Vacation Packages FAQ About Purchasing Power Vacation Packages Q: What is Purchasing Power Vacation Packages? A: Purchasing Power Vacation Packages gives employees an easy and affordable way to budget and pay for their vacations through payroll deduction. According to a CareerBuilder survey, one in five workers report that they can’t afford to take a vacation . Our mission is to enrich the lives of employees and their families by providing a variety of travel options while giving them a convenient way to pay. Q: What types of vacation packages are available? A: We know that one travel package does not fit all, so our vacation experiences provide our customers with travel-specific certificates so they can customize their vacations to fit their needs. We offer the following vacation packages: • Cruises (Royal Caribbean & Celebrity Cruises) • All-Inclusive Resorts (Beach Palace, Playacar Palace or Le Blanc Spa Resort) • Hotel Packages (Hyatt and Fairmont Hotels) • Destination Packages (Las Vegas, Hawaii, Orlando, New York City, San Francisco & Lake Tahoe) For more information on the types of packages available, please visit www.PurchasingPower.com/vacation-packages. Q: How does the program work? A: Employees will purchase their vacation package by placing an order on the Purchasing Power website or through a customer service representative via the phone. After an order is placed and processed, they will immediately receive an email confirmation, and their vacation voucher will be mailed to their home address within 14 days. They will be instructed to then call the number on the voucher to book their vacation once they have confirmed their travel dates. Payments for the vacation will be payroll deducted over 12 months, starting from the date the vacation package is purchased, regardless of when the customer books the vacation. register Register or login at PurchasingPower.com. A: No, Purchasing Power Vacation Packages will be administered in the same manner as our existing products and services. Q: Can Purchasing Power Vacation Packages be sold on its own? All rights reserved. 1 Voucher Questions Q: What is the cancellation/return policy? A: Employees have up to 30 days upon receipt to cancel their order and return their vacation package voucher. Once the employee has booked and confirmed their vacation, it becomes non-refundable. Q: The vacation package the employee purchased is now longer than they need, can they get a refund on the unused part of the trip? A: If the employee received their voucher(s) less than 30 days ago and has not yet booked the vacation, they can receive a refund for the entire package. If they received their voucher(s) more than 30 days ago, the following options apply: • Hyatt and Fairmont Hotels: Each night’s stay is equivalent to one voucher. The employee may choose to use only the number of certificates needed for the vacation and use the remaining certificates for a future stay. º Hyatt vouchers are valid for 15 months after date of purchase. º Fairmont vouchers do not expire. º If the employee has already booked their stay (using all their vouchers) at either Hyatt or Fairmont, certificates become non-refundable; however at the hotel’s discretion, the employee may be able to rebook their reservation for another date to use the full value of the vouchers • Royal Caribbean and Celebrity Cruises: The employee may opt to book a shorter cruise (if available and with permission from the cruise line); however, the unused nights on the voucher will be forfeited. • Palace Resorts, Tropicana and Embassy Suites: The employee must book for the full duration of the vacation and any unused nights will be forfeited. Q: What will happen if an employee recently purchased their vacation package and now is unable to travel? A: If the employee received their voucher less than 30 days ago and has not yet booked the vacation, they can receive a refund for the entire package. If they have already booked their vacation, they have the following options: • Contact the property directly to see if they can change their travel dates, but a change fee and additional rate fees may be charged. • Change travel dates to a later time. Expiration restrictions vary by destination. º Hyatt Hotels: Valid for 15 months after date of purchase º Fairmont Hotels: No expiration date º Royal Caribbean and Celebrity Cruise: No expiration date but after 24 months from the date of purchase, the voucher reverts to a dollar value credit that will be applied when making the reservations. (Note: the dollar value credit will not be the same amount as the employee paid, but only a partial credit.) º Palace Resorts: Valid for 13 months after the date of purchase. º Tropicana Las Vegas: Valid for 12 months after the date of purchase. º Embassy Suites Orlando: Valid only for the travel season stated on the voucher. Q: Can the employee purchase the vacation package as a gift? A: Yes. The employee can provide the name and mailing address of the gift recipient when placing the order through Purchasing Power if they want the voucher to be sent directly to the person. No names are provided to the hotel/cruise line until the reservation is made, so the voucher is completely transferrable; however, once a reservation is booked, it cannot be transferred to another person. Q: How many vouchers will the employee receive in the mail? A: The number of vouchers the employee will receive varies upon the vacation package they selected. • Embassy Suites Orlando: The employee will receive one voucher for their entire stay. • Hyatt and Fairmont Hotels: The employee will receive one voucher for each night of their stay. • Tropicana Las Vegas: The employee will receive one voucher for their entire stay. º Royal Caribbean Cruises: The Employee will receive one voucher for their entire cruise, plus one voucher for $200 “Royal Cruise Dollars” that can be used for the following: · Upgrade cruise or cabin · Add additional guest to booking Purchasing Power, “A Better Way to Buy” is a registered trademark of Purchasing Power, LLC. All rights reserved. 