COPPER BOX ARENA Venue Guide THE BOX THAT ROCKS The Copper Box Arena, fondly known as the ‘Box that Rocks’ during the 2012 Olympic and Paralympic Games, is the third largest arena in London and the most versatile venue in London’s Queen Elizabeth Olympic Park. It is fast establishing itself as London’s most versatile entertainment and events venue. Handball, goalball, fencing and modern pentathlon were played at the Copper Box Arena during the Games, and now the venue plays host to other major national and international sport, including basketball, netball, badminton, boxing and martial arts. Conferences, trade shows, product launches and TV spectaculars have all been accommodated within the Copper Box Arena to date. The flexible auditorium design allows the main seating blocks to be tucked away, providing an open pillar-free floor area of 2,712m2. Event facilities include staging, mother grid and full blackout, while backstage there is a host of production areas. Not only is it the venue for numerous international sporting fixtures, it’s also been designed to offer an almost infinite variety of configurations, making it possible to play everything from a single match to a major tournament, one sport or several, all at once. There are also all the support facilities you would expect, including fully-equipped changing areas, and it can also handle a large number of spectators - up to 7,500, depending on the event. It has high shock absorbency and is perfect for international sports. It is vital, therefore, that the floor is suitably protected based on your production requirement. House lighting • Up to 1,500 lux lighting • There are 88 light pipes to enable natural daylight. Complete blackout valves if required. The venue has a 2mm thick vinyl overlay flooring that can be laid in advance of your load-in tenancy taking place. This protects the floor from light wear and will not sustain any heavy production use. We can offer advice for suitable alternative floor protection subject to your production, requirement. All floor loadings have to be signed off by the venue technical department. The Copper Box Arena can provide forklift trucks for your use at a cost to the organiser. The trucks will have to be driven by a qualified licence holder. Stage barrier Depending on your event and format, as well as the risk assessment, a barrier may be advisable. As part of the Copper Box Arena transformation to legacy venue, comprehensive enhanced acoustic project works were completed across the arena by Vaguardia. Currently the venue does not have a preferred rigging provider, however all rigging activity that takes place must be signed off by the venue technical department and specialist rigging consultants prior to tenancy. This includes calculating the weight loading on our house beams of the rig to ensure it is structurally safe, with a structural engineer to come out and survey the rig during tenancy. Roof Height • Clear height of 12.5m to lowest point Loading • Up to 40 tonnes • Loading spread evenly across the roof Mother Grid The venue has 3 grid systems running from stage end to centre floor. If you are using your own forklift trucks, please note that gas-powered trucks are not permitted inside the venue. It is vital that the floor is suitably protected based on your production requirement. Cable runs Cable runs can be flown from the stage end to the mixer position along the sides of the seating bays with cable hooks provided by the venue, and then across the event floor under cable ramps, to be provided by the organiser. All cable runs must be approved by the venue manager and the local authority as necessary and in advance. This is to ensure that the venue is suitably amplified for music performances. Noise management Our premises licence states that the venue is permitted to run events where the Music Noise Levels should not exceed 75dB(A) at the agreed nearest noise sensitive premises (NSP). This would be Hackney Wick and East Village, approximately 800 yards away from the venue itself. The main focus was to transform the Copper Box Arena from a sporting venue into a large scale TV broadcast studio by utilising the infrastructure to create a dynamic backdrop for the live event. With everything going as planned and collaborative support of the venue team, we were able to load in and load out quickly and deliver a really successful event. We very much hope to return in the future “ - Jane Atkinson, BBC BBC Sport Relief live broadcast 2014 STAGING SPECIFICATIONS Stage The Copper Box Arena has a roll and set, modular stage system to enable a variety of sizes up to a maximum of 60’ width x 40’ deep, with adjustable heights. Each module is measured at 8’ x 4’. We will provide sets of treads and a ramp that are compatible with this stage system. Any major alterations to our standard stage are at the organisers cost and must be discussed further with your event manager. The stage must not be drilled, screwed or nailed into or marked in any other way. The stage will be inspected prior to and after the event and any damage found will be repaired by the venue and costs forwarded to the organiser. Permits must be displayed. • Vehicles can be displayed inside the venue on the ground floor. Door dimensions at widest point are 2.15m W x 2.944m H. • The service yard is capable of taking 5 arctic lorries at any one time. Dressing Rooms & Furnishings Crew Catering There are a total of 4 dressing rooms with en-suite shower facilities and WiFi available in each. Any alcohol served in the dressing rooms must be provided by BH Live. You may provide your own crew catering at the Copper Box Arena. The use of LPG gas is permitted in the service yard, at a dedicated point, providing it is housed on board the catering unit in a fire-resistant cylinder cabinet. A waste water bowser will be required at the organisers expense. A temporary fresh drinking water tap can be supplied from just inside backstage to run a hose to the catering unit in the service yard. Storage Please note that there is limited storage space available on site during your tenancy, which can be discussed with your event manager. Storing equipment outside of the contracted venue hire period is not permitted. As the organiser you will play a vital role in the venue’s emergency procedures so you must familiarise yourself with these documents and include them in any staff briefings. Show stop procedures The Event Manager will get a message from the Operations Control Room that there is an incident in the arena. After investigating the incident, the Event Manager will decide whether to stand down and continue as normal or evacuate the arena. If the latter is decided, then they will inform the organiser either by mobile phone, radio or face to face to discuss the need to evacuate the building. The organiser will then need to inform the production manager to stop the show immediately and inform all crew to evacuate. The backstage security supervisor will assist in taking people in the backstage area to a place of safety. The Duty Manager will then make a live announcement and the security supervisors and stewards will commence evacuation of the front of house areas. Medical provisions Our recommended partner is Paramedico. All staff are fully trained and qualified. Paramedics can offer first aid services through to ambulance, paramedic and doctor. VENUE SPECIFICATIONS Security & Policing Entrance Policy Security spot checks and bag searches may be carried out on patrons entering the main entrance of the venue. Prohibited items include, but are not limited to: glass, tools, fireworks, darts, scissors, blades, knives, air horns, alcohol, flag poles, banners, radios, bottles, cans, fire arms, narcotics and any other item that security deem unsafe and a potential danger. Front of House Stewarding & Security Our recommended partner is Wise Security Services, one of the UK’s most trusted and professional suppliers of stewards and security staff. All staff are trained and experienced in handling all types of security operations, and take a pro-active approach to providing the best security solution for you. You would be responsible for paying for event security; your Event Manager can introduce you directly to obtain a quote specific to your event. Artiste personal security Any artiste security officer that is working at the venue must have the appropriate SIA-approved qualifications. Their SIA licence must be made available to the Event Manager upon request. Backstage passes This area will be managed as a private area with passes agreed with the organiser as accreditation. The venue management team will require 15 house passes for accredited event staff, allocated by our appointed Event manager. Curfews Live music can be played from 08.00 to 23.00 Monday to Saturday and 08.00 to 22.30 on a Sunday. The venue can apply for an extension until 02.00 Premises licence. The premises licence operates from 07.00 – 23.00 and alcohol can be served from 07.00 – 00.00. Extensions can be applied for which will allow the licence to operate until 02.00. “ The venue offers versatility both front and back of house, as it comes as a blank canvas and this gave us the opportunity to be creative and bring to life the Fiat 500X within the space. Your Event Manager will be appointed to you when the contracts have been signed and returned. The A Guide provides guidance for productiontype events. It defines consistent health, safety and operational standards for event planning and management. It also represents compliance with UK Law.
