1 Logging into ePortal
Open internet explorer on the PC/laptop with ePortal installed and type
http://localhost/eportal/index.jsp, (where localhost = your server name) you will then
be presented with the ePortal welcome screen.
•
Type Your Username in the username field.
•
Type Your password in the password field.
•
Click on Login.
The loading screen appears as ePortal loads the settings associated with your
account.
Once you have been successfully logged on, the screen will display information
pertinent to you.

For example your timetable, class group information, teaching group information and
instant access to roll call and lesson-by-lesson registration are displayed as bitlets.
Other areas / bitlets are available when they have been set up – noticeboards and
discussion groups to name but two. A management view is also available for senior
managers.
NOTE: What you see on screen may differ slightly from this training manual as
ePortal is configurable by your system administrator and they can apply different
layout styles as well as colour schemes etc. This training manual uses the default
settings.

2 Changing your Password
When you first log on you may need to change your password depending on your
schools password policy.
•
Click on Main Menu – on the left hand side of the screen.
•
Click on Personal.
•
Click on Change Password.
•
Type your old password in the second field.
•
Type your new password in the third field (Must be at least 8 characters).
•
Re-type your new password in the fourth field.
•
Click on Submit.
You will see a box containing your schools password policy to assist you in creating
your password.

3 Recording Roll Call
To record the roll call data for your Tutor Group you need to locate the Roll Call
Bitlet located in the top centre of the ePortal home screen.
This will display only classgroups associated with you as a teacher
•
Click on the Mark icon.
You will now see a list of the students in your Tutor group. On the left hand side of
the screen you will see a list of all the DCFS codes and these cannot be changed or
altered in any way.
•
Select the relevant code for example N – No Reason.
•
Double click in the corresponding cell for each absent student.
You only need to mark students who are not present as Facility will automatically
mark others as Present.

•
Repeat the process for all non present students.
•
Click on Submit Values.
•
Check that the totals are correct.
•
Click on OK.
IMPORTANT – Wait until you see the following message in red before you log
out or navigate to another page. Failure to do this Will result in data loss.

4 Recording lesson by lesson attendance
To record lesson by lesson attendance you need to locate the lesson within the
Registers bitlet as shown below.
•
Select the group and click on the Mark icon to the right of that group.

Select the O;Absent category from the left hand side of the screen.
•
Double click on all Absent students.

Click on Submit Values.
•
Click on OK.
IMPORTANT – Wait until you see the following message in red before

data loss.

5 Viewing the Registration Report
Truanting from lessons is an issue for most schools whether it be big or small, in
order to help identify those students who are not attending lessons the Registration
Report has been added to ePortal. The Registration Report allows users of ePortal
to identify those students who have attended a roll call but then have missed or
arrived late to a subsequent lesson. This report does not take into account those
lessons where teachers have not submitted their registers.
•

Locate the Registration Report bitlet towards the bottom of the screen.
Click on More.
You can also produce this as a PDF enabling you to print or store on your network.

Click on Back.

6 Searching for Students
ePortal allows you to search for both students and teachers. We will look at
searching for students but to search for teachers uses the same method.
•
Locate the Find bitlet – upper right hand side of the screen.
•
Type the surname of the student that you wish to locate – for example Smith.
•
Click on Find.
A list of students matching your search criteria will be displayed.
•
Click on the name of the required student (for training purposes we are
selecting Samantha Smith).

This screen contains an overview of the key aspects of the student, for example
personal information. Information about their contacts, their timetable, attendance,
results and any reports stored within the Document storage area.

7 Student Events
It is possible to record events against individual students and also against groups of
students in the following way.
7.1
Creating an event against an indi vidual student
•
Use the Find student bitlet to search for the student that you want to
create an event for (e.g. Samantha Smith).
•
Locate the Student events bitlet.
•
Click on More.

Click on Events Entry Screen.
•
Click on the Add Event button.
Select the event that you want to create from the Event type combo box,
for example detention.
Enter the details in the fields provided for that event.

