Conventions Used in
this Guide
This user guide assumes that you are comfortable using a computer and are
familiar with standard Windows® operating system conventions. Readers
should be able to navigate through files and folders; open and close windows;
and use menu commands, buttons, radio buttons, drop-down menus, and
selection lists.
For consistency, this manual uses the following conventions:
•
Menu choices use a notation like this:

This opens the HP Function Wizard command from the Tools menu of the
HandPunch Main menu.

Button choices and keyboard commands are bolded and use a
notation like this:

Examples: Click )LQLVK. Press the 7DE key.
•
“Click” means a single click of the left mouse button.
•
“Right-click” means a single click of the right mouse button.
•
“Double-click” means two successive quick clicks of the left mouse
button.
•
When you select a choice, it is highlighted. Click again to deselect.
The highlighting disappears.
Example: Click to select up to four Activity Codes to be displayed at
the HandPunch Reader. To deselect a choice, click again to remove the
highlight.
•
“Ctrl” means holding down the Control key. This is usually done in
combination with another key to change the result of the other key.

Conventions
•
“Ctrl-Click” means to select multiple items from a list when those items
are not listed together. For example, to select several employees whose
names are not listed next to each other, hold down &WUO, then click the
name of each employee as shown in Figure conv-1.

“Shift-Click” means to select multiple items from a list when those items
are grouped together. For example, to select several employees whose
names are listed together, click the name of the first employee that you
want to select. Press and hold down the 6KLIWkey, then click the name of
the last employee you want to select. Both the first and last as well as all
employees in between are selected as shown in Figure conv-2.

The term “Administrator” refers to the person who is responsible for
administering the HandPunch system and relates to that person’s technical
responsibilities.
•
The term “Supervisor” refers to a person who has supervisory responsibility
over other employees and relates to their administrative job responsibilities.
“Supervisor” is generally used as the opposite of “Employee.”
•
A person can be both an “Administrator” and a “Supervisor.”

Getting Started
Introduction
This chapter provides an overview of the HandPunch for eTIME system and
instructions for installation. The chapters that follow provide instructions for
setting up various HandPunch for eTIME options as well as instructions for
day-to-day operations.

What Is HandPunch for eTIME?
HandPunch for eTIME is a system that collects and distributes information about
your employees’ time and attendance records. In simple terms, it is an electronic
replacement for traditional paper timecard machines. There are several components/
features to the HandPunch for eTIME system.
Readers and Sites
•
HandPunch Site: the building or general location at which the employees
work. Depending upon the size of your organization, you could have
multiple Sites, such as a main office and a warehouse. Each of these Sites
can have one or more Readers installed, such as at a main entrance and rear
entrance. For details on setting up your HandPunch Sites, see
“HandPunch Sites” on page 53.
•
HandPunch Reader: a biometric device that accurately identifies
employees’ hands as a method of punching in or out of the office or plant.
The HandPunch for eTIME prevents punches by anyone other than the
identified employee. You can use the HandPunch for eTIME connected
directly to a computer, or remotely using a modem or Ethernet card. You
must have at least one Reader for each Site. For more information about
how Readers work, see “How the HandPunch Reader Works” on page 4.
For details on setting up your HandPunch Readers, see “HandPunch
Readers” on page 61.
All of the Sites and Readers are connected through the HandPunch for eTIME system. Because they are connected, you can modify each Reader to meet the specific
needs of that location and gather the time and attendance information (punches and
gate accesses) from each Site without physically visiting each location.
HandPunch Templates
Before you can begin to use HandPunch for eTIME, you must enroll all employees
so that the HandPunch for eTIME system has a template of the employee’s hand on
file. Enrolling Employees (See “To Enroll Employees” on page 4) simply means
recording the hand size information for each employee in the HandPunch for
eTIME system. HandPunch for eTIME stores the hand size information in templates, or picture records of the hand. (See “To Update Hand Templates” on page 4
and “HandPunch Templates” on page 101).

