Exhibitors Prospectus
The planning process for the 2016 Saskatchewan Oral Health Professions Annual Conference is well underway and it
will take place at TCU Place, Saskatoon, on September 15 - 17, 2016 We anticipate approximately 1000 dental
professionals from Saskatchewan and our neighboring provinces, as well as dental students from the College of
Dentistry University of Saskatchewan to attend.
Sponsors will be recognized based on five levels of contribution, which are outlined in the package attached. Exhibitor
booths are also available for our tradeshow, which we expect will achieve its capacity of 63 in a very short time. You
can participate as an EXHIBITOR and you can display your products and services or you can SPONSOR an event to suit
your image, (or both). The conference program will be provided to each registrant and will include a product/buyers
guide and advertising opportunities.
Booths are allocated on a FIRST COME FIRST SERVE basis - to ensure that you get your choice of Booth location
complete the application form and return as soon as possible with your payment either by e-mail, mail or by fax.

Exhibitor Guidelines and Conduct:



When we received your application form and payment we will provide an exhibitors package including
additional booth furnishing and services available from Handy Events Display. These additional items must be
booked directly with the provider. Forms will be included in your exhibitors package.
Booths are to be occupied by One company only. Maximum three company representatives per booth. If you
wish to have more than 3 people representing your company at your booth you will be charged an additional
$ 100.00 per person.
The Conference committee reserves the right to refuse participation in the Roadshow due to inappropriate
materials or refusal to comply with the venue’s requirements. No refunds will be issued in this circumstance.

Exhibit booths and other structures must not have a roof, a ceiling or other enclosure that would prevent the
sprinkler system from protecting the booth area. All decorative materials must be made from a nonflammable
material or treated and maintained in flame-retardant condition. Aisles and exits must be kept clean and clear
of obstructions, maintaining an aisle width of at least 10 feet at all times.
Empty cardboard boxes cannot be stored in or behind the booth area and all extension cords must have
grounded plugs
Hazardous materials, flammable/combustible liquids and compressed flammable gases, candles are
PROHIBITED inside the building

All exhibitors must be SET-UP by 2:00 p.m. on Thursday, September 15, 2016.

Exhibitors must have a prior written approval by the Events office before affixing any signage or decorations on ceilings, floors, walls, painted surface, fabric or lecterns, glitter, decals, gum, confetti and stickers
may not be distributed or affixed inside the facility or near the exterior. Helium balloons are allowed only
when they are securely anchored to exhibits.

No BOOTH may be dismantled earlier than 3:30 p.m. on Friday, September 16, 2016.

No DISPLAY materials, except hand carried, may be moved through the exhibit area after the trade show’s
opening.

Food and Beverage Sampling - Exhibitors may dispense or serve a free sample of a food product,
non-alcoholic beverage, or other type of product provided the product is one that is made or sold in the
regular course of business by the exhibitors. NO other outside food or beverages may be dispense. In the
event an Exhibitors wishes to dispense alcoholic beverages, special conditions apply and prior arrangements must be made in advance with the TCU Place.

Move - In/ Move - Out - Additional charges will apply for displays not removed from the building
within the stated load-out time. Displays must remain up until the stated load –out time.

Shipping and Storage - Deliveries may be received at TCU Place no EARLIER than the first move-in
day listed on your contract. You must be PRESENT to accept freight deliveries.

You are responsible for making arrangements for OUTGOING shipments with the carrier of your choice.
Items left BEHIND WILL BE SHIPPED COD. The venue has limited storage capabilities. Contact TCU Place
directly to arrange for storage at their discretion.
