 78 Stratus Fundamentals Chapter 4: Working with the Search Results If you do not want to include the entire search results in these analyses, select the listings, in List View, that you want to include and then click Statistics. Driving Directions You can obtain driving instructions with map in list view, details view, or map view. Look for the compass on the Action Toolbar. Directions • List View: Select the listings you require directions for, in the order you wish to travel. Click the Directions button on the Action Toolbar. • Details View: Click the Directions button on the Action Toolbar. The directions will be for the one listing you are viewing; however, you can add additional addresses in the Directions dialogue box. • Map View: Select the listings you want to view in Map View, then click the Directions button to get driving directions to each of the listings. In each case, clicking Directions opens a Directions pop-up. The route is marked on the map. Below the map are turn-by-turn instructions. • To change the from location: Select your office address above the map. Click the Edit button to enter a different address (for example, your client’s address). • To change the order of properties: Select a property and use the Move Up or Move Down buttons to change the order. Type the address you wish to add to the list. • To modify the route or map: Under Directions Options, select the appropriate check box(es). • To print instructions: Click the printer icon. • To close the pop-up: Click the X. Listing’s History All edits, status changes and re-runs are entered as transactions on the listing which are timestamped and recorded. Viewing this information will allow you to see a listing’s price changes, conditional sales, re-runs etc. To view a listing’s history: 1. Select the listing in either List or Details view. 2. Click History on the Action toolbar. The listing appears as it was when first entered into the database. History 3. Scroll down the page to the bottom of the listing to view the transaction records. A transaction represents a change to the listing for whatever reason. Notes Stratus Fundamentals 81 Chapter 4: Working with the Search Results Favourite Listings Stratus MLS allows users to keep track of listings using the Favourite Listings feature. By adding properties to your Favourite Listings, you can easily monitor the activity on those properties. You can keep up to a maximum of 100 listings in your Favourites list. To add a listing to your Favourites: • In List View: Click the star beside the properties you want to monitor. • In Map View: In the list below the map, click the star beside the properties you want to monitor; or in the pop-up on the map, click the star. • In Details View: Click the star below the breadcrumb path. Add Selected listings To access your Favourite Listings at any time, click Favourite Listings under My Links on the Left Side Panel (or above the Action Toolbar, if collapsed). Listing Cart Stratus MLS includes a Listing Cart which acts like a shopping cart in online shopping. You can add listings (up to 100) from several searches to your cart and then take action (print or email, for example) all together. This is very useful when you need to conduct more than one search for a client, but want to send all suitable listings in one email. To add a listing to the Listing Cart: • In List View, Details View or Map View: Click the shopping cart icon to the left of the desired listing(s). Listing Cart NOTE: Whenever you access Listing Cart from the My Lists menu, there is no direct link back to your search results. In order to return to the search, you will need to access Recent Searches on the My Lists menu. For more information on using Recent Searches, see “Using Recent Searches” on page 128. To remove listings from your Listing Cart, access your cart and do one of the following: • Click on the cart icon to remove a listing, one at a time. • Select one or more listings to be removed and then click the Remove button with the cart on the Action toolbar. Viewing Listing Photos The Photos button on the Action Toolbar displays different results, depending on the view. Each listing can display up to 20 photos. Click in the check box below a photo to select that property to perform another action on it (add to favourites, add to cart, print, email, etc.) The check mark(s) will carry over to the List View. 6. When you view those listings in Details View, the primary photo will contain navigation arrows for clicking through the photos. Do you like to use maps? Do you find it difficult to remember community names? If you answered Yes to any one of these questions, then you may want to explore the Map Search in Stratus. The Map Search is a dynamic search tool. Each change made causes the system to search again. So, with each new or edited criterion, or each change in map location or zoom level, the search results automatically update. Setting up a Map Search To start a new search from the New Search tab: 1. In the Class section, place a check mark beside the class(es) you wish to search. 3. In the Availability section, click to place a check mark beside one or both availability options. 4. In the Sale or Lease section, click to place a check mark beside one or more of the following: • For Sale • For Lease • For Sub-Lease (Commercial searches only) 5. Select a shape or location, if desired. NOTE: Working with saved shapes and locations will be discussed in later topics in this chapter. 6. To use the default location, click Continue. TIP: Users may set the map’s default location to one of their choice. To learn how to change the default location, “Setting a default location” on page 99. The map search screen appears displaying the default location. Map Search immediately displays search results, up to a maximum of 200. If there are more than 200, you will see a message to, Narrow criteria or zoom in (in the blue row between the map and the results list). Notes Stratus Fundamentals 95 Chapter 5: Conducting a Map Search Selecting a Location All searches require a specific location to search. The map search is no exception. You may find your location in one of several ways. • Find a location • Draw a polygon or radius on the map to define the location • Use a saved location Finding a location One easy way to conduct a map search is to find a location, and then enter any required criteria. You can find your location by a street name, address, a postal code, town, or more. To find a location: 1. Click Locations on the Action Toolbar. Locations The Locations dialogue box opens. You can enter a variety of different types of locations, such as: • a specific address, for example, 5 Yonge Street, Toronto • an intersection, for example, Avenue Road & Lawrence Avenue W, Toronto • a Postal Code, for example, M3B 3N1 • a landmark, for example, CN Tower, Toronto • a point of interest such as a mall or a park, for example, Yorkdale Shopping Centre • a subway station, for example, TTC-Osgoode. For example, you can type an intersection such as Yonge & Lawrence. TIP: With the Locations dialogue box open, click Save Current As, if you would like to save this location for future searches. 3. Click Find. The map will adjust with a push-pin marking the location. If there are fewer than 200 listed properties in the map frame, they will display with markers on the map and in a list below the map. Find Save Current As Notes 98 Stratus Fundamentals Chapter 5: Conducting a Map Search TIP: When entering your location, you may want to include the municipality. If you don’t, you might find other occurrences of a street, address, or other location in other towns or even in other countries. You may now add search criteria, if desired to narrow the results. To learn about entering criteria, see “Completing Optional Fields” on page 41. Setting a default location Any shape or location can be made your default starting point. To set a shape or location as your default, on the Action toolbar, click Locations. The Locations dialogue box opens. Saved locations Selected location Set as Default 4. Click Set as Default. Now all map searches will begin at the Yonge Street and Lawrence Avenue location. 