What Is HandPunch for eTIME?
To Create a Template
When the hand is positioned correctly, the lights, mirrors, and camera within the
Reader record an image of the hand. This image, called a template, is the product of
mathematical calculations on the length, width, surface area, and height of the hand.
HandPunch for eTIME then checks this template against the employee’s ID number. If the ID number is valid, then the template becomes a valid identification and
is distributed to all Readers. In other terms, a template uniquely identifies individual
employees, much like issuing an employee identification card. For more information
on templates, see “HandPunch Templates” on page 101.
Electronic Punches
On a routine basis (usually daily or weekly), the HandPunch administrator updates
and collects the electronic punches from the Readers that are connected. This provides the eTIME system with a variety of information:
•
Time and attendance records for the employees who have punched in and
out during that period.
•
Template information for employees enrolled since the last Update and
Collect.

Door Access
In addition to collecting information about employee punches, HandPunch for
eTIME can also be used for door access in a fashion similar to using a magnetic card
to open a door. Not only does HandPunch for eTIME allow access to the employee,
it maintains a database of the door access punches. See “Managing Door Access
Punches” on page 97.

How the HandPunch Reader Works
When you punch in or out, you use either the integrated barcode Reader (available
with Full HandPunch for eTIME Readers) or the keypad to key in your ID number.
The HandPunch Reader prompts you to place your hand on the scanning plate
where it measures and records your hand’s length, width, thickness, and surface area
using a simple infrared light source similar to that found in your typical television
remote control. The HandPunch Reader does not record or store sensitive personal
information such as fingerprints.
To Place Hand Correctly
Place your hand palm down, on the scanning plate (platen) and gently squeeze your
fingers against the finger posts. The platen has five finger posts to guide your hand
for correct positioning. The hand diagram at the top of the Reader has four lights,
one for each finger. As each of your fingers is positioned correctly on the platen, the
corresponding light goes out. If the lights do not go out, the hand is not correctly
positioned. Remove your hand and place it again on the platen. See the Using the
HandPunch poster for full instructions.
To Enroll Employees
Before an employee can punch in and out using the HandPunch for eTIME Reader,
he or she must be enrolled. During enrollment, the HandPunch for eTIME Reader
scans your hand three times in succession to capture its pertinent features and stores
them in a database record called a template. An enrollment takes from thirty seconds
to two minutes. The HandPunch for eTIME Reader saves templates for newly
enrolled employees and automatically sends them to HandPunch for
eTIME software.
To Verify ID at the HandPunch
When a user punches in using HandPunch for eTIME, the HandPunch Reader
compares their stored template with the “picture” just taken (current template). If
the current template is close enough to the one that is on file (it will never match
exactly because people’s bodies are always changing), then that employee’s ID is verified.
To Update Hand Templates
eTIME can have one or multiple HandPunch Readers and maintains a template
database of the employees who use the HandPunch Readers connected to it. An

employee’s template is only distributed when an employee is enrolled. The template
stored in the Reader is updated with every successful punch, however, this update is
not transferred to the HandPunch for eTIME’s template database. As time passes, a
person’s physical characteristics may change. This may be due to weight gain or loss,
aging, or injuries. The HandPunch for eTIME takes these factors into account and
adjusts a user’s stored hand template to accommodate these changes.

Setup Checklist
Use the following checklist to set up your HandPunch for eTIME system. Perform
the tasks in the order listed. When you have completed each task, use the first column to check off that task.

Installing the HandPunch for eTIME Software
Installing the HandPunch for eTIME Software
The following sections describe the steps to installing (or upgrading) and launching
your HandPunch for eTIME software.
To Get Ready for Installation
Before you install the HandPunch for eTIME software:
•
Check to be sure that eTIME is already installed. HandPunch for eTIME
uses information from the eTIME installation and will not install unless
eTIME is already installed.
•
Have the HandPunch for eTIME CD-ROM close by.
•
Make sure that users have administrator access if installing on Windows
NT Workstation or Windows NT Server.
To Install the Software

Insert the CD into the CD-ROM drive on your system.
Choose 6WDUW

Follow the instructions on the screen. The installation will automatically determine the location of your eTIME installation.

To Upgrade from Earlier HandPunch Software Versions
When you upgrade from an earlier version, follow the instructions in “To Install the
Software” on page 7. The installation routine automatically upgrades the following
previously installed HandPunch interfaces, retaining the listed information:

The HandPunch for eTIME Main window (See Figure 1-2 ) makes it easy to set up
and run your system. The Main window includes:
HandPunch for eTIME Menu Bar--All of the HandPunch for eTIME functions are
available on this menu bar. Click the desired menu to see the list of menu
commands available. Many of the most common menu commands are also
available as buttons on the HandPunch for eTIME toolbar located directly
below the menu bar.

