Strawbridge Studios is the oldest school photographer
company in the South, and is a fourth generation familyowned business. J. E. Strawbridge, the company’s
founder, began taking school pictures in 1923. Harold
Strawbridge, J.E.’s son, entered the business in 1951. Harold’s son, Ken,
entered the family business in 1978. His twin sons, Michael and David
Strawbridge, and youngest son Kevin, have all joined the firm. Everyone,
except J.E., is still active in the business. We photograph over a million students each year. We
published our first yearbook in 1961 and now publish over 160,000 yearbooks. Strawbridge Studios
serves north to Delaware, west to Texas and Indiana, and south into Florida, operating in 15 States.

6. Define your standards of payment.
Payment is normally determined by the school/district. Most sales are conducted on a prepay
plan, where money is collected as portraits are taken. However, should you desire, proof and
speculation/parent approval sales are available. In these types of sales, money is collected after a
parent has had the opportunity to view the portrait. For payments made directly from a district,
Net30 applies.
7. Who is your competition in the marketplace?
Over the years, more and more companies have decided to enter into the school portrait business.
Being the second oldest school photography company in the country, we have been able to
persevere many storms, from the Great Depression to today’s economic woes. Currently, Lifetouch
is our largest competitor, from whom we have been able to secure many contracts in the recent
past.

9. What differentiates your company from competitors?
a. We are a vertically integrated, debt-free corporation.
b. Satisfaction is guaranteed, 100%, no questions asked.
c. A “live person”, not a machine, answers all phone calls between the hours of 8:00 a.m. and
5:00 p.m. (EST).
d. We employ full-time salaried photographers, not hourly seasonal workers only used for a few
weeks per season. This allows us to send only the finest photographers to capture the best
portraits possible.
e. We guarantee better commissions for schools, and more value received for parents. We allow
our customers flexibility in choosing prices and commission structure. Nobody knows the
families in a district better than their administrators. For that reason, we have implemented
our “Choose Your Price” program, allowing schools and districts the opportunity to choose the
pricing level and corresponding commission percentage for their school portraits. We know
that a “cookie cutter” approach would not meet the needs of everyone. Thus, our “Choose
Your Price” option gives schools the opportunity to customize their pricing and commissions to
best meet the needs of their schools and families.
f. Complimentary items, such as certificates, CD-ROM’s, ID cards, stationery, and banners, are
truly complimentary, not taken out of commission dollars owed to the school.

best from portrait capture, to production, and to packaging.

10. Describe how your company will market this contract if awarded?
Strawbridge Studios currently has business and representatives in the largest cities in the country,
especially the southeast. If awarded, we will use our current staff to advertise this bid in the districts
where we currently don’t have business, as well as in districts where it would be advantageous
to increase market share. In addition, we will use the NCPA logo and award on future marketing
materials.
11. Describe how you intend on introducing NCPA to your company.
NCPA has already been introduced to our company. We are very excited at the prospect of
partnering with your organization. All departments have been briefed on the potential of what
this partnership can mean for both parties. In addition, if we are honored to be awarded this
contract, NCPA will be invited to our annual June sales meeting. At this meeting, we will conduct
a special training to introduce and educate our team on the advantages of our partnership.
12. Describe your firm’s capabilities and functionality of your on-line catalog/ ordering website.
Should a client choose to conduct business via on-line ordering, we have several platforms in
place. Parents may pay for their child’s portraits in advance, thus eliminating the need for the
child to take payment to the school. Parents may also view their child’s portraits on-line by using
a password that we will provide. Also, should the school choose to conduct a speculation/parent
approval sale, they may use our website to pay for the portion of the package they wish to keep.
All images are 100% secure and password protected.
13. Describe your company’s Customer Service Department (hours of operation, number of service
centers, etc.)
Maintaining the highest possible customer satisfaction is a premium interest of Strawbridge
Studios. Every product we produce has a 100% satisfaction guarantee. Your school employees,
students, and parents will have their questions answered and concerns addressed. Our Customer
Service Department may be contacted via our toll-free number, (800) 326-9080. Customers receive
immediate assistance from a courteous and friendly staff member, not a frustrating automated
menu. Our Customer Service Department has Spanish-speaking employees and is open from
8:00 a.m. until 5:00 p.m. EST. Calls to our Customer Service number are all handled in our main
production facility in Durham, North Carolina.
14. Green Initiatives
Strawbridge Studios makes every effort to minimize our environmental footprint. We have taken
extra measures to cut back on waste, as well as enacted a new recycling program. This program
aims to recycle all materials possible that are a part of the photographic process, including paper,
plastic, and cardboard shipping materials.