6. Click Close to return to the map. Drawing a location Perhaps finding a location is still too general. Your client may want to live within specific boundaries (for example, school boundaries), or within a specific distance of their workplace, a GO station, or a subway station. Stratus provides you with two drawing tools for setting search boundaries: a polygon or a radius. Drawing a polygon To draw a polygon: 1. At the Map Search screen, adjust the map, if necessary, to ensure that the entire area is visible. (To adjust the map, “Working with the Map Controls” on page 112.) 2. On the Action Toolbar, click Polygon. 3. Click on the map, at any point, to start to draw. • Move the mouse in any direction. As you move the mouse a shaded area appears, outlining the shape. • To change direction (for example, to go east) click on the map and then move the mouse. The shape continually changes until you have completed the drawing. • Click at each point desired to change directions. • To complete the shape, double-click. Notes 100 Stratus Fundamentals Chapter 5: Conducting a Map Search NOTE: When you draw a shape, you are creating a completely enclosed area. Your shape can have as many changes in direction as desired (for example, following the contours of the streets). TIP: When drawing a polygon, do not hold down the mouse buttons or use the scroll wheel. These actions will cause the map to adjust, making it difficult to draw your shape. 4. When the drawing is complete, search results will appear if there are fewer than 200 results. If there are too many listings to display, add search criteria. If there are no listings, draw a larger area. Save Shape A Polygon can be modified once drawn. Notes Stratus Fundamentals 101 Chapter 5: Conducting a Map Search To modify a Polygon: 1. At the Map Search screen, hover the mouse over the white handles on the outside edge of the Polygon. TIP: When hovering over the white handles, the mouse pointer will change into a pointing finger. White handle 2. Click and hold down the left mouse button. 3. Drag the handle to the point desired. Drawing a radius A radius is perfect to use when your client wants to live within a specific distance of a specific location. For example, the client may want to live within walking distance of a specific GO station. To draw a radius: 1. At the Map Search screen, find the location to use as the centre of your radius. 2. Adjust the zoom level of the map, if necessary. Notes 102 Stratus Fundamentals Chapter 5: Conducting a Map Search 3. On the Action Toolbar, click Radius. 4. Click on the map at the centre of your search area, for example, the desired GO station. 5. Move your mouse away from the centre. Notice the pop-up indicator showing the distance from the centre. Pop-up indicator 6. When the desired radius displays in the pop-up indicator, click the left mouse button to complete your radius. Only search results within the drawn radius will appear both on the map and in the list below. Saving a polygon or radius Whether you have drawn a polygon or a radius, you may save the shape in order to use them again in future searches. To save your drawn shape: Notes Stratus Fundamentals 103 Chapter 5: Conducting a Map Search 1. After completing the shape on the map, click Save Shape on the Action Toolbar. Save Shape 2. In the Save Shape dialogue box, type a name for the shape, for example, GO-Newmarket. 3. Click Save. The map location with the drawn shape is saved and can be used again for another search. Using a Saved Location or Shape Saving locations and shapes simplifies Map Searches. You do not need to draw the shape again or find the location. Notes 104 Stratus Fundamentals Chapter 5: Conducting a Map Search From the Map Search tab 1. At the Map Search tab, you will see a list of your saved locations and shapes. NOTE: You will probably notice a few shapes or locations that have been shared by another member of your office. If you want to sort the list to see only your own, click on the column heading, Shared by. 2. Click on the shape or location that you want to work with, for example, High Park. 3. Click Continue to go to the map search using the selected shape or location. Notes Stratus Fundamentals 105 Chapter 5: Conducting a Map Search From within the Map Search If you are already at the Map Search screen, either at the default location or the location for another search, you can still access the saved shapes and locations. For Saved Shapes: 1. At the Map Search screen, on the Action Toolbar, click the down arrow beside Use Saved Shape. Saved Shape drop-down 2. A list of your saved shapes (and any shared ones) appears. 3. Click on the shape that you wish to use. The map immediately adjusts to the new location. For Saved Locations: 1. At the Map Search screen, on the Action Toolbar, click the Locations button. 2. The Locations dialogue box opens as a pop-up. The map adjusts to the saved location. Entering Search Criteria Although the Map Search shows immediate results for your location based on class and availability, you may want to narrow the results by adding specific search requirements. On the right side of the map frame is the Dynamic Criteria Panel. Here you will find the most commonly used fields; and if you scroll to the bottom, there is an Other Fields option which allows you to add any additional fields required. Notes Stratus Fundamentals 107 Chapter 5: Conducting a Map Search • Each added criterion changes the search results immediately. • The Dynamic Criteria Panel may be collapsed to allow a wider map frame. Click the up arrow, to collapse the panel. Click the down arrow, to expand the panel. Collapse/show panel Hide Listings Map Search check box Save map search • Click the check box next to Hide Listings to temporarily hide listings from the map. • Use the Clear button in the Dynamic Criteria Panel to remove all criteria. • Use the Prospect button in the Dynamic Criteria Panel to create a Prospect Search with the entered criteria or drawn shape. • Use the Save button in the Dynamic Criteria Panel to save the Map Search. The saved Map Search contains both the location or shape and the criteria. • Use the Preview button in the Dynamic Criteria Panel to see how the results change as each criterion is added. For more information, see the chapter “Chapter 6: Other Searches” on page 121. Working with the Search Results Once you have finished selecting your location and defining the search criteria, your results appear on the map and in a list below the map. Navigate the results list the same as in the New Listings Search. (See “Working with Results in List View” on page 65.) In this section, we will explore the results on the map. NOTE: The numbered markers on the map match the numbers in the results list. The following displays the results for an available and unavailable, freehold search within a drawn shape. Map Controls Legend Single listing Multiple listings Results list The markers are seen in several colours indicating the listing’s status. To see what the colours represent, click Legend in the Map Controls. Notes Stratus Fundamentals 109 Chapter 5: Conducting a Map Search Viewing details in the map view To access basic information for any listing on the map, hover the mouse over the desired listing or group of multiple listings. A pop-up opens displaying basic information about the listing. • To view the detailed report (Broker Full format), click on the MLS#. TIP: To return to the Map Search results, when in the detailed view, click Map on the Action Toolbar. • To view the property from different angles, click Bird’s eye. • To add the property to your Favourites, click the star icon. • To add the property to your Listing Cart, click the listing cart icon. • To select the property for printing or emailing, click in the check box. • If additional photos are indicated, click the navigation arrows below the picture to view them. To view all photos in the Photo dialogue box, click on any one photo. Notes 110 Stratus Fundamentals Chapter 5: Conducting a Map Search Displaying schools and other places on the map Using the map, either as a Map Search or within other searches, you are able to display places of interest. For example, your client may want to know where the schools are located in an area. Or perhaps they want to know what restaurants there are within walking distance. To display places: 1. In Map view, on the Action toolbar, click Places. The Show Places dialogue box opens. 2. Place a check mark beside the category of place that you want to view on the map. In the above example, Restaurants is selected. 