Supplier performance measurement
In order to guarantee the quality and professionalism of our service
provision, agreements have been made within the framework of our supply
performance regarding a variety of quality aspects. Within this context,
Lekkerland has developed a Supplier Performance Measurement System.
The objective of this system is to raise the quality of the performance
delivered by our suppliers in order to achieve an overall higher quality.
You will be assessed on the basis of a number of performance indicators,
such as timeliness, completeness, temperature and logistical and
production requirements. The specifications in respect of the performance
measurement can be requested from your contact person.

Accounts payable
management
New supplier
If you wish to register as a new supplier of
Lekkerland, the following needs to be submitted for
the purpose of a complete accounts payable
management:
• Complete supplier details. A supplier form for this is
in place. You must use this form. The form can be
downloaded via www.lekkerland.nl.
• Stationery with your company name as letterhead,
together with all information, including IBAN and BIC.
You can either send this by post or digitally, as PDF,
to [email protected].
• Lekkerland is SKAL-certified. If you are going to
supply organic products to Lekkerland, you must send
a copy of your SKAL certificate prior to the first
delivery. Preferably digitally to [email protected].
• Lekkerland is HACCP-certified.
For a complete registration, you must submit the
following 2 HACCP registration forms: RF 13.1 + RF
13.1 (a). Both forms can be downloaded via
www.lekkerland.nl.
Product range
management
Product categorisation
In its administration, Lekkerland applies a variety of
product range categories in order to distinguish
between the General Lekkerland Wholesale Product
Range and the Customer-Specific Product Range.
Category 1
Regular product for the General Wholesale Product
Range.
Category 2
Regular product for the Customer-Specific Product
Range, with possible inclusion in the General
Wholesale Product Range.
Category 3
Regular product for the Customer-Specific Product
Range, which is included specifically for an account.
Category 4
Product with own account formula and/or account
Private Label.
Category 5
“Specials” product which is included specifically for
an account.
Category 6
Regular product for the Customer-Specific Product
Range, which is included specifically for an account,
with commercial agreements with the supplier made
by that account.
Product range classification
• Ambient
Non-perishables which must be stored and kept at
room temperature, such as sweets, beverages,
food/non-food and tobacco.
• Chilled
Perishables which must be stored and transported in
chilled conditions (between 2 and 7°C), such as
sandwiches, salads and dairy products. Only chilled
deliveries are subject to either centralised delivery in
Waddinxveen in accordance with the agreed ordering
and delivery schedule (DC delivery) or decentralised
delivery in Meppel, Son and Waddinxveen in
accordance with the agreed ordering and delivery
schedule at a minimum frequency of 6 times a week
(cross dock customer level), or centralised delivery in
Waddinxveen in accordance with the agreed ordering
and delivery schedule at a minimum frequency of 6
times a week
• Frozen
Products which must be stored and transported
frozen (maximum of -15°C), such as (impulse) icecream and pizzas.
Product information
Full product details must be provided.
A Lekkerland product form is available for this, which
must be used when introducing new products (new to
Lekkerland Nederland B.V.).
Exception to this is the HEMA product range, with
regard to which agreements and recording will be in
accordance with the HEMA procedure. Changes to
existing products (conditions excluded) must also be
reported by means of the Lekkerland product form.
This includes net content changes (10% extra) or EAN
codes.

Product form
This methodology will contribute to a prompt and
reliable input and output of data for all parties.
You can download the Lekkerland product form from
our website www.lekkerland.nl. Download the
product form when you have a new product, as this
ensures you always use the latest version. In addition
to the product form to be supplied, all new and
changed products (with the exception of Category 4,
5 and 6 products) must be provided with a digital
image, which must be sent to
[email protected], and product samples
(specifications for this can be found on page 14).
The supplier is responsible for supplying the product
sheets with the product specifications and keeping
these up-to-date. Requests from customers to
Lekkerland with regard to this information will be
passed on to you, trusting this will be dealt with
directly with the customer, correctly.
GS1
In connection with the transfer to SAP which
Lekkerland is preparing for, you, in your capacity as
supplier, are expected to supply all product
information via GS1.
PS in Foodservice
Lekkerland must be able to supply its customers with
product specifications within 24 hours.
In order to realise this, Lekkerland has partnered up
with PS in Foodservice. The aim of PS in Foodservice
is to have all product information within the food
service market available; 24 hours a day, 7 days a
week.
In addition to specifications such as nutritional values
and allergens, the platform also offers space for
product background information, both textually and
visually. Hence we ask you to supply your products
details to PS in Foodservice. For further information,
please visit the website www.psinfoodservice.nl.
Hazardous & Chemical substances
You must use the Lekkerland product form to indicate
whether the product is a hazardous substance and, if
so, you must stated the correct UN reference number.
In addition, when supplying the completed product
form, you must include the corresponding material
safety data sheet.
Supplying in digital format is preferred. Hazardous
substances offered without a material safety data
sheet held by Lekkerland will be refused on arrival.
Organic products
Since Lekkerland is SKAL-certified, you must state
your SKAL reference number on the product form
when it concerns organic products. In addition, when
delivering your first organic product to Lekkerland,
you must include a copy of your SKAL certificate.
Supplying in digital format is preferred.
Non-food products
Non-food products must bear CE marking, since this is
required by European legislation.
Private label conditions
Agreements in respect of Account Private Label apply
as agreed with the relevant account.
In the event of Lekkerland private label products, the
following conditions apply:
• Prior to your contract with Lekkerland, you must
always send one sample to the Lekkerland Quality
Management department in Son for assessment and
inspection.
•In addition, you are responsible for supplying up-todate product information sheets of all private label
products, prior to the first delivery. Supplying in
digital format is preferred.
• In the event of changes in the product information
sheets of products you (will) supply to us, you must
always and immediately provide Lekkerland with upto-date product information sheets. Supplying in
digital format is preferred.
•You agree to Lekkerland having the private label
products supplied by you tested by an external
laboratory.
• You agree to Lekkerland, or a party appointed by
Lekkerland, carrying out an audit in your company to
verify that you comply with the Commodities Act /
HACCP.

