About the Conference and ICAN Campaigners Meetings The Government of Mexico will host the Second Conference on the Humanitarian Impact of Nuclear Weapons in Nuevo Vallarta, Nayarit, Mexico, on 13 and 14 February 2014. This conference aims to deepen understanding of the humanitarian consequences of nuclear weapons as a follow-up to the discussions in Oslo in March 2013. More information on the conference is available on the official website of the Mexican Ministry of Foreign Affairs: http://www.sre.gob.mx/en/index.php/humanimpact-nayarit-2014 On 11-12 February 2014, the International Campaign to Abolish Nuclear Weapons (ICAN) will organise a one and a half day campaign meeting for civil society participants attending the conference. The meeting will allow participants to: • learn from each other on a range of areas of expertise; • discuss strategy and objectives for the conference and beyond; and • contribute to regional and lobbying workshops. ICAN will also organise a half-day debrief on 15 February 2014 and morning meetings during the conference. These meetings are open to all civil society organisations attending the government conference and will take place at the Marival Resort and Suites Hotel. II. Provisional Programme Recommended arrival date is 10 February 2014 in the evening or 11 February 2014 before 10 am at the latest and departure on 15 February 2014 in the afternoon (after 4 pm) A detailed schedule of civil society activities will be circulated in the participant guide along with further information in advance of the conference. Sponsorship Programme ICAN is undertaking a sponsorship programme to support the participation of applicants from civil society in developing countries (as defined by the OECD DAC list). The deadline for sponsorship requests has now passed. All participants selected will receive an invitation letter and, upon confirmation, the arrangements for sponsorship. Sponsored participants will then receive flight options directly from ICAN’s travel agency. If you wish to book your flight locally, please send your booking and quotation to [email protected] after having received the flight options from the agency. Please take note that ICAN will only reimburse up to the rate offered by the agency unless agreed otherwise. If you choose an option sent by the agency, you will receive your electronic ticket by email. 3 The location and schedule for payment of per diems and reimbursements will be available in the participant guide circulated in advance of the meeting and distributed during the campaign orientation meeting. V. Visa Information Civil society participants are responsible for applying for all visas required to travel to and enter Mexico. We recommend all participants apply for a visa as early as possible. Participants who travel to Mexico via a third country are reminded that they should also check with the authorities of that country whether they might need a transit visa in addition. Please find below the official information on the visa requirements and the application process with the nearest Mexican Embassy or Consular Office. Please read this information carefully and keep us informed if you have any question. ICAN will send an invitation letter to all selected sponsored participants and to non-sponsored participants upon request. This procedure applies only to holders of an Ordinary Passport. Contact the Consular Section of the nearest Mexican Embassy or the nearest Mexican consular office to request a visa with the following documents and requirements: - Valid passport or identity and travel document in original and copy. - One photo with visible face, passport size, color, no glasses, white background (size 1.5 x 1.3/4 inches). - If you are not a citizen of the country where you are applying for the visa, you will need a valid document of legal residence, in original and copy. - Other documents required are listed on the official website of the Ministry of Foreign Affairs: http://www.sre.gob.mx/en/index.php/requirements-to-enter-mexico VI. Travel Information Puerto Vallarta, Jalisco, International Airport (PVA) is located 10 kilometres (approximately 10 minutes) from Nuevo Vallarta, Nayarit. ICAN will only book flights for sponsored participants. Please note that the following cities in Mexico, the US and Canada have direct flights to Puerto Vallarta: v MEXICO (Cabo San Lucas, Guadalajara, La Paz, Mazatlán, Mexico City, Monterrey, Tijuana, Toluca). v U.S.A. ICAN will assist civil society participants requiring accessible transportation as well as sponsored participants. Further details about transportation will be provided in the participant guide circulated in advance of the conference. The use of taxis authorised by the government of Jalisco is recommended from Puerto Vallarta International Airport to Nuevo Vallarta. There are several authorised companies and their offices are located inside the airport. A ticket can be bought inside the Airport where the tariffs will be shown in the front desk. A taxi from the Airport to Nuevo Vallarta costs approximately $215 pesos or around US$18, depending on the exchange rate. 5 For more information, please visit: http://www.rivieranayarit.com.mx/tarifas_taxis_aeropuerto Taxis from Jalisco can take passengers to hotels in Nayarit, but they cannot take passengers from Nayarit to Jalisco. For that reason, in order to travel from Nuevo Vallarta to the Puerto Vallarta Airport, it is recommended to take Nayarit-authorised taxis. In Nuevo Vallarta, Nayarit, local white taxis can be taken outside most hotels and in coastal towns. Their cost will depend on the number of passengers and the distance. A transportation service by the hour can also be hired, with an approximate cost of $250 pesos. In order to travel from Nuevo Vallarta to the Puerto Vallarta Airport, we recommend taking only Nayaritauthorised taxis. The booking process, rates and conditions are available below. Marival Hotel booking process for non-sponsored participants Non-sponsored participants that would like to stay at the Marival Resort and Suites are kindly asked to follow the process below and make their booking directly with the hotel. 1. Please contact the hotel by email or telephone before 15 January 2014 referring to the booking code and contact details received in the confirmation email of ICAN. Rooms will be allocated on the basis of first come, first served. 2. The hotel will request credit card information to guarantee the reservation or a cash deposit equal to the first night’s accommodation. In addition, a copy of your ID or passport will be requested along with the copy of the credit card if this is the selected payment. ICAN cannot guarantee reservations for non-sponsored participants. We strongly recommend that you book your accommodation as soon as possible. All rooms not booked by 15 January 2014 will be released. Marival Hotel rates and conditions Rate – All Inclusive Plan Single occupancy room rate: MXN2,100.- (approx. USD162.-) Double occupancy room rate: MXN1,525.-/person (approx. USD118.-) Rates are in pesos, per person, per night in an All Inclusive Plan, taxes and gratuities are included. Rate includes: • Accommodation • All meals and beverages. The hotel has six restaurants (1 buffet, 4 specialty restaurants and 1 snack bar).