3. To add another category, click in the Other field and type a category, for example Tim Horton’s. 4. Click Show. Notes Stratus Fundamentals 111 Chapter 5: Conducting a Map Search 5. The map displays again with markers indicating the locations for your chosen category. 6. Point to a blue “i” marker to see what is at that location. 7. To remove the markers, click Places on the Action toolbar and then click on Clear All. Working with the Map Controls On every map in Stratus, there are Map Controls, located in the gray area, which allow you to manipulate the map frame. Map Controls Zooming in or out Every time you adjust the map’s zoom level, you cause the system to resubmit your search criteria. If there are too many listings to display, Notes 112 Stratus Fundamentals Chapter 5: Conducting a Map Search you can zoom in; alternatively, you may want to zoom out to see more listings. In either case, you can zoom using the mouse wheel or the zoom tools on the map. Using the mouse wheel To zoom using the mouse wheel: • Scroll the mouse wheel up (away from you) to zoom in to a closer view of the map. Move the mouse wheel down (toward you) to zoom out to see a larger area. The zoom scale at the bottom right of the map displays your actual zoom level. In the example below, the zoom level is at 2 kilometres. Zoom level 2 km zoom NOTE: Listings will appear on the map at certain zoom levels, even before adding any search criteria. The level at which properties appear is dependant on the number of listed properties, not the actual zoom level. The map will only display 200 results. In some areas, listings appear only at 1 km or less, while in other areas they appear at 2 or even 4 km. Using the zoom tools You can change the zoom level using the zoom in or zoom out tools on the map. Notes Stratus Fundamentals 113 Chapter 5: Conducting a Map Search Zoom in Zoom out 1. Click the Zoom in icon to zoom in to a closer level. Each click on the tools changes the zoom one level. NOTE: The zoom levels range from 30 metres to 10,000 kilometres in the following sequence: 30m, 60m, 100m, 250m, 0.5km, 1km, 2km, 4km, 8km, 15km, 30km, and so on. 2. Click the Zoom out icon to zoom out to a wider level. Panning to shift the map At any time, you can shift the map in any direction to display the desired area. There are two methods of panning. Using the Panning tool • Click anywhere within the panning tool to shift the map in that direction. For example, if you click on North, the map will shift to show more of the area to the north. In the map below, click and drag up to see more to the south. When you double-click, the map centres on the location of the double-click and zooms in one zoom level. Changing map views There are three different views available on the Map Controls. • Road: This is the default view, showing the streets in an area. • Aerial: Aerial view displays satellite photos. • Birds Eye: Birds eye view displays aerial photos with the ability to rotate the image in either a clockwise or counter clockwise direction. Each click of the rotation tool rotates the image 1/4 turn. Bird’s eye view Rotate clockwise Rotate counter clockwise NOTE: Bird’s Eye view may not be available in some municipalities. Notes 116 Stratus Fundamentals Chapter 5: Conducting a Map Search MapArt view The Map Search has a MapArt overlay that can be applied to the map at any zoom level from 0.5 km to 60 km. To apply the MapArt overlay, click MapArt above the map. If the zoom level is not within this range the overlay will not display. At zoom levels of 2 km or higher, the pages of the MapArt book can be displayed as a grid, as shown below. At zoom levels of 0.5 km or 1 km, the map coordinates can also be displayed. To turn on the MapArt Grid, click Grid above the map. TIP: The MapArt Grid can be applied to the map with or without also applying the MapArt overlay. Both the overlay and the grid can be turned on or off by clicking on the appropriate button. Tools here are used throughout Stratus. For detailed information on printing and emailing, see “Printing the Search Results” on page 69 and “Emailing the Search Results” on page 71. You have already learned about the New Search tab and the Map Search tab. In this chapter, you will learn about Pre-Defined Searches, Saved Searches, and the MLS# Search. You will also learn about Recent Searches in the My Lists menu. Working with Pre-Defined Searches Pre-Defined search is a convenient method for searching both available and unavailable listings simultaneously. These frequently-used searches display only the fields that are relevant to the particular search, allowing you to enter (or select) a minimal amount of search text. Pre-Defined searches include: • Address Search • My Brokerage History • Commercial Available • My Personal History • Commercial Last Update • New Listings • Commercial Sold • Open Houses • Just Expired • Price Changes & Extensions • Lease Condo & Others Available • Residential Condo & Other Available • Lease Condo & Others Last Update • Residential Condo/Other Last Update • Lease Condo & Others Leased • Residential Condo & Other Sold • Lease Freehold Available • Residential Freehold Available • Lease Freehold Last Update • Residential Freehold Last Update • Lease Freehold Leased • Residential Freehold Sold Notes Stratus Fundamentals 121 Chapter 6: Other Searches Some of the Pre-Defined searches in Stratus provide considerable flexibility. For example, some searches, such as the Open House search, allow users to specify one or more classes, whereas in the previous system the criteria was fixed at all classes. To run a Pre-Defined search from the New Search tab: 1. Click the Pre-Defined Searches tab. Pre-Defined Searches tab Continue 2. Click on the name of the search you want to use to select it. 3. Select one or more Class, Availability and Sale or Lease option, if applicable. Some searches will allow access to the Archives. For example, if you select Lease Condo & Others Available, you will not be able to select additional classes or availability. 4. Click Continue. The search criteria page opens for the addition of your specific criteria. 5. Select one or more Areas. Alternatively, click Map on the Action toolbar and select or draw a location; and then return to the criteria page and continue at step 6. 6. Select one or more Municipalities, if desired. 7. Enter or select any additional criteria as required. If you wish to use a field that is not on the form, you may select one from the Other Fields list. TIP: If you make changes to the default class, availability, or sale/lease options of a Pre-Defined search, you may save your search. It will not appear in the Pre-Defined search list, but rather it becomes one of your Saved Searches and is available from the Saved Searches tab. Working with Saved Searches is covered in the next section. Working with Saved Searches Once you have entered search criteria, using the Quick form, the Flex form or a Pre-Defined form, you can save your criteria and use it again for another search. You learned how to save a search in Chapter 3: Conducting a New Search. In this section we will explore other features of saved searches. Running a Saved Search To start a saved search from the New Search tab: 1. Click the Saved Searches tab. A list of both saved and shared searches appears. Notes 124 Stratus Fundamentals Chapter 6: Other Searches Saved Searches List of searches Results Rename Delete Continue • You will probably see some searches that you didn’t save but are being shared by others in your office. It is entirely up to the individual Member whether or not to share their own saved searches. • The list of searches is sorted alphabetically by the search name. • Sort the list by clicking on any column heading: Name, Shared By, or Modified. Click the same heading a second time to reverse the order (e.g., from ascending to descending). • The modified column indicates the date and time that the saved search was last modified. Notes Stratus Fundamentals 125 Chapter 6: Other Searches 2. Click on the search you want to use. 3. Click Continue to access the criteria page. 4. Enter additional criteria, as desired and then click Submit. TIP: To view the results of the saved search without making any adjustments or entering any additional criteria, click Results after step 2 above. Deleting a Saved Search Once saved, a search can be deleted by its owner. NOTE: Although you may see searches from other Members of your office (shared searches), you may only delete or rename your own searches. To rename a search created and shared by another person, you will need to use it and save it with a different name. To delete a saved search: 1. Click on the name of the search to select it. 2. Click Delete. You will be asked to confirm the deletion. 