First Launch*

When launching Vinoteka for the very first time, a window will appear and will give you three choices. You will the
be able to:
Run the application using the demo version,
Enter your serial number,
Buy a license.

Back up your Vinoteka database
To back up your Vinoteka database:
1. Go to the main menu File and click on Backup Vinoteka Database.
2. Follow the instructions to finish the process.
Restore your database!
You can restore your database if necessary. In the main menu File, click on Restore Vinoteka Database.

Restore your Vinoteka database before your last
synchronization
To restore your Vinoteka database before the last synchronization (if you have experienced a
duplication of references/bottles):
1. Go to the main menu File and click on Restore Backup before Last Sync.
2. Follow the instructions to finish the process.

Main Preferences: manage the references
To manage your references in the main preferences:
1. Open the Main Preferences of the application in the main menu.
2. Click on References, where you'll see the new section Keywords. Enter as many keywords as
desired, you'll be able to find them in the detail view of the references.

Main Preferences: manage the pro ratings
To manage your pro ratings in the main preferences:
1. Open the Main Preferences of the application in the main menu.
2. Click on Pro Ratings, where you'll see the different sources of pro ratings. You can edit this list and
add/delete the sources you would like to use.
3. Each source has the following attributes:
a title
a short-title (2 or 3 letters are recommended)
a score scale (20 pts, 100 pts, top rating for example)
un country
and a url.

To manage the statistics of your bottles/storages in the main preferences:
1. Open the Main Preferences of the application in the main menu.
2. Click on Statistics/Stats. In this category, you can edit the colored markers you will be seeing in the
statistics (general and per storage).

To add a new reference:
1. Select New Reference in the File menu or click on the button
of the source view, or click on the icon
located on the bottom left corner

2. A new panel appears allowing you to enter a name or scan a barcode to search the reference into the
WinePlace database. Then you can add a reference from the results.
3. From the new panel, you can also create an empty card and then fill the numerous headings and
fields.
4. Fill the desired fields. Press the tab key to go to the next field. If you consider that some fields are not
necessary, just ignore them; they will not appear in the final display of the reference.
5. After filling the reference description, click on the button
to display the created reference.

Edit a reference

To edit a reference:
1. Select a reference, then click on the button
located on the bottom left corner of the detail view.
2. The details becomes editable, you can now fill the desired fields.
3. At the end of the edition, click again on the button
view becomes read-only again.

Double-click to edit, Double-click to save!
For a fast and efficient edition, select a reference, double-click on the detail view, edit the desired fields
and double-click again to finish and save your edition!

Add bottles corresponding to a reference

When registering a new reference, Vinoteka also helps you add bottles corresponding to it. Get your virtual cellar
reflect your physical cellar and make sure new bottles and references stay connected.
To add items corresponding to a reference:
1. Select a reference, then click on the icon
located in the reference toolbar.
2. An edition window appears, fill the desired fields and on the OK button to save the changes.
3. In the Browser view displaying the status of the reference slate, make sure the number of added items
appears.
4. In the list view, also check the updated number of added items.

Create and link a tasting note to a reference
Create and link a tasting note:
1. Select a reference, then click on the icon
located in the reference toolbar.
2. A new tasting note window appears, fill the fields and click on the "OK" button to save the changes.
3. In the browser view displaying the status of the reference, the slate indicates the number of tasting
notes related to the selected reference.
4. Go to the tasting notes area and access the note you have just created.

Choose the shape of your reference
To choose a shape:
1. Select a reference, then click on the icon
located in the reference toolbar.
2. Thanks to the new Shape Selector, you can either search a shape thanks to the search field or
browse the different suggestions.
3. Click on Apply to have the selected shape applied to the reference.
4. The new shape automatically appears in the browser view.
Shapes are now linked to the appellations!
Starting with the version 3, Vinoteka Mac offers now a new feature: after you enter some specific
appellations into the system (this feature works for the appellations that correspond to a specific and
identified shape), Vinoteka Mac actually automatically selects the corresponding shape with the
appropriate wine color.

Tag your references

Vinoteka helps you define your priorities and set your preferences.
To tag your references:
1. Select a reference, then click on the icon
located in the reference toolbar.
2. Select the tag corresponding to your need.
3. The tag appears in the different displaying views.
Edit your tags!
You can edit the tags and have them show the information you want. Go to the preferences and select the
tab "Tags". Then change the information for each tag.

