Introduced from new these fully equipped, self-contained motorhomes built on Mercedes-Benz chassis, all with automatic transmission, are guaranteed under 3 years old as of 01 April 2014. Alpha Campervans is our standard fleet of fully equipped motorhomes, all fully self-contained. Alpha Campervans are drawn from the United Campervans fleet and range in age from 2.5 years to 5 years as of 01 April 2014. Please Note: This information is correct at the time of printing but is subject to change without notice. 12 Bicycles for hire Bicycles and bicycle racks United Campervan and Alpha Campervans offer bicycle racks and bicycles for hire in Auckland and Christchurch in conjunction with all vehicle models. The following information should be noted: n The bicycles are all general purpose hybrid models suitable for both road use and moderate off road conditions. n Similar children’s models are available on request. n For pre-booked bicycles the bicycle rack will be fitted to the motorhome at the depot prior to pick up. Clients will then proceed to the nearby bicycle specialist, Natural High Ltd, to collect their bicycles. This visit will include a personal fitting to make sure the bicycle is suitable for each person. Bicycles must also be returned to the Natural High depot at the end of the hire. n Due to reduced demand during the winter period the Natural High depots may be closed on weekends and in these instances the bicycles will be available with the vehicle on pick up from the United Depot and may also be returned to the depot. n A maximum of three bicycles can be fitted on the bicycle rack provided on the 6 and 4 Berth motorhomes. On all 2+1 and 2 Berth models the maximum is two bicycles. n A helmet [compulsory in New Zealand], cycle lock and repair kit are supplied with each bicycle. n An Insurance Excess of NZ$400 applies to each hire and covers all bicycles carried on the same vehicle [maximum 3]. The NZ$400 Excess will apply regardless of the number of bicycles damaged. The Excess can be reduced to Nil by payment of NZ$1.20 per day to Natural High Ltd on pick up. n Bicycle hire is subject to availability at all times. Bookings should be completed at the same time as the vehicle hire in order to avoid disappointment due to non availability. Insurance - standard rates All United Vehicle Rentals Standard Rates include Standard United Vehicle Insurance. This provides cover for: - Damage to the United Vehicle Rentals vehicle including overhead and/or under-body damage, single vehicle accident or vehicle roll over, or damage to third party property. n No deductions will be made against this credit card provided the vehicle is returned to the agreed drop off depot, on the due drop off date, in a reasonably clean condition, with no damage incurred to the hire vehicle or third party property, with a full tank of fuel and with an empty toilet cassette and waste water tank. - Demurrage costs – the rental rate for the days the vehicle is not available for hire due to accident repairs. - Public Liability up to NZ$10,000,000. n A Bond/Excess of NZ$5,000 must be paid on collection of the campervan or motorhome. The hirer will be responsible for the first NZ$5,000 of any costs incurred due to damage to the hired vehicle or third party property. CDW OPTION 2 – Payment of NZ$32 per day (maximum NZ$1920 for any one hire) or NZ$44 per day for hirers under the age of 25 years (maximum NZ$2640 for any one hire) will completely waive the Bond/Excess. n The hirer will not be responsible for any costs incurred due to damage to the hired vehicle or third party property, or for the repair or replacement of damaged windscreens, subject to the Insurance Exclusions and provided the hirer has complied with all Policy Conditions. n The hirer will be fully liable for the repair or replacement of damaged windscreens. n This Bond/Excess may be paid by cash or credit card. United Vehicle Rentals accepts Visa and Mastercard. If a credit card is used as the method of payment the amount will not be debited from the account but an authorisation will be obtained from the credit card company and held on file by United until the vehicle is returned without damage to the United vehicle or third party property and within the terms of the rental agreement. The client will be required to have sufficient credit with the credit card company to enable United to secure the authorisation on pick up. n Authorisation of the NZ$5,000 Bond is per incident and should damage be incurred to the United vehicle or third party property the authorisation will be invoked and a further authorisation will be required. n The authorisation will be cancelled on return of the vehicle to the agreed drop off depot, on the due drop off date, in a reasonably clean undamaged condition, with no damage incurred to third party property, and with a full tank of fuel and empty toilet cassette and waste water tank. United Vehicle Rentals offers two options to either reduce or waive this standard Bond/Excess of NZ$5,000: CDW OPTION 1 - Payment of NZ$20 per day (maximum NZ$1,200 for any one hire) at the commencement of the hire will reduce the Bond/ Excess to NZ$2,000. n The hirer will be responsible for the first NZ$2,000 of any costs incurred due to damage to the hired vehicle or third party property. n The hirer will be fully liable for the repair or replacement of damaged windscreens. n If a credit card is used as the method of payment then details will be taken by United Vehicle Rentals and held on file. No