Product inclusion
(with the exception of product categories 4, 5 and
6)
Inclusion condition: for a period of eight months,
Lekkerland will be able to invoke its full right of
return, without incurring costs on the part of
Lekkerland.
Final progression to take place after this period.
Product range changes
(with the exception of product categories 4, 5 and
6)
The administrative changes in the product range are
subdivided as follows:
• Inclusion of products which are freely available.
• Inclusion of in/out products.
• Processing of changes in existing product numbers,
e.g. a change in pallet structure (with the exception of
price changes).
Lekkerland applies the following rates (exclusive of
VAT):
• € 350 new products
• € 250 new product, in consideration of a product
reorganisation!
• € 100 in/out product
• € 50 changes to an existing product number
Slow movers
(with the exception of product categories 4, 5 and
6)
Products with low turnover ratios are dealt with from
the central warehouse. This still enables a nationwide
availability of these products. The inclusion of new
ambient products is initiated at the slow mover
warehouse in Son. We charge a surcharge for this
facility per unit of trading. Six-monthly calculations
decide which products move from slow mover to
standard product (in stock in all DCs) and vice versa.
EDI
Lekkerland continuously works on the further
refinement and optimisation of its logistical processes.
Not only does this benefit the customer, you as a
supplier can also take advantage of this.
Lekkerland prefers EDI for the exchange of orders.

Price changes
(with the exception of product categories 4, 5 and
6)
• Price changes towards our customers are confined
to 10 times a year.
These times coincide with the start of a new month
(February to November).
• Price changes to Maxxam and the members must be
communicated no later than 8 weeks prior to these
dates.
• You must supply the price changes both digitally
(editable in Excel) and as a hardcopy with a clear
substantiation of the change.
• Price changes to Lekkerland Nederland B.V. must be
communicated no later than 8 weeks prior to the
relevant commencement date.
• Provided they have been approved and
implemented in the market horizontally, new prices
take effect on the stated dates and will be fixed for a
minimum of one year (the only exception to this are
changes on account of government measures).
Based on the above, the following applies:
• 1st option (01.02.14),
supply price changes no later than 1 December 2013.
• 2nd option (01.03.14),
supply price changes no later than 1 January 2014.
• 3rd option (01.04.14),
supply price changes no later than 1 February 2014.
• 4th option (01.05.14),
supply price changes no later than 1 March 2014.
• 5th option (01.06.14),
supply price changes no later than 1 April 2014.
• 6th option (01.07.14),
supply price changes no later than 1 May 2014.
• 7th option (01.08.14),
supply price changes no later than 1 June 2014.
• 8th option (01.09.14),
supply price changes no later than 1 July 2014.
• 9th option (01.10.14),
supply price changes no later than 1 August 2014.
• 10th option (01.11.14),
supply price changes no later than 1 September
2014.
Price changes that do not meet the criteria are
not accepted. In addition, price changes that run
via Maxxam C.V. in Ede will not be dealt with by
Lekkerland.

Scannable EAN code
The packaging of the manufacturer must bear
scannable EAN codes. The most commonly
used code at present is EAN 128. This applies
to ambient, chilled and frozen, as well as
private label products.

