Accentis Enterprise V6.07
Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 What’s new in this version? New and improved layout of workorder screen The layout of the Work order form has been modified to shows a summary status panel on the right of the front screen. This panel brings all quantities and costs into the one area in a more logical layout and also provides a more complete representation of the cost each for items built on the work order. A work order status label has also been included that replaces the “* COMPLETED *” label with Not started, In progress, Partial and Complete. There is also a new feature that allows you to put a workorder “on hold” which prevents any more work from being done to the workorder temporarily in the case of a production fault or parts QA issue that needs to be resolved. Finally, a production schedule link has been added to easily track the work order back to a production schedule dynalist. Previously, it was possible to create a production run (e.g. a weekly production schedule) and add workorders to that production run, but there was no convenient link on the workorder screen to go back to the production schedule. Stock items can be added directly to a Sales Invoice without requiring a Sales Order It is now possible to add stock items directly to a Sales Invoice, combining the convenience of point of sale with the benefits of the order/dispatch and invoicing process. Previously, only non-stock items could be added manually to a sales invoice. This new feature allows you to put additional items directly on the invoice when, for example, customers arrive in person to pick up goods and want to also take additional stock items. This feature also allows you to run a simple invoicing system that manages inventory control without having to go through the order and dispatch process and without having to process a point of sale receipt. This new feature is controlled by a system preference which, by default, is disabled so that existing Sales invoice functionality remains unchanged. Our recommendation is to use the usual Order/Dispatch/Invoice process when goods are not being dispatched directly with the invoice so that inventory control procedures are not bypassed, and as such this new feature is combined with an additional system setting that allows you to prevent negative stock quantities form occurring due to invoice-based stock dispatching. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Workorder routing now allows labour time estimate per batch rather than per single item Each item or workorder route specification allows the user to specify how much labour or workcentre time would be used per item made. While this is perfect for discrete manufacturing of larger products, it is not as easy to manage where you have continuous or batch production where for a batch of product made, the amount of time is a constant regardless of the quantity (e.g. mixing product in a mixing vessel will take a certain amount of time regardless of how full the vessel is). It is also convenient to know that while it may take 2 hours to mix a batch of product, the maximum volume that can be mixed determines how many batches will be required to produce the full quantity. A new feature in the routing of Inventory (and also carries across to workorders) allows you to specify the maximum quantity or volume of finished product to which a particular route applies: In the example shown, a Max W/O Qty has been specified, indicating that up to 100 litres of finished product can be mixed for this route and still only take 2 hours, before another 2 hour mix is required for additional finished product. If a Max W/O Qty is specified for a route, then it indicates that the estimated time for the route is constant until the quantity being produced exceeds the maximum, at which point another lot of time will be required. Another example of this would be curing or baking product in an oven. A Max W/O Qty of 200 for a meat pie baking route would mean that any number up to 200 pies can fit into the oven but would still take 2 hours regardless. Any quantity over that would be another full 2 hours up until a quantity of 400, etc. This significant change will allow production schedulers to more accurately schedule machine time for fixed-time routes. Sales: Create a Point of Sale invoice directly from a Sales Quotation It is now possible to create a Point of Sale invoice directly from a Sales Quotation, pre-filling it with all of the details from the Sales Quotation. This combines the process control of Sales Quotations with the ease and flexibility of simple point of sale invoicing. Income tax for pay items can now be calculated over a specified payment period (e.g. commissions) It is now possible to specify a payment period for individual pay items over which income tax should be calculated. This allows new functionality to be incorporated such as paying employees commission with tax spread over a given period rather than taxing as a lump sum on a specific pay run. The calculation used is a “marginal tax rate” calculation which takes into account the increase or decrease in tax based on the extended tax period for the item in question. If you require further information in the marginal tax rate calculation, please contact our support team. