Avalon is the Okanagan’s Event Specialist. Since 1992, our reputation for service, dependability,
and quality products has made us the industry leader. Our award winning staff is here to assist you

All About Renting
When should I reserve?
You can never plan too early to ensure availability. All rentals are based on a first come first serve
basis. We require a 50% booking deposit for orders including tenting; 25% for all other rental
equipment orders.
How does pricing work?
Most prices quoted are for a daily, (single use) event. If your needs are longer term, please call our
office for pricing. All charges are for time out whether the equipment is used or not.
How and when do I pay?
Your booking deposit is applied to the total of your rental bill. The balance must be paid in full
before the rentals will be released. This applies to delivery orders also. Tent orders must be paid
in full the Monday prior to the event. We accept cash, Visa, MC, American Express, company and
personal cheques. We also require a credit card as security on all rental orders.
Can I change or cancel items?
Reductions in quantity are accepted without penalty up to 30 days prior to the event. Final
changes must be made 2 days prior to your event. The purpose of this policy is to ensure accuracy
in your order. In the event of cancellation, the booking deposit will be forfeited.
What is my responsibility for merchandise return?
Responsibility for rented equipment remains with the renter from the time of receipt until the time
of return. All china, flatware and glassware should be free of food, sorted and repacked in the
same containers in which they were received. Linens should be refuse free and dry to prevent
staining and mildew. Please ensure that all equipment is secure and protected from the weather
while it is in your possession. Charges will apply for damaged, broken and missing items including
packaging materials.

All delivery orders must be paid in full before they will leave the warehouse. Orders which have a
balance owing may not be delivered if we cannot contact you for payment. If you will not be home
to receive a delivery, please call us with instructions as to where to leave the equipment. Please
advise us of pets, gates, etc. which may present a problem prior to our arrival.

What can I expect when the truck arrives?
All standard delivery and pickup charges are based on a TAILGATE or GROUND FLOOR delivery
and pickup. If a delivery must be taken to a specific area, floor or upstairs, arrangements must be
made in advance and additional charges will apply. Our staff is instructed to neatly stack the items
in a mutually convenient location. Additional charges will apply if the rentals are not left for pickup
in a neat stack with the tables and chairs disassembled.

When will the delivery be made?
You may request morning delivery (between 8am and noon) or an afternoon delivery (between
noon and the last delivery of the day.) Deliveries will be made within these time periods. If you
have special delivery requests, we will do our best to accommodate you. If a specific delivery time
is requested, additional charges will apply. After hours delivery as well as complete setup and take
down services are also available at an additional charge.
Planning an event can get pretty hectic. At Avalon, we understand that and work to ensure that your
party goes off without a hitch. We are pleased to offer extended services to make your life easier.

Site Visit
Plotting out your event space can be challenging. We can come to your site to measure and help
plan the ideal set-up. The service charge for this will be applied to your balance when you reserve.
Porter Service
This service provides for staff onsite during your event to count, sort, and repackage
our rental items.
On-site Consultation
When planning a function, it is often easier to have one of our rental professionals on site to help
you with your planning. Put our experience to work for you.
Event Layout and CAD Design
When every square inch counts, we will plot it out on paper.