Purpose of Form
A person who is required to file an information return with the
IRS must obtain your correct taxpayer identification number (TIN)
to report, for example, income paid to you, real estate

Definition of a U.S. person. For federal tax purposes, you are
considered a U.S. person if you are:

Product Quality
Our quality is impeccable. All portraits will be full-size (borderless). Most other company’s school
portraits cannot be framed without a white border showing. We are a full service organization, producing
everything in-house, including the photographs, shirts, CD’s, yearbooks, etc. This means we keep our
eyes on the quality of all our products directly, and can cut time and cost to you by producing them in
one place.
Standard of Service
On prepay and speculative programs, we will return portrait packages, record prints, ID cards and CDROMs within three weeks of the photographic date. Absentees and remakes will be photographed in
early November, and finished pictures will be sent to you before the holidays.
Scheduling
Upon notification of award, Strawbridge Studios is ready to hit the ground running. As soon as schools
are ready, we would begin setting photographic dates for the 2014-2015 school year. All seniors would
be photographed over the summer. We encourage schools to allow us to meet with rising seniors to tell
them about our senior portrait program. This raises excitement about their upcoming senior portraits.
Once dates are set, rising seniors will be notified of their appointment times. Your representative, along
with our photographers and Scheduling Department, will ensure that all schools get the photographic
dates that best suit their needs.
On Picture Day
We make picture day easy. Before picture day, we will contact the
school to set up a predetermined location for us to photograph
each student. We will be set up and ready to photograph at
least 30 minutes before school begins. It’s our policy, in order
to start the day off on a cheerful note, to bring donuts for the
faculty. We also suggest we be allowed to photograph the
faculty before school starts as they will be more enthusiastic
before the day starts rather than later in the school day. For a
prepay program, we will handle all purchases at the camera.
Faculty will not be required to keep any records.
Package Distribution
Ease of distributing photo packages is absolutely essential when you are dealing with hundreds, or in
some cases, over a thousand packages per school. Strawbridge Studios will ensure all packages are
returned to each school bundled per the school’s instruction (for example, by homeroom teacher, grade,
etc.). A complete listing of orders contained in each bundle will be attached.
Individual sports packages are bundled with the athlete’s name on top and his/her actual order envelope
contained with the package. Unless otherwise instructed, sports packages are sent back to the school
sorted by team.
For proms and other dance events, if prom/dance books are part of a student’s package, the book is
bundled with the package; not shipped in a separate box.
Fall Portraits Prepay Program
We encourage all of our schools to conduct their fall portrait sale as
a prepay program. In a prepay sale, all students receive information
concerning different packages offered and prices about two weeks prior
to the photographic date. A day or two before picture day, each student
receives the same information again with an envelope on which they
can mark their selection and enclose their prepay payment. Our order
forms and flyers are formatted so that it’s easy for parents to understand
the package contents, and pay without confusion. Faculty will not be
required to keep any records.
All portrait packages will be returned to the school within three weeks of photographic date. Packages
will be sorted as the school requests (by homeroom, or by any other class). We ship all service items
(CD’s, record prints, ID badges) at the same time.
Absentees and remakes will be photographed on a day mutually decided upon. All retake packages
and service items will arrive at the school well before the holidays. For any customer not completely
satisfied with their original package, a retake will be offered, no questions asked. Any new students will
also be photographed on makeup day.
Classroom Groups
Our color classroom group picture is an 8x10 unit with your
choice of several digital borders. This is provided at a wholesale
cost of $8.00. The school determines their commission based
on the price they choose to charge the students. We will provide
each principal with a complimentary class group album, and
each teacher will receive a free portrait of their class.
Spring Portraits
We will return in the spring semester and photograph
each student in a Full-Body pose (from head to toe). We
will supply take-home flyers requesting they bring their
favorite toy, sports equipment, musical instrument, etc.

