The Walkabout Write software is used to load dictations directly from a dictation machine into your PC for editing. The integrated player can easily be controlled via a foot control or with the mouse on the computer screen. Scope of delivery – PC software Walkabout Write – Adapter box – Serial connecting cable for the COM port of your PC and a 3.5 mm jack plug to the audio sound card – Line out Accessories The features indicated by Dictaphone apply only when using original Dictaphone accessories. Defects due to the use of accessories which are not original Dictaphone accessories, or which do not comply with the legal regulations or the corresponding standards, lead automatically to the expiration of any guarantee rights. The following accessories are available: – Foot control 536 – Swingphone 562 – Headset 560, 561 – Dynamic earphone 556 Optional accessories: if required*, you can connect in addition a commercially available stabilized power supply unit (6V, min. 0.1 A/0.6 W – with Ø 4 mm coaxial plug) and active loudspeakers (3.5 mm jack plug). The volume level at the headset socket is limited to 85 dB (A). System requirements For your Walkabout Write you need a PC meeting the following requirements: – Pentium processor (min. 400 MHz) – Operating system WIN 95/98/ME/2000/NT 4.0/XP – Audio port, Soundblaster compatible, Lineout, 3.5 mm jack plug – COM port, RS232, D-Sub9 socket Notes Make absolutely sure that the adapter box and the accessories are protected against dampness (rain, water splashes). Do not place the adapter box and the accessories close to the heating or in direct sunshine. The manufacturer will offer no liability for damage resulting from unauthorized tampering. Use only a dry cloth for cleaning. Never use chemical cleaning agents. *In exceptional cases, it may happen that the output voltage of the COM port is not sufficient for a correct operation of the foot control. In this case, a plug-in power supply unit is required. 3 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 4 CONNECTING Connecting the Walkabout Write adapter box to your PC Connect the components as shown in the figure below: To ensure all functions of the Walkabout Write, it is absolutely necessary to connect a headset 560 or 562, and the foot control 536. A plug-in power supply unit and active loudspeakers are only optional accessories which are not necessary for the normal functions of Walkabout Write. Active loudspeakers are no Dictaphone accessories but commercial appliances. Turn the switch on the bottom of the unit to the desired position: Position A – to the right = lock position When you press a pedal, the function is started. When the pedal is released then pressed again, the function is stopped. Position B – to the left = scan position When you press a pedal, the function is started. When you release the pedal, the function is stopped. B A 5 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 6 SOFTWARE INSTALLATION Installing Walkabout Write 1 Insert the program CD into the CD drive.* – The „Walkabout Write Setup“ window pops up. 2 Follow the on-screen dialogue (select dialogue language, Welcome, Licence Agreement). 3 Enter the serial number of your adapter box. This can be found on the bottom of the box below the bar code. Then click on „Next“. 4 In the „Choose Destination Location“ window, you can determine the directory where you wish to install Walkabout Write. Click on „Browse“, or accept the proposed path and then click on „Next“. 5 In the „Select Program Folder“ window, you can determine the name of the program directory. Select one in the listbox, or accept the proposed name and then click on „Next“. * The latest information about the software can be found in the „README.TXT“ file. 6 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 7 SOFTWARE INSTALLATION 6 7 8 Select the COM port where the Walkabout Write adapter box is connected (normally COM 1). In the „Settings“ window the function „Create program shortcut on desktop“ is selected. In the window below the player, the dictations of the selected folder are indicated. In the directory „My dictations“ you can load a dictation into player by doubleclick. At the same time, the Walkabout Write window is minimized, your favourite write program is opened and the dictation can be played back using the foot control. The right buttons of the player are used to close the dictation or to open the next one. A dialogue box „Close dictation“ pops up where you can determine whether the dictation shall receive the „finished“ status. 8 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 9 EDITING DICTATIONS Copying dictations via the e-mail program 1 Change to the e-mail program and copy the .DSS attachment. Note: If you receive an e-mail with a dictation and a document attachment of the same name (.DSS and .DOC files), you must copy both attachments into your work directory* before you open the dictation. 