Dear Graduate,
Congratulations on obtaining your award!
We hope that you enjoy your Graduation ceremony; it is a chance for you, your friends and family and those who have
helped you through your studies to celebrate your success. The University of Winchester prides itself on producing gratifying
and enjoyable ceremonies. In order to ensure things go smoothly, careful organisation and the cooperation of all involved is
essential, so please do read this brochure carefully and take note of any action needed by you.
There are a number of arrangements for you to make and some key pieces of information to remember, but this brochure will
ensure this process is as easy as possible for you.

Registration
How do I register?
Details of how to register will be in your personal graduation invitation. This invitation will be emailed to your
University email address and any other email address you have provided in Summer 2016. You must accept the
invitation and register your attendance at Graduation by Friday 26th August 2016. If you fail to respond to your
invitation by the deadline, we will assume you will not be attending.
Please ensure that the personal email address the University has for you is up to date via ‘My Record’.
What happens if I cannot attend the ceremony?
If you are unable to attend your ceremony, you must follow the instructions on your Personal Graduation Invitation
and tick that you will not be attending. Your award will then be conferred ‘in absentia’. Your name will appear in the
programme but will not be read out during the ceremony. Your certificate will be posted to your home address after the
ceremony if you have not already received it.
Please ensure that your home address is up to date via ‘My Record’.
What if I do not receive a Personal Graduation Invitation?
You can only apply to come to Graduation if you have received an official Personal Graduation Invitation. If you have
not received your invitation, please contact the Awards Officer as soon as possible and (if appropriate) you will be sent
your invitation via email.
Please do not pass the graduation information on to other people. There could be a good reason why someone has not
received an invitation – we may not at this stage be expecting him or her at the ceremonies.
What will happen if I miss the deadline?
Unfortunately, it will not be possible for you to attend your Graduation ceremony if you miss the registration deadline.
Outstanding Fees/Debts
You must clear all debts by Friday 26th August 2016. You will not be permitted to attend graduation nor will you be
sent your award certificate if you are in debt to the University.
It is your responsibility to check that your account is clear. Debts to the University include unpaid academic fees and
charges, accommodation fees and charges, library fines and unreturned books or equipment. Please also note a debt
will be noted on your account if your sponsor has not paid your fees. You should have received reminders from the
University regarding any outstanding debts (unless the debt is with your sponsor). If you have not already done so, it is
important that you respond to them urgently.
If, at the time of sending out the tickets, you owe money, books or other equipment to the University, you will not be
allowed to attend your graduation ceremony. You will not be sent confirmation that you can attend nor any tickets for
your guests. You will also not receive your award certificate until you have repaid your debt.
How much does it cost to attend?
The University of Winchester is one of the few remaining institutions which does not charge for graduation. The only
compulsory cost you will incur (apart from your travel costs to and from the ceremony) is your academic dress hire
which you pay directly to the gown hire company.
Is it possible to swap to another ceremony?
It is not possible to change a date as the ceremonies are held by Faculty. If the date is inconvenient, you may choose to
graduate in absentia.