Search online and edit image labels

To go get images online and edit them:
1. Select a reference, then click on the icon
located on the reference toolbar.
2. A dialogue window appears and offers you 3 choices: use the camera, open an existing file (image),
search an image online and edit the image.
3. If you have chosen to search an image online, your web browser automatically opens a new web
page containing the name of the reference, you can now search labels online.
4. If you have chosen one of the other tools to edit the image, simply follow the instructions.

Share one or several references
To share your reference(s):
1. Select a reference, then click on the icon
located on the reference toolbar.
2. Select a service: Facebook, Twitter, iMessage or Email are available.
3. An edition window appears, click on the "OK" button.

Export your references
To export your references:
1. Go to the File menu and select Export.
2. Or click on the icon
located on the toolbar.
3. Select the exported type: Vinoteka Reference, Vino XML or Tabulated List
4. Adjust the options, if possible, to export your data.
5. Save the generated file, you can share it or open it with compatible apps

Import references into Vinoteka

To import references:
1. Go to the File menu and select Import.
2. Select Import file or Import from CellarTracker!.
3. Follow the instructions to import your data.
Import a file: use a tabulated file!
Vinoteka does import data when it's formatted as a tabulated file. So if you have your data at the moment
in a Excel/Numbers spreadsheet, you can save it as a tabulated file. Once you have your file saved so, you
can import it into Vinoteka via the importer. Be aware that Vinoteka does its best to import as much
information as possible, knowing that there are infinite sources. So we do import as much as
possible, but you might have to add yourself some information that cannot be imported as it is.
Find your last reference imports!
In order to help you locate on the shelves the last references you have imported, a Last Imports
area has been created. All the references you import are automatically stored with the others and
also appear in the Last Imports section for a better visibility. This history helps you keep track of all
the imports you have done.

Group and Filter your references

To filter your references:
1. Go to the reference filter bar.
2. Filter your references depending on your preferences.
3. The displaying of the references automatically changes and shows you the references in the newly
defined way.
To group your references:
1. Go to the references display bar, you can see a new button to group data
.
2. Choose one of the following attribute: Producer, Category, Appellation, Vintage, Country.
3. The displaying of the references automatically change and your references are displayed by
sections

Follow the History of a reference

To follow the History of a reference:
1. Under the detail view of the reference, you can see an array of small tabs corresponding to the History
of the reference.
2. In this History, you can check if corresponding bottles are currently stored in a storage (and directly
go to the bottle thanks to the small white arrow); you can also have a quick and efficient look at all the
bottles drunk, removed that were in your Vinoteka.
3. Also, you can overview the whole activity related to the selected reference: related tasting notes, pro
ratings and existing food pairings.
4. This new History also features a brand new tab: the statistics related to the reference; keep track of its
status, the values related to it, etc.

Drinking Period

Since the beginning, Vinoteka includes the drinking periods attributes to the reference: drink from, drink to, apogee
from and apogee to. From these years we can determine if a reference has the following drink state:
Young,
Drinkable,
Apogee
Over Apogee.
The concept could be illustrated using the current graph
To filter your references:
1. In the main Preferences of Vinoteka and set up the "Drink Indicator Color" according to your own taste.
2. All the references good to be drunk or in apogee appear with a colored shadow.
3. Filter your references depending on your choice.

Evaluate a reference
To evaluate a reference:
1. Select a reference and go to the detail view.
2. Edit the reference and evaluate your reference by adding as many stars as needed.
3. Double-click to finish the edition of the reference.

Print your references

To print your references:
1. Select the references you want to print (multiple selection is possible).
2. Click on the icon
to start the printing preview.
3. Follow the instructions to be able to print according to your criteria: choose to add or withdraw
characteristics of your references to refine the printing preview.
4. You can then decide to print or save your report as PDF.
Print or report only what you want!
Before you start printing/reporting, keep in mind that you can start preparing your report. By selecting the
desired filters in the reference area before printing, you're already refining the reports you are going to do.
Then when preparing to print, just follow the instructions to refine even more the printing/reporting.
Create your own print templates
Now you can create and manage various templates, you can print an insurance report which gather the
reference and bottle values for example.
To save a template:
1. Click on the template button and select the Save As... menu item.
2. Enter the template name and validate.
3. Each time you change a setting the template will be set as edited.
4. To save the modifications, click on the template popup button and select the Save menu item.
Delete a reference
To delete a reference:
1. Select a reference, then just press the Delete key on your keyboard.
2. A dialog window appears, click on OK to complete the action.
3. The reference and its corresponding shape disappear.