2 Change the directory „My dictations“ in Walkabout Write and then select in menu „Edit > Paste“, this will copy the .DSS dictation into your directory „My dictations“ or press the right mouse key on the .DSS attachment in the e-mail program and select „Store as“ to store the .DSS dictation into your work directory*. Copying dictations from the dictation machine 1 Connect the dictation machine via the USB interface with the PC (the connecting cable is supplied with the dictation machine), and then switch the dictation machine on. In the display appears „PC mode“ and the dictation machine is handled like a removable disk drive. The dictation is automatically transferred into the „My dictations“ directory. Note: In doing this, the dictation is deleted from the „Dictation machine (MMC)“ and obtains in the „My dictations“ directory automatically the „taken“ status. When opening the dictation, your default write application (e.g. Microsoft Word) is automatically started and the Walkabout Write window is minimized (only the player remains visible), and disappears in the background. 11 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 12 EDITING DICTATIONS Note: The default write application can be changed in the „Settings > General Settings > Default Write Application“ menu, or permanently be switched off by selecting the „no program“ option. A new document (e.g. .txt, .doc, .html, .htm or .rtf) with the name of the dictation is created. If a dictation with the same name already exists (e.g. a not yet finished dicttion, or a voice recognition dictation), this is called up by the write application. Note: Depending on the template selected in the „Settings > General Settings > Standard Write Program“ menu, an empty document (Normal.dot) or the corresponding template (e.g. Fax.dot) is opened (see menu functions). While transcribing, the player is controlled via the foot control. If you select a new dictation and want to carry out the control functions via the main menu, press the „Alt + Tab“ keys, or click on the task bar to bring the minimized Walkabout Write window back to the foreground (Window specific). Independent of the running program, Walkabout Write can always be controlled via the foot control. Opening without write application (only playback) To do this, you must select in the „Settings > General Settings > Default Write Application“ menu the „No program“ option to enable the playback of dictations without running a write application. 12 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 13 EDITING DICTATIONS Operating the player Reset volume level Position pointer Minimize/ maximize button Start/backspace Control buttons Close dictation Playback mode File name of the opened dictation Reset speed Run length/ remaining run length Volume/speed controls The „Rewind“ (start/backspace) function carries automatically out a short rewind before the „Start“ function. Select the rewind time by clicking on the arrows below the rewind box. If „0“ is selected, no rewind function takes place. The position pointer indicates the current dictation position. Above the pointer the name of the opened dictation is indicated. The box to the right shows whether you hear an info or the dictation. Next to the position pointer the run length or the remaining run length is shown if this is loaded into the player. Through clicking on the respective box, you can select between total and remaining run length. The last selected setting is retained. The volume and speed can be adjusted with the respective controls. Clicking on the respective button, you can reset the volume and speed to the medium positions (at fast rewind and forward wind, these buttons are not active). Playback of the dictation is controlled via the control buttons and/or the foot control. 13 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 14 EDITING DICTATIONS Clicking on the „ button“ closes the dictation. The „Close dictation“ window pops up. Using the „ as desired. button“, you can minimize or restore the Walkabout Write window Hearing infos With dictation machines with Info function, you can send acoustic infos from the author to the typist. If a dictation is loaded in the player, you can hear the acoustic infos one after the other by clicking on the „ button“, or by pressing the buttons „Alt + I“, independently of the settings of the radio buttons in the player menu. If no dictation is loaded into the player, you can only hear the first acoustic info to a dictation via the menu function „Edit > Hear Info 1“ or call it up via the „ button“ in the Toolbar of the menu functions. 