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Payroll: Pay item descriptions can now be modified on a pay run Every pay item added to a pay run can now have its description modified directly on the pay details, allowing you to make special notes or annotations on the pay run specific to a pay item. These modified pay item descriptions then appear on employee’s pay advice, allowing more flexibility and clarity in detailing what each payment amount represents. An example is sick pay, where you may modify the pay item description to read “Sick pay (1 day only, no certificate)”. New time-saving features on search results lists New time-saving features have been added to search results lists that will help simplify processes and automate common tasks. Click to dispatch this order Click to print picking ticket • Start new data entry from a report hyperlink. It is now possible to create new records directly from a search results list. A good example of this is listing un-invoiced dispatches and clicking on a hyperlink to go directly to the invoice for the dispatch, but there are many other examples where a new record activation may speed up processing and data entry time. Some standard reports have been changed, but you may find examples of where you would like this incorporated into your reports to speed up your processes so don’t hesitate to ask us to modify your own reports as required. • Run a printable report (e.g picking ticket) directly from a search results list. An example of this feature would be to have a Sales Invoice report hyperlink directly on a sales invoice listing, allowing you to generate a copy of the invoice immediately without first having to go to the Invoice record and then the report menu. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Option to prevent negative stock on Point of Sale transactions Previously, if there was not enough stock of an item when updating a Point P of Sale Invoice, the stock quantity was allowed to go into negative values. This was the only situation that Accentis Enterprise allowed negative stock so as to not prevent the Point int of Sale operator from completing the transaction while they were there with a customer. A new Accounts receivable system preference has now been added that stops this from occurring. When enabled, the user now receives a warning if they enter a quantity on a POS Invoice that is more than the current cur quantity in stock. If they attempt to update the POS Invoice without correcting either the quantity in stock or the quantity on the POS invoice, they will be shown an error explaining that the stock quantity cannot fall below 0. This allows you to implement processes whereby the POS operator must address the issue of stock before continuing the transaction, thereby ensuring that you never have negative stock values. User-definable messages for tasks that are emailed to users When emailing a task to a user, a pre-defined pre piece of text is usually included in the email to the user. It I is now possible to specify custom text based more closely related to the task at hand. For example, if a task is sent to t a user to follow up a sales quotation, the task details can now be “Quotation #1234 for Bill Smith, customer for 3 years, sales YTD $4,500”. $4,500” The benefit of this new feature is that tasks can be set for users that contain important information without the person initiating the task having to type it into the task details each time. By default, all task text will be the way it was originally unless un changed – please contact us and ask what your options are if you would like to start using this new feature. Support for reversing recurring entries The recurring entries function (e.g. recurring journals, sales invoices, payments) has been extended to include a reversing flag for accrual or similar entries. This new feature makes it very easy to add accrual journals whereby on the first of the next month, they will be reversed again. The reversing flag can also be used for a variety of other applications appli that require a recurring action to be reversed at a later date. The Accrual option at the top of the form allows easily selection of the reversing flag and the first day of the next month. Support for user-definable definable mandatory flag on form fields Previously the mandatory status of form fields was a built-in built property – that is, it wasn’t possible to change whether or not a data field on certain forms was mandatory. A new configuration feature has now been added that allows you to define additional data fields on forms that you would like to be mandatory (i.e. that user must fill them in prior to updating the form). Examples of this might be the Customer’s phone number or a Sales Order Project reference. Create one-off off items directly from a new work wo order. It is now possible to go straight to a workorder and by pressing CTRL-O CTRL O in the item code field display the one-off one item form to create a new one-off off item. This allows you to set into production a new one-off one off item without first requiring a sales order to create it. Date range available in Requirements report. The inventory requirements report is one of the most important reporting tools available in Accentis Enterprise (CTRL-SHIFT-R R from main window and then type SA3985) and this has been enhanced enh to include a requirements date range.. Now you can elect to draw from data only where the source demand is between a nominated date range and exclude long-range long forward orders. For example, if you need to know only what will be required within the next n two weeks or in a month from now, this is easy to show using the date range feature. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Contacts can be associated with specific functions When contacts are added to customers or suppliers, it was only ever possible to nominate a contact as being a “sales” or an “accounts” contact. This meant that when certain reports such as Sales Orders or Statements were emailed to people, Accentis decided whether or not to use the sales contacts or the accounts contacts for the customer/supplier. It is now possible, for each contact for a customer or supplier, to nominate which functions that contact will be associated with and therefore which reports they will receive when emailed. For example, it is possible now to have a contact for customers for each of Sales Quotes, Sales Orders, Sales Invoices and Statements, with each report being emailed to a different person or department if necessary. This gives you incredible power and flexibility to define functional roles for each contact and save time when emailing or generating contact lists. Option to drill into assemblies when creating purchase orders for items When creating a purchase order for items on a Sales Order, it is now possible to elect to drill into assembly items and order the component items instead of the top-level kits. This feature can be used to simplify purchasing for a make-toorder environment or where kits are being used as grouping mechanisms for a set of saleable components. The layout of the options have been improved so that it is clear whether or not all items are being ordered or only those that are required (including current quantities in stock). Place a work order “on hold” Work orders can now be placed “on hold” to prevent any further transactions from occurring for them until further notice. This feature has been introduced to allow better flexibility of production planning in the event of work orders for which materials have run out, quality assurance checks have failed or because staff are no longer available to complete them. A work order that is on hold: • Will show a status label of On Hold • Will have a memo automatically added to indicate it was placed on hold • Will not allow any stock transactions of any kind to occur in relation to the work order (including being unable to remove the last action) • Will not allow any timesheets to be entered against the work order Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Improvement to Dynalist management The dynalist management has been improved to allow a more comprehensive definition of the Dynalist types, whereby the type of dynalist defines a name, the function to which it applies as well as the report used to display the contents. The following features have been added as a result of these changes: • • • • The dynalist type now defines the type of records that the dynalist can contain (e.g. customers, work orders). For example, you can create a Dynalist Type called Production Schedule that can be used to create a list of workorders each week that will be set for production. The Dynalist Type has a special option which enforces that any data items contained on the dynalist (e.g. a workorder) cannot appear on any other dynalist. This is a very important change when you want to ensure that a work order can only appear on one production schedule Special linking features on the Dynalist Type allow you to specify that when added to the Dynalist, each data item (e.g. a workorder) is to be linked via a nominated database field back to the source dynalist. The name of the dynalist window now reflects the name of the dynalist type. That is, when displaying a dynalist that is a production run, the title of the Dynalist manager shows Production Run. For more details or a brief training session on how you can get the most out of dynalists, please contact our support team. Manually override scheduled dates on recurring actions Users now have the ability to click on each recurring action entry in the Recurring action list and manually select a new Scheduled date. Once selected, the scheduled date is then used as the record date when that recurring entry is processed. This new feature makes it possible to adjust the processing date of any scheduled entries without having to first process and then go back to the record to adjust the date, saving time and streamlining the recurring actions task. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Execute an external program using Accentis data (e.g. phone system auto-dialler) An innovative enhancement has been introduced as a global feature to the Accentis Enterprise interface: any data field (i.e. text box) can initiate execution of an external Windows program which will pass the data into it and take an action. This has been designed as a multi--purpose purpose tool primarily for phone system diallers but is flexible enough to cater for a variety of different applications. Some examples of its use are: - Put your cursor in the phone number field of a contact or a customer and simply press the hot-key hot combination to dial the customer’s phone number straight into your phone system Put your cursor into the GPS coordinates of a customer and launch Google Maps to locate the customer’s address. The hot key CTRL-SHIFT-D D is used to launch the application specified in the settings in System Preferences. Automatic batch/serial number specifications when creating goods with work orders When a work order creates finish ed product s that are serial or batch tracked, there are now new options available that determines the format used when serial or batch numbers are automatically assigned to newly created goods. This new and improved flexibility allows you to define your own customised numbering format using built-in built values such as the current day of the week or a production schedule (dynalist) number. Items on a Sales Order can have a negative quantity It is now possible to specify items on a Sales order with a negative quantity (subject (subject to an option on the inventory details itself specifying that you are allowed to “over dispatch” the item) and then dispatch this quantity. This new feature is perfect in situations ations where the order involves swapping of components at the time of dispatch. For example, a customer may order equipment that comes standard with a 5m hose, but at the time of dispatch, the customer requires a 10m hose instead. In this example, the sales order would contain -1 1 x 5m hose and +1 x 10m hose so that at the time of dispatch, a 5m hose is “returned” to stock and a 10m hose is dispatched. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 Other new functions or features • Custom data fields supported on Work orders. Work orders now supportt a Custom Fields tab allowing userdefinable data fields to be added to enhance the information you store about work orders. For example, data such as Quality Assurance checks, company-specific company specific work order checklists or critical information such as measurements, measure yields or readings related to the item being manufactured. • Custom data fields supported on Stock Transfers. Stock transfers now also support custom data fields, giving you the ability to add data fields to capture specific areas of your process for stock transfers, for example the Expected date of return or the person who signed off on the goods when the arrived. • Saving layout of searches also saves check lists. lists. When saving the layout and filters for an Accentis report, selected values in checklists and drop-down drop down box filters are now saved and reinstated next time the report is opened. This feature now allows you to select a combination of entries in a checklist filter such as members of your sales team or warehouses uses that are in use (as distinct from a QA or offsite warehouse). • Point of Sale receipt now allows cheque information. information. The POS Receipt form now allows entries of Cheque details, including Drawer, Cheque #, Bank and Branch. • Send emails to a list of customers custom without having to attach a report. Emails can now be sent to a list of contacts, customers or suppliers by using the standard report mechanism but with no actual PDF report attached. This new feature will allow a “report” to be defined that has an email subject and header text that can be used as an automated email from a list of search results. From a CRM perspective, this new feature opens up a wide variety of possibilities for sending standard or template emails. • Purchase order prepayment amounts are a now displayed on the pre-payments button.. When the Purchase Order prepayments button is clicked, the Purchase order form now displays the date and amount of each associated pre-payment. pre • An email address field has been added to the Customer form’s Addresses section (Invoice addresses only). only) This allows an individual email address to be specified for each different invoice address. When selecting an invoice address on the Sales quote, Sales order, ord and Sales invoice forms, this email address (if specified) specif is then automatically filled in along with the other address details. details • SMTP emails can now be directed to a non standard port.. The SMTP port can now be appended to the SMTP Server System preference using the format SMTPServer:Port to force emails to be sent to a non-standard non SMTP port. This is important when system security measures are put in place to block standard SMTP access. • Work orders can be created directly from Sales Quotes. Quotes A new menu item called Create Work orders for this t Sales Quotation has been added to the Sales quotation form that will allow a Work order to be started for each assembly (kit) on the Sales quotation. This feature is perfect for companies who use work-orders orders as a service mechanism to be billed directlyy using a POS Invoice rather than moving through the traditional Sales Order / Dispatch / Invoice process. • Sales Invoices can be created directly from a Work Order. Order A new menu item has been added to the Work order form that initiates a new Sales invoice and and fills in Customer / Job / Item / Warehouse / Comments automatically. automatically This feature introduces greater flexibility in your operational process flow, allowing you to use Work Orders as the primary service tool and invoice directly after completion. • Dispatches hes can be created directly from a Work Order. Order For any Work order that has a Sales order reference, reference a new menu option has been added that will initiate a Dispatch directly from the Work order. This feature streamlines the make-to-order order process flow by eliminating eliminating the step of having to go back to the Sales Order to start a dispatch of goods that have just been produced specifically for a Sales order. • The Sales invoice form now includes Our Contact. In a similar way to the Sales Order, the Sales Invoice form now has its own contact reference allowing you to specify the sales contact (as distinct from the person who entered the invoice). If the Invoice is generated from a Sales Order, the existing Sales Order contact will be carried across by default. • Customer/supplier tomer/supplier EFT reference text used for automatic account reconciliation. reconciliation. When an account reconciliation is performed using the Auto Match feature against a downloaded bank statement, Accentis Enterprise uses intelligent matching against the corresponding corresponding EFT reference text fields to determine which customer or supplier the transaction relates to. This feature, when coupled with correct data, makes account reconciliation auto-matching auto very accurate and saves a significant amount of time. • Credit card details on the Receipt form are no longer mandatory. mandatory When selecting "Card" as the payment method for a receipt, the card details are no longer considered as mandatory fields and can be left empty if required. required Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 • New option to remember details of last receipt. Previously, any new receipt added for a customer would bring across the payment details of the most recent receipt for that customer. While this was perfect for regular customers, it