3. Click Delete again. The search is deleted. Renaming a Saved Search Once the search is saved, you can rename it. To rename a saved search: 1. Click on the name of the search to select it. 2. Click Rename. Notes 126 Stratus Fundamentals Chapter 6: Other Searches 3. In the Rename Saved Search dialogue box, delete the existing name and type a new one. 4. Click Rename. A message appears to confirm the new name of the search. Searching by MLS# When you know the MLS® number(s) for the listings you want to view, MLS# Search allows quick retrieval. You may enter as many 200 MLS® numbers. And you can save the search before submitting. To search by MLS# from the New Search tab: 1. Click on the MLS# Search tab. MLS# Search Type MLS® numbers here Save Search Continue 2. Type the MLS® number(s) in the text box. To enter more than one number, separate your entries with a space or comma, or by pressing the Enter key. To save the search, click Save Search. • Type a name for the search. • Click Save to close the Save Search dialogue box and return to the MLS# Search tab. 4. To submit the search, click Continue. Results appear in the default List format. Using Recent Searches There may be times when you wish you saved a search before doing something else in Stratus. Luckily, Stratus remembers some of your most recent actions, including your most recent searches. One hundred most recent searches are remembered and can easily be re-run or revised. To access Recent Searches: 1. On the Left Side Panel, under My Lists, click Recent Searches. Recent Searches A pop-up appears displaying your most recent searches with the most recent at the top of the list. If the search was a Pre-Defined or Saved search, the name of the search appears in the list. If the search was a New Search, the Class and Availability values appear as the name. Map searches or those using the Dynamic Criteria Panel do not appear Notes 128 Stratus Fundamentals Chapter 6: Other Searches in the list; only those searches submitted from the Criteria form appear. 2. Click on the search you want to work with. 3. Click Results to view the current search results immediately. 4. Click Continue to view the criteria for the search. At the Criteria page you can either modify the criteria or submit the criteria. TIP: You can also double-click on the desired search to open the Criteria page. Notes 130 Stratus Fundamentals Chapter 7: Working with Prospect Searches Chapter 7: Working with Prospect Searches With Prospect Searches, you store your prospective buyer's home, business, space or investment requirements, allowing Stratus to automatically track new and revised listings matching your prospect's search criteria. You create a Prospect Search using the New Search or Map Search formats. You can also create a Prospect Search from the criteria page of any search, including Saved and Pre-Defined searches. Stratus then makes daily checks for new and updated listings matching your prospects' needs and sends you a list, by email, with a link containing each listing's full broker report. Stratus can also send new matches via email to the prospect, with a link to the listings that can be viewed in Property Match (a client) format. Prospects remain active for 90 days. If you need the prospect file longer, you can always extend the expiry date (see “Extending a Prospect Search” on page 146). NOTE: You are limited to 150 prospects at any given time. Notes Stratus Fundamentals 131 Chapter 7: Working with Prospect Searches Creating a Prospect from the Prospect Searches Tab To create a new Prospect search: 1. At the New Search page of Stratus, click the Prospect Searches tab. Prospect Searches Create NOTE: The BRS Match column will display a “Y” for active BRS Property Matches. A BRS Property Match can be activated at any time after a buyer with a valid signed B.R.A (5 days or longer) is entered into the Buyer Registry Service®. 2. At the Prospect Searches page, click Create. The Create Prospect dialogue box opens. Click into the Prospect Name field to enter a search name. This field is mandatory. TIP: The system does not require this field to be unique; however, it is highly recommended that the name be unique to the search. Using a unique name will prevent the confusion that several searches with the same name can cause. 4. At the Expiration Date field, you can change the 90-day default setting, if desired. The expiry can be any number of days up to, but not exceeding 90 days. Notes Stratus Fundamentals 133 Chapter 7: Working with Prospect Searches TIP: You can enter a specific date in the month/day/year format, or add a specific number of days from today’s date by typing “t + number of days” (e.g.: If today is January 1, the system interprets “t+30” as January 31). 5. To use contact information from your TMLS Contacts, click the Contact down arrow. A list of your contacts that have been entered in Stratus appears. Click on the name of the contact you wish to create a Prospect search for. NOTE: When you create a prospect from a contact, the contact’s full name and primary email address automatically fill in to the corresponding fields in the Create Contact dialogue box. 6. If you do not have a Contact to select, type the full name and email address in the corresponding fields. 7. To include additional addresses to receive prospect emails, click in the Additional Recipients text box and type the email addresses. If more than one email is added, separate them with a comma, space or line (press Enter). NOTE: Notice that Send a copy to yourself is selected by default. When you receive your email and click the link to view the property matches, you will be required to log in with your authenticator, since the matches will be presented in Broker Full format. If you have multiple prospects, the matches will be combined into one email message, grouped by prospect name. NOTE: The system limits additional recipients to 10. This value is chosen to avoid triggering the spam filters that many email servers use. 8. Next, establish your search parameters by completing the options in the Search section of the Create Prospect dialogue box. • Select the Class or classes to search by placing check mark(s) beside the desired option(s). Residential Freehold is selected by default. • Select Sale or Lease or both. Sale is selected by default. Notes 134 Stratus Fundamentals Chapter 7: Working with Prospect Searches • Select either New Search or Map Search to indicate which type of search to use. New Search is selected by default. 9. Click Continue to advance to the criteria page for the selected search type. Complete the criteria. F TIP: For help completing the New Search form, see “Chapter 3: Conducting a New Search” on page 31. For help completing the Map Search, see “Chapter 5: Conducting a Map Search” on page 93. If you want to view the results of your search criteria now, go to the following step. To save your prospect now, go to step 11. 10. If desired, click Submit to view the available results. At the results screen, you can print or email any listings as in any search, using the tools on the Action toolbar. Once you submit the results, you will be able to save the prospect using the Save Prospect button at the bottom of the results list. 11. To save the prospect at the Criteria page, click Save Prospect in the blue Notification Box at the bottom of the form. Notes Stratus Fundamentals 135 Chapter 7: Working with Prospect Searches Notification box Save Prospect NOTE: When you create a new prospect from the Prospect Searches tab, the blue “Notification Box” will appear at the bottom of the search criteria form, the search results list, and the Map Search results. In each case, click Save Prospect to save. If you want to edit the Contact information or expiry date, click Manage Prospect. You have successfully created and saved a Prospect search from the Prospect Searches tab. To learn how to create a prospect from other searches, go to the next section. Notes 136 Stratus Fundamentals Chapter 7: Working with Prospect Searches Creating a Prospect from any Search Have you ever created a search and then thought you should have set it up as a prospect? In Stratus you can do just that. You can create a prospect at the criteria page of any search! From a New Search When you are working with a New Search, you are able to save the search as a Prospect search as soon as criteria is entered into the criteria form. 1. Create a New Search (see “Chapter 3: Conducting a New Search” on page 31 for help). NOTE: If desired, submit the search. From the results screen you can print or email any listings. Then, to create a prospect, return to the criteria screen. 