Please refer to the calendar posted on CHARMS for the full detailed calendar PHMS Band & Orchestra 6 Handbook 2015-2016 Marple Newtown School District Paxon Hollow Middle School Department of Instrumental Music Dear Band and Orchestra Parents and Students: I am delighted to welcome to the Paxon Hollow Middle School Band and Orchestra program for the 2015-2016 school year. I am very excited to have such a wonderful, talented group of students. You have chosen to be apart of an organization that can offer you many opportunities for growth and provide experiences in music that you will remember for a lifetime. This handbook is designed to introduce you to the many facets of the Paxon Hollow Middle School Music Program and to answer as many questions as possible. In an active program like this one, your cooperation helps insure a successful experience for all. Parent and community involvement and support for our program is our greatest asset. Please take a moment to read through this handbook and familiarize yourself with its contents. In order to offer the many activities within the department, we require parental support and encouragement, both physically and financially. I hope that you will take a moment to look over this information carefully. Please sign and return the required forms found within this handbook (pages 42-45, and 55) by Friday, September 25, 2015. If you are interested in volunteering for any school function involving students (concert, jazz festival, uniform fitting, trip, etc.), please complete each form between pages 46 through 54 and submit to Marple Newtown School District in accordance with School/District Policy. Kind Regards, Mr. Jordan Marmelstein Band & Orchestra Director PHMS Band & Orchestra 7 Handbook 2015-2016 Marple Newtown School District Paxon Hollow Middle School Band & Orchestra Parents Association Dear Paxon Hollow Middle School Parents, Welcome to the start of another school year! Time to tune up those instruments, purchase some extra supplies (reeds, value oil, rosin, etc.), and get in some last minute summer practicing, as we have a full year of parades, concerts, competitions, and trips planned. Last year, we performed at Dorney Park, a Phillies game, several local parades, and the District Gala of the Arts, in addition to our normal slate of concerts and competitions. Most importantly, we have a full year of LEARNING and FUN ahead! We would like to encourage all new and returning parents to come out and support their gifted children by participating in the Paxon Hollow Band and Orchestra Parent Organization (BOPS). BOPS is a volunteer organization that meets once per month to take an active role in coordinating, helping to plan, and supporting the music education programs at Paxon Hollow Middle School. Meetings are open to the public, and all are welcome to attend. The support of BOPS is vital to the continued success of the music programs and interested parents are always welcome to help out! Meeting dates, minutes, and special announcements are typically sent out by email and can also be found in CHARMS. BOPS is also an opportunity to make your voice heard! We actively welcome any members and encourage parents to voice any concerns, ask questions, and offer suggestions to help enhance their child’s musical experience. We also look to share the accomplishments of these young gifted musicians by sharing posts in the Paxon Hollow Band and Orchestra Facebook group. Why do we want our children to enjoy music? There are plenty of great reasons – from the skills learned, to the life-long friendships that are forged, to the simple joy of listening to and appreciating great music. This includes all woodwind, brass, and percussion instruments. The purpose of this ensemble is to review all technical aspects learned in fourth and fifth grade, develop more advanced technical skills, and apply towards band literature of a slightly more difficult level. The full ensemble will meet once per week: Thursdays during homeroom/activity period. Most group lessons will take place every “A” and “B” days during a cycle period. The Sixth Grade Band also serves as “Beginning Band”. Since basic musicianship skills are both developed and reviewed during this year, seventh and eighth grade students in their first or second year of performing on an instrument may be asked to take rehearse with the Sixth Grade Band for full ensemble so as to receive all necessary instruction to ensure success in performance. Participation in Sixth Grade Band satisfies the music requirement as prescribed for sixth grade; therefore, the student will not be scheduled for General Music. Seventh Grade Band The Seventh Grade Band is open to all seventh and eighth grade music students who wish to pursue and continue musical studies through performance on a band instrument. This includes all woodwind, brass, and percussion instruments. The purpose of this ensemble is to review all technical aspects learned in fourth, fifth, sixth, and seventh (if applicable) grades, develop even more advanced technical and musicianship skills, and apply towards band literature of overall moderate difficulty. The full ensemble will meet once per week: Mondays during homeroom/activity period. Most group lessons will take place every “A” and “B” days during a cycle period. Participation in Seventh Grade Band satisfies the music requirement as prescribed for both seventh grade; therefore, the student will not be scheduled for General Music. Eighth Grade Band The Eighth Grade Band is open to all eighth grade (and select seventh grade) music students who wish to pursue and continue