was not appropriate for customer codes designed to capture groups of customers such as CASH, RETAIL, etc. An option is now available on the Customer form that determines whether or not the details of the last receipt (e.g. Credit card details) are recalled when adding a new receipt for the customer. By default, this option is turned on when creating a new customer record. • A new Accounts Receivable system preference has been added that determines whether credit checks are performed when dispatching. This allows checks to be turned off on dispatches, while still leaving them on for other functions. Combined with an appropriate sales process flow, this feature can prevent stores staff from knowing about or being interrupted by credit checks at the point of dispatch. • When performing an auto-match on the Account reconciliation, a progress bar has been added to provide feedback to the user in cases where the auto-matching process may take some time to complete. • When creating a Sales order, if there is no explicit delivery address available for the customer then the business address is used instead. In this instance, the delivery address phone and fax are filled with the main business phone and fax numbers where previously they were left empty. • Drop down list box data simplified. When drop down fields are filled for data such as product group or warehouse the format Code:Name has traditionally been used. In this version, the format has been simplified so that if the code and the name are identical, only the code appears. • Stop credit checks are now performed for POS Invoices. This follows recent changes that allowed POS invoices to be placed "On account". • The question regarding whether to create a new job when converting a Quote to an Order/POS Invoice has been removed. Since Jobs can now be made mandatory, there is no need to prompt the user as they are told if required when updating the Order/Invoice • The Sales Enquiry form has been modified to allow a Sales quote to be generated regardless of whether a customer has been specified for the Enquiry. • When adding multiple items to a warehouse via the warehouse form, a status box is now displayed to show the progress of the action. • Reconciled DR and Reconciled CR value labels have been added below the Accentis transaction list on the Account reconciliation form to help reconcile against bank statement totals • The Priority option on Memos & Tasks has been expanded and changed from a 3 level * based system to a 4 level text based system (Low / Medium / High / Urgent). This helps clarify the level of importance. • A new button has been added to the Delivery details tab on the Purchase order form that automatically copies the delivery address from the linked Sales order – ideal for drop-shipments (the button is only available if a Sales order is linked to the Purchase Order). In conjunction with this change, the existing button on the Delivery details tab of the Purchase Order now allows any address to be selected, not just those from suppliers • A Customer Terms label has been added to the Sales Quote and Sales Order forms, beside the Customer field. This field is in the same position as the Customer type field, so users must decide which field they would prefer to see. By default, the Customer type field still appears, but for those customers who would prefer to see the customer’s credit terms instead then a small configuration change can make this happen. • A new PC specific system preference has been added that signifies that the PC is a shared POS terminal. When enabled, this option causes the Entered by field on the POS Invoice to remain empty when a new POS Invoice is started, forcing the user to either scan their staff card or select the appropriate user name from the list. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 • Support has been added for scanning a user barcode while the POS Invoice form is open. In this situation, the scanned user appears in the Entered by field. This action occurs regardless of any other system preferences controlling who can or can’t modify the Entered by field. • The Process recurring actions screen has been expanded to now display the Customer / Supplier name for each recurring Sales invoice, Supplier Invoice and Payment included in the list. • The existing menu items that allow a Purchase order to be generated from a Sales order have been combined into a single menu which shows a selection window, allowing different conversion options to be selected. This change has been made to simplify the Action menu and to clarify exactly which course of action will be taken when certain options are selected. This new feature combines the option to drill into an assembly and order the components rather than the assembly itself. • More flexible HTML encoding on outgoing emails. Any outgoing email from Accentis Enterprise can now be easily highly formatted simply by including HTML text in either the system preferences (for company headers or footers) or in the report setup for a report. If any of these settings begin with the text <html> then Accentis Enterprise will assume the following text will be treated as HTML, otherwise it will be classified as plain text. • After an Account Reconciliation is finished, the user now has the opportunity to manually specify an account lock date rather than having the account automatically locked at the end reconciliation date. • It is now possible to change the job on a Work order providing the only actions that have been performed for the Work order are Commits. Previously, once any actions had been performed the job could not be changed. However, as commits do not affect job costing there is no reason to stop the job being changed if commits are the only actions that have been completed. • The Production