Tickets and Seating
Do I need a ticket if I am graduating?
As a graduand, you will not require a ticket to enter the Cathedral but you must wear appropriate academic robes. On
entering the Cathedral, you will be checked off on a list to ensure that we are expecting you; so do ensure you have
registered in time.
How many guests can I have?
All Graduands attending a ceremony will be allocated 2 guest tickets. All tickets to Graduation are free of charge.
For some ceremonies with large numbers of graduating students, we will not be able to allocate any more than the
standard 2 guest tickets.
When registering to attend Graduation, you will have the opportunity to request extra guest tickets. We do ask that no
student request more than 4, in a view to remaining fair to all.
Once all ceremony numbers have been calculated and depending on the number of extra tickets available per
ceremony, Registry will allocate extra tickets as fairly as possible.
What if I do not receive as many tickets as I would like?
If you do not receive all of your requested guest tickets, guests are still welcome to gather outside of the West door of
the Cathedral. Graduates will process out of these doors when the ceremony is finished.
Do children need tickets?
Any child over the age of 3 will require a ticket to attend a ceremony. Any child attending without a ticket must sit on
the lap of one of your guests.
It may be worth noting that Graduation ceremonies are long services and are not particularly appropriate for young
children who may become bored and restless.
How do I receive my tickets?
Guest tickets will be sent via post to your home address. Please ensure your home address is up to date via ‘My Record’.
Seating in the Cathedral
Guest seating within the Cathedral is not allocated. We ask that guests make their way to the Cathedral with plenty of
time to be seated. The Cathedral is a beautiful but old building with many stone pillars and there are restricted views
from some seats. However, monitors are provided throughout the Cathedral so that you can follow the proceedings on
screen from any seat with a restricted view.
Graduands will be sat at the front of the Cathedral and arranged by programme and alphabetically. There will be ushers
at each ceremony to assist with Graduands finding their seats.
Guests with special requirements
There will be an opportunity to let us know if either yourself or any of your guests have any special requirements when you
register for graduation. We will make contact with you before your ceremony to discuss how we will meet your requirements.
When notifying us of requirements, the more specific you are able to be, the better we will be able to assist you.
Assistance might include such things as seating you in the best seat, providing you with a personal usher to guide
you on the day, asking the Chancellor to come down the few steps to greet you (he is extremely happy to do this) or
providing a wheelchair ramp up the steps. Staff at Graduation are very experienced and are keen to assist all graduands
in getting the most out of their Graduation day.
We may be able to issue you with a permit which allows you to drop off members of your party directly outside the
front of the Cathedral. Unfortunately we are unable to provide parking spaces for you at the Cathedral so you will need
to park the car in one of the various car parks in the city. If you would like the details of disabled parking available in
Winchester, you can phone the Winchester Parking Office on 01962 848346.

What to Wear
Do I have to wear the cap and gown?
You cannot have your award conferred without the proper academic dress. Please hire the appropriate academic robe,
hood and cap for the award you are receiving. Remember to bring some safety pins and hair grips to help secure your
hood and cap.
Worth noting: caps are not to be worn inside the Cathedral.
How do I hire my gown?
The company that holds the academic dress for the University is called J. Wippell & Co. To order your academic dress
please go to www.wippellgownhire.co.uk or telephone them on 01392 254234. The company’s website contains details
of which hood you require for the award you are receiving.
You must order your academic dress no later than 21 days before the ceremony.
What should I wear?
There is no strict dress code but graduands and guests usually wear smart clothes. Please be aware that the floor of the
Cathedral is an uneven stone floor and graduands will be asked to walk up some steps to greet the Chancellor so it will
be best to consider wearing suitable footwear and avoid excessively high heels.
The graduation hood fastens by a loop that needs to be attached to a shirt or jacket style button; wearing something
like this may help keep your academic dress secure.
Do remember that graduation will be inside a Cathedral and is held in mid-October, so please do dress appropriately.
Where do I collect my gown?
On the day of your graduation, you will need to collect your gown and hat from the Winchester Guildhall prior to
your ceremony. If your ceremony is in the morning, you can collect your gown from 08:00 am. If your ceremony is in
the afternoon, you can collect your gown from 11:00 am. All gowns should be returned by 5.30 pm. The Winchester
Guildhall is in the centre of town approximately five minutes’ walk from the cathedral. You may find it useful to bring
some safety pins to help hold your hoods in place.
Where can I put my coat and bag?
We ask that all graduands leave their coats, bags, umbrellas and any other items that will not be needed during the
ceremony with their guests.

Where can my guests park?
There is no parking available at the Cathedral and public car parks will have to be used. Fortunately, there are several long and
short-stay car parks within easy walking distance of the Cathedral and the Guildhall and these are marked on the map below.