amount will be debited against the credit card on 16 Insurance – all inclusive rates Comprehensive insurance as detailed in OPTION 2 is included in the All Inclusive Rates, and NO excess applies. This applies to all eligible hirers over 21 years with hires of 7 days or over. Security Deposit Under both the CDW Option 2 and the All Inclusive Rates details of a credit card will still be taken for a fuel and cleaning deposit to a maximum of NZ$150. This deposit is fully refundable on return of the vehicle to the agreed drop off depot, on the due drop off date, in a reasonably clean condition, and with a full tank of fuel and an empty toilet cassette and waste water tank. Effective 01 October 2014 to 31 March 2015 The Bond/Excess of NZ$5,000 must be paid by credit card. This amount will be debited to the hirer’s credit card when the vehicle is collected. Insurance n CDW Option 1 is no longer available. n CDW Option 2 is now known as CDW Option and per day price has increased. Details are: Cost Per Day Liability reduced to NZ$38 (max charge NZ$1,900) will completely waive the bond excess. Security Deposit n If CDW Option or the Inclusive Pack are selected the Security Deposit has increased to NZ$250. Terms & Conditions Calculating the rates Payments Rates are calculated on a daily basis. The day of pick up is counted as Day 1 and the day of drop off is the last day regardless of the time of pick up and drop off. e.g. Pick up at 1400 on 01 May and drop off at 1000 on 08 May is calculated as an 8 day hire. Payment for all reservations must reach our Auckland office no later than 28 days prior to the pick up date: Minimum hire period / one way hire For all rentals there is a minimum hire period of seven (7) days, except for the following when the minimum hire period will be fourteen (14) days: • All vehicle pick ups between 20 December and 02 January annually. • All one way hires between Christchurch and Auckland or vice versa. Promotional rate offers Prior to the end of each month United will distribute by email a summary of all current special promotional rate offers which will include: United General Release Specials These are special offers available to all trade partners and are often produced annually to enable them to be promoted well in advance in brochures and/or on websites. United Advantage Plus Rates These are special rate reductions applicable for a limited selling duration only. They will relate to a specific brand or vehicle model during a limited hire period. Long term hire discounts Discounts are available for all hires of 21 days or more. These are indicated on the United and Alpha Rate Sheets. Consecutive motorhome hire in Australia and South Africa for maui, Britz and KEA and in New Zealand for United Campervans, Alpha Campervans, maui, Britz and KEA can be combined to qualify if the vehicle collection date/s are within a 3-month period. Up to 22 days prior to commencement of hire 7 to 21 days 1 to 6 days Day of vehicle pick up or no show Commission Travel Industry commission is available subject to negotiation with your account manager. Commission applies to vehicle hire rates only and is not payable on insurance or other additional items, with the exception of All Inclusive Rates if selected at the time of sale. Invoicing An invoice will be raised and sent to you on the first day of the month prior to the month of travel (if travel is in February the invoice will be issued on 01 January). This will allow sufficient time for payment 28 days prior to pick up as required in ‘Payment’ below. A statement listing all payments due in the month will accompany the invoices. Agents Vouchers We will accept vouchers for vehicle hires from approved Agents only. Vouchers for any additional services will be issued by United Campervans and Alpha Campervans and forwarded to you with the hire invoice, or by email as a pdf attachment. Change of drop off destination If the client wishes to change the drop off destination they must first obtain authorisation by calling 0800 759 919. Subject to the change being approved an additional charge of up to NZ$750 may apply. Extending the rental No cancellation fee 25% 50% 100% Cancellations – from 01 October 2014 - 31 March 2015 No cancellation fee 20% 50% 100% Please note: • It is the booking agent’s responsibility to ensure sufficient payment is held from the client to meet the above fees should cancellation occur. • The purchase of Travel Insurance, including sufficient cancellation insurance to cover the above charges, is strongly recommended and should be encouraged by the booking agent. • The early return of a vehicle does not entitle the hirer to a refund. Road User Charge Recovery Fee Until 30 September 2014, United does NOT charge your clients extra for the New Zealand Road User Recovery Fee. As of 01 October 2014, the Road User Charge Recovery fee is included in the All Inclusive Rates. If the All Inclusive Rates have not been selected the Road User Charge Recovery fee will be calculated and collected on return of the vehicle based on the kilometres travelled during the hire. The vehicles rates per 100km are as follows: 2 berth: NZ$5.32 2 + 1 berth: NZ$5.32 4 berth: NZ$5.72 6 berth: NZ$5.72 United Campervans and Alpha Campervans reserves the right to amend the Road User Charge Recovery Fee in response to changes in Government Road User Charges If the client wishes to extend the rental while on hire they must first obtain authorisation by calling 0800 759 919. Approval for the vehicle extension