Message from AOA
Ontario U16 Provincials in Thunder Bay is a collaboration of efforts among key
stakeholders around our province who are interested in seeing Thunder Bay
continue as a legitimate and integral U16 championship site for Ontario. Lake
Superior Division Alpine (LSDA) has brought forth a successful proposal that
embraces the core values mandated by Alpine Ontario’s Provincial Rotation
Committee.
Going forward, Ontario’s provincial championship events at U14 and U16 will
be allocated based on an application process. Successful proposals will
reflect these four key core values:
1) Athletic Value
2) Race Quality
3) Financial Stability and Responsibility
4) Community involvement and Partner recognition
Your 2015 ROC is excited to be able to host these important championships. In
partnership, the LSDA ROC and AOA are working hard to deliver on our
commitment to achieve all 4 core values each and every day.
Athletic Value: The application process revealed some doubt regarding Thunder
Bay as a championship level venue primarily due to a vertical drop that did not
meet the minimum requirements for GS and SG tracks. However, LSDA and its ski
area partner (Loch Lomond) have committed to significant infrastructure
investments over the next 5 years in order to ensure the appropriate athletic
value for future races and championships.
Race Quality: The LSDA has been hosting FIS, national and provincial events for
decades. Our proposal recognizes that LSDA has established itself as a premier
event hosting destination for Ontario. Recent Race Quality audits at the site have
confirmed that LSDA has dedicated quality ski race officials that will ensure safe

quality ski race events. Thunder Bay has unique qualities which contribute to
creating great events with lasting legacy.
Financial Stability and Responsibility: The cost of travel and the transport of
equipment outside of Southern Ontario Division (SOD) has always been a concern
when 85% of membership is located in this division. Community cost will be
minimized by: advanced flight bookings, excellent food and accommodation value,
equipment shuttle service from SOD (Collingwood) and NCD (Ottawa) and shuttle
bus transportation while in Thunder Bay.
Community Involvement and Partner Recognition: The Community of Thunder
Bay fully embraces the opportunity to host these championships; following is a
letter from their Mayor reflecting the community support. Cultural and
educational events will be part of the championships to entertain and inform our
athletes. The media will be present regularly at these events providing great local
and provincial coverage. This level of community commitment and involvement
has not been experienced on a consistent basis across the province for past
events.
AOA is encouraging all Ontario U16 athletes to set their sights on participating in
this great event and unleashing their skill in GS and SL on the legendary “Giant”
run.
The entire LSDA community is excited about mobilizing their resources to put on a
fantastic athlete centered event. Detailed information about all aspects of the U16
Provincials event and travel logistics follows in this package.

1. EVENT HIGHLIGHTS:
 City of Thunder Bay supportive activities and events, a true municipal event
 Live Timing will be provided
 Live video streaming of races will be provided over the internet in
order to ensure that parents, families and home clubs can watch the
races from home.

The Thunder Bay ROC‘s goal is to provide the best value for money event that we
can. Taking advantage of the ability to fly and ski on the same day is a big help.
Athletes can fly into Thunder Bay on early flights with all airlines. All athletes will
have the opportunity to get a 2 hour training block. Training blocks can be
scheduled once Teams know when they are flying in. (See Flight Planning info
below)

Loch Lomond pistes provide a variety of terrain conducive to athlete development
at U16. All slopes serviced by an overhead Fixed Grip Quad Chair which is a short
6 minute lift ride.

7. EVENT ACCOMMODATION AND MEALS
 Accommodation will be spread over 2 hotel properties. Package price will
remain the same for athletes staying in both properties.
 All bookings to be made through the Event Hotel: Best Western Hotel and
Conference Centre. See contact info below.
 Breakfast and supper and group events will take place at the Nor’Wester. Lunch will be
provided at Loch Lomond
 Shuttle bus transportation will be available between properties.
 Each morning, athletes will stop in at the Nor’Wester for breakfast on the way to the hill.
 Supper will take place at the Nor’Wester each night from 6 to 7 pm.
 All teams will have access to all Nor’Wester hotel facilities and amenities.
 Meals will be designed to meet the nutritional needs of performing athletes.
The Nor’Wester Hotel is well known in Thunder Bay for its quality of food
services. Breakfast and supper will be served in the hotel.
 Athletes will be supplied with a healthy bag lunch each day.