2 Voucher Questions continued · Pre-purchase on-shore excursions • Celebrity Cruises: The employee will receive one voucher for their entire cruise. • Palace Resorts: The employee will receive one Palace Rewards Card for their entire stay. Q: How long will it take for the employee to receive their travel vouchers? A: The employee will receive their vouchers within 14 business days after they place their order via UPS with signature requirement. If the employee is not available to sign for the package, they may be required to pick it up at their local UPS location. Q: What happens if the employee loses their voucher? A: Vouchers are the equivalent to cash, so if they are lost, stolen or destroyed, we are unable to void, refund or reissue another voucher. Q: Can the employee use more than one voucher at the same place at the same time? A: For Hyatt and Fairmont Hotels: Both Hyatt and Fairmont issue vouchers based on one room per night, so if an employee wants to book two rooms for three nights, they can purchase a six night package and use three of the vouchers for one room and three for the second room, as long as the hotel has the rooms available. For Royal Caribbean and Celebrity: The cruise lines will permit an employee to use more than one voucher at the same time; however, bookings are subject to availability. For Embassy Suites Orlando: The hotel will permit an employee to book more than one suite per stay, based on availability at the time of booking. For Palace Resorts and Tropicana Las Vegas: The hotel will only permit one voucher to be used per reservation; however, an employee may purchase more than one certificate and give them to other people in their party to book in their name. Vouchers will be honored based on availability at the time of booking. Booking & Pricing Questions Q: The employee found lower rates when researching their vacation. Will the property honor the lower price? A: Travel pricing can be complex because properties can raise or lower their rates on a daily basis, depending upon availability. The advantage of booking through Purchasing Power is that the employee gets to use convenient and easy payroll deduction to pay for the vacation package over 12 months, and they have a guaranteed price no matter when they choose to travel. The property will honor the services provided in the vacation package, and the up-front, total price through Purchasing Power is all the employee will have to pay. Q: What is not included in the Vacation Packages? A: For most of the vacation packages, airfare, ground transportation, upgrades, tours, services and anything not explicitly stated as being provided by the voucher will not be included. • The all-inclusive Palace Resorts packages will provide round-trip transportation from Cancun International Airport to the hotels Q: The employee wants to extend their stay or book an additional room. How can they do that? A: There are a couple of options depending on the vacation package they purchased. • Hyatt and Fairmont Hotels: The employee has the option to purchase the exact number of days by adding multiple vacation packages to their shopping cart. Please note that some hotels may restrict the number of certificates that can be used at Purchasing Power, “A Better Way to Buy” is a registered trademark of Purchasing Power, LLC. All rights reserved. 3 Booking & Pricing Questions booking. • Tropicana Las Vegas: This trip cannot be extended but employees may email [email protected] to find out what the additional cost would be to extend their stay or add a guest. They will simply need to reference that they are purchasing a “Three-Night Getaway Certificate” in the email. • Embassy Suites Orlando International: The ability to extend is based on the availability and discretion of the hotel and will be based on the current published rate. Payment for any additional nights will be required at the time of booking. • Royal Caribbean and Celebrity Cruise: Certificates are only good for the entire cruise; however, employees may use their certificates to upgrade to a longer cruise at the time of booking. They will need to provide full payment for the additional cost at that time. • Palace Resorts: The Palace Rewards card is based on the number of nights purchased. If the employee wishes to change the number of nights and are within the 30 day refund period and have not used the card to make a reservation, they may do so at that time by following the return procedures outlined in their vacation package. Q: Can the employee upgrade their room? A: The employee can upgrade their room, based on availability, for an additional cost when they book their reservation. Q: What happens if the employee arrives at their destination and they’re not happy with their room/cabin? A: The employee will need to discuss their concerns with the hotel manager or ship staff. Most hotels and cruises want be accommodating as possible, so they will work with them based on their current availability. Q: Will the employee have to pay additional taxes on their vacation package, other than what is listed? A: In general, there will be no additional taxes that need to be paid. However, please note the following: • Palace Resorts: Employees will be required to pay an 11% Value-Added Tax on any credits used at Palace Resorts. • The Hyatt Regency Grand Cypress has a mandatory $22/day (plus tax) resort fee that will be charged to the employee at check-out. Q: It seems that a lot of these vacation packages are for two people only. Will the employee have to purchase an additional package for their children or additional guest in their room? A: The number of guest allowed in the room varies by the hotel and cruise line; however, we suggest that the employees check with the hotel or cruise line before booking to confirm: • Hyatt, Fairmont and Tropicana Hotels: Up to two children (12 and under) can stay for free based on room size availability. There is no guarantee of room availability for kids at the desired travel date the guest requests. • Royal Caribbean and Celebrity Cruise: Depending upon cabin availability, up to two additional people can be added to the reservation; however, the employee will be required to pay additional fees to add them. For Royal Caribbean, the employee can apply their $200 credit towards the cost of additional travelers. • Palace Resort: Children can be added when an employee books their reservation for an additional cost. • Le Blanc Spa Resort is an adult-only resort so no children are allowed at the resort. • Embassy Suites: Up to four people (any age) are permitted in a King Bed suite and up to six people (any age) are permitted in a Double Bed suite at no additional cost. Q: Are there any blackout dates that would prevent employees from using their certificates? A: Blackout dates vary based on the vacation package. These details are spelled out in the Travel Guide provided with each package. This Travel Guide should be reviewed during the shopping process before the employee places an order. • Royal Caribbean and Celebrity Cruise: The last two weeks of December including Christmas and New Year’s sailings are blacked out. • Palace Resorts: December 24 through January 3 is blacked out. • Embassy Suites: There are allotted booking dates, and based on the purchase date range, specific blackout dates apply. • Tropicana: No reservations can be made for stays from December 29-31. • Hyatt and Fairmont: Blackout dates may apply based upon the hotel availability at the time of booking.