HandPunch for eTIME Menu Commands--When you click a menu choice from
the menu bar, a list like the one in Figure 1-2 drops down for you to choose
the function that you want to perform. In Figure 1-2, Reader was selected
from the Reports menu.
HandPunch for eTIME Toolbar--The buttons on this toolbar give you “one-click”
access to many of the most common HandPunch for eTIME functions.
You can either use the buttons on the toolbar or you can use the commands
from the menu bar. When you are using HandPunch for eTIME, if you
forget what menu command the buttons performs, hold your mouse
pointer over the button. A tool tip appears telling you the button’s
function.
HandPunch for eTIME Navigation Pane--The HandPunch for eTIME Main
window is divided into two panes, the navigation pane on the left and the
settings pane on the right. The navigation pane shows the Sites and
Readers that you have set up in HandPunch for eTIME. The “+” next to a
Site means that there are Readers that you don’t see. Click the “+” to
display all of the Readers. The “-” next to a Site means that all the Readers
are displayed. When you click on a Reader name to select it, the
configurations for that Reader are displayed in the settings pane. In Figure
1-2, the Reader named Front Desk is selected and all of the information
about the Front Desk Reader is displayed in the right pane.
HandPunch for eTIME Settings Pane--For each of the Readers and Sites selected in
the navigation window, all of the configurations are displayed in the
settings window. In Figure 1-2, the Reader named Front Desk is selected in
the navigation pane. All of the configurations that apply to Front Desk
appear in the settings pane. When you click a different Reader or a Site, the
information in the settings pane changes to show the configurations for the
newly selected Reader or Site.

Keep in mind the following hints when setting up your HandPunch system.
•
Keep ID numbers short.
•
The ID number in HandPunch is the Badge Number in eTIME.
•
Never use leading zeros in ID numbers (for example, never use 0123).
•
Ensure that all ID numbers have the same number of digits. If you do, you
do not need to press # (Yes) after entering the ID number at the
HandPunch for eTIME keypad. For example, if you use 100 for the first
ID number and 999 for the last, the ID length can be set to three with no
leading zeros.
•
Do not use badge ID lengths greater than eight digits if using a supervisor
function at the Full HandPunch.
•
Optional: Once HandPunch for eTIME is working successfully, change
the default command mode password in the HandPunch for eTIME
Readers. Create passwords that are 2- to 3-digits.
•
If someone is having trouble using the HandPunch for eTIME Reader, first
clean the platen with a damp cloth. Then try reenrolling that person.
Ensure that their hand is positioned correctly. If trouble persists, contact
your ADP TLM Representative.
•
Always make sure employees are entered in eTIME prior to enrollment at
the HandPunch for eTIME Reader.
•
Make sure that HandPunch for eTIME administrators enroll employees
with the same badge number that is entered in eTIME.
•
Make sure that new employees are instructed in correct hand placement
techniques.
•
Prior to enrollment, encourage your employees to place their hands in the
Readers to become comfortable with the process. By placing their hands in
the Readers, they will be much more likely to get a trouble-free enrollment,
and it will significantly lessen the number of employees who will need to be
reenrolled.

•
Statistics show that 2–4 weeks after the initial enrollment, 10–15 percent
of the employee population needs to be reenrolled. This happens as
employees become more comfortable with HandPunch.
•
Resetting the HandPunch for eTIME causes all template data to be erased.
•
If an employee does not have a right hand or is missing digits on their right
hand, he/she can turn their left hand upside down and use that hand.

Introduction:
Function Keys can be configured to give Full HandPunch Readers additional
functionality such as multilevel labor transfers. (Function Key Configuration is
not available on Basic HandPunch Readers.) Using the HandPunch Function
Wizard and Function Key Configuration, employees and administrators can
quickly set up such tasks as adding punches and performing labor account
transfers.