14 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 15 EDITING DICTATIONS Accompanying note When marking or opening a dictation, the accompanying note can be called up by the menu function „Edit“ > „Accompanying note“. This is transfered with every dictation. In the dictation’s accompanying note, the transcriber finds the author’s information to the dictation: e.g. topic, no./ref., deadline of completion, priority. The author can select from different „Dictation types“. The transcriber then can call up the appropriate form template in his write application. The author can select from different „Groups“. Here he can enter the name of the department, or the working domain of the transcriber. The author can enter a „Topic“ (e.g. a doctor the name of a patient). He can also fill in the „No./Ref.“ box (e.g. reference number). He can also select a transcriber layed down during the installation and determine a deadline for the completion of the dictation. 15 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 16 EDITING DICTATIONS Priority In the case of several dictations, the author can lay down the Priority with which the individual dictations are to be handled (priority 1 to 16, highest priority = 1). The entries filled in by the author cannot be changed by the transcriber. Boxes which are not filled in by the author can also be filled in by the transcriber. After saving the accompanying note, it is possible to change these entries. The „Status“ box is automatically filled in by the program „Dictated“ „Sent“ „Taken“ „Finished“ This status is indicated if the dictation has directly be loaded from the Digta into the „My dictations“ directory. The status, date and time are shown if the the transcriber clicks on the „Finished“ button in the „Close dictation“ window. Closing a dicatation and a Word document To close a dictation, click on „Close“ in the „File“ menu or click on the close button to the upper right of the player. or end the default write application. If you select the „Exit“ function in the „File“ menu, the „Close dictation“ dialogue box appears. If you end the dictation by clicking on the „Not finished“, button, the dictation’s status remains unchanged. The „Open next dictation“ function can be activated or deactivated in the „Close dictation“ dialogue box. Important notes: Along with the dictation, the document having the same name (e.g. Word docment) is automatically saved and also automatically sent with the dictation. Walkabout Write shows in the dictations window under the „Text“ column whether a document (.doc, .rtf, .htm, .html or .txt) exists along with the dictation. Open next dictation The „Open next dictation“ button can only be activated if at least one dictation has the „Taken“ status in the work directory. In this case Walkabout Write searches in the „My dictations“ directory for all dictations having the „Taken“ status. The dictation with the next deadline is opened. If several dictations with the same deadline exist, the dictation having the highest priority is opened. 17 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 18 EDITING DICTATIONS Sorting The order of the dictations can be changed in the directory windows. By clicking on the buttons in the headline of the „My dictations“ directory (e.g. „Priority“, „Deadline“), you can individually change the order of the dictations. Examples: Click on „Prio“: the dictations with high priority (1, 2, 3) are at the top. Click on „Prio“ again: the dictations with low priority (16, 15, 14,) are at the top. Click on „Deadline“: the dictations with the next deadline are at the top. Click on „Deadline“ again: the dictations with the latest deadline are at the top. You have the additional possibility to click with the right mouse button on the titles of the columns to display or suppress these. The order and size of the boxes can also be changed by dragging them with the mouse. These individual settings are temporary and are reset when ending the program. When clicking on „Reset“, the original order is restored. Note: When activating the option „Settings > General Settings > Individual Settings“, all changes made are retained when restarting Walkabout Write. 18 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 19 MENU WALKABOUT INHALT FUNCTIONS WRIT In the menu functions windows, all functions which can currently be carried out are active. The currently active functions can also be shown by clicking with the right mouse button on a dictation. Meaning of the symbols The most important functions can be carried out by clicking on the corresponding symbol in the symbol bar. If you move the mouse pointer on a symbol, its function will automatically be displayed. The „Close“ function is only active when the dictation is opened. Note: All Dictaphone dictation machines equipped with the clock function enter the date into the dictation file. This date appears in the „Started“ column of the directories. Send to ... You can send dictations as .DSS file from the „My dictations“ directory. Depending on the