2. Click Revise Criteria to return to the criteria form. 3. Click Create Prospect on the Action toolbar. The Create Prospect dialogue box opens. In the Create Prospect dialogue box, complete the prospect Name, Expiration Date and Contact information as in the previous section. Since you have already input your search criteria, you will see a Criteria summary at the bottom of the dialogue box. Create a new Map Search (see “Chapter 5: Conducting a Map Search” on page 93 for help). 2. Enter your criteria in the Dynamic Criteria Panel. Your results show automatically. 3. To save as a Prospect Search, click Prospect at the top of the Dynamic Criteria Panel. This button is enabled immediately, even without search criteria, since the map location is the minimum criteria required. Prospect 4. In the Create Prospect dialogue box, complete the Prospect Name, Expiration Date and Contact information as in the previous sections. Since you have already set up your search, you will see a Criteria summary at the bottom of the dialogue box. 5. At the bottom of the Create Prospect dialogue box, click Save Prospect. You have created a new prospect from a Map Search. To learn how to create a new prospect from a previously Saved Search, go to the next section. Notes Stratus Fundamentals 139 Chapter 7: Working with Prospect Searches From a Saved Search Do you already have a search that would be perfect for a new prospect? No Problem. You can create a prospect from that saved search. 1. Select a Saved Search from your list of saved searches. 2. Click Continue to view the criteria. The Criteria form opens. 3. Make any edits you require to update the criteria for your new prospect. NOTE: If desired, submit the search. From the results screen you can print or email any listings. Then, to create a prospect, return to the criteria screen. 4. On the Action toolbar, click Create Prospect. 5. Complete the Create Prospect dialogue box by filling in a Prospect Name, Expiration Date, and Contact information. Your search criteria is summarized at the bottom of the dialogue box. 6. Click Save Prospect at the bottom of the dialogue box. You have created a new prospect from a Saved Search. Go to the next section to create a prospect from a Pre-Defined search. From a Pre-Defined Search Stratus allows you to create a new Prospect Search from any of the Pre-Defined searches that are for available properties. NOTE: You can only use searches that are for available listings. If you select a search that includes unavailable listings, the Create Prospect option will not be available. 2. Enter the criteria for your search. 3. On the Action toolbar, click Create Prospect. 4. Complete the Create Prospect dialogue box by filling in a Prospect Name, Expiration Date, and Contact information. Your search criteria is summarized at the bottom of the dialogue box. 5. Click Save Prospect at the bottom of the dialogue box. You have created a new prospect Search from a Pre-Defined search. Once created and saved, the system will search for new and updated listings after midnight and send your client(s) an email with a link to the listings. In the next section you will learn how to view matches for your prospects. Notes Stratus Fundamentals 141 Chapter 7: Working with Prospect Searches Viewing Matches for your Prospects A list of your prospects can always be viewed at the Prospect Searches tab. From here you can view the latest matches for one or more of your prospects. List of Prospect Searches Matches Due to Expire Alerts Continue To view prospect matches: 1. Click Matches. The resulting matches appear in List view, grouped by prospect, if more than one was selected. Days Back From the matches results, the Action toolbar provides the same actions as any Listings Search. You can print, email, get driving instructions, etc. TIP: To view matches that are older than 14 days, at the Prospect Searches tab, select a prospect and then click Continue. Then at the search criteria page, click Submit. The resulting matches appear in List view. Use the Action toolbar to print, email, etc. Notes Stratus Fundamentals 143 Chapter 7: Working with Prospect Searches Managing your Prospects From time to time you may need to edit the contact information for a prospect, edit his/her search criteria, suspend the emails, or even delete a prospect. These functions are all part of managing your prospect. To manage a prospect: 1. At the Prospect Matches tab, click the check box for the prospect you want to manage. Selected Prospect Manage 2. Click Manage. The Manage Prospect dialogue box opens. The Manage Prospect dialogue box provides the tools for editing any of the prospect information: Prospect Name, Full Name, Email, Additional Recipients, etc. You can also edit the search criteria from this screen. At the Manage Prospect dialogue box, click into each field that requires a change of information. For example, you may want to modify the Email Options by changing an email address, or adding additional recipients. Prospect Name Expiration Date Extend Contact information and Email Save Prospect & Edit Criteria Summary of search criteria Save Prospect 2. Extend the expiry date, if desired, by entering a new date. You can also use the Extend button, if the prospect is eligible. To learn more about extending prospects, See “Extending a Prospect Search” on page 146. 3. If you have no other changes, click Save Prospect to keep the changes. Otherwise, continue to the next step. 4. Review the summary of your search criteria. If you want to edit the criteria, click Save Prospect & Edit Criteria. Notes Stratus Fundamentals 145 Chapter 7: Working with Prospect Searches 5. Make any desired changes to the criteria. 6. In the blue notification box at the bottom of the criteria, click Save Prospect. You have edited your prospect and the search criteria. These changes will be reflected in the next day’s prospect search and emails. Deleting a prospect To delete a prospect: 1. At the Prospect Matches tab, select the name(s) of the prospects to be deleted by clicking in the check box beside the name. 2. Click Delete. A dialogue box opens to confirm this action. Selected Prospect Delete 3. Confirm the action by clicking Delete. TIP: You can also delete a prospect from the Manage Prospect screen. Select the prospect to delete. Click Manage. At the Manage Prospect dialogue box, click Delete. Confirm the action by clicking Delete again. Extending a Prospect Search Stratus provides a visual alert when your prospects are soon to expire. You will see this alert on the Prospect Searches tab as well as on the Info Centre. In the example below, you can see that one prospect is Notes 146 Stratus Fundamentals Chapter 7: Working with Prospect Searches about to expire. You will also note that under the expiry date column, the number of days until expiry is displayed (for eligible prospects) in place of the actual date. Prospect Searches tab Days until expiry Visual alert (appears in red) There are several options for extending this prospect, based on eligibility. NOTE: A Prospect Search is eligible for extension if it is within 14 days before, or after the 90 day expiry date. After 90 days, the prospect is hidden. If linked to a Contact, it will be visible indefinitely from the Contact. To learn how to extend from the Contact, see “View & extend a prospect from Contacts” on page 149. From the Prospect Searches tab To extend a prospect from the Prospect Searches tab: Notes Stratus Fundamentals 147 Chapter 7: Working with Prospect Searches 1. Click the check box beside the prospect to be extended. 2. If the expiry is in 14 days or less, click Extend. 