schedule # is now included in the W/O label in MMC graphical W/O view and the MMC Work order list view. • When specifying a work order on a timesheet, the Description column now displays the kit code as well as the kit description. Previously only the kit code was displayed. Minor changes / issues resolved • The "PC Default POS cash on hand account" has been renamed as "Override default account for receipt of cheques/cash". If specified, the account now acts as an override for both POS and standard receipt accounts. • When updating a stock item on the inventory form, if the system preference for standard costing is turned off, the standard cost for the item is no longer saved. This stops situations from arising where a standard cost for a stock item is being accidentally used. • When turning off standard costing in the system preferences, the user is now warned that standard costs for stock items will be cleared and if they choose to continue, all standard costs for stock items are cleared when the preferences are updated. • The Qty, Discount and Price fields are now able to be used on the line edit screen for standard Sales invoices. Previously, this functionality was only available for POS Invoices. • Currently, as part of the End of year rollover processing all permissions except for Read access are removed to ensure users do not make modifications without realising it. This also means that users are unable to make changes if they actually need to. To counteract this, permissions on the Permissions function are no longer removed so that users can re-add permissions if required. • The Special menu on the Customer statement report which housed the Print entire statement run option has been removed as it was too dangerous and could lead to people emailing the entire statement run to a single customer. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 • Modifications have been made to the way that Employee Pay and Leave items are affected when changing Entitlements. When a different entitlement is selected, existing Pay and Leave items now become unticked, while the Pay and Leave items for the new entitlement are added and ticked. This same functionality now also applies when clicking the Update all employees button on the entitlement form. • When creating a POS Invoice that has been generated directly from a Sales quote, the status of the Sales quote is now updated to Won as occurs when converting to an Order. • The layout of forms has been updated to better handle systems using large font sizes. Previously, some labels could become out of alignment or hidden behind other field etc. • The Discount structure import process has been overhauled to ensure that it better handles irregular file data such as blank columns, blank lines and quotes strings. • Currently, after completing a statement run or retrieving the details of an existing statement run, only the first customer on the run is selected. This can lead to users attempting to email statements, but only emailing the first customer on the run. To counteract this, all customers are now selected by default. • Tasks for a Sales enquiry now show a reference ID, and when emailed to the assigned user, give an indication as to which Sales enquiry it relates. • When starting a new pay run, the check that is performed to ensure no tax scales are outdated is now limited to only active employees • Validation has been added to the bulk Print/Email confirmation screen to ensure that valid email/fax/printer values have been specified for each entry • The warning that appears when specifying a serial or batch numbers for an item that is already included on another undispatched Sales order has been limited to only serial numbers. Previously, this warning also appeared for batch numbers. • Support has been added for the scanning of a customer barcode which fills in the Customer when scanned on a Sales quote or Sales order (This now matches functionality that is available on the Sales invoice). • The Phone, Fax, Email and Web fields along with the Business, Postal and Invoice address fields can now be accessed (that is, copied for pasting into other applications) in Edit mode by any users with Edit permissions for Customers. Previously, these fields required Admin permissions on Customers to modify in Edit mode. • When printing Sales invoice reports, the email address specified on the Billing details of the Invoice is now used as the default email address to send the report to (if one has been specified). • Issue resolved: In certain situations, it is possible for only part of the specified supplier code to be passed as a filter to supplier quicklists rather than the whole code. • Issue resolved: Editing an existing payrun and modifying the details of an employee who’s total pay value for the payrun is below the monthly super cap can lead to no superannuation being calculated for the employee. • Issue resolved: For A/R reports other than Quotes/Order/Invoices, the default email address for a customer is no longer being picked up if no other email address is available. • Issue resolved: Trying to modify the name in Accentis of a linked document that resides under the default data directory can result in a "Document could not be located" error. • Issue resolved: When an error is encountered while attempting to add a warehouse to an item on the Inventory form, the warehouse does not appear in the warehouses list for the item, but attempting to add the warehouse again causes another error saying the warehouse has already been selected. • Issue resolved: When converting a Sales order to a Purchase order where the Sales order has the same item listed multiple times with "Tally" specifications, the quantities become combined and no longer match the tally specification. In this situation, tallied