Move a reference to a special group
To move a reference to a special group:
1. Select a reference in the reference area.
2. Drag and drop the selected reference in the group of your choice.
3. Your reference now appears both in the reference area and in the chosen group.

To add Varietals to a reference:
1. Select a reference, then click on the button
located on the bottom left corner of the detail view.
2. The details becomes editable, you can now add as many varietals using the varietal selector and the
quantity widget as you want in the dedicated area.

view becomes read-only again.

1. Select a reference, then click on the button
located on the bottom left corner of the detail view.

You can setup the default keywords suggestion list in the preferences.
Manage your producers thanks to the Producer
Panel

In order to manage the producers corresponding to the references you have entered in Vinoteka, you can use
the Producer Panel.
To manage the producers:
1. Go to the Window menu and click on Producer Panel.
2. The Producer Panel appears, containing all the producers you have already entered.
3. Thanks to the buttons "+" and "-" located on the bottom left corner of the window, you can add or
delete the producers related to your references.
4. You can also edit the contact information of a selected producer.
Duplicate a reference

To duplicate a reference:
1. Select the reference you want to duplicate.
2. In the menu Edit, click on "Duplicate".
3. The newly created reference appears with the others. It is identical to the one selected, you just have to
edit it to modify it.
Search information about a reference online

To go get information online about a reference:
1. Select a reference, then click on the icon
located on the reference toolbar.
2. Your default web browser automatically opens a new new window containing the main information of
the reference.
3. Just browse the desired webpages and copy/paste the targeted info into the detail view of the
reference.
Search references among your collection

To search a reference among your collection:
1. In the Reference section, the new search tool allows you to search one or several reference(s) with
several criteria.
2. You can see on the top right corner of your screen the search section. You can search a reference by
entering names and words in the search field.
3. You can also do a smart search now: click on the button
.
4. A window appears on your screen: you can select a large array of criteria (name, vintage, price, food,
etc.) and set rules to refine your search.
Save your search as a Smart Group
Vinoteka Mac enables you, after you have done a smart search, to save it as a Smart Group. If you do not
want to lose the search you have done and/or want to create special groups with special criteria (wines
of a certain vintage, country, etc.). The Smart Groups created will be stored with the other groups.

Create a new tasting note

Vinoteka not only enables you to create tasting notes related to references or bottles you already have in your
cellar, but also to generate notes you can get from different sources or simply keep track of your impressions.
To create a new tasting note:
1. Go to the area Tastings, then click on the icon
view.

2. A new tasting note window appears, fill the fields and click on the "OK" button to save the changes.
3. The new note appears in the main view displaying all tasting notes. The detail view, located on the
right of the main view, displays all the elements of the note.
Link a tasting note to an existing reference!
If you would like to link a tasting note to an existing reference of your cellar, go to Create and link a tasting
note to a reference.

1. Select a tasting note, then click on the button

Link a tasting note to an existing reference!
Like for your references, you can also modify your tasting note by double-clicking. Select a note, doubleclick on the detail view, fill the fields and double-click again to save the edition.
Display your tasting notes

To display your notes:
1. The list view is the main view displaying your tasting notes. In order to change the displaying of the
notes, go to the buttons list view and tree view
main list view.

3. Click on the button tree view to have the notes listed according to the reference they are linked to. You
may also filter them thereafter.

The tasting notes can be displayed in different views, depending on your choices.

Go to the tasting note filter bar.
Filter your notes depending on your preferences.
The displaying of the tasting notes automatically changes.

To import notes:
Go to the File menu and select Import.
Select Import file.
Follow the instructions to import your data.

To export your tasting notes:
1. Go to the File menu and select Export.
2. Or click on the icon
located on the toolbar.
3. Select the exported type: Vinoteka Tasting Note, Vino XML or Tabulated List
4. Adjust the options, if possible, to export your data.

