Reception Planning
Time Line
10-12 MONTHS—BOOK YOUR VENUE Schedule a time to come in and
meet with one of our professional event planners on site to tour the property
and go over available packages. Ask if you can schedule for a day that there is a
wedding so you can see the full ambience of the day.
6 MONTHS—TASTE TEST Usually around this time your event planner will
touch base with you to get your taste test on the books. At this time you should
know what package you are going with as well as any upgrades that you would
like to include. You are allowed to have up to 4 other guests attend the taste
test with you and your groom.
At the taste test, your event planner will have a packet of questions to fill out
that will help to shape the timeline and details for the day. A payment schedule
will be issued to you following this meeting.
2 WEEKS PRIOR— A preliminary guest count will be due as well as any last
minute changes that you would like to make. Contracts are distributed to the
hotel managers and arrangements are made for staffing and food orders at this
time.
1 WEEK PRIOR— Your final guest count and room diagram are due the
Monday prior to the wedding date. In the next following days we also
encourage you to stop by to drop off and decorations, gift bags, etc. Your event
planner will also schedule a meeting with you and the banquet manager to go
over the details one final time before the big day.

Photography
For most Brides, finding a wedding photographer to capture your every
move on your big day is high priority. The wedding photographer should be at
the top of your list after you book your venue and ceremony location, as
photographers book up quickly. As a Bel-Aire Bride, we suggest you book your
photographer at least 10-12 months out from the wedding day. It is important
when looking into choosing your photographer, that you ask the right questions.
 First you need to find out the photographers style. Do they
shoot posed, candid, or both? Do they provide black and
white, sepia or any other color effects in the editing process?
Do they accept input from you on certain shots; can you give
them a shot list?
 While meeting with the photographer, you should ask to see
examples of their work as well as a final album that has been
done from a previous wedding. Ask yourself, do I like their
style; is this person someone I will work well with?
 Last, you should ask about the rights for pictures. Are you
able to purchase them, are they included or not for sale at all.

When looking into booking the DJ for your big day, Bel-Aire Brides should be
well prepared. A Bel-Aire Bride should begin looking into finding the perfect
musical match for her big day about 10-12 months out from the wedding date.
Once you have narrowed your search down, there are a few questions you
should ask before you make your final decision.
 Ask about the DJ’s overall presentation, for example: how will
the handle the introductions, cake cutting, and first dance, etc.
You need to be completely comfortable with the DJ’s
personality and specific style throughout the evening.
 As for the night of the wedding, ask the DJ what he/she will be
wearing, if they will require a meal the night of the wedding,
and if any special tables or linens will need to be provided by
the venue.
 Most DJ’s come with a wide variety of songs to choose from
and plenty of equipment to project it through. It is a good
idea to ask how large their selection of music is and to find
out how much equipment they have to make sure it will be
compatible with your venue.
 Be sure to ask your DJ if they offer any special lighting such as
uplighting or monograms. If you add in any extra lighting be
sure to speak with your DJ and venue to make sure you have
enough to make the desired impact.
 Lastly, you need to discuss a timeline with your DJ. They need
to know what your vision is for the night as far as when you
would like to cut your cake, and when you will toss the
bouquet. Be sure all of your vendors have the same timeline.

Your wedding cake is the centerpiece of your reception. It also plays the lead in
one of the longest running wedding traditions, the cutting of the cake. The
decision may take a while, as a Bel-Aire Bride we suggest that you give yourself
plenty of time to test as many cakes and bakers as possible. The final decision
should be made between 6-12 months out from the wedding. Below are some
key questions to keep in mind when meeting with the bakers.
 First, you need to decide if you are planning to have a
traditional cake. There are so many options available now
spanning from cupcakes, to individual cakes at each table, and
even a fake display cake with sheet cakes to cut and
distribute.
 Ask your baker if they customize wedding cakes? Will they
meet the needs that you have in order to encompass your
vision for your cake?
 Taste Test! Do they make the flavors and fillings that you
want?
 How many cakes do they do on each day? How far in advance
will they begin to prepare your wedding cake?
 How are the cakes priced? Do they include the top tier in the
price? Are there any delivery fees and will they deliver to the
venue?
Also keep in mind, when purchasing your cake topper you should remember that
it needs to sit on the top of the cake for a long period of time. Don’t buy
anything that is too heavy or tall that could become cumbersome after a while.

The Dress
Choosing a wedding dress is probably one of the most important aspects of
your big day, aside from choosing the right groom of course! From the moment
your ring is on your finger, you are thinking about what kind of dress you will
wear and what it should look like. As a Bel-Aire Bride we already know you will
be an absolutely beautiful bride and in order to get the dress of your dreams
that will make you feel like a princess, you should consider the following.
 Before you step foot into a bridal salon, do your research. It
can be very overwhelming when you start looking and it is
very beneficial to have some knowledge about dresses, the
styles they come in, the different types of fabrics and colors
that are offered and what you are personally interested in.
 When you begin to look it is a good idea to try on what you
have envisioned as far as a silhouette, but keep and open
mind. Sometimes you go in with one vision and come out
with the complete opposite. You only take part in this process
once, so try all styles and silhouettes.
 Finally, before you start your big shopping adventure, know
your budget! It is easy to get wrapped up in the excitement
and to lose sight of what you have planned.
Keep in mind while searching for your dream dress that you will need to decide
on your bridal party’s attire, as well as the Groom and groomsmen. While you
are in the bridal shops, ask what they have to offer for the rest of your party.

Transportation
One of the most surprisingly important, and often overlooked, parts of your
wedding day is your transportation. Arriving not only in style, but on time
throughout the day, will make things much smoother for all involved. We
suggest to all of our Bel-Aire Brides that they book their transportation at least
six months in advance. Below are some key points for booking transportation.
 Think outside the box. Does your wedding have a specific
theme that an unusual mode of transportation would fit well
with? Are you having a vintage wedding and your parents
have a classic car you can borrow? The sky is the limit with
your mode of transportation.
 If you go with a different mode of transportation, don't forget
about your bridal party! Renting a limo or bus may still be
needed to get them to and from photo locations.
 When renting a vehicle, be sure to ask if the drivers tip is
included in the rental rate. Also, ask if there are overtime fees
in case things run a little later than expected.
 Don’t forget about your guests! If you have a large amount of
out of town guests consider renting transportation for them
from the hotel to the ceremony, reception and back to the
hotel. This will allow your guests to be able to relax a little
more and have fun without the stress of navigating directions
in a town they aren’t familiar with.
Note: If you are getting married between April and June, you may want to look
into booking your transportation a little further in advance. This timeframe is
when most schools host their proms and transportation companies tend to
book up a lot quicker during this timeframe.
