With our heating system totally operational throughout the Festival, guests stayed longer enjoying some quality family time. Visitors pre-booked their tickets either for the morning or afternoon. Our daily capacity is now 1,000 tickets for each of the 13 days resulting in no lineups at admissions and pleasant wait times for other activities. A second team of horses was offered when weather predictions indicated warmer sunny days, which helped relieve the congestion of this activity. Heritage Store Our store sales in 2015 were $50,588.50 compared to sales in 2014 of $47,850 and in 2013 of $55,900. These revenues reflect an average of $4.80 per visitor down from last year at $5.67 per visitor spent in the store. Again, the opportunity for our customers to browse well-displayed products in our retail space contributes significantly to the shopping experience. New products continue to be added which are mostly products for kitchen and culinary use. The store hours were not extended beyond the Festival dates this year and a modest amount of product inventory will be sold at the annual Brooklin Fair in June. End of day cash closing processes were streamlined to create more efficiency for cashiers and accounting staff. A single bank deposit is done each day to ensure we keep on-site cash to a minimum. Floats will be reassessed for 2016 as the demand for cash sales continues to decline, replaced by the convenience of debit and credit. With our online inventory and sales, managing and reporting daily financial statistics were seamless. Partnerships A number of partnerships have been established over the years to ensure the Festival is able to provide an affordable experience for our visitors. The following partners contributed to various aspects of the Festival; Regional Municipality of Durham Ontario Power Generation Darlington Williams Communication Greenstone Tree Service Vickery Electric Oshawa Community Museum Friends of Second Marsh RBC Blue Water Staff have calculated the in-kind value of their collective contributions to be in excess of $10,000 which allows us to continue offering visitors an affordable family activity close to home. Sponsors who contributed more than $1,000 in inkind value are recognized through CLOCA’s new A Brick In Time Recognition Program. These sponsors have had their name engraved on a brick at Purple Woods as part of our Walk of Fame. Volunteers We continue to rely on high school students to deliver festival components including admissions, taking pancake orders, serving up cedar tea, coordinating our children’s activity area and hosting interpretive displays. We estimate about 725 volunteer hours were contributed by 31 volunteers to the Festival this year. cont’d…..3 Schedule 4-3 of May 26, 2015 FILE: IMS: ACCB22 S.R.: 5290-15 Page 3 May 19, 2015 Education, Interpretation and the Arts We continue to enhance our interpretive stops and stations along the trail that leads to the sugar shack and wagon rides for our visitors. Experiences offered are very hands-on and offer photo opportunities and engage children and their families in an interactive way. Lineups for the wagon rides were almost non-existent and when they did exist, they were bearable by our visitors young and old. We did not have to close the wagon rides in 2015 due to weather conditions and on warmer days, two teams were available. Visitors paid the operator directly for the wagon ride, which was well received by the operator and visitors. Patricia Lowe installed a number of her paintings in the gallery area of Heritage Hall as a continued way to promote local artists. The Sugar Bush Tours at Purple Woods continue to be well received by students, teachers and parents. In 2015, our program was filled to capacity with just over 1,600 students visiting over 10 days. Although the weather didn’t cooperate and sap didn’t run during the tours, staff were able to explain the sap-to-syrup process with updated props and displays. Students always receive a sample of syrup which is a big hit. In addition to the tours, we continue to offer a pancake lunch to students, teachers and parent chaperones, with just over half of our days booked to complement school tours. It was noted that store sales were down this year from education programs, likely due to the online purchasing system and teachers not wanting to use their own personal credit card to pre-pay. Staff will work with teachers in 2016 to ensure we can improve store sales and accommodate the teachers. Marketing, Media Coverage and Visitor Feedback Advertising and promotion were updated in 2015 to reflect our new offerings and on-site improvements. Taking advantage of our mailing list from the 2014 online ticket sales we were able to reduce the advertising budget and focus using email blasts and social media. In early February an email was sent to all 2014 customers promoting the 2015 Festival and that online tickets were now available. Ads were also placed in the 3 local publications with a radio promotion on CKDO. A new billboard sign was designed and installed at Purple Woods complete with Festival dates, replacing mobile sign rental costs. The City of Oshawa once again donated the cover of their March Retail Pages publication to promote the Festival. Social media pages for Facebook and Twitter were updated. Event coverage was provided by CTV News, CKDO, CHEX Durham, Local Biz Magazine, Oshawa Express, Metroland and Scugog Standard. The Festival’s web page saw 16,964 new visitors using the following technology: tablet (13%), mobile (40%) and desktop (47%). Staff changed online ticket providers to Checkfront which is a Canadian company with a significant fee reduction on ticket sales. The new system was easy to use with limited calls from customers for assistance with their purchases. Cashiers on the front line, continued to hear that our visitors like the online tickets and the new system. As in 2014, the online tickets allow us to establish an email mailing list for upcoming CLOCA events as well as next year’s Festival. These customers are showing an estimated 20% registration rate for 2015 events post Festival. Staff once again promoted an online survey to provide us with feedback into the visitor’s experience. This year only 3 completed the survey as compared to 15 in 2014. Staff are diligent onsite to randomly ask visitors for their feedback. With nice weather and the sap running very few negative comments were received. Negative comments received were dealt with immediately onsite or in a prompt manner. This year our social media for Purple Woods mainly focused on our Twitter account with 16 tweets being issued. Currently we have 147 followers and 5 Facebook postings were uploaded. cont’d…..4 Schedule 4-4 of May 26, 2015 FILE: IMS: ACCB22 S.R.: 5290-15 Page 4 May 19, 2015 Health and Safety The following inspections were completed prior to the Festival opening (refer to Joint Health and Safety Committee Minutes March 25, 2015 for full reports on these items): York-Durham Lab Water Report - February 10 2015 Greenstone Tree Service Hazardous Trees Inspection – February 25 2015 Centurion Fire Control 2015 Fire Extinguisher Service – February 23, 2015 JHSC Inspection – March 16, 2015 Recommendations from 2014 Implemented in 2015 The following recommendations made by staff in 2014 were implemented in 2015: online training for volunteers and seasonal staff; initiate a volunteer recognition program; program for exceptional volunteers who helped us deliver a successful event; continue operating Heritage Hall by community groups offering them $100 dollars a day to perform a number of tasks - our visitors really appreciated this service; offer taffy making on weekends only and hire seasonal staff to coordinate that activity; hire seasonal parking staff to replace partnership with Employment Assistance Program; reduce floats for cash registers; two wagon teams on nice days, regardless of what is booked; create video of sap production to show in sugar shack if sap is not running; order warmer weather; and, create a tracking system for syrup and damaged/promotional goods. Recommendations for 2016 All staff involved in the delivery of the Festival have shared their thoughts and ideas for improving the Festival in 2016: continue sign in sign out for staff and extend to volunteers; enhance quality of seasonal staff and volunteers with year round promotions and enhance job description requirements; permanent staff should receive a refresher training session for cash and inventory procedures; establish operation procedures for trades servicing Heritage Hall during the Festival (internet, electrical, plumbing, fire and water quality testing); continue to explore taffy making to ensure efficiencies and production is streamlined; consider partnership with Durham College Culinary program to operate Heritage Kitchen replacing community model currently in place. Community groups will have the opportunity to receive funding, but limit their active role in the kitchen; continue daily toolbox talks for high risk activities like parking, trail maintenance and fire pits at interpretive stops; and, continue to streamline online training for seasonal staff and volunteers.