Once all details have been entered click on Add Event.
The event has now been created and summary details will be displayed on screen.
You will be given the option to click on More… to see the event in full.

7.2
Creating an event against a gr oup of st udents
The ability to create events can also be accessed from the Roll call and Registration
area. From this area you can then create an event against an individual student or
you can add the same event to a group of students.
•
Locate Today’s Timetable/Registration bitlet.
•
Find the teaching group that you wish to view and click on the Mark button.
•
Using the tick boxes to the left of the student names select the students
that you wish to create an event for.
•
Click on the Add Event button.

Select the event that you want to add using the Select event type combo
box.
Enter the details of the event in the fields provided.
Once completed click on the Add Event button. You will then see the
below message to confirm that the events have been successfully created.
Click on OK.
You can view a student’s events by clicking on the following symbol which is
displayed against their name:

8 Assessment Data
8.1
Entering S ATs results
Student SAT results can be entered into the school database via ePortal by the class
teacher.
•
Click on Main Menu.
•
Select Assessment.
•
Click on SATs Entry.
•
Select the appropriate year for the SATs results from the Year combo box.
•
Select the Key Stage that the results are for from the Stage combo box.
•
Select the correct Subject from the Subject window.
•
Highlight the appropriate method from the Method window (NB. More than
one method can be selected using the ctrl key on the keyboard).

•
Ensure the appropriate method is selected (TA).
•
Click on Continue.
•
Select the teaching group.
•
Click on Enter results.
•
Enter the results accordingly.

8.2
Entering Assessm ent Data
Assessment data can be entered via ePortal or Facility. The type of data that a
teacher needs to enter is determined by your school. We are going to look at the
default Key Stage 3 model on which your school assessment model is based. We
will look first at the Target setting then the termly tracking.
8.2.1 Entering Targets
•
Locate the Assessment Result Entry bitlet at the bottom of the screen.
•
Click on KS3 Targets.

Select the teaching group that you want to add targets to.
•
Click on Enter Results.
•
Double click in the KS3 Target cell for a student.
•
Select an appropriate grade.
•
Press Enter.
Notice that ePortal automatically calculates the Target points and an end of year
target for each year as well.
•
Click on Submit.
•
Click on OK.
•
Click on Home.

8.2.2 Entering Terml y As sessment
Once targets have been set you can use the termly grades to monitor student
progress.
•
Locate the Assessment Result Entry bitlet as before.
•
Click on KS3 Grades.
•
Select a teaching group.
•
Click on Enter Results.
•
Double click on the Aut field for a student.
•
Select the grade that you wish.
•
Press enter.
Notice that if the grade you selected is lower than the end of year calculated grade
the Aut cell turns pink. If it is higher then the cell turns light green.
•
Click on Submit.

9 Alerts
During the school day it is often necessary to send messages to teaching staff about
students, such as the whereabouts of students and/or messages that need to be
passed to students. These alerts can be created within ePortal in the following way.
•
Locate the Alerts Bitlet.
•
Click on More.
This is the entry screen for creating student alerts. To make this process as efficient
as possible the students are grouped alphabetically by surname within the student
view or are grouped in tutor groups in the Filter view.
We are going to create an alert for Jeanette Langdon, asking her teacher to pass on
a message from her mother.
•
Select K-l from the first combo box.
•
Select Langdon, Jeanette (003398) from the second combo box.

Click on Create Alert.
Enter the message that you want relayed to the student in the text box. You can
change the font style, size and colour as necessary.

Click on Create.

9.1
View ing an alert
Now that an alert has been created we are able to view this in ePortal. There are
several ways to do this which are documented below.
9.1.1 As the tutor
When the tutor of the student logs into ePortal; If you are using the training data then
log in as YS8.
•
Click on the link to take the roll call.
The roll call is displayed as previously described
You will see that there is an alert associated with Jeanette Langdon
•
Click on the Alert icon.

Place a tick in the Select all tick box.
•
Click on Actioned.

9.1.2 As a teacher
When a teacher of the student logs into ePortal; if you are using the training data
then log in as BS2
•
Locate the Registration bitlet.
•
Select the 9H.E1.
The students in the lesson are displayed as previously described. Notice the alert
icon associated with Jeanette Langdon.