musical studies through performance on a band instrument. This includes all woodwind, brass, and percussion instruments. PHMS Band & Orchestra 11 Handbook 2015-2016 Marching Band The Marching Band is an extension of both the Seventh and Eighth Grade Bands and is a required portion of the band curriculum for those grades. Both groups combine to learn and execute the art of marching and military drill style. The group participates in parades and significant community and charity functions both in Broomall and in surrounding towns. Marching Band rehearsals will mostly be held at the same time as regular full ensemble rehearsals. Additional rehearsals may be necessary in preparation for event performances and will be announced beforehand. Though sixth grade band students are not required to participate in marching band, they are invited to participate in rehearsals and performances. Sixth grade students who wish to partake may have the opportunity to carry the American flag, the Pennsylvania flag, a parade rifle, or the band banner. If a student wishes to march and play their instrument, and demonstrates proficiency with their instrument and the music prior to the event, he or she may be invited to do so. Color Guard The Color Guard is just as important visually as the Marching Band is musically. The Color Guard is a part of the Marching Band, and it provides participants with another avenue for expressing themselves in a musical fashion. The group rehearses throughout the school year. Rehearsals will be held during homeroom/activity period on Wednesdays. Additional rehearsals may be scheduled in preparation for event performances and will be announced beforehand. A schedule of upcoming rehearsals will be posted on the auditorium door. Please contact Mr. Marmelstein for further questions and details. String Orchestra The String Orchestra (also referred to as “Orchestra”) is open to all middle school students who wish to pursue and continue musical studies through performance on a string instrument. This includes the violin, viola, cello, and string bass. The purpose of this ensemble is to review all technical aspects learned in fourth, fifth, sixth (if applicable), and seventh (if applicable) grades, develop more advanced technical and musicianship skills, and apply towards string literature of overall moderate difficulty. The full ensemble will meet once per week: Fridays during homeroom/activity period. Group lessons will take place every “C” and “D” days during a cycle period. Participation in String Orchestra satisfies the music requirement as prescribed for sixth, seventh, and eighth grades; therefore, the student will not be scheduled for General Music. PHMS Band & Orchestra 12 Handbook 2015-2016 Select Ensembles Definition: For the purposes of participation at Paxon Hollow Middle School, a select ensemble is an extracurricular ensemble that consists of students who qualify for membership either by audition or by merit. Most select ensembles will be selected by audition. The purpose of select ensembles is to enhance the musical training and education of those students deemed ready for this next step. These ensembles contain literature at a more difficult level (appropriate to the ensemble) and further cover historical and modern perspectives in music. Therefore, a student is selected to the ensemble not because he or she is “good” at his or her instrument, but rather because he or she has demonstrated the pre-requisite abilities and skills that will make participation beneficial to his or her training. Please note that not all instruments apply to all ensembles. If you have a question about appropriate select ensembles for a specific instrument, please contact Mr. Marmelstein. Select Ensemble Offerings for 2015-2016 School Year Jazz Ensemble Meets twice per week (Wednesdays during homeroom/activity period and Thursdays after school). Auditions will take place in late-September or early-October. Audition materials will be announced and handed out at least two weeks before the audition. The audition will determine whether or not you will be selected for the ensemble, and it will determine your seat (Alto 1, Trombone 3, etc.). Audition materials typically include major/minor scales, a prepared selection (chosen by the director), and a possible sight-reading piece. Students may be asked to improvise as part of the audition; however, it will not count in determining if the student is selected. It will give the director the ability to map how improvisation will be taught throughout the year. Typical instruments include saxophones, trumpets, trombones, guitar, piano, bass, and drums — additional instruments have been included in the past. The Jazz Ensemble performs for different audiences throughout the year, including school concerts, area jazz festivals, and community functions, and more. Woodwind Ensemble Meets once per week after school. Auditions will take place in late-September or early-October. Audition materials will be announced and handed out at least two weeks before the audition. The audition will determine whether or not you will be selected for the ensemble — the director reserves the right to re-arrange seating from time to time to allow deserving players the opportunity to perform on different parts and to allow appropriate rest from over-playing in the high register. Audition materials typically include major/minor scales, a prepared selection (chosen by the PHMS Band & Orchestra 13 Handbook 2015-2016 director), and a possible sight-reading piece. Typical instruments for this ensemble include all woodwinds and, at times, French