3. Confirm the action by clicking Yes. The prospect is extended for 90 days from the current date. If the expiry date is in more than 14 days, you cannot use the Extend button. Go to the next section to learn how to extend prospects that aren’t eligible yet. From Manage Prospect If you decide to extend the expiry date of a Prospect Search that is before the eligibility period: 1. At the Prospect Searches tab, click the check box beside the prospect to be extended. 2. Click Manage. The Manage Prospect dialogue box opens. 3. Click into the Expiry Date field and enter a new date. To extend for the maximum 90-day period, enter T+90. 4. Click Save Prospect. The new expiry date is saved and the dialogue box closes. After a Prospect Search expires, it remains visible for 90 days. This is within the eligibility period. After that, the prospect is hidden. However, if the prospect is linked to a contact (you selected the name from the Contact drop-down list when creating the prospect) you will be able to view the Prospect Search indefinitely from the contact. Notes 148 Stratus Fundamentals Chapter 7: Working with Prospect Searches View & extend a prospect from Contacts To view a Prospect Search from Contacts: 1. Click Contacts from the Left Side Panel. Then, if necessary to view your personal contacts, click My Contacts. 2. Click into the check box for the Contact you want to view. 3. On the Action toolbar, click View. The details form of the Contact opens. 4. Click on the Prospects tab to view the Prospect Search. NOTE: When a Prospect Search is eligible for extension, an Alert will appear in the Info Centre.See “Extending a Prospect Search” on page 146 5. Place a check mark beside the Prospect Search(es) to be extended. 6. Click Extend. Notes Stratus Fundamentals 149 Chapter 7: Working with Prospect Searches Your prospect is active again, for a period of 90 days. It will now appear in the list of prospects at the Prospect Searches tab. NOTE: After a Prospect Search is deleted (i.e., from 90 days after the expiry date), this is the only way to re-activate the search. You have learned how to extend your Prospect Searches. In the next section you will learn how to suspend or delete a prospect. Suspending a Prospect Search Sometimes it may be necessary to place a temporary hold on the prospect emails or to delete the prospect altogether. Both of these functions are available starting at the Prospect Searches tab. 1. Click the Prospect Searches tab. A list of your prospects appears. 2. Click the check box beside the prospect to delete or suspend. 3. Click Manage. The Manage Prospect dialogue box opens. 4. Click the check box beside Suspend this prospect. Notes 150 Stratus Fundamentals Chapter 7: Working with Prospect Searches Suspend the Prospect Save the Prospect 5. Click Save Prospect. 6. To re activate the prospect, clear the check box for Suspend this prospect and the click Save Prospect. When you suspend a Prospect Search, neither you nor your client receive Property Match emails. If you wish to continue receiving the listings by email, then instead of suspending the prospect, just change who receives the emails during the suspension period. You can edit the Prospect Search as often as required. NOTE: If the expiration date passes while the Prospect Search is under suspension, the prospect will expire. Notes Stratus Fundamentals 151 Chapter 7: Working with Prospect Searches Prospect Matches Email The automatic email that your prospect will receive through the Prospect Match program will contain a link to the listings. When he/ she clicks on the link to view the matches, listings are displayed in Property Match format. This link is active for 14 days. Unsubscribe link View listings link Client version of prospect email NOTE: In the automatic email, there is a link labelled to Unsubscribe from this service. When the prospect clicks this link, it sends an email message to your roster email address requesting that the prospect be unsubscribed. To learn how to delete this prospect, See “Deleting a prospect” on page 146. The salesperson’s version of prospect match emails is similar to the client’s version. Notice the thumbnail photos of the listings along with the brief, 3-line description of each listing. In the Notice Pages Search you can: • customize Notice Pages by selecting your desired property class(es) and district(s) • specify a time frame for your Notice Pages, as far back as fourteen days • view more than 200 updated listings • choose to view or print individual updated listings. Once you create your Notice Pages settings, you can save them for future Notice Pages reports and revise them at any time. Accessing Notice Pages You can access Notice Pages from the Info Centre or from any search page. 1. Log in to Stratus. 2. Click Search Properties to access the Info Centre. Notes Stratus Fundamentals 155 Chapter 8: Conducting a Notice Pages Search Notice Pages 3. On the Left Side panel, click Notice Pages. NOTE: The Notice Pages link in the News section is the daily activity report for all Stratus listings. This is not customizable. The Left Side Panel is visible from any search screen in Stratus. Therefore it is not necessary to return to the Info Centre to access Notice Pages. Creating (or changing) your Notice Pages Settings To create (or change) your Notice Pages settings: 1. On the Left Side Panel, click Notice Pages. 2. In the Class(es) section, select one (or more) class(es). Notes 156 Stratus Fundamentals Chapter 8: Conducting a Notice Pages Search 3. In the For Sale or Lease section, select one (or more) option(s). 4. In the Area field, select at least one area. Selecting up to three areas will then populate a list of the associated municipalities. 5. In the Municipality field, select one or more municipalities, if desired. Selecting up to five municipalities will then populate a list of the associated communities. 6. In the Community field, select one or more communities, if desired. 7. In the Days Back field, choose the time frame for the Notice Pages. TIP: Stratus keeps track of the date of your last Notice Pages report (up to a maximum of fourteen days prior). At any time after you've established your initial Notice Pages report, you can rerun your last Notice Pages Search by choosing Rerun Last Update at the Days Back field on the Notice Pages screen. 8. In the View field, choose Display or Print. Notes Stratus Fundamentals 157 Chapter 8: Conducting a Notice Pages Search NOTE: If you want to print your Notice Pages, specify Print view (the default is Display) before running the Update. TIP: To delete temporary changes made to settings and restore the saved settings, click Reset. 9. Click to place a check mark beside Notes & Revisions, if you would like to see edits and updates (that aren’t status changes). 10. Save your settings by clicking the Save button. NOTE: If you make changes to the class or location settings, Stratus requires you to save this as your new format before running Update. Other changes can be made (e.g., Days Back or View) without saving them. 11. To run the Notice Pages report, click Update Now, or click Cancel to return to the Reports page. You have successfully created your Notice Pages settings. To learn how to run Notice Pages with saved settings, go to the next section. To learn how to work with the Notice Pages report, go to page 159. Running Notice Pages with Saved Settings To run Notice Pages with saved settings: 1. From the Left Side Panel, click Notice Pages. 