lines should not be grouped. • Issue resolved: When editing information for a stock item on a Sales invoice, Stock and COS accounts can be modified, but this should not be allowed (as for Sales orders). • Issue resolved: When updating a POS Invoice for an amount that rounds if paying cash, selecting the Cheque option leaves the amount required as the rounded amount rather than returning it to the full amount. • When emailing a report from Accentis, the record number appended to the end of the file name has been removed if the report was generated from the main menu. This avoids the text “-1” being added to the end of the filename attachment. • Issue resolved: On the warehouse form, adding multiple items to a warehouse that has a tracking type of Not specified causes the tracking type to be set to None rather than using the tracking type of the first existing warehouse for the individual items. Copyright © 2012 Accentis Pty Ltd Accentis Enterprise V6.07 Release Notes Release v6.07, October 8, 2012 • Issue resolved: It is possible under certain windows environments for the option buttons on the Chart of appear to become invisible. The buttons still function as expected, but can not be seen on screen. • Issue resolved: Some labels are being cut off on the right hand edge of the pay item form. • Issue resolved: When entering a new receipt, selecting the Receipt type before specifying a customer can cause the Receipt type and Receipt into Account to become mismatched after the customer is finally entered. • Issue resolved: Currently when editing a Product group, the Parent field can be set to the current Product group, causing a circular reference. • Issue resolved: If the specified List Price for an item is $0, Mark up on Cost type Discounts do not calculate correctly. • Issue resolved: When generating payment summaries, If an employee is found to not require a summary, they still appear in the summary details list with a No summary required label. This could become confusing and make it difficult to check details that are actually included in the generated summaries. • Issue resolved: When changing the entitlement for an employee, it is possible for pay items that are not part of the new entitlement to be removed from the employee even if they have been used for the employee. This is possible if the pay item has ONLY been used in the extended Jul-Sep period. • Issue resolved: Currently, the Delete button on the Sales invoice form is enabled even for Invoices that have been receipted. The only time this should be the case is for a POS Invoice that only has POS receipts associated with it. • Issue resolved: When attempting to delete a Sales Invoice, there is no check being performed to establish whether the Invoice has already been receipted. This check needs to take place for situations where users have accessed the Delete button on a receipted invoice. • Issue resolved: When clicking on the Get all employees button on a payrun, employees are brought into the payrun in what appears to be a random order. In this situation, the employees should be ordered by employee code. • Issue resolved: When editing an existing POS Invoice that has NOT been sent to account, you are able to select the option to send to Account, but this has no effect and the original receipts remain. • Issue resolved: When processing recurring actions and creating a Sales invoice, certain fields are not coming across as expected. These fields include... P/O #, Attention, Phone/Fax/Email, Delivery address and Shipping. • Issues resolved: The list of product groups shown on the Products form is currently ordered by product name, even though it is the product code that is displayed. This can cause the list to appear unordered. • Issue resolved: Under certain circumstances, it is possible for the current time to be applied as the Stop time for an open timesheet entry on the previous day when scanning via the timeclock if an employee had failed to clock off the previous day. • Issue resolved: POS Receipts are not looking at the system preference that sends card receipts to cash on hand account. Currently, specifying card as the receipt type for a POS receipt still uses the POS direct deposit account. • Issue resolved: On a Sales invoice, manually entering a customer that does not have explicit delivery address details specified causes the delivery address to be correctly filled with the Business address, but the "To" field is not filled. This should be filled with the Customer name. • Issue resolved: When using large fonts, some options on the Sales order screen are not displaying • Issue resolved: Specifying a stock transfer using a negative quantity can lead to one side of the item transaction being performed at a cost of $0. • Issue resolved: Scanning an item barcode on a POS Invoice can add a pending delete item to the invoice if the item specifies the scanned barcode in the supplier barcode field. This occurs even if there is another active item with the same supplier item barcode. • Issue resolved: Reassigning item routes for kit item causes the Route numbers to be reset, but the next route numbers do not change, leading to an error when updating. • Issue resolved: Timesheet entries imported via the timesheet form always appear with the default pay item, even if another pay item has been specified in the import file • Issue resolved: The Display in financial reports and Disallow use options on the Accounts form do not appear when using "Large font" settings in windows • Issue resolved: When two pay items cause an identical qty of leave to be accrued, but one for a positive amount and one for a negative amount, these values can be rounded slightly differently, leading to a net accrual amount when the values should actually sum to 0 Copyright © 2012 Accentis Pty Ltd