horn. The Woodwind Ensemble performs for different audiences throughout the year, including concerts and possible community functions. String Ensemble Meets once per week after school. Auditions will take place in late-September or early-October. Audition materials will be announced and handed out at least two weeks before the audition. The audition will determine whether or not you will be selected for the ensemble — the director reserves the right to re-arrange seating from time to time to allow deserving players the opportunity to perform on different parts. Audition materials typically include major/minor scales, a prepared selection (chosen by the director), and a possible sight-reading piece. Typical instruments for this ensemble include violin, viola, cello, and string bass. The String Ensemble performs for different audiences throughout the year, including concerts and possible community functions. Steel Drums Ensemble (under the direction of Ms. Mongan) Meets once per week after school (typically on Tuesdays). The ensemble usually starts rehearsing in January. The Steel Drum Ensemble performs for different audiences throughout the year, including concerts, and possible community functions. The group has also recently taken part in exchange programs with area schools. Please contact Ms. Mongan for further questions and details at [email protected]. PHMS Band & Orchestra 14 Handbook 2015-2016 Attendance Sixth Grade Band Participation in an ensemble, much like playing on a sports team, requires a constant team effort to achieve musical mastery and unity. It is imperative that all ensemble members be in attendance and on time to all group lessons, full ensemble rehearsals, and performances. Group lessons are held during the school day; therefore all scheduled members (all those enrolled in 6th Grade Band) will be expected to be at each lesson except in the case of an excused absence from school. An unexcused absence from school on a given day will result in zero credit given for the day's assignments until a note of excusal is handed into the attendance desk (as per school policy). An unexcused absence from this class only (otherwise known as "cutting class") will result in zero credit given for the day's assignments as well as possible disciplinary action (as per school policy). Attendance at all full ensemble rehearsals is mandatory. These rehearsals will be held once per week. This rehearsal will be during homeroom/activity period. Additional graded concepts are covered during these rehearsals, so it is vital that all students are in attendance. If your child needs to miss rehearsal, please contact the director by written note, phone, or email so that the absence can be marked as excused. Because concerts and performances are an assessment of student abilities and ensemble musicianship, attendance at all concerts and performances is mandatory and a part of the graded portion of the course. All performances are listed at the beginning of this handbook; please try to schedule appointments, vacations, and other commitments with these dates in mind. If a conflict with a performance should arise, please send in a written note of excusal, containing the reason for the missed performance, to the director. Typical examples of excused absences include, but are not limited to: medical emergency or necessity; wedding; significant religious obligation; or death/ funeral in the family. All absences will be handled on a case-by-case basis. PHMS Band & Orchestra 16 Handbook 2015-2016 Eighth Grade Band Participation in an ensemble, much like playing on a sports team, requires a constant team effort to achieve musical mastery and unity. It is imperative that all ensemble members be in attendance and on time to all group lessons, full ensemble rehearsals, and performances. Group lessons are held during the school day; therefore all scheduled members (all those enrolled in 8th Grade Band - with the exception of select 7th grade students) will be expected to be at each lesson except in the case of an excused absence from school. An unexcused absence from school on a given day will result in zero credit given for the day's assignments until a note of excusal is handed into the attendance desk (as per school policy). An unexcused absence from this class only (otherwise known as "cutting class") will result in zero credit given for the day's assignments as well as possible disciplinary action (as per school policy). Attendance at all full ensemble rehearsals is mandatory. These rehearsals will be held once per week. This rehearsal will be during homeroom/activity period. Additional graded concepts are covered during these rehearsals, so it is vital that all students are in attendance. All eighth grade band students are required to join the high school band in June for high school graduation exercises. Students asked to perform with other high school groups are welcomed to do so, but must satisfy any attendance priorities at the middle school before participating in any rehearsal or event occurring at the same time. Note: Students of the typical age for 8th Grade become eligible to participate in other select musical ensembles not affiliated with the school or district. If selected for one of these ensembles, the student’s performing priority remains with the school. If a conflict occurs between a school performance and an outside organization’s rehearsal/performance, the student must attend the school function. Failure to attend the school performance will result in an unexcused absence and an automatic “0” for the event grade. Select musical opportunities