dictation, the recipient is already assigned in the „Send dictation“ dialogue box. If you send several dictations at a time, no name is pre-assigned. If you wish to enter a different recipient, overwrite the pre-assigned name or select another via menu. 1 2 3 4 5 6 Click on the desired dictation. Click on the „Send“ command in the „File“ menu. The „Send dictation“ dialogue box pops up. – The „Send dictations“ window pops up. Select a recipient or enter the desired e-mail address. If desired, enter a subject. Click on the „Include DSS player““ box if you wish to include this software. The „Close dictation“ window pops up. If you end the dictation by clicking on the „Not finished“ button, the dictation’s status remains unchanged. The function „Open next dictation” can be activated or deactivated while „Close window” is displayed. Note: To hear or open a new dictation, the player must be cleared from dictations. Save as ... You can save (archive) dictations under a different name in any directory as .DSS or .WAV file 1 2 3 4 5 Click on the desired dictation. Click on the „Save as“ command in the „File“ menu. – The „Save as“ window pops up. Select the desired directory. Select the desired file format. – The default setting is „.DSS“, meaning that the format is not changed. Click on the „Save“ button. Play You can play back the dictations via a headset or via the loudspeakers of the PC. 1 2 Click on the desired dictation. Click on the „Play“ command in the „File“ menu, or double-click on the dictation to open it. – The Player window pops up. You can control the playback functions via the buttons below the Player (can be displayed or removed via the „Settings“ menu), or via the foot control. 21 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 22 MENU FUNCTIONS Delete You can delete one dictation or several dictations at a time. 1 2 3 Mark the dictations you want to delete. Click on the „Delete“ command in the „File“ menu, or on the „ button“ in the symbol bar. – A safety prompt appears. Click on the „Yes“ button. Import You can import dictations from any directory into the „My dictations“ directory. 1 2 3 4 Click on the desired dictation. Click on the „Import“ command in the „File“ menu. – The „Open“ window pops up. Select the desired directory and dictation. Click on the „Open“ button. Export You can export dictation from DSS format to different WAV formats which e.g. are used for speech recognition. Exit Click on the „Exit“ command in the „File“ menu. – Walkabout Write is ended. 22 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 23 MENU FUNCTIONS The Edit menu You can carry out the following functions in the „Edit“ menu: „Accompanying note“, „Copy“, „Paste“, „Rename“, „Play beginning of dictation“, „Play Info 1“, „Move all to PC“, „Move selected to PC“ and „Move selected to dictation machine (MMC)“. Accompanying note See page 15. Copy, Paste You can copy dictations from a directory and paste them into another directory. 1 2 3 4 Click on a dictation in the „Dictations in dictation machine (MMC)“ window, for example. Click on the „Copy“ command in the „Edit“ menu. Click on the „My dictations“ window. Click on the „Paste“ command in the „Edit“ menu. These functions can also be carried out with the drag and drop function using the mouse as in windows. Rename You can rename your dictations. This function is only available to the author. 1 2 3 4 Click on the dictation to be renamed. Click on the „Rename“ command in the „Edit“ menu. Enter a new name in the „File name“ text box. Confirm with the Enter key. Play beginning of dictation You can play the first seconds of a dictation. 1 2 Click on a dictation in the „Dictations in dictation machine“ box, for example. Click on the „Play beginning of dictation“ command in the „Edit“ menu. 23 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 24 MENU FUNCTIONS Play „Info 1“ With dictations which have been created with a dictation machine equipped with the Info function, you can play an existing „Info 1“ (this function is only active if the dictation contains an info). 1 2 Click on a dictation, for example in the „My dictations“ window. Click on the „Play Info 1“ command in the „Edit“ menu. Move dictations „Move all to PC“, „Move selected to PC“ und „Move selected to the dictation machine (MMC)“. Using these functions you can transfer dictations between the PC and the dictation machine. 1 2 Connect the dictation machine via the USB interface with the PC. Use the »ON/OFF« button to switch the dictation machine on and in PC mode. Note: Disconnect the USB interface only via the task bar (from Windows 2000) as otherwise the data transfer can be incomplete. Through the Move function the dictations are deleted in the source directory. 