Send by means of EDI Invoice
With effect from 2014, Lekkerland, together with its
suppliers, aims to transfer to invoicing by means of
EDI.
Points to note
• The order you receive from Lekkerland will be
accompanied by an order number. You must refer to
this number on your invoice. Your invoice cannot be
processed without an order number.
• The invoice date may not precede the delivery date.
• Invoicing must take place in accordance with the
agreed prices and conditions. Depending on the
product category, these price and condition
agreements have been entered into with either
Lekkerland or the customer. See Product range
management for an explanation on product
categorisation.
• With regard to product categories 1 to 3, there must
be agreement with the Lekkerland Nederland
Purchasing department regarding product range,
prices and other conditions. If you are affiliated to
Maxxam C.V. in Ede, the agreements must have been
entered into with Maxxam C.V. in Ede.
• With regard to category 4, 5 and 6 products, the
price and condition agreements must be entered into
in consultation with the customer.
• Invoicing must take place on the basis of the
numbers supplied x the agreed prices and conditions.
• With regard to category 4, 5 and 6 products, you, in
your capacity as supplier, must enter into price and
condition agreements with our customer directly.
Invoicing for these category 4, 5 and 6 products must
take place separately. Both the order number and
customer name must be stated. The customer name
can be stated in the address. Attn.
Crediteurenadministratie / ‘name of customer’.
Delivery criteria
Deliveries
• The order you receive from Lekkerland will be
accompanied by an order number. You must refer to
this number on both the transport documents and
your invoice.
• Deviations from orders placed by us must be
reported to the Central Stock Management
department at least 48 hours prior to delivery.
• In the event of lead times of less than 24 hours,
notification in relation to deviations must at all times
be submitted on the day that the order is received,
before 5pm.
• Each order slip states the day of delivery and time
frame within which the order must be delivered.
Packaging
Packaging is understood to mean transport packaging
such as roll containers, pallets, barrels and crates. If
you use packaging, you must supply a Lekkerland
transport packaging form for each transport product.
This packaging can also be processed on the
consignment note and invoice, provided it is known.
The method of processing on the consignment note
and invoice is laid down on the supplier form in
advance.
In addition, when registering/invoicing on the basis of
a deviating creditor number, ensure this is
communicated in due to time to ensure invoicing and
crediting can be done correctly.
Unloading of goods
You must be able to unload your orders in a dock, in
which delivery with a truck is the only option. While
unloading the goods, the driver is obliged to wear
safety shoes (type S1 or better). For reasons of
safety, other members of staff must remain in the
truck while the goods are unloaded. The packaging of
the manufacturer must have scannable barcodes.
Packaging is understood to mean:
• Consumer unit
• Order unit
• Outer sleeve
The most commonly used code at present is EAN 128.
This applies to ambient, chilled and frozen, as well as
private label products.

Stock items must be delivered on pallets and cross
dock deliveries on roll containers.
If your goods are to be delivered on pallets, it is
understood to be a single product per pallet. The
pallet type can deviate per DC, but euro pallets are
preferred.
In the event of multiple products on a single pallet, a
division must be made by means of an intermediary
pallet. Deliveries that do not meet this requirement
must be transferred and stacked by you. The pallet
height can differ per DC, with a maximum of 1.85 m.
The supplier must be able to unload himself and
therefore bring a pallet truck.
In the event of cross dock deliveries, your delivery
must be on roll containers. Every crate must be state
route number, route sequence number and number of
crates. In 2013, Lekkerland made the transfer to Roll
Container Identification and expects its suppliers to
do the same. The year 2014 will be a transitional year.
However, in 2015, all suppliers of Lekkerland must be
able to work with this.
Chilled deliveries are subject to either centralised
delivery in Waddinxveen in accordance with the
agreed ordering and delivery schedule (DC delivery)
or decentralised delivery in Meppel, Son and
Waddinxveen in accordance with the agreed ordering
and delivery schedule at a minimum frequency of 6
times a week (cross dock customer level), or
centralised delivery in Waddinxveen in accordance
with the agreed ordering and delivery schedule at a
minimum frequency of 6 times a week (Pick to Zero).
With regard to chilled and frozen deliveries, the
driver, upon arrival at Lekkerland DC, is preferred to
hand over a temperature-readout of the truck.
Delivery temperature for Chilled goods must range
between 2 and 7°C, where a maximum of -15°C
applies to Frozen goods.
Consignments are checked for Best Before Date
(BBD), HACCP, quantity and physical condition. In the
event of defects being detected upon receipt, the
goods will be rejected. In consultation it is decided
whether the item must be re-delivered immediately or
whether it can be re-ordered.
Breakage that is discovered later and which can be
attributed to the supplier will still be returned and
must be compensated accordingly.
Deliveries with more than one BBD must be stated on
the delivery note. In addition, the delivery must be
divided through pallets. Lekkerland only accepts the
delivery on the basis of progressive BBD and BBD
which meet the promised, minimum BBD upon
delivery at the DC.
The products supplied (manufactured) by you must be
properly packed in relation to the weight and nature
of the product, so that the products can be stacked
and delivered to the customers of Lekkerland free of
damage. This means that the products must be
sufficiently protected against breakage / damage
under normal handling conditions, which can be
expected throughout the logistical process of entry,
storage, order picking and transport onto mixed roll
containers.
Cross dock short delivery notification
procedure
A total list must be available which can serve as
checklist for inbound goods.
Upon receipt, Lekkerland checks the number of
crates. Departure point is that the manufacturer
remains responsible for the contents of the crates,
which is not checked by Lekkerland.
Points checked by Lekkerland:
• Upon arrival, all crates must be checked on the
basis of the manufacturers' crate lists included in the
shipment.
• In the event of delivery by the manufacturer to the
DCs, any short deliveries must be noted on the
delivery note of the manufacturer. The driver will
need to wait for this.
• Each day, manufacturers must report any products
that are out of stock (N.I.V.) by sending a fax or email.
These reports must be forwarded to the Customer
Service department no later than 9am, per DC, stating
the product and route sequence number.