outside of school include, but are not limited to membership in a corps affiliated with Drum Corps International or Drum Corps Associates, the Philadelphia Youth Orchestra, the Delaware County Youth Orchestra, Summer Stage, etc. PHMS Band & Orchestra 17 Handbook 2015-2016 String Orchestra Participation in an ensemble, much like playing on a sports team, requires a constant team effort to achieve musical mastery and unity. It is imperative that all ensemble members be in attendance and on time to all group lessons, full ensemble rehearsals, and performances. Group lessons are held during the school day; therefore all scheduled members (all those enrolled in 6th Grade Orchestra, 7th Grade Orchestra, or 8th Grade Orchestra) will be expected to be at each lesson except in the case of an excused absence from school. An unexcused absence from school on a given day will result in zero credit given for the day's assignments until a note of excusal is handed into the attendance desk (as per school policy). An unexcused absence from this class only (otherwise known as "cutting class") will result in zero credit given for the day's assignments as well as possible disciplinary action (as per school policy). Attendance at all full ensemble rehearsals is mandatory. These rehearsals will be held twice per week. One of these rehearsals each week will take place in the morning before school. Please make arrangements to have your child dropped off at school, as the school buses do not run that early The other rehearsal will be during homeroom/activity period. Additional graded concepts are covered during these rehearsals, so it is vital that all students are in attendance. If your child needs to miss rehearsal, please contact the director by written note, phone, or email so that the absence can be marked as excused. Because concerts and performances are an assessment of student abilities and ensemble musicianship, attendance at all concerts and performances is mandatory and a part of the graded portion of the course. All performances are listed at the beginning of this handbook; please try to schedule appointments, vacations, and other commitments with these dates in mind. If a conflict with a performance should arise, please send in a written note of excusal, containing the reason for the missed performance, to the director. Typical examples of excused absences include, but are not limited to: medical emergency or necessity; wedding; significant religious obligation; or death/ funeral in the family. All absences will be handled on a case-by-case basis. A student who is excused from a performance will be asked to write a brief essay on a topic relating to orchestra as prescribed by the director. All eighth grade orchestra students are required to join the high school orchestra in June for high school graduation exercises. Students asked to perform with other high school groups are welcome to do so, but must satisfy any attendance priorities at the middle school before participating in any rehearsal or event occurring at the same time. Note: Students of the typical age for 8th Grade become eligible to participate in other select musical ensembles not affiliated with the school or district. If selected for one of these ensembles, the student’s performing priority remains with the school. If a conflict occurs between a school performance and an outside organization’s rehearsal/performance, the student must attend the school function. Failure to attend the school performance will result in an unexcused absence and an automatic “0” for the event grade. Select musical opportunities outside of school include, but are not limited to membership in a corps affiliated with Drum Corps International or Drum Corps Associates, Philadelphia Youth Orchestra, Delaware County Youth Orchestra, Summer Stage, etc. PHMS Band & Orchestra 18 Handbook 2015-2016 Color Guard As with the concert bands and orchestra, the group functions as a team; therefore, it is vital to the ensemble's success that all members are in attendance at rehearsals and performances regularly. Member Behavior & Image Disclosure Participation in the band & orchestra program is a privilege for students who both enjoy music and wish to learn through performance on an instrument. With that privilege comes responsibility for your instrument, your music, yourself and to your classmates. As an instrumentalist, your conduct in and around school is seen by the director, classmates, teachers, and administrators. Irresponsible behavior is a poor reflection of the band & orchestra programs, and that negative image will not be tolerated. If at any time during lessons or rehearsal, you are observed breaking basic school rules or violating the expectations and procedures in this handbook, the discipline method will be as follows: 1st Offense - Verbal Warning 2nd Offense - Teacher Detention & Phone Call Home 3rd Offense - Written Referral to School Administration As previously stated, poor behavior in the school will not be tolerated. Students must remember that their actions affect everyone, one way or another. If a student is reprimanded by the school in a way that directly affects an ensemble’s image, rehearsal, and/or performance (ex: afterschool detention, suspension), the director reserves the right to remove that student from solos, leadership roles, or the ensemble entirely and replace with another deserving student as necessary. PHMS Band & Orchestra 20 Handbook 2015-2016 Lesson/Rehearsal/Performance Policies and Procedures Be present and on time! This means in your assigned seat with your instrument out and ready to