Overview of the Function Keys
There are four steps to setting up the Function Keys:

Decide which functions you would like to perform at the HandPunch Reader
(see “What Kinds of Functions Can You Perform?” on page 14) and whether
supervisors or employees can perform that function.

When setting up your HandPunch, do not use badge ID lengths greater than
eight digits if using a supervisor function at the Full HandPunch.
Set up each function. (See “Using the Function Wizard to Set Up Function
Keys” on page 17.)
Set up the Function Key Configuration for each HandPunch Reader. (See “Setting Up Function Key Configuration” on page 67).
Send Function Key Configuration to each Site. (See “Sending Function Key
Configurations to Sites” on page 87).
What Kinds of Functions Can You Perform?
There are seven different functions that you can assign to the Function Keys:
•
The $FWLYLW\&RGH function allows employers to pay employees for
performing set activities that are different from their normal activities.
Employees are usually paid a higher rate for this activity and sometimes
also receive bonus hours or bonus dollars. For example, if an employee fills
in for their supervisor on a particular day, they would punch in as
“Supervisor.”
See “To Set Up the Activity Code Function” on page 17 for full details.
Note:
The HandPunch screen can only display four activity codes at one time. If you
need more than four activity codes, create another function with a different
function name for the remaining activity codes.
•
The &OHDU$FWLYLW\&RGH function enables employees to transfer back to
their normal activity after they are finished performing an alternative
activity. For example, if an employee fills in for their supervisor for the
morning, they would use the Clear Activity Code Function Key when they
return to their normal duties in the afternoon.

What Kinds of Functions Can You Perform?
•
The /DERU/HYHO7UDQVIHU function enables employees to routinely work
in different departments or at different jobs and, if necessary, be paid
differently for them. This is particularly helpful when a company needs to
track the number of hours an employee spends on different projects or in
different departments.
With Labor Level Transfers, HandPunch offers a choice of “Prompt Only”
or “Prompt and Validate.” Use the prompt only choice if you want the
HandPunch Reader to ask (prompt) the employee to enter a labor entry
value or number. Use the validate choice if you want the HandPunch
Reader to prompt the employee and then check to confirm that the value
entered by the employee is one that your company uses. The validate
choice offers administrators more control at the Reader than does the
prompt only choice.

The $GG'ROODU$PRXQWV function enables employees or supervisors to
add dollars at the HandPunch Reader. For example, employees can add tips
that they received or a supervisor can add bonus pay to an employees pay
record.

•
The $GG+RXUV$PRXQW function enables supervisors to add hours to an
employee’s timesheet. For example, when an employee calls in sick for the
day, the supervisor can add eight hours of sick time at the Reader.

hours from an employee’s timesheet. For example, an employee calls in sick
and the supervisor adds eight hours of sick time to their timesheet. The
supervisor then realizes that the employee has used up all of their sick time
and must use vacation time instead. The supervisor would use the Subtract
Hours Amount function to remove the sick time before using the Add
Hours function to add the vacation time.

The HandPunch Function Wizard lets you tell your system which functions you
would like to perform at the Reader. The sections below describe how to set up each
of the seven functions.

Introduction
Bell schedules allow you to configure the HandPunch Reader to ring a bell at
specified times within the day and for selected days of the week. The bells can
be used to announce such events as the start and stop of the work day, breaks, or
lunch times. Using bell schedules involves a three-step process:

Set up the global bell schedules as described in this chapter.
•
Assign a bell schedule to the Reader. See “Adding a HandPunch
Reader to a Site” on page 62.
•

There may be times when you need to create a new bell schedule that is similar (but
not exactly the same) as an existing one. When that happens, you can use an existing
bell schedule as a template for the new one. Rather than starting all over again, you
simply change the few items that are different.
To use a bell schedule as a template for another schedule:

Adding a new HandPunch Site involves naming the Site and setting up the correct
connection type for that Site.

2 Click the down arrow in the Raud Rate drop-down list if you need to change
the value to a lower baud rate to establish a connection and press the 7DE key to
move to the Phone Number text box.
Select the appropriate baud rate.
14000 is the maximum supported
setting. Basic HandPunch Readers
operate at 2400 or less.