1 2 Click on a dictation in the „Dictations in dictation machine (MMC)“ window, for example. Click on the „Selected to PC“ command in the „Edit“ menu. or the „ button“ in the menu functions. – The dictation is moved to the „My dictations“ directory. – During data transfer the red recording indicator is blinking. These functions can also be carried out with the drag and drop function using the mouse as in windows. Note: An interruption of the data transfer due to exhausted batteries destroys the dictations. We recommend therefore to carry out the data transfer only with full batteries or with the mains unit. 24 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 25 MENU FUNCTIONS The View menu In the „View“ menu you can refresh the view of your directories. You can activate or deactivate the Toolbar and the Status bar. Via the „Next directory“ or the keyboard command „Ctrl + Tab“, you can display the next directory (e.g. „Sent dictations“). These functions are handled as known from Windows. Note: Carry out the „Refresh F5“ command if the dictations on the dictation machine are not shown although the dictation machine is connected with the PC and the PC mode is switched on. If the view of the directories does not change after having carried out an edit function (e.g.„copy“, „move“), press the „Refresh“ key („F5“ on the PC keyboard). The Settings menu In the „Settings“ menu, you can carry out the following commands: „Dictation machine drive“, „PC dictation directory“ and „General Settings“. Dictation machine drive As soon as you connect your dictation machine to a PC, it is treated like a removable disk drive. In the event of problems with the USB interface connection, such as switching the dictation machine off, or disconnection from the PC during operation, Walkabout Write demands a new assignment of the drive to the dictation machine: 1 2 Click on the „Dictation machine drive“ in the „Settings“ menu. – The „Select directory“ window pops up. – The „Removable disk (F:)“ is marked. Confirm with „OK“. Your Digta is ready for use again. PC dictation directory The „PC dictation directory“ menu item allows you to select a directory for saving your dictations. 1 2 3 Click on the „PC dictation directory“ menu item in the „Settings“ menu. – The „Select directory“ window pops up. Click on the directory in which you wish to save your dictations, e.g. „C:\Dictations\My dictations“. Click on the „OK“ button. 25 WalkaboutWrite_lang-GB_271102 27.11.2002 10:36 Uhr Seite 26 MENU FUNCTIONS General settings With the „General settings“ menu function, you can activate or deactivate the control buttons of the Player. The default setting for the Info/Dictation sound signal is on. With the general settings function, it can be switched off. The volume level at fast forward and rewind can also be changed with this function. The default setting is 50% and double speed. Using the arrow keys, you can adjust the volume from 1 to 100%, and the speed to 1 to 30 times the normal speed. If you wish to load and play the dictations automatically via the foot control, this function allows to change the setting. This function provides you also with the additional possibility to save the individual order of your dictations list. 1 2 Activate/deactivate the function or select the new settings using the arrow keys. Confirm with „OK“. Note: The sound signal is only active if „Sound“ is selected in the general settings of your PC. Default Write Application With the „General settings > Default Write Application“ function, you determine what write application Walkabout Write starts automatically when you open a dictation. 1 2 Select the desired write application. Confirm with „OK“. You are provided with the additional possibility to preset the data format the edited dications are to be saved with. 1 2 Select the desired data format. Confirm with „OK“. Within send dialogue these users are displayed in pull down menues as e-mail recipients and cc recipients and can be selected directly. Only one author and one typist of created users can be transferred into digital dictation machine via standard accompanying note. These users are necessary to identify dictations. Note: The Default_DICT user cannot be modified or deleted. Both identifications and user name will be loaded into digital dictation machine. The dictation machine creates the beginning of dictation name out of first 4 characters of identification. The no-charge period of support assumes a PC with a functioning sound card and access to the shared directory used to pass dictation to the software system. It does not include the setup or support of other vendor’s products, sound cards, mail programs, Internet access or networking issues. The Walkabout model and serial number is required to obtain the initial 90 days of telephone support. The Walkabout serial number is located either on the back or inside the battery compartment of the product. Product support will be provided via a toll-free call.