be played by one minute after the bell rings/scheduled start of rehearsal. Percussionists – The day’s rehearsal schedule will be on the board, so it will be expected that all equipment necessary for the day’s rehearsal will be set up and ready for use by the time warm ups begin. If you forget to bring sticks, you may borrow a pair, but it must be returned by the end of class. Sticks not returned may result in a $10 fine (or purchase a replacement pair - see the director for the proper brand and model sticks) to replace the drum sticks. Be actively and intently involved in the rehearsal. Just “going through the motions” during rehearsal is as bad as not being there. Always be thinking about your performance. Your only focus should be the goals the ensemble is trying to achieve during that rehearsal. There is to be no talking when the conductor is on the podium (and especially when the conductor’s arms are at the “ready to conduct” position”). If the conductor is off the podium, soft-volume talking is allowed unless specific assignments have been given. Be cooperative. Even if you don’t understand the motivation for a rehearsal activity, have confidence that your teacher does and execute as you are asked. Disrespect towards the director or fellow students such as eye-rolling, pouting, talking back, or in any way questioning any instruction or direction given will not be tolerated. Be certain your equipment is always in good working order. Band and Orchestra members will not play on or play with the equipment of others. This practice can lead to potential damage and a general lack of respect for the property of others. If you see someone picking up an instrument or equipment that is not his or hers, remind him or her. Destructive activity will not be tolerated, whether it be something as seemingly innocent as playing on a wall, locker, or door with drumsticks, or bumping things with horns or equipment, or something more overt as deliberately damaging equipment, throwing objects, writing on walls or leaving trash around. If you see it, stop it. If they refuse to stop, notify a director, staff member, or chaperone immediately. Consumption of food and drinks other than water is not permitted in the band/orchestra room, especially during rehearsal. Please be sure to wash down any food consumed with water right before rehearsal. Food and drinks that are not water can cause extensive damage to the instruments both from continued build up (and inconsistent cleaning) and chemically. PET PEEVE ALERT: Percussion equipment is provided for percussion instrumentalists ONLY! At no time, except without prior permission from the director, may you touch - let alone play - a percussion instrument if you do not a play a percussion instrument in band! You wouldn’t want someone else to play or “mess around” with your saxophone or your trombone, would you? First time violators will be warned, with a second offense resulting in a teacher detention. PHMS Band & Orchestra 21 Handbook 2015-2016 Electronic Devices in the Classroom - Policy According to school policy, electronic devices of any kind - especially those which may cause unwanted distractions are STRICTLY PROHIBITED in class. The school has adopted a Bring Your Own Device (BYOD) initiative, where students may bring in their own devices (laptop, smartphone, tablet) to use for assignments, projects, research, etc. when appropriate. As policy, students are not to bring devices to class unless the director has specifically informed the class that devices will be used. Any student seen using an unauthorized device will have it confiscated, and the device will be turned over to the main office. When authorized for use, any student found to be using their device inappropriately or for matters not pertaining to classwork will be verbally warned for a first offense, followed by confiscation a second time. Trip/Bus Expectations In order for students to be able to participate in any trip, students must turn in a signed permission slip and a signed medical information form. Any student who has not turned these forms in will not be able to join the group on a trip. All band and orchestra members are expected to follow the instructions of any teacher, staff member, or chaperone without question. All school rules and policies are in effect at all music functions. All students travel to any off-campus activity on the bus. If a student wishes to ride home from an event with his or her parents, the parent must sign the student out in person, at the conclusion of the event, and you will be removed from the bus roster. Students will be released only to parents or guardians. Only directors may release students, not chaperones or staff. Please be aware of this policy -- it is for your protection as well as ours. Any injury that occurs during a music function should be reported to the director without delay. At any band and orchestra contest, festival, trip, or other function, band/orchestra members should move from place to place in a group. Do not go off by yourself, especially after dark. To leave the site, you must have permission from the director. For the safety of students and for ease of identification for staff and chaperones, all students are to wear their orange Tiger Music polo shirts at all times while away from school. PHMS Band & Orchestra 22 Handbook 2015-2016 Uniforms Sixth Grade, Seventh Grade, and Eighth Grade Bands All students will be issued a band jacket, which is to be worn only for concerts and parades. Students are responsible for keeping these jackets in the same condition as it was given to them. Any damage