2. To run the Update report, click Update Now; or click Cancel to return to the Reports page. NOTE: Stratus keeps track of the time and date of your last Notice Page report. The Days Back Field defaults to “Since Last Update”. When you click Update Now, the results that appear are new listings or updates since your last Notice Page report, whether a couple of hours ago, or up to 2 weeks ago. Now that you have run Notice Pages with saved settings, you are ready to go to the next section, Working with the Notice Pages Report. Notes 158 Stratus Fundamentals Chapter 8: Conducting a Notice Pages Search Working with the Notice Pages Report in the Display View The Display view of the Notice Pages report contains one-line summaries for each appropriate listing and is organized by type of update (e.g., new listing, price change). You can: • Scroll through all Notice Pages to view all new and changed listings. • Click the Notice Pages Update Type at the top of the Notice Pages report to go directly to listings of that specific type. Update type Link to Top TIP: To return to the beginning of the Notice Pages report, click Top at the beginning of each category. • Click the MLS# for any Notice Pages listing to view the broker full report. At the full report you can access a Street Map showing the referenced property, and take a Virtual Tour, if one is available for this listing. After viewing the broker report, you can print it or email it to a client. Click Return to Notice Pages to return to the Notice Pages report. You can also click Notice Pages on the breadcrumb path. There are, however, several websites that do allow access to POP mail servers from any computer in the world with Internet access. Accessing your email from the Internet NOTE: Your email messages cannot be saved on your computer when accessed from any of the following websites. If you require a permanent record of your email, you will need to set up an email account using Outlook. To access your email from the Internet: 1. Open Internet Explorer. 2. In the address bar, type the address of one of the following websites and press ENTER: • http://free.myemail.com • www.e-mailanywhere.com • www.mail2web.com 3. Enter your email address, email password, and then click Log In or Check email (each site has its own label for the sign in button). Outlook supports various types of email delivery systems: POP3 (Post Office Protocol email account managed by your Internet Service Provider) and HTTP (Web-based) email accounts. Your Trebnet email account is a POP3 account. The benefit of using Outlook is that you are able to store your email messages on your personal computer. NOTE: These steps are included to assist you in setting up your email account and reflect Outlook 2010. To set up your POP3 email account, you may require some additional information from your Internet Service Provider, such as your Outgoing mail server. The best way to acquire this information is to call up the local Help Desk of your ISP. To set up an email account: 1. From the File tab, click Add Account. A dialogue box appears. Add Account 2. Select Manually configure server settings or additional server types. 3. Click the radio button to select Internet Email. 166 Stratus Fundamentals Appendix A: Accessing Your Trebnet Email Account 4. Complete the Name, Email Address, Account type, Incoming mail server, Outgoing mail server, User Name, and Password fields. Under Server Information: • Type mail.trebnet.com beside Incoming mail server (POP3). • Type your ISP’s SMTP beside Outgoing mail server. For example, if Rogers is your ISP, your SMTP is probably smtp.broadband.rogers.com. If Sympatico is your ISP, then your SMTP is either smtp1.sympatico.ca, or smtp8.symatico.ca. Check with your provider to confirm these. • Place a check mark beside Remember password, if desired. • Do not place a check mark beside Require logon using Secure Password Authentication (SPA). Incoming mail server Outgoing mail server No check mark here More settings 5. Click More Settings. The Internet E-mail Settings dialogue box opens. Stratus Fundamentals 167 Appendix A: Accessing Your Trebnet Email Account Outgoing Server User Name & Password with your ISP • Click the Outgoing Server tab, if necessary. • Place a check mark beside My outgoing server (SMTP) requires authentication. • Click the option button for Log on using. Type your user name, which is your email address with your ISP, for example [email protected]. Type your password used to access your email (your ISP email address password). NOTE: Contact your ISP (Rogers, Sympatico, etc.) if you don’t remember your password. 6. Click OK. The Add New E-mail Account dialogue box appears. 7. Click Finish. Your email account has been added to Outlook. NOTE: You may set up multiple email accounts in Outlook, which makes it easier to check all your incoming messages at once. If you have done so, remember to click Account and select the address you want to appear in the FROM line of an outgoing email message. Choosing to leave your email messages on the server Outlook allows you to control whether new message you receive are removed from your email server or left on the server for future retrieval. Leaving your messages on the server will allow you to access the same messages from more than one computer, including your BlackBerry®. 168 Stratus Fundamentals Appendix A: Accessing Your Trebnet Email Account NOTE: Leaving mail on the server can cause problems since server space is limited. When you leave too many messages on the server for too long, your space gets filled and you WILL NOT RECEIVE ANY EMAIL MESSAGES. It is therefore important to: • • download your messages in Outlook regularly set a short time limit to leave messages on the server. To leave messages on server: 1. On the Menu bar, click Tools, then Account Settings. A dialogue box appears. 2. Under the E-mail tab, select a desired email address, then click Change. A dialogue box appears. E-mail Change Email address 3. Click More Settings (bottom-right). A dialogue box appears. 4. Click the Advanced tab, then put a check mark beside Leave a copy of messages on server. You have successfully configured your Outlook to access your Trebnet email. 170 Stratus Fundamentals Appendix B: Creating a Custom Column Set Appendix B: Creating a Custom Column Set Column headings will appear in a default sequence when you submit a search. This is your TREB Default column set. You can customize column sets and save them for repeated use. To modify a column set or to create a new custom column set: • At the top of a search results list, click Customize. Customize A grid containing all of the columns in the existing set appears. The columns display in rows with information about each field, as indicated below. Column Headings • Number (#) – displays column sequence number of the criteria field within the set. The number can be adjusted by rearranging the sequence of the rows. • Name – the system-assigned field. This name does not appear in the results. This column cannot be modified. • Label – the column heading for the criteria field as it will appear in the search results. This field can be modified to a shorter or more meaningful label. • Width – reflects the maximum number of characters which will display within the column for the criteria field. • Alignment – displays the default alignment of the text with the heading. This can be changed to left, centre or right. Stratus Fundamentals 171 Appendix B: Creating a Custom Column Set • Format – reflects the default option in which the results display. You can choose from a variety of currency, date, decimal or text options. • Decimals – the number of decimal places for numeric columns. Blank by default, it can be modified Modifying an Existing Column Set The column set seen by default is the TREB Default. The buttons which appear to the right of the Column Set menu allow you to rename, delete, or share a selected column set, or create a new one. You can also click on the Import your Column Sets from Original Stratus MLS. This function imports all of your saved custom one-line reports from the TorontoMLS system as Column Sets in Stratus. NOTE: The Column Sets will be imported for you alone and will not be shared with anyone in your office. To remove a column from the set: 1. Apply a check mark(s) in the check box(es) next to the row(s) for the columns to be deleted. 2. Click Remove. Adding a Column You can add columns to your search results from a list of additional fields. To add a column to appear in your results list: 1. Click the Add a Column down arrow and select the column you wish to add from the drop down menu. The new field will be added as a new row at the bottom of the column set grid. Add a column drop down menu 2. To add other columns, repeat step 1 above. 3. To view your search results with the new columns added, click Use Without Saving. Stratus Fundamentals 173 Appendix B: Creating a Custom Column Set 4. To save the modified column set, click Save. You will be prompted to enter a name for the column set. Rearranging the column sequence Since the newly added columns appear at the bottom of the column set grid, you may want to rearrange them. To rearrange the sequence: 1. Apply a check mark in the check box next to the field(s) you wish to move. Check box Move Up, Move Down and Remove buttons 2. Click either Move Up or Move Down as required moving the selected column to the desired position. 