10 Quick Links
The Quick Links functionality allows you to create user-specific hyperlinks to areas
within ePortal that you use most often. It is also possible to set up links to external
Web sites, if required.
Using the Quick Links functionality and the Bitlet Control Panel together, it is now
possible to organise your ePortal home page: add quick links and remove extraneous
bitlets to customise your home page.
10.1 Setting up a Menu Shortcut
To set up a quick link to an ePortal screen, the Roll Call for today screen for
example:
•
Click More on the Quick Link bitlet.
•
Check that the Menu Shortcut option has been selected.
•
Click Add New Quick Link.
•
Select the area you require from the drop-down list: Roll Call, for example.
•
Select For Today from the 2nd Level Menu drop-down list.
•
Type a Link Name. You are limited to using 30 characters; in this example,
type Today’s Roll Call:

Click Submit.

10.2 Adding an External Link
To add a link to an external source, e.g. the Serco Web site:
•
Click More on the Quick Link bitlet; the ‘Add / Remove and Modify Quick
Links’ screen is displayed.
•
Select the External Shortcut option:
•
Click Add New Quick Link.
•
Type the link name and add the Web address:
•
Click Submit.

10.3 View ing the Links
Return to the ePortal home page and note that the two new links are available on the
‘Quick Links’ bitlet:
Note: When you click an external link, the site is displayed in a new browser
window.
10.4 Removing Menu Li nks
To remove an ePortal menu ‘Quick Link’ shortcut:
•
Click More on the Quick Links bitlet.
•
Select the Menu Shortcut option.
•
Click the required remove button.
•
You are prompted to confirm the deletion; click OK.

To remove an exter nal link
•
Click More on the Quick Links bitlet.
•
Select the External Shortcut option.

Click More on the Quick Link bitlet.

Select Menu Shortcut or External Shortcut.

11 Cover
If you have been assigned a cover lesson today the information regarding this lesson
will be displayed within the Cover bitlet.
By default the Cover bitlet located towards the bottom of the home page in the
centre.
For training purposes I have logged is as SG1
•
Click on the More button.
•
Click on Back.

12 Creating Students Lists
A list of students with additional information such as contact details, addresses etc
can be generated, saved and printed.
To create these lists we need to look at the menu structure, this can be found buy
clicking on the Main Menu button located in the top left hand corner of your screen.
•
Click on the Main Menu button.
You will now see the menu structure rather than the bitlet control panels.
•
Click on Records.
•
Click on Student Lists.
If you have a saved list you can select it from the Existing Set List combo box. We
are going to create a simple list containing all the students in 9D along with their
home address, Gender, Doctors name and two additional blank columns.
•
Select Key Stage 3 form the Select Course combo box.

Select Year 9 from the Select Year combo box.
•
Select 9D from the Select Class Group combo box.
•
Select Home address from the Additional columns combo box.
•
Select Gender from the Additional columns combo box.
•
Place a tick in the Spare column1 and spare column2 tick boxes.
•
Type Permission Slip in spare column 1 text box.
•
Type Paid in spare column 2 text box.
•
Click Generate List.
If you now scroll to the bottom of the screen you will see that you can generate a
PDF version of this list and print it.
Also note that once you have generated a list you cannot save it this has to be done
before you generate.
•
Click on the Back button at the bottom of the screen.

13 Lesson History
Lesson history can be viewed and amended in the same way. To view this month’s
lesson history for a group:
•
Go to Registration | Lesson History.
•
Type 7E in the Find Teaching group field (for training purposes only).
•
Click on Find Teaching Group.
•
Select the required date range.
•
Click on View Attendance.

Select the appropriate teaching group (7E.Omega – Olivia Harmon).
You will now see all the lesson history for the selected group.

14 Viewing your Timetable
Although a teachers timetable is displayed on within the bitlet view you can also view
it from the menu.
•
Go to Main Menu.
•
Select Personal.
•
Select My timetable.
You can now view your timetable.
