ALIGRO is a supermarket specialising in gastronomy products.
„Demaurex Frères“ was a wholesaler founded in 1923 and today it’s
a state-of-the-art Cash & Carry dealer with five stores throughout
Switzerland. Key for the daily business is the efficient reception and
processing of goods. As of late, the company counts on ELO DocXtractor to attend to the task. It‘s a tool of the ECM-System
ELOprofessional. The program was implemented under the
guidance of IT-provider Advellence.

ALIGRO‘s story begins in 1923 in the French part of Switzerland: Paul
and Ernest Demaurex, great-uncle and grandfather of the current
managing generation are founding a wholesaler called „Demaurex
Frères“. The family shows pioneer spirit, especially in June 1960: With
„Aux Délices“, they founded the first Cash & Carry in Switzerland. They
were inspired by the American model, where the deliveries are replaced by the collection of the goods. This allows for prices that are more
competitive. ALIGRO’s product range provides everything from meat,
fish, fruits & vegetables, dairy, baked goods from the in-house bakery,
beverages, to frozen- and non-food products. Brand-name products
like Barilla, Ovomaltine, Nestlé etc. can also be found.

The difference between ALIGRO and the competition? Private persons
are allowed to shop at the market. The main customers are restaurateurs, though. A total of 650 employees are making sure that the five
stores are running smoothly and that customers are comfortable
shopping during the opening hours.

ALIGRO is the leading wholesaler in western Switzerland for groceries and fresh
products. The enterprise also sells kitchen
utilities, table culture and other products.
Main customers are restaurateurs, but in
one of the five ALIGRO subsidiaries, also
end customers can shop.
Challenge
ALIGRO was looking for a system to digitally collect and archive supplier receipts
and other documents. The solution had to
be compatible with ALIGRO’S ERP-software.

automatic collection and filing of documents as well as the correction of contents.
simplify the everyday work of the employees. The system also reduces the error
rate. IT-provider Advellence assisted whilst
implementing and operating the system.

Large traffic of goods
On a daily basis, suppliers deliver huge amounts of foodstuff and other
articles to the five stores. For example, table culture, kitchen supplies
and tobacco products. Once arrived, employees accept the products
and receipts. They compare the supplier receipts with orders and deliveries. „Especially with perishable meats and fish it’s unavoidable to be
exactly in the know of the stockpile“, says Stephan Caïtucoli, responsible for the software SAP at ALIGRO. So far, if the supplier receipts and
the orders wouldn‘t match, the employees had to correct the mismatches manually. To handle the large amount of documents correctly,
is a real amount of work. It’s also challenging for any software to cope
optimally with the mass of documents. „We were looking for a software that was able to scan documents, acknowledge the contents and
automatically files the documents“, tells Stephan Caïtucoli. Also the ITsolution must be compatible with the ERP-Software by SAP and other
digital systems of ALIGRO.
Smaller error rate thanks to ELO DocXtractor
With ELO DocXtractor ALIGRO has found an ideal solution. The module
that is part of the ELO ECM system ensures that incoming documents
are automatically and intelligently classified and processed. What
sounds technically complicated, is for ALIGRO in practice a true godsend. „We are using ELO DocXtractor to manage the incoming goods
department“, explains Stephan Caïtucoli. The main use of ELO DocXtractor for ALIGRO: „We can minimise the error rate whilst recording
and processing documents“, confirms Stephan Caïtucoli. He gives an
example: „We are not always receiving the exact amounts that we
have ordered from our suppliers – it’s normal. For instance we ordered
ten kilos of beef, but the supplier is only able to deliver 9,4 kilos. So far,
our employees had to manually correct the numbers. For instance we

delivery note and the system automatically corrects
it.“ This way, ALIGRO is able to save time and makes
sure that the inventory is recorded correctly. In addition to that, ELO DocXtractor automatically matches the
scanned documents and is able to compare informations from the ERP-Software SAP with the documents.
It corrects as well as completes the contents.
Adaptive software
The system autonomously trains and learns new
structures as well as distinctive features based on a
small number of exemplary documents. Moreover, the
system is able to analyse new documents, classify the
contents and exactly assign the content to the right
business process. The system also automatically completes missing data. If for example a customer’s number is missing, the system has the ability to compare
the data with the existing database and to complete it
automatically. ELO DocXtractor also detects and digitalises handwritten content on printed receipts. This
way, business documents and their data can automatically be integrated to the related coping processes.
Employee tutorial
Stephan Caïtucoli. At the moment, ALIGRO scans the
delivery note from five vendors with ELO DocXtractor.
In the near future should be included the delivery notes from 20 vendors. „We gradually want to implement the software, because it needs a lot of time and
personal ressources.“
On the technical side ALIGRO integrated new servers
into their IT-system for the implementation of the program. „Because the project has proven to be quite
complex, the configuration of the system took its
time“, Stephan Caïtucoli remembers.
Conclusion and prospect
ALIGRO is using ELO DocXtractor on a daily basis and
ALIGRO is happy with the results. „Now we can rely on
the system to correctly record our stock of inventory“,
says Stephan Caïtucoli. Additionally, the employees
are saving a lot of time because they don’t have to manually correct the corrections on the supplier receipts
anymore. „ELO DocXtractor has proven to be the ideal
solution for this section of the business“, concludes
Stephan Caïtucoli. He is also pleased with the cooperation with Advellence: „They supported us in a professional manner and even now we can always count on
their assistance.“
For the implementation process ELO has recommended Advellence, their ELO Business-Partner. „Advellence has recognized our needs and cooperated in a
very professional manner“, says Stephan Caïtucoli.
ALIGRO started in May 2013 with the implementation
of ELO DocXtractor. The process took about a year. At
first Advellence instructed the person responsible
from the ALIGRO subsidiary in Schlieren. This employee eventually passed his knowledge on to his colleagues and the rest of the ALIGRO subsidiaries. „At
first, the employees had to get used to the new processes and peculiarities of the program“ recounts

Edit invoices efficiently
In addition to the processing and archiving of delivery notes, ELO
DocXtractor is also ideal for processing invoices. „We have not implemented this module as it was simply not in the scope of our project“,
explains Stephan Caïtucoli, SAP manager at ALIGRO.
