Welcome
On behalf of everyone at Epic Relays thank you for participating in the 2015 Epic Rocky Mountain Relay! We hope your experience
will be truly EPIC and that we’ll see you back again. If you love your relay experience, please tell your friends, but if not please tell us
so we can fix it. We are committed to providing a superior relay experience and would like to hear you!
We have only 3 requests of you as participants. The first and second are to be safe and have a blast. The third is to please respect
the running course, the rules of this relay and use common sense. Please obey traffic laws, don’t block any roads or private drives

We hope your experience with us is truly EPIC!
Best,

Be Safe, Be Smart, Have FUN!
Safety- Our #1 Priority
Safety is our first concern and top priority on the relay course. Following the safety guidelines is not a suggestion, it is a requirement.
Any individual or team that chooses not to follow our safety-first policy will be immediately removed from the event. The safety of
the runners is too important for any error on this topic.
What we do to keep the runners and volunteers safe:
• Enforce all safety rules below
• State Police patrolling the major and minor arterial roads on the relay course
• Cones on all minor arterial roads on the relay course
• Signs on urban collector/rural major collector and minor arterial roads marked, “RUNNING RACE IN PROGRESS ON ROAD”
• Signs designating one mile to go before every exchange
• Signs designating every exchange
• Signs designating every turn
• Accurate mapping of the course for runners and drivers
• LED lights on all of the signs at night
• Coleman LED lanterns at night exchanges
• Traffic wands for volunteers at night exchanges
• Reflective vests for volunteers
Team safety responsibilities:
Each team must present the following items at the Relay Start Check-In to participate:
•
•
•
•
•
•
•
2 Relayology Manuals (1 for each team vehicle)
2 first aid kits (1 for each team vehicle)
At least 2 headlamps or Knuckle Lights
At least 2 red blinking LED lights
At least 2 reflective vests
Glass chalk to write “CAUTION RUNNER ON ROAD” on each team vehicle
Extra batteries
Safety rules:
It is important to remember that none of the roads will be closed to vehicular traffic during this relay. With that in mind, the
following safety rules apply to all participants:
1. All state and federal traffic laws apply to all runners, drivers and pacers.
2. All runners will be required to run on the shoulder or sidewalk and face oncoming traffic unless otherwise specified (run on
same side of the road as the cones).
3. No participant will be allowed to cross a road with more than 2 lanes unless at a designated crosswalk.
4. Teams will only be allowed to aid their runner on the course during legs designated as “Support Legs” (all legs in this relay
are support legs).
5. Between the hours of 8 pm and 6 am all runners will be required to run with a headlamp/Knuckle Lights, a blinking LED light
and a reflective vest. During these hours runners will not be allowed to begin their legs without these items.
6. Between the hours of 8 pm and 6 am every participant outside the team vehicle must be wearing a reflective vest except
for at a designated exchange.
7. Active team vehicles will be required to turn their hazard lights on when pulled over on the course.
8. Sleeping may only take place in team vehicles or at designated sleeping areas (Exchanges 18 and 24).
9. Vehicles will not be allowed to pace runners under any circumstances during the relay.
10. Runners may have running pacers during the hours of 8 pm and 6 am but the pacers must be members of a registered relay
team OR must sign the Relay Participant Waiver as a pacer. The waiver must be handed in at the Relay Start Check In by the
team captain with the runner, driver and volunteer waivers.
11. No alcohol will be allowed on the course during the relay
5
Night Running
We recommend adopting the Never Let Your Runner out of Sight at Night policy when your runners are running at night. In order to
accomplish this let your runner pass the team vehicle until they are almost out of sight, then drive past them until again they are
almost out of sight and pull over off the road with your hazard lights on. Then wait there until your runner passes you again and
repeat. You will be in rural areas during the night, including on a mountain pass. It WILL be dark. While we put an LED light on each
directional sign, please have your van stay close if you are uncomfortable running alone in the dark.
Emergency/Medical Plan
If the safety rules are followed and everyone exercises their best judgment, we do not expect there to be any emergencies.
However, we understand that things happen and we need you to be familiar with emergency protocol.
We will be obtaining a cell phone number from one participant in every vehicle in the relay (two per team). In the event of any
emergency we will communicate and give direction via text message to each vehicle. Emergencies include lightning, tornado, flood,
earthquake or fire.
In the case of a serious medical emergency, PLEASE call 911 immediately. After you call 911, please alert Epic staff of the situation.
Below is a list of medical facilities along the route:
•
•
•
St. Francis Medical Center, 6001 E Woodmen Rd, Colorado Springs, CO, 719-571-1000
Heart of the Rockies Regional Medical Center, 1000 Rush Drive, Salida, CO, 719-530-2200
Gunnison Valley Hospital, 711 N Taylor St, Gunnison, CO, 435-528-7246
It is the responsibility of the teams to know the location of these facilities, as well as the hours of operation
Inclement Weather Emergency Instructions
Inclement weather can arise at any moment and it is up to each team to assess the situation and determine whether or not they feel
comfortable continuing to run their leg. Should lightening be observed at any point, the team will be held at the next Exchange
location until 20 minutes passes with no lightening. If the participant running their leg sees lightening, they must get into their team
vehicle, drive to the next Exchange. All team members are required to stay inside their vehicles during inclement weather. In the
unlikely event of a tornado teams are instructed to seek shelter at the school at the closest major Exchange. If driving is not possible,
seek best possible shelter in your location.
*Due to the staggered Start times, teams miles apart on the course. For this reason, one team may be running under a clear sky
while another team is running through a thunderstorm. We will allow the race to continue until the weather, an unforeseen act of
God, etc make the conditions too treacherous to continue*
Should your team get stuck at an Exchange for an extended period of time to wait out a storm, please do the following:
1. Waiting under 40 minutes: If a storm has you waiting at an Exchange for less than 40 min, please continue down the course
as normal. We will subtract the amount of time spent waiting from your overall time at the Finish. For example, if you
waited for 30 minutes, the timer will subtract 30 min from your overall finish time.
2. Waiting over 40 minutes. If a storm has you waiting at an Exchange for more than 40 min, we will need you to drive down
the course in order to keep the race on track. Calculate the number of miles the runner would have run had they not been
held back, and drive them that far down the course, drop them off, and allow them to finish their leg. For example, if the
runner who is supposed to be running runs 8 min/mile and has to wait at an Exchange for 40 min, drive 5 miles down the
course. We will not subtract the time spent waiting from your finish time as driving down the course will make up that time
for you.
6
Course Cut Off Times
This does not mean you’re disqualified or will get kicked off the course if you don’t make these cut offs. It just means your Inactive
Vehicle (the vehicle not running) will need to start running at these times if your Active Vehicle doesn’t get to these Exchanges by
these times:
Exchange 6 – Friday 5:00 PM
Exchange 12 – Friday 7:45 PM
Exchange 18 – Friday 10:10 PM

Course Maps
We mark the course as well as possible but remember these roads aren’t closed or blocked off and runners in the past have been
known to run right past a turn sign thus causing them to run miles in the wrong direction. Many runners have admitted to never
looking at their maps prior to running, don’t let this happen. Study your map, know how many turns you’ll make and at what
distance you’ll be making them. If you’re concerned about missing a turn have your team wait at each turn to direct you. In
addition, seasoned relay runners typically run with a copy of their leg map folded up just in case. We also recommend running
with a cell phone or walkie talkie if possible so that you can communicate with your team vehicle.
Bottom line: TAKE OWNERSHIP OF KNOWING YOUR LEGS AND BE PREPARED.