8. Transportation of ski equipment to Thunder Bay:
All airlines flying into Thunder Bay are generally using Q400 aircraft. As such, traveling with sporting
equipment may be a challenge due to limited cargo space on this aircraft type.
Depending upon how full a flight is, baggage could be an issue resulting in ski gear arriving late. As well, too
much weight can result in significant extra cost to the traveller. The ROC is arranging for trucking of equipment
from a central spot in Collingwood, Toronto, Ottawa, North Bay and Sudbury. See information and schedule
below. Teams are encouraged to utilize this service so that there are no surprises on travel day. Input on the
trucking plan is welcome. Secure lock-up sites are currently being sought. Contact Dave Bradley at

9. FLIGHT PLANNING
General Information:
We realize many of our coaches/team leaders have been booking ski trips for
years. Below we share with you information we have put together specifically
for Thunder Bay as a destination. Our goal is to assist individuals and teams to
find the lowest cost flight options that match their circumstances. As of 02 Sept.
2014 flights from Pearson can be booked for as low as $250 taxes included, from
Toronto City centre $275 taxes included.
We understand that not all U16 Athletes will feel ready to commit to purchasing
tickets this early. An AOA group booking has been established by the LSDA ROC
to protect seats and pricing for athletes and coaches who don't feel ready to
book now. The price for these seats is considerably higher than the lowest cost
seats that can be booked at this time.
Teams with anticipated groups of 10 or more travelers can set up their own
group booking. Information on making group bookings is included in this
flight planning package below for each of the 3 major airlines.
Information on the AOA group booking will be released on December 2/14. This
flight will arrive too late for training on March 6th and it will depart later in the
day on the 12th for return to Toronto or points beyond. This approach ensures
that all the lowest cost seats on the optimum flights remain available for
athletes/coaches travelling from SOD, NOD, and NCD. Please remember that if
you opt to utilize seats booked by the ROC, athletes will arrive on time for supper
and evening activities but will unfortunately miss out on training.
Once a booking has been made for an individual or a group based individual

with managing the AOA Group Booking and shuttle bus transportation once in
Thunder Bay

There will be those who fly from Pearson (Air Canada/Westjet) and those who
will fly from Downtown (Porter). As well there will be teams flying out of
Ottawa and other areas of AOA. Between the 3 major carriers there are in
excess of 1300 seats into Thunder Bay from Toronto per day. Thus, there is lots
of capacity to move teams.
We strongly suggest that anyone who feels they have a strong chance to qualify
for the U16 Provincials go ahead and book ASAP (do not wait for the AOA group
booking unless you have to). Booking seats now or as early as possible will
absolutely produce the best rates. (Better than Group or Conventions approach).
If for whatever reason your ticket(s) is not used, airlines will give the purchaser a
credit for the value of the ticket for up to one year. Each plane coming into
Thunder Bay has only a certain number of the lowest fare flights. At this moment
in time roughly 50% of the seats are available at Lowest Fare rates. As time goes
on these seats will fill up and seat rates will increase. A summary of available
flights with Porter, Air Canada and WestJet is provided in chart form below.
Teams should try to arrive in Thunder Bay by 2:30pm at the latest to take
advantage of the two 2 hour training blocks on the 6th of March. The airlines
will not be able to accommodate everyone at the same time. The group will end
up utilizing various flights in order to get the best prices. We have provided basic
information on each of the airlines’ booking policies further in this document.
Baggage can be an issue on the smaller planes coming into Thunder Bay. The ROC
will provide equipment transport services from Collingwood, Toronto, Ottawa,
North Bay and Sudbury for everyone who is flying who wants to save overweight
baggage charges. Utilizing the truck transport will alleviate the chance skis don't
make it on the plane. See details section 9 baggage planning.
We realize some Collingwood based coaches may want to fly out of Pearson
while some of their downtown Toronto athletes may want to fly out of the
Island Airport. To accommodate this, event volunteers will be at the Thunder
Bay airport waiting for athletes arriving on all flights. This will ensure proper
supervision is available for unaccompanied athletes arriving before the coaches
or team organizers. Athletes will be shuttled to the hotel and set up in their
room. Room lists will be produced in advance of travel. Athletes will be
assigned their rooms and then supervised until their coach/chaperone arrives if
they are arriving on separate flights from different airports.

flights and the avaiability of discounted seats. We request that athelets arrive prior to 2:35 pm. on
March 6th and parents arrive after 3:35 pm .

Porter will work together with team coach’s managers to put aside a block
of tickets well in advance to secure the best rates possible. Minimum
group size must be 10. The team fronts the deposit of $50/passenger and
locks in to a preferential rate. Closer to the travel date, when the teams
know who will be flying, the individuals can take over the file. The
athletes will pay Porter the full amount for their flights and the team will
be reimbursed for the initial deposit. A deposit of $50/passenger is
required to secure the seats after issuing a quote. Final names and
payment is required 30 days before departure. The deposit is nonrefundable

Some basic group booking information:
Non Refundable Deposit of CAD 100.00 per person is due 60 days prior to departure. Booking
fee of CAD 100.00 is due once contract is signed which is non-refundable. Fares are based on
space availability at time of booking. Group discount is built into fare offered. You can reduce
group to minimum of 10 passengers 61 days prior to departure. Full payment is due 30 days