to the uniform — that was not already pre-existing — will be subject to a fine so as to cover the cost of damage repair. Any uniform not turned in at the end of the school year - or is missing - may result in a monetary fine to replace the uniform. Students will need an orange Tiger Music polo shirt. All 6th grade students (and new members in any grade) will need to purchase one; all returning 7th and 8th graders may purchase another one if necessary. These shirts are worn for concerts and parades, and are a helpful visual aid for teachers and chaperones to identify Paxon Hollow Middle School students while away from school. For all concert/performance uniforms, students are to wear black dress style pants (docker style or dress slacks). Students are not to wear black jeans, stretch pants, yoga pants, sweat pants, embellishments, etc. Underneath the black pants should be black crew-length socks. Anklelength socks are not appropriate for performances. For all marching events, longer hair must be kept neatly in a ponytail. Earrings must be removed or covered by a bandaid. Seventh and eighth grade students will need black marching shoes (to be ordered through school). All 7th grade students (and new members in 8th grade) will need to purchase a pair; all returning 8th graders may purchase another one if necessary. These shoes will be used in parades and can be used for concerts. 6th grade students may purchase marching shoes if they are interested in performing in the marching band or if black dress shoes are needed for concerts. Please note: though participation is optional, 6th grade students must wear marching shoes to parades. If you need to order a pair of marching shoes, please contact the director. Color Guard Color Guard members will issued a uniform and Tiger Music polo shirt to be worn for performances, and like band members, will be responsible for keeping their uniform in the same condition as it was given to them. The same goes for any and all flags, rifles, and other equipment loaned to students. Color Guard members will need a pair of marching shoes (to be ordered through school). All 6th grade students (and new members in any grade) will need to purchase a pair; all returning 7th and 8th graders may purchase another one if necessary. Orchestra Students will need an orange Tiger Music polo shirt. All performers will need to wear black dress shoes. Black sneakers are not an acceptable shoe for performance. For maximum comfort while performing, ladies are encouraged to not wear high heels. Method Books To develop student musicianship and instrumental skills, we will be using a method book series to be included in the performance curriculum. Paxon Hollow Middle School has a set of books that will be utilized; therefore, it is not mandatory that you purchase a copy. You may of course purchase a copy of the book to keep at home for practice. 6th and 7th Grade Bands: Tradition of Excellence, Book 2 (Pearson & Nowlin) — there is a book for each instrument 8th Grade Band: Tradition of Excellence, Book 3 (Pearson & Nowlin) — there is a book for each instrument Orchestra: Essential Elements for Strings, Book 2 (Gillespie) — there is a book for each instrument PHMS Band & Orchestra 24 Handbook 2015-2016 Grading Procedures Band and Orchestra are unique courses at Paxon Hollow Middle School. They have curricular requirements, just as any other academic discipline, but they also have out-of-class time requirements. The level of commitment from each individual student is the driving force behind the organization and is reflected in the level of achievement reached by the individual and the program. Band and Orchestra are learning activities. Rehearsals, whether during or before school, are the means by which students learn, and by their very nature cannot be reproduced or made-up. Therefore it is imperative that students are present unless the absence is absolutely unavoidable. Excessive rehearsal absences will undoubtedly affect a student's performance as well as that of the other students who rely on each other to pull their own weight. Rehearsals are not optional, and are reflected in the student's daily grade. Performances are viewed as major tests: a performance is a learning experience that cannot be duplicated in a rehearsal hall or practice room; the level of concentration required in a public performance assists each student develop an insight into their own level of performance; a performance is an important evaluation tool, allowing comparison of a student's performance in relation to classroom objectives presented and with past performances. Absences from performances are only excused in the event of an extreme emergency: serious illness or hospitalization of the student, death in the family, religious holiday, or other reasons deemed excusable by the director. As explained previously, each absence will be reviewed on a case-by-case basis. The director must approve all absences from performance in advance. Students’ grades will be determined based on the follow criteria and factors: 100 points possible for each marking period Rehearsal Attendance — 15% Rehearsal Preparedness/Practice Logs — 25% - this includes both group lessons and full ensemble rehearsals Concert/Performance Attendance and Execution — 10% Playing Assessments — 50% Practice Logs Throughout the year, students will be required to submit weekly practice logs to demonstrate growth on their instrument. Students have three options each week to satisfy this requirement: 1) Submit practice logs on CHARMS by Sunday at 11:59 PM or on paper by Monday, 2) Submit recordings of all