If the HandPunch Site is locally connected using the serial port on your computer:
1 Click the radio button for the serial (communication) port the HandPunch is
connected to and press the 7DE key to move to the Connection Type group
box.
2 Click the down arrow in the Baud Rate drop-down list if you need to change
the value from the default 9600.
For Direct Connection, select only
the appropriate baud rate.
14000 is the maximum supported
setting. Basic HandPunch Readers operate at 2400 or less.
The balance of the group box is
unavailable.

Introduction
A HandPunch Reader is a biometrics device that accurately identifies
employees’ hands as a method of punching in or out of the office or plant. The
HandPunch prevents punches by anyone other than the identified employee.
You can set up as many Readers as you need at each Site, assign only certain
employees to certain Readers, and set up different Function Keys for each.

Type the unique Reader Address (set up at the HandPunch Reader during
installation) used when communicating with this Reader. For Ethernet, this
number must be 0. For direct and modem connections these numbers start at 1
and continue up through the total number of Readers deployed. Press the 7DE
key.
Optional: Type a maximum 3-digit password in the Command Mode Password
text box and press the 7DE key.
Note:

Make note of the command mode password. This password is required when
performing administrative functions at the HandPunch Reader.
Type the length of the employees’ badge numbers in the Default Badge Number
Length text box, or accept the default. If the badge numbers vary in length,
enter the number of digits in the longest number. Press the 7DEkey.
Warning: Do not use badge ID lengths greater than eight digits if using a supervisor function at the Full HandPunch.
Type the number of punch attempts in the Retry Limit text box. This is the
number that the HandPunch Reader will allow before rejecting an invalid hand
placement. Press the 7DEkey.
9 Click the down arrow to select either 12-hour or 24-hour format from the
Clock Display drop-down menu.
10 If this is a door access HandPunch Reader, enter the duration in seconds in the
Door Unlock Duration text box. This is the number of seconds that you want
the door to remain unlocked when a valid punch is accepted.
11 Accept the default value (125) in the Rejection Threshold text box.

Warning: Changing this value could stop employees from being able to use the HandPunch Reader. ADP recommends that you leave the default value, 125. Contact your ADP TLM Representative before making any changes to this field.
12 If you want bells to sound at selected times: In the Bell Schedule Name field,
select a bell schedule from the drop-down list. Refer to “Bell Schedules” on
page 45 for instructions on creating scheduled bell times.
13 Click the appropriate radio button in the Type of HandPunch group box to
select one of the following options:

By default, all employees are assigned to every Reader. If you want only certain
employees to be able to punch at a particular Reader:
1 Click the name to select the Reader you want to edit employee assignments for.

Setting Up Function Key Configuration
Full HandPunch Readers have Function Keys (F-Keys) that enable employees and
supervisors to quickly perform certain functions at each Reader. These include such
tasks as performing labor account transfers or adding and subtracting hours. For
each Reader you just add a Function Key Configuration that specifies which F-Key
is associated with which function.
Note:
Before you can configure the Function Keys at the Reader, you must set up the
Functions using Function Wizard. See “Function Keys” on page 13.

HandPunch Administrators are eTIME users assigned to perform technical and
administrative-type functions at the HandPunch Reader. They are responsible
for such activities as setting up the HandPunch system and enrolling employees.

The communications between the Sites and the Readers is one of the key elements to the HandPunch for eTIME system. For the system to work properly,

Bell schedules allow your to configure the HandPunch Reader to ring a bell at specified times. For more information on this feature, see “Bell Schedules” on page 45.
Bells will not sound at HandPunch Readers until bell schedules have been assigned

Collecting
Punches
Introduction
On a routine basis, the administrator will want to collect the punches from the
HandPunch Readers. Since the Readers and Sites are connected to the HandPunch for eTIME software, the administrator can accomplish this remotely by
using the Update and Collect function–without visiting each of the Readers.
Update sends information to the HandPunch Reader that is set up in the HandPunch for eTIME software. Collect sends information such as punch data,
supervisor, and employee information from the HandPunch reader to the
HandPunch for eTIME software. For example, Collect brings in new template
information to the HandPunch for eTIME software where it is matched to the
employee ID. The next Update will then distribute the new information to the
other Readers.

HandPunch for eTIME can display and print a list of errors that occurred during
communications with HandPunch Sites. If the error log becomes too large for the
storage capacity of your computer, you can purge this file, which will remove all
events from it.