3. Repeat this process for each column you wish to move. TIP: Several columns can be selected and moved at the same time. Creating a New Column Set You can use the above techniques to modify any existing column set. When you save those changes, you create a new column set. 174 Stratus Fundamentals Appendix B: Creating a Custom Column Set Modifying an existing column set is probably the easiest way to create a new one; however, you can create a new column set from scratch. To create a new column set: 1. Click Create New. The Edit Columns section will clear of all of the default columns associated with the TREB Default set. Create New 2. Click the drop down arrow to the right of the Add a Column column. 3. Select the column headings you wish to add to your set, one at a time. Repeat until you have added every column you wish to have in your column set. 4. If they do not appear in the sequence you wish, you can always rearrange them using the Move Up or Move Down buttons. TIP: You can save time by selecting the columns in the order in which you want them to appear in the results list. From the Left Side Panel LINKS list, click Manage My Profile. 2. You will be prompted to enter your password, which is the password you were given in your membership package. Click Sign On to enter the Manage My Profile program. 4. From the Home screen pictured below, select the function you want by clicking on the desired tab. For example, to view and edit your profile, click Profile. Viewing and editing your Profile The Profile tab allows Members to access their own profile information as well as to edit/update some fields. To access and edit your profile information: 1. Click into any field that you wish to edit and type your change. a. To include languages that you speak, click the down arrow in the Languages Spoken field and place a check mark beside each language you speak. This appears in www.REALTOR.ca, where the public can search for a REALTOR® by languages spoken. b. To include your special designations, click the down arrow in the CREA Designation field and place a check mark beside each designation that you have achieved. In the above example, ABR - Accredited Buyer Representative is selected. This too appears in www.REALTOR.ca. c. To change your Roster email address from a trebnet account to something else, click into the Roster Email field and type your preferred email address. For example [email protected]. NOTE: Provided that the Preferred email field in Customize My TMLS is blank, changing this email address will affect the following areas of TMLS: • • • • • • the email address that appears on your listings the Member Search on TMLS the return address for Prospect Match emails the address used when emailing yourself a copy of listings the address used when clients reply to your emailed listings emailed inquiries sent from www.REALTOR.ca and www.icx.ca d. To include your direct phone number (home or cellular) with your contact information on www.realtor.ca, click in the REALTOR.ca-Member’s Direct Phone field and enter your phone number. If you have a 1-800 number that you would like to include, then click in the REALTOR.caMember’s Direct Phone (1-800) field and enter that number. NOTE: When entering a 1-800 number, type 800 in the first text box and your 7-digit number in the second. Do not type the 1. e. To modify the default telephone number that appears on the Print View of TMLS reports and the emailed signature of 180 Stratus Fundamentals Appendix C: Manage My Profile outgoing emails, click into the TMLS Print View Ph# field and type your preferred number. NOTE: Check with your Broker regarding office policy on the subject of changing the Print View Phone number. 4. Click the Click to Save button at the bottom of the screen. Viewing and editing your Preferences The Preferences tab of Manage My Profile provides Members access to view and edit some email, security, and miscellaneous fields. The security questions will be used for verification of future applications. To access your Preferences: 1. Click the Preferences tab at the top of the Manage My Profile screen. Edit Preferences Submit 2. Click Edit Preferences. 3. Click the down arrow at the end of a field and select a question. For example, click the down arrow beside 1st Selected Question and select What is your mother’s maiden name? 4. Click into the 1st Response field and type your answer. For example, Jones. 5. Repeat Steps 3-4 to make additional changes. Stratus Fundamentals 181 Appendix C: Manage My Profile 6. When all changes have been made, click Submit. Viewing, adding, and editing Open Houses The Open House tab allows Members to add open houses for their own listings that can be viewed by consumers. Consumers can view these open houses by clicking on the Open House Listings link on TREB’s public website, www.TorontoRealEstateBoard.com. They can also view your open house when they search for open houses in the area(s) of their choice on www.REALTOR.ca (formerly www.mls.ca). Viewing your Open Houses To view your public open houses: • Click on the Open Houses tab on the Manage My Profile screen. TIP: To print the Open House list, click the Print this page. Add Open House Print this page Delete Check Box Hyperlinked MLS# View/Edit Open Houses Adding Open Houses Any open houses that you add to Manage My Profile are uploaded onto two websites where they can be searched and viewed by the general public. This makes the Manage My Profile’s Open House tab an 182 Stratus Fundamentals Appendix C: Manage My Profile effective way to “get the word out” on your listings. It is important to remember, however, that only you can view, add, and edit open houses for your own listings. To add an open house: 1. Click Add Open House on the View Open Houses screen. Your listings appear. Add Open House MLS# 2. Click the MLS# for the listing you wish to access. For example, C858991. 3. Click the drop-down arrows under the Date, From Time, and To Time to select the relevant date and time for the open house. 4. To add a second open house date, click Add Another Open House. Repeat step 3 for each additional open house you wish to add to this listing. 5. Click Submit. A list of open house times and dates appears. 6. Click Go to MLS Listing. The previous screen appears. NOTE: Any public open house changes/additions are uploaded to www.torontorealestateboard.com within 10 minutes and to www.REALTOR.ca (formerly www.mls.ca) within 24-48 hours. Editing Your Open Houses To edit an existing Open House: Stratus Fundamentals 183 Appendix C: Manage My Profile 1. Click the Open Houses tab at the top of any Manage My Profile screen. A list of your open houses appear. 2. Click the MLS# of the open house you wish to edit. The details appear. 3. Click the calendar icon beside Open House Date to change the day. Calendar icon Time From Save Changes 4. Click the down arrow beside Time fields to make the desired changes. 5. Click Save Changes. Deleting Your Open House To delete an Open House, from the View/Edit Open Houses screen: 1. Click the check box (es) next to the Open House record(s) you wish to remove. 2. Click the Delete button. A confirmation window appears. 3. Click OK. 184 Stratus Fundamentals Appendix D: Settings Appendix D: Settings Stratus provides a number of ways to customize your system. In this appendix we will explore these options. Settings can be accessed from anywhere in Stratus: 1. Log in to Stratus. 2. On the Left Side Panel, click Settings. Settings Profile The Profile tab displays your full name and allows you to select a 2nd Salesperson to appear on your listings. Click Save to apply change. 2nd Salesperson Stratus Fundamentals 185 Appendix D: Settings Market Areas The Market Areas tab allows you to set up your market areas for the Today’s Listings section of the Info Centre. This allows you to keep track of up to six market areas of your choice. When you log in each day, you will see the latest new and updated listings in these areas. For instructions on how to set up your market areas, see “Today’s Listings” on page 20. Links The My Links tab allows you to enter 4 URL’s and a display name for four websites which will appear under My Links on the Info Centre. Click Save to apply any changes. Appearance The Appearance tab allows you to make changes to the appearance of Stratus.