Quality Management
HACCP
Lekkerland is HACCP-certified. This means that
Lekkerland may only do business with suppliers that
can also guarantee the food safety of their products,
i.e. that their products are in compliance with the
Dutch ‘Warenwet’ (Commodities Act). Therefore, it is
the responsibility of the supplier to ensure that the
foods that are to be delivered to Lekkerland meet all
statutory provisions.
In addition, Lekkerland expects the manufacturer to
work in accordance with a documented food safety
system, preferably one that is certified. For a
complete registration, you must complete and submit
the following 2 HACCP registration forms: RF 13.1 +
RF 13.1 (a). Both forms can be downloaded via
www.lekkerland.nl.
RECALL
Lekkerland Nederland B.V. operates in accordance
with the recommendations and guidelines given by
the CBL (Dutch Food Retail Association). In the event
of a possible recall, you must always notify your
purchaser at Lekkerland Nederland B.V by e-mail or
telephone. If, on the instruction of the manufacturer /
supplier, or other client authorised to that end,
products must be taken back at customers of
Lekkerland Nederland B.V. or at its distribution
centres, the costs arising from this will be charged to
the relevant supplier.
To this end, Lekkerland applies standard rates which
will be announced separately.
Working Conditions
Lekkerland does of course operate in compliance with
health and safety regulations. As a supplier, we
assume that you work in accordance with the Dutch
‘Arbowet’ (Working Conditions Act) and that you
accept your responsibilities in that respect. With
regard to maximum weights to be lifted, legislation
prescribes 23 kilograms per package (provided it is
easy to handle for one person).
Distribution displays do not always meet this
requirement. We expect you to meet the following
guidelines (if not possible, you must contact us):
• Pallet displays must always be fitted with handles at
grabbing height, so they can be grabbed by a single
person, provided it is easy to handle and weighs less
than 23kg.
•If a display weighs more than 23 kg, it must clearly
show the following message:
WARNING – HEAVY ITEM
• Displays must be stable and of such a quality that
they can be transported on a roll container without
them collapsing or disintegrating.
An extensive explanation setting out the requirements
displays must meet can be requested from the
Product Administrative Office.
Supplier performance measurement
In order to guarantee the quality and professionalism
of our service provision, agreements have been made
within the framework of our supply performance
regarding a variety of quality aspects. Within this
context, Lekkerland has developed a system to
measure supplier performance. The objective of this
system is to raise the quality of the performance
delivered by our suppliers in order to achieve an
overall higher quality. You will be assessed on the
basis of a number of performance indicators, such as
time frames and completeness. The specifications in
respect of the performance measurement can be
requested from your contact person.
Operating from our food safety system, you must
offer us the option to request the health and safety
specifications at product and/or process level.
ISO-certified
Lekkerland is ISO-certified.

Supply of visual material
In addition to the product form to be supplied, all new and changed products (with the exception of
Category 4, 5 and 6 products) must be provided with a digital image. These images must have an
effective resolution of at least 300 dpi and a colour composition in CMYK. Preferably, the product
images must be supplied and stored independently as PSD, EPS (no JPEG compression), TIFF or JPEG
(with a minimum of compression, i.e. maximum quality). The images can be mailed to
[email protected]. If you are unable to supply an image in accordance with the above
requirements, we can also arrange the photography for you. In that case, we would like to receive a
sample of the relevant products. The costs incurred will be passed on to you.
In conclusion
Please note that,
despite the utmost care that has been paid to these
participation conditions, no rights can be derived from
them and they are provided for informative purposes
only. As and when appropriate, Lekkerland reserves
the right to enter into alternative agreements with
suppliers. Lekkerland emphasises that any agreement
entered into between a supplier and Lekkerland is
subject to the General Purchase Conditions applied by
Lekkerland. A copy of these General Purchase
Conditions was handed to you upon conclusion of the
agreement with Lekkerland and can furthermore be
requested through your Lekkerland contact person.