Introduction
The HandPunch for eTIME database stores information about Door Access in
its database. You can export this information to a CSV (comma-separated) file,
which you can then open in another application, such as a spreadsheet. Exporting door punches allows you to create Gate Access Reports. These reports may

database. You should purge this database when it becomes too large or when data
becomes obsolete. To purge this information from the database:

Templates
Introduction
HandPunch templates are the electronic equivalents to employee identification.
During the enrollment process (see “To Enroll Employees” on page 4), HandPunch creates a digital image of the employee’s hand. Each time an employee
punches in, HandPunch compares the current image of their hand with the
template that it has on file in its database.
After you enroll employees at each HandPunch Reader, perform the steps outlined in this chapter to create the HandPunch template database in HandPunch
for eTIME. Afterward, the database is updated automatically every time you
update and collect data.

The HandPunch for eTIME software uses the Microsoft Jet database engine to write to an Access version 8 database. If there is an
error writing to the database, the Microsoft Jet database will return
a DAO error as described in the following chart.

Activity Code
A code that indicates the type of function that an employee performs. e.g., charge nurse vs. supervisor.
Administrator
A person who will perform command mode functions, such as
setting up the HandPunch system and enrolling employees at the
HandPunch Reader.
Bell Schedule
A preset time or times when HandPunch rings a bell. Typically,
Bell Schedules announce time such as start work and stop work
or start break and stop break.
Biometrics
Biometrics is using a unique, measurable characteristic or trait of
a human being for recognizing or verifying identity. The most
common physical biometrics are the eye (iris and retina), face,
finger image, hand and voice.
Command Mode
Password
A number up to 3 digits that a client arbitrarily chooses to precede the factory defined passwords. These are the passwords that
allow you to enroll employees, etc.
Enrollment
The process of placing your hand in the HandPunch 3 times in
order to create an accurate hand template.
Function Keys
The F-Keys at HandPunch Readers that are configured to allow
employees and supervisors to quickly perform certain functions
such as performing labor transfers, adding, or deleting punches.
Gate or Door Access
The ability to use HandPunch as a method of unlocking doors.
HandPunch
HandPunch for eTIME is a system that collects and distributes
information about employees’ time and attendance records. It is
an electronic replacement for traditional paper timecard
machines.
Hand Template
The nine-byte record generated from the three-dimensional picture that the HandPunch takes during enrollment.
ID number
The number assigned to an employee. ID numbers can be up to
9 digits and correspond to the badge number in eTIME. ID
numbers should be kept as short as possible.
Infrared Filter
The smoke or gray colored plastic located above the platen.
Labor Level
An identification of the pay level or type of activity that an
employee perform.

Platen
The area of the HandPunch that you place your hand.
Prompt
A choice of Labor Level Validation used with the Function Keys.
With this setting, HandPunch will ask employees to enter a labor
entry value, but will not check it for validity.
Reader Address
The numeric identifier for a HandPunch. Valid Reader addresses
are 1-31. Only needed for Direct and Modem Readers.
Reject threshold
The maximum deviation from the hand template that the HandPunch considers a punch invalid. The default setting for an ADP
HandPunch is set to 125. Changing this value could stop
employees from being able to use the HandPunch Reader.
Retro-reflective
material
The strip of material applied to the right (pinky) side of the
HandPunch that reflects the infrared light back to the mirror.
This facilitates the three-dimensional imaging.
Score
The deviation from the hand template stored in the HandPunch.
The lower the score the better.
Site
A HandPunch or multiple HandPunch Readers attached to a particular PC communication port or modem.
Supervisor
Someone who has been given authority in the HandPunch to perform any command mode functions, e.g., enrolling employees.
Template
A stored electronic image of an employee’s hand that uniquely
identifies that person.
Update and Collect
The process of gathering the punch transactions as well as the
changes to HandPunch templates.
Validate
One of the choices in Labor Level Validation used with Function
Keys. With this setting, HandPunch will ask employees to enter
a labor entry value and will check it for accuracy.
Web pin
The smaller diameter metal pin that goes between your index and
middle fingers. This pin is used as part of the calibration procedure. It is also important that employees push their hands fully
up to the web pin when using the HandPunch.
