EPR Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 1 Instructions This is the first module to be presented to field personnel who will be responsible for creating baggage records. This module should be presented to everyone who will have the responsibility for working in the Baggage Service area of the airline's operation. Instructor For the section on creating Baggage Records from a PNR: prepare a set of PNR records. Create the PNRs with itineraries over the current or recently past dates (within 1-2 days past, as the itinerary still needs active in the face of PNR, not moved into PNR history). The itinerary segment should have a termination at the cities/stations that the students are using in class. Generate Sabre-system ticket numbers within the PNRs; add flight information to at least one of the segments. Notes Have at least one baggage record already created, note the bag tag number used in this Record. So that the students can view the Duplicate Bag Tag pop-up, during the section on creating a baggage record without a PNR, advise the students to enter the bag tag number from the previously created Record. For Display Record section, use the baggage records that the students created during the Create Record section. (Have the students notate the flight, date, passenger name they used when they created the baggage records, as well as the bag tag numbers they invent.) For the Claim Receipt and Print Forms sections, a hardcopy printer must be assigned. If there is not a hardcopy printer available in the classroom, the instructor should print sample copies of each form prior to presenting this portion of the training material so that the participants will have a copy of the printed form. A hardcopy of the IATA Airline Baggage Identification Chart should be available for bag description demonstration. 2 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Features of the Baggage Management Analysis System The Baggage Management Analysis System (or BMAS) is a realtime tracing system whose primary objective is to reunite a passenger with his/her baggage. The Baggage Management Analysis System provides realtime storage plus analysis of baggage performance for