will be subject to availability and must be paid by credit card on confirmation. Repairs Hirers may undertake on-road repairs, or replace broken equipment, up to NZ$200 without authorisation from United Campervans and Alpha Campervans. The amount will be reimbursed on presentation of a receipt. Authorisation from United Campervans and Alpha Campervans is required for amounts over NZ$200. Hirers should call our On-Road Assistance freephone 0800 759 919 for authorisation. Driver requirements All drivers must be 21 years of age or older and hold a current valid driver’s licence to be produced at the start of the hire. A country of origin licence is acceptable, however non English licence holders must either carry an accurate English translation of their foreign driver’s licence or an International Driving Permit while driving. A normal car licence is all that is required to drive any United vehicle. No heavy vehicle, or other special category licence, is required. No maximum age applies providing an appropriate valid licence is held by the hirer. The English translation referred to must be issued by one of the following authorities: • The New Zealand Translation Service • A diplomatic representative at a High Commission, Embassy or Consulate • The authority that issued the overseas driver’s licence Traffic infringements All traffic infringements are the responsibility of the hirer. The hirer’s credit card details held by United will be retained until all traffic infringement notices have been settled with the New Zealand traffic authorities (New Zealand Police and Local Councils). United reserves the right to pass on details of the hirer’s home address to the New Zealand traffic authorities as is required by New Zealand law. If United pays the fine on the hirer’s behalf a NZ$60 administration fee will be charged in addition to the fine imposed. 18 Road restrictions Clients are permitted to drive their vehicle on any road in New Zealand except the following - are prohibited in all circumstances: North Island: Ninety Mile Beach - Northland North of Colville Township - Coromandel Peninsula Bluff Road between Kuatunu and Matarangi South Island: Skippers Canyon Road - Queenstown Ball Hutt Road - Mt Cook North & South Island: Any road closed by Traffic Police or other authority. Vehicle substitution and design We shall make every effort to provide the vehicle requested, but where a vehicle is unavailable for any reason we reserve the right to provide a comparably high standard vehicle at no extra cost to your client. While including the same facilities, vehicle layouts may vary slightly to those shown due to manufacturer’s design changes. So find a good tour leader, build an interesting itinerary and start promoting for individuals to join the tour. You may be surprised at the results. We are happy to assist along the way and offers the following information and tips to get you started: Talk with us first. Let us help you optimise the package price by working together to determine the time of year and direction of travel. You don’t have to generate many sales. A group can consist of as few as five vehicles. There’s a bonus to help out. For groups of ten paid vehicles or more United will provide one vehicle free including comprehensive insurance. Keep the group to manageable numbers. From our experience the optimum number of vehicles for a group is between ten and fifteen. Vehicles can be all the same or a mix of models. Always use your own tour leader. Because it is essential that the tour leader develops a rapport with participants prior to departure, and is always available to answer the many questions they will have, we strongly recommend using a tour leader from the same country as the group. Make sure your tour is fully inclusive. Your price should include all fixed costs so there are no nasty surprises for your clients on arrival. Remember price is not the major motivation for these people. Always include comprehensive insurance cover. It is important that all participants are fully and equally covered so that should an unexpected mishap occur, any possible acrimony for the tour leader is avoided. Spend at least one night prior to vehicle pick up in a Hotel. This gives everyone in the group a chance to recover from their travels, and us an opportunity to undertake a pre-departure briefing at the Hotel. We recommend using a Hotel near the United Campervans and Alpha Campervans Depot for convenience. Make it an annual event. Ensure that whatever is planned for your first tour can be repeated as an annual departure, and market it accordingly. Word of mouth can be a powerful selling tool. And don’t leave the traditional sources of group business out of your marketing plans. While there are several crossings daily in each direction, Summer and Winter schedules do vary. When requesting bookings, clients should nominate a preferred departure time. The nearest available departure will then be reserved. It is not always necessary to book a ferry in advance but we do recommend that your clients do so to avoid delay. Bookings are strongly advised during the high season October to April. It is advisable to reserve the ferry at the same time as you make your client’s vehicle reservation. We recommend that drivers allow no more than 50 kilometres for each hour they wish to drive on any day. This takes into account the different conditions drivers will encounter in New Zealand and allows for stops tourists may make during the course of a normal day.