required material on SmartMusic, or 3) Take in class playing tests to show improvement on the instrument. Please refer to the Weekly Practice Assignment Rubric on page 36 for specific grading information. PHMS Band & Orchestra 25 Handbook 2015-2016 MNSD Volunteer Information (Effective July 1, 2015) Under Act 153 of 2014 (Amendments to the Child Protective Services Law) effective December 31, 2014, the Commonwealth of Pennsylvania now mandates that volunteers assisting in schools and with school activities must obtain and submit the clearances (and possibly Tuberculosis (TB) Screens) set forth below in order to be considered for volunteer positions. The law defines Volunteers as an “adult applying for an unpaid position as a volunteer responsible for the welfare of a child or having direct contact with children.” This means in part that parents of students who the school has identified as school chaperones on school sponsored field trips or are regularly scheduled to assist in the school during school hours and/or after school at school-sponsored events, who have regular direct contact with children and/or who will be responsible for students, will need to obtain the clearances and possibly the TB Screens. Limited contact visitors or event participants that are not responsible for students, such as; attendance in an audience, participation in a celebration, incidental role at a school event, guests at parties, or auditing a class on site in a school setting, where students are supervised by professional and/or authorized school staff, will not require clearances. How to Obtain Clearances For those who wish to be a School Volunteer, state law now requires the Pennsylvania Criminal History Record (Act 34), Child Abuse History Clearance (Act 151) and FBI Federal Criminal History Record check and that they be updated every three (3) years in order to continue as a volunteer. Clearances must be less than one (1) year old at the time of submission. Original forms must be brought to the office of the school where you will volunteer and they will be forwarded to the District’s central administrative offices for review. The process can be initiated online and produces clearances quickly. Please note that the links for each of the three (3) clearances can be found on the District website from the homepage under “District Departments” and select Human Resources and click on “clearance and Background Check Info”. 1. The Pennsylvania Criminal Record Check can be done online with almost immediate confirmation: Go to https://epatch.state.pa.us and click on “Submit a New Record Check” and follow the instructions. Please select “Volunteer” as the Reason for Request. A credit card is required for the $10 processing fee. At the end of the process, please print the certification form as a proof of submission. 2. The Pennsylvania Child Abuse History Clearance can be completed online for the quickest result. Go to https://www.compass.state.pa.us/CWIS. You will create a login for your Keystone ID#. This includes a combination of letters and numbers you create for yourself. A credit card is required for the $10 processing fee. 3. The FBI Federal Criminal History Record requires a 2-step process including online registration and fingerprinting taken digitally at a registered site. Go to https://www.pa.cogentid.com or by phone at 1-888-439-2486 (M-F 8AM to 6PM) to register. Please be sure to choose the Pennsylvania Department of Education (PDE) when registering. There is a $27 fee for this clearance which includes an automatic unofficial copy of the results to the applicant. Once you have registered, proceed to an approved fingerprinting site to be digitally fingerprinted. A list of approved locations is available on the Cogent website. Your Registration Number starting with “PAE …” must be provided to the school office so your results can be retrieved. PHMS Band & Orchestra 26 Handbook 2015-2016 Tuberculosis (TB) Screens The Pennsylvania Public School Code, Section 1418(b) requires that school personnel be tested for TB. School personnel to be tested include employees, independent contractors who provide direct services to students on behalf of a school to include volunteers. The Department of Health defines “direct services” as those persons in direct contact with students ten (10) or more hours per week. The law does not contain a provision to allow modifications for those individuals who volunteer in the school during school hours and/or after school at school-sponsored events. They must be tested “prior to working for the school.” (28 PA Code, Section 23.44). Additional information regarding this testing can be found at: http://www.pacode.com/secure/data/028/chapter23/s23.44.html. The volunteer shall provide to the school a form that shows the TB test was administered within three (3) months prior to the date the school receives the form. Individuals who have a documented nonsignificant tuberculin skin test are not required to have further tests unless they are exposed to a case of active TB or are directed otherwise by the Secretary of Health to have an additional test. General information on tuberculosis can be found at: http://www.cdc.gov/tb/. You are responsible for bringing all clearances documentation and TB screening results to the school office so that copies can be made for our records and the clearances can be reviewed by district administration. In conjunction to obtaining the proper clearances, below are additional forms that must be completed at your local MNSD community school: Volunteer Application Volunteer Affidavit Arrest/Conviction Report and