To print your notes:
Select the tasting notes you want to print (multiple selection is possible).
Click on the icon
to start the printing job.
Follow the instructions to be able to print according to your criteria: choose to add or withdraw
characteristics of your references to refine the printing job.
You can then decide to print or save your report.
Print or report only what you want!
Before you start printing/reporting, keep in mind that you can start preparing your report. By selecting the
desired filters in the tasting notes area before printing, you're already refining the reports you are going to
do. Then when preparing to print, just follow the instructions to refine even more the printing/reporting.
Create your own print templates
To save a template:
1. Click on the template button and select the Save As... menu item.
2. Enter the template name and validate.
3. Each time you change a setting the template will be set as edited.
4. To save the modifications, click on the template popup button and select the Save menu item.
Delete a tasting note
To delete a tasting note:
1. Select a tasting note, then just press the Delete key on your keyboard.
2. A dialog window appears, click on OK to complete the action.
3. The tasting note disappears.

To create a new pairing:
1. Go to the Food and Wine Pairing area. Click on the image
toolbar.

2. A window containing all the details of a new food and wine pairing appears. Fill up all the desired fields
and click either on Save to finish this pairing and save it or Save & New to finish this pairing, save it
and open a new pairing window.
3. The new pairing appears in the main view displaying all pairings.

Once you have entered a food and wine pairing, Vinoteka gives you the opportunity to check if you have the
corresponding references in your cellar.
To display the pairing:
1. Select a food and wine pairing in the main view.
2. On the right side of the view, click on the different types of wines you have entered and check in the
reference view located underneath if you have in your Vinoteka some corresponding references.
3. If so, a bottle representing the reference appears on the shelves.
4. To access the reference and its details, you can either double-click on it to go to its detail view in the
references area or click on the image "Reference", located on the left of the bottom toolbar. This will
also lead you to the reference area.
Export your food and wine pairings
To export your food and wine pairings:
1. Go to the File menu and select Export.
2. Or click on the icon
located on the toolbar.
3. Select the exported type: Vinoteka Food Pairing

on which you can add the racks. Instead of creating a single cellar, you can now create as many walls
your cellar contains and materialize the walls thanks to the new tool, the Wall Builder.

Add bottles to your storage

your assets and get all information regarding this storage.

Bottle Inspector

The bottle inspector displays all the characteristics of a bottle located in your storage: its entry (date, notes and
other details) and its current status. The inspector also allows you to modify the details you have entered.
To access the Bottle Inspector:
1. In order to access the Bottle Inspector, you have several choices: you can either go to the Window
menu and click on Bottle Inspector, or go to bottle area in the cellar and click on the image
located on the right in the toolbar at the bottom of your screen, or go to your storage in the rack/shelf
where the bottle is stored and click on the image located on the right in the toolbar at the bottom of your
screen.
2. The Bottle Inspector appears as an floating window, you can now modify the details that are editable:
The Entry section contains purchase details related to the bottle. You will have the purchase
date, the price and a note.
The Bottle section contains bottle details. You will have the status, the bottle tag, the storage
and the display attributes
The Note section is about the bottle note
3. All modifications made from the Bottle Inspector are automatically and instantaneously reflected in
the corresponding areas of Vinoteka (bottle section and/or storage/rack/shelf section).
Print the bottles in your storage
To print your bottles:
1. In the Bottles In/Out section or All Bottles, select the bottles you want to print (multiple selection is
possible).
2. Click on the button
to start the printing job.
3. Follow the instructions to be able to print according to your criteria: choose to add or withdraw
characteristics of your references to refine the printing job.
4. You can then decide to print or save your report.
Print or report only what you want!
Before you start printing/reporting, keep in mind that you can start preparing your report. By selecting the
desired filters in the bottles area before printing, you're already refining the reports you are going to do.
Then when preparing to print, just follow the instructions to refine even more the printing/reporting.
Create your own print templates
To save a template:
1. Click on the template button and select the Save As... menu item.
2. Enter the template name and validate.
3. Each time you change a setting the template will be set as edited.
4. To save the modifications, click on the template popup button and select the Save menu item.