Certificates
When will I receive my certificate?
Your certificate will be issued to you on the day of Graduation, if you attend. Please double check the information on
the certificate is correct. Take good care of your certificate – it is a valuable and unique document that verifies your
award. Your certificate will show your full name, award, programme of study, classification and the date your award was
confirmed.
What if I do not attend Graduation?
If you do not attend a ceremony, your certificate will be sent to you by recorded delivery as soon as possible after the
ceremonies. Your certificate will be sent to the home address which is held on our student records system – so it is
important to check this is up to date via ‘My Record’.
Which name will appear on my certificate?
The name on your certificate should be your full legal name; we will use the name you provided at enrolment. If this
is misspelt or missing any middle names, please double check this and contact [email protected] to
make any changes as soon as possible. It is your responsibility to ensure all of your details held by the University are up
to date. Information currently held by the University such as your name and address can be seen on your ‘My Record’
screen on the University Intranet.
What if I do not receive my certificate?
If you have not received your certificate 6 weeks after Graduation, please contact the Awards Officer as soon as
possible by emailing [email protected]
What if I need a replacement certificate or certified copy?
A replacement of your original award certificate may be issued if your original were lost, stolen, mislaid or damaged.
Replacement Certificates have a cost of £20 and can be purchased through the University’s online store. The
replacement will state ‘Replacement Certificate issued’, and will have a different audit number which will automatically
invalidate the original certificate.
Where graduates require certification of photocopies of their original certificate, this can be arranged at a cost of £3.00
per photocopy. Please send your original certificate via recorded delivery to Registry. Registry will return all certificates
via recorded delivery.

On the Day
How long does the ceremony last?
The ceremony normally lasts about one and a half hours but this depends on how many students are graduating and
whether or not an honorary degree or honorary fellowship is conferred.
What happens if I am late for my ceremony?
If it is possible to seat you before your name is read out you will be able to participate as normal. If you arrive after
your name has been read out then you have missed your opportunity to graduate in person and will be deemed to have
received your award ‘in absentia’. You will still be able to sit with your fellow graduates. We will do our best to include
any late graduands but cannot disturb the order of proceedings.
Can my guests take photos/videos of the ceremony?
Unfortunately, we cannot permit any photography or taking of videos of the ceremony. Every ceremony will be
professionally filmed and photographed and DVDs and souvenir photos will be available to purchase at the Winchester
Guildhall or online after the ceremony.
Will there be commemorative items for sale?
Items can be pre-ordered – see the advertisements in this brochure - or purchased on the day in the Winchester
Guildhall. The University will also be selling souvenirs in the Guildhall.
Note that if you opt out of being included in press lists, your name will also not appear on any merchandise.
Where can I get official photos taken?
Tempest Photography (the University’s only authorised graduation photography company) will be providing a
graduation photography service inside the Guildhall next to the room where the gown hire takes place. You can have
official photographs taken before or after your ceremony and you can have a group photograph with your family and
friends. Photography sessions cannot be booked and photographs cannot be pre-ordered before the day but there
are plenty of studios set up ready to take your photographs. A still photograph is also taken of each graduate as they
shake hands with the Chancellor in the Cathedral and is available to order from the Tempest website. See the Tempest
Photography page later in this brochure for details of the service that they offer or visit their website at www.tempestgraduations.co.uk
What refreshments will be available on the day?
Refreshments are available through various catering outlets in Winchester and graduands and their families and friends
can choose whichever refreshments suit them i.e. formal lunches and dinners or refreshments in pubs or tearooms.
Catering establishments are listed in this brochure and you may find this useful when making reservations. We
recommend booking to avoid disappointment on the day as with two ceremonies a day, it is a particularly busy time for
local establishments.
How can I arrange overnight accommodation for myself and my guests?
Some hotels are listed in this brochure and, in addition, the Winchester Tourist Information Office has a list of hotels,
guest houses and bed and breakfast accommodation. Please contact them directly on 01962 840500 or via www.

Where do I find out about the Graduation Ball?
The Graduation Ball is organised by the Student Union. Details of the event will be available on their website close to

Once you graduate, you are a member of The Winton Club – the University of Winchester’s Alumni Association. It’s a
free society with over 20,000 members worldwide. As a member of the Winton Club you join a growing number of
prestigious graduates – including comedians Nick Helm and Shappi Khorsandi, journalist Martin Bashir, and The Walking
Dead star Lauren Cohen.
As an alumni member you will receive Venta – the alumni magazine – and invitations to reunions and University events.
You might choose to come back to Winchester to study with our Alumni Masters Scholarships created especially for you.
During graduation week, you can find out more about the Winton Club by visiting us in the Guildhall where you will be
able to update your contact details, discover membership benefits and purchase alumni gifts. These services are also

Your first reunion is Winton Weekend in February 2017 – the sports reunion that gives all graduates the chance to return
and show Team Winchester what they are missing. The weekend includes an eagerly anticipated party on the Saturday
night at the Student Union.
