PREPARE IN ADVANCE Make a list of all the products and services you will need for the coming year … everything from balls to staff to new buildings! If you are responsible for all purchases, GREAT. If not, delegate information gathering to your staff who have buying responsibilities. And if you are going to make recommendations to a “higher authority”, keep a list of “must haves” “should haves” and “dream haves”. WALK THE SPACE AND INTRODUCE YOURSELF TO ALL EXHIBITORS When you arrive, walk the space and introduce yourself to ALL exhibitors. Even if it’s a product or service you’re not sure you need, it’s a good idea to make contacts and gain new information from the exhibitors – you may be surprised the wealth of information or products that many of our exhibitors have and/or references they may provide. Many of our exhibitors offer free items…candy, pens, brochures, etc… as incentives for attendees to “come into” the booth. Please don’t just grab items and walk away. If you are going to take something, be courteous and ask a few questions. Then ask if it’s okay to help yourself. BE READY TO HAVE THE FOLLOWING CONVERSATION What product or service do you offer? Any new items to highlight for me? Have you worked with other departments like mine? Do you have suggestions that would help me do a better job or recommendations for items that would be a good match? What kind of price range do you offer? What incentives or discounts are available? Are you on the State Bid List? What’s the shipping and delivery time? TAKE NOTES There’s no way you’ll remember everything. Feel free to write on the information or product sheets that the exhibitor is handing out. Circle items of interest and write down any information you might need. Take exhibitors’ business cards and have a good supply of your own with you. TAKE YOUR TIME Use the seating available in the hall to consult and review information. Go back and ask questions if necessary. Make your purchases and pat yourself on the back! What kind of service can I expect during the year? Who will I be working with? What makes your company or products different/ better/more desirable? You have a world of information at your finger tips Keep this guide as a reference for future use when planning your programs or purchase of products