1. Select a bottle in a storage and rack/shelf.
2. Display the Bottle Inspector of this bottle.
3. Click on the tag Bottle.
4. Enter the desired information in the field Bottle Tag. Press tab to validate the change.
5. Close the Bottle Inspector and see the tag appear on your bottle.
Beware the orientation of the bottle!
If you change the orientation of your bottle in the rack/shelf (back of the bottle in front of you), the tag will
remain on the front of the bottle, which means that you will not see it anymore (but it will still be there).

To use the Wall Builder:
1. Click on the name of the chosen cellar. You see an empty brick wall for the moment.
2. On the bottom of the screen, on the right, you can see the following sentence: Click here to manage
your racks in your cellar/wall!!!. Click on the button
to enter the Wall Builder.
3. Once in the Wall Builder, you can see on the left side of the screen all the racks that you have placed
in this cellar/wall.
4. In order to start placing your racks, select each rack by checking the box in front of it. The selected
rack will then appear on the main grid.
5. Once the rack is placed on the grid, you can move it very easily by clicking on it and moving it
wherever you want on your screen.
6. Do the same with all the racks you want to place on the grid, this grid representing the wall as you see
it in real life.
7. Each time you want to move a rack and place it somewhere else on the grid, select it (click on it, do no
uncheck the tick box), it will get highlighted and you will be able to move it.
Use the tools located in the Wall Builder to aggregate the racks!
You can see on the bottom of the screen an array of different tools that help you manage your racks easily
and quickly. These tools are meant to help you manage the racks, their positioning on the grid (you can
move them to the top of the list or to the bottom). In order to move the racks, you can also use the
coordinates.
From the Wall Builder, you also have the opportunity to add and edit racks directly, for a gain of time.
Check the statistics of all your bottles
To check the statistics of all your bottles:
1. Go to the section All Bottles, which keeps track of incoming/outgoing bottles.
2. On the right top-hand corner of your screen, click on the button
.
3. Once in the Statistics area, you can check and have a look at all your assets in general (regardless

To synchronize Vinoteka and Vinoteka Touch for the first time:
1. Launch Vinoteka Touch Classic in your device.
2. Go the section "Sync". In the meantime, Vinoteka is displaying the list of the devices paired with it; at
the moment, no device appears, which means that your iPhone/iPod Touch is not paired yet.
3. In Vinoteka Touch, press the button "Pair With Mac"; in Vinoteka, in the Devices area, your
iPhone/iPod Touch appears with a twinkling shade. Click on it.
4. Vinoteka is asking you to enter a 4-digit code, which you can read in Vinoteka Touch. Enter the 4-digit
code (you don't need to click on Enter after).
5. Both Vinoteka and Vinoteka Touch Classic are now paired. You're now going to start synchronizing
both databases.
6. For the first synchronization, Vinoteka will try to help you to find the best way to sync your Mac and
your device. Select one of the following statement:

Vinoteka Logger, the tool to report bugs

You can send a full bug report using the new embedded tool named Vinoteka Logger.
1. Start Vinoteka and go to the main menu Help > Report > Vinoteka Logger.
2. Activate the Vinoteka Logger and reproduce the encountered issue.
3. The Vinoteka Logger will record some logs about the application behavior. When you have reproduced
the issue, enter your email address and send the report. It will automatically contact the VinotekaSoft
support system.
4. Now, you can desactivate the Vinoteka Logger
5. We will contact you as soon as the issue will be fixed or if we need more details about the issue.

For most efficient improvements, it is important to give us the most precise and detailed reports (What do you do
to encounter this bug ? Have you had it several times? Do you need to restart your computer? etc.)
I've lost my Vinoteka serial number,
what can I do?

If you lose your serial number, you can ask us to retrieve it for you.
To retrieve your serial number:
1. Visit this page http://www.vinotekasoft.com/support/.
2. Enter your email address in the search field
You bought on the Mac App Store
If you have bought Vinoteka on the Mac App Store, you don't have any serial number. You only manage
your app via the Mac App Store (download and update)
What are the requirements to use Vinoteka?

Because Vinoteka makes an intensive use of last Apple technologies, it is exclusively compatible with OS X
10.10 (Yosemite) and later.
Vinotekasoft recommends 1GB of RAM or more to get optimal performance.