Certification Form (PDE-6004) PHMS Band & Orchestra 27 Handbook 2015-2016 Instruments and Responsibility In most cases, students are responsible for supplying their own instruments for band and orchestra rehearsals and performances. This does not mean an instrument needs to be purchased. Especially for those in middle school ensembles, many students and parents choose to rent instruments from musical suppliers. It is recommended that a beginning instrumentalist rent their instrument from a trusted supplier. Marple Newtown School District works very closely with Music and Arts (musicarts.com). All beginning instrumentalists should rent from this company. There is a location just down the street from Paxon Hollow Middle School in the Lawrence Park Shopping Center (address: 1991 Sproul Road, Unit 26, Broomall, PA 19008). In some cases, several instruments may be either unavailable or very expensive to rent. Paxon Hollow Middle School owns a number of larger instruments to rent to students — examples include bass clarinets, tenor saxophones, baritone saxophones. Students are welcome to rent these school-owned instruments, but they will be held 100% responsible for properly maintaining the instrument. Marple Newtown School District covers the cost of general maintenance and upkeep. The student may be responsible for 100% of the repair costs should he or she neglect to care for the instrument or sustains moderate to severe damage to the instrument. Depending on your child’s progress and willingness to continue in instrumental music, you and your child may wish to purchase an instrument. While it is encouraged to invest in a personally-owned instrument if ready, it is highly recommended that you and your child speak speak with the director beforehand to discuss which brands and models are appropriate for your child. Regarding storage, all instruments are to be stored in assigned lockers/racks. No instruments are to left on the floor in the band/orchestra room or in the adjacent hallway. Instruments stored improperly are liable to become severe safety hazards for students and staff. Additional Supplies In addition to your child’s instrument and music, he or she will need additional supplies to both play his or her instrument effectively and to properly maintain the instrument on a daily basis. The organization also handles the financial end of the event and activity planning. The group also plans group and individual fundraisers to benefit both the instrumental programs and the students that participate in them. All parents/guardians of students participating in 6th Grade Band, 7th/8th Grade Band, String Orchestra, and/or Color Guard are eligible to participate and vote in the organization (with payment of dues). This organization is the best way for you to become involved in your child’s music education. Your attendance at monthly meetings are highly encouraged to be up-to-date and involved in the planning and decision-making that takes place. Meetings are usually held on the last Tuesday of each month at 7:00 PM in the band room. Please keep in mind that fundraising is available for all students and is conducted in many forms. Please see below for information on fundraising. Please note, unless prior contact is made, BOPs reserves the right to draw funds from the student’s fundraising account to satisfy any outstanding dues payments (listed below). Can I wait until July 25, 2015, to request a child abuse history clearance? Beginning July 1, 2015, all new volunteers must submit clearances prior to the commencement of service. If you are required to obtain an updated child abuse history clearance and submit your request prior to July 25, 2015, you will be required to pay the $10 fee. The Commonwealth's primary goal is to ensure the safety and well-being of Pennsylvania's children. We are working to implement the fee reductions announced by the Governor as quickly as possible while maintaining the integrity of the clearance process and assuring that vital background checks can continue to be performed. How often do I need to renew my clearance? Beginning July 1, 2015, all volunteers will be required to obtain clearances every 36 months. If an individual or agency, however, elects to renew all clearances at the same time, the date of the oldest clearance, rather than the most recent, is the date to be used for the renewal date. How much do the clearances cost? I requested a child abuse history clearance prior to July 25, 2015. Am I able to get a refund for the waiving of the cost of the clearance? No. Unfortunately, DHS is unable to issue refunds for the payment of child abuse history clearances that were processed before July 25, 2015. Will there be a new process to obtain a clearance? No. The process to obtain child abuse and criminal history clearances will remain the same. The Child Abuse and PSP clearances will continue to be applied for and paid for electronically. When indicating the purpose of the clearance, the applicant will continue to indicate volunteer. All families are encouraged to join the Paxon Hollow Band Parents Association (BOPS) to support our young musicians. Dues go to maintain different things through the year, which directly benefit the students. BOPS meetings are held at 7 pm, typically on the 4th Tuesday of the month in the Band room at Paxon Hollow. The first one is scheduled for 9/29. BOPS meetings are a great way to become involved and share your input to make this year even better. If you are unable to attend the meetings in person, meeting minutes are posted via CHARMS to keep everyone informed regarding important events!