We encourage elementary schools to use our spring
“Three-Pose” speculation program. In a speculative sale, all
students photographed receive the same package. We print
the full package for every student and send it to the school,
to be sent home. Parents may purchase the entire package or any part thereof, depending upon their
needs. The school may collect the money if they desire, or Strawbridge Studios can collect it for them.
This package contains seven sheets of photographic paper, including one spring montage.
Personality/Fun Pictures
Spring Personality Portraits will be made available to the school’s student
body on a prepay basis as well.
buddy pictures
Buddy pictures are a flat rate of $10 for
each person in the photo. Each purchaser
receives one 5x7 and four billfolds.
Sports
Strawbridge
Studios
can
photograph all athletic teams and musical groups. Our
sports picture prices are the best in the industry. We are able to offer a wide
variety of products from individual and team pictures, to specialty items
like personalized trader cards, magazine covers, game tickets, buttons, key
chains, locker posters, plaques, and magnets.
A copy of all team pictures will be supplied to each coach plus the yearbook
staff at no charge. Should Strawbridge Studios be selected to be the sports
team photographer, we also agree to offer a special photography class to
the yearbook staff where they can learn the art of capturing sports action
shots. We also offer to be at select sporting events should you desire, not to
exceed one event per team, at no charge. Strawbridge Studios has the best
senior prices available, with minimal sitting fees, which giving seniors 6-24
proofs. Should a senior desire to be photographed for the yearbook only, we
will do so at no charge.
Seniors
All photography will be at the school, so
no traveling is ever asked of the seniors.
Strawbridge Studios will provide two opportunities for seniors to be
photographed. We will work with the school to schedule summer
dates for our professional photographers to be in their school. Each
senior will receive a postcard with their senior portrait appointment.
We will also schedule a make-up day for any senior that could not be
photographed during the original photographic dates. Strawbridge
Studios will also provide tuxedo jackets, shirts, and bow ties for the
young men and drapes for the young ladies.
All senior portraits will be done on a proof basis. Proofs will be mailed
directly to the senior’s home with ordering instructions within three
weeks of the photography date. Payment for senior portraits will be
mailed to Strawbridge Studios, and completed orders will be mailed
back to the senior’s home.
Panoramic Portraits
Strawbridge Studios has been taking panoramic pictures
for many years. Our Panoramic pictures are 10”x24” in
size. Typically, these sales are conducted as prepay; however, we have the ability to mail the panoramic
picture proof to the school principal and all the finished pictures to the students within a three week
time-frame.
Commencement
We offer to photograph your seniors as they receive their diplomas
during their graduation ceremony. We suggest photographing
graduations on a prepay plan. Only students who pay for portraits ahead of time would be photographed
receiving their diplomas. Should you desire, we can photograph all seniors as they receive their diplomas.
These images will be uploaded to the internet within 72 hours for parental viewing and ordering.

Package sales at other dances can be arranged through Strawbridge Studios.
We will provide candid photography of the dance for the yearbook staff at the school. These candid
pictures can be prints or digital images on a CD.
Services
ID Cards - One set of ID cards will be provided to each school at no charge. We will work with each
individual school to determine their needs, and the information they wish to have included on the card,
as well as the desired layout. Typically, ID cards contain the school name, year, student name, and
grade. Other information (teacher name, bar codes, etc.) can also be added should a school request.
All ID cards are shipped to the school, along with portrait packages, within three weeks of photographic
date. ID cards are provided complimentary to all schools with a minimum of 20% participation. Schools
with a lower participation rate can receive ID cards, billed at $1.25 each.
Directories - Student image directories can be supplied to a school by request. Images can be sorted in
the directory to meet each school’s needs. Directories, along with other service items, are delivered to
the school within three weeks of photographic date.
Yearbook CD’s - Like all other service items, yearbook CD’s are shipped to a school within three weeks
of photographic date. Some schools ask that their CD’s only be sent after make-up day, which can be
accommodated. Having been in the school portrait industry for over 91 years, we are very familiar with
formatting yearbook CD’s to meet the PSPA guidelines.
Administrative CD’s - Strawbridge Studios is able to provide CD’s for any administrative program,
whether it is used by the front office, media center, or cafeteria. As of late, more and more districts
are requesting all administrative CD’s be sent to the district office for upload. This request will be
accommodated; however, we are encouraging districts to use our easy download link, which enables
all files to be transferred via our secure web portal. This will allow districts to get the images faster,
without having to wait for CD’s to arrive. All images will be properly formatted, and are ready for easy
upload into any administrative program a school may be using.
Other Services at School Level - We are proud to offer a wide variety of printed services to our schools.
These include banners, certificates, brochures, composites, mosaics, and posters, just to name a few.
In owning our own print facility, we are able to offer these services, and make them all fully customized
to each school (school colors, mascot, mission statement, etc.).
Services Provided to the District for Exclusive Business Acceptance - In serving an entire district, we
strive to completely partner with them in many facets. Not only are we a picture company, but we can
also provide many services to the district (see above for our printing capabilities) that can save them
money. If we are new to a district, we look forward to introducing ourselves at a district principals’
meeting, at which we could sponsor lunch. We would also provide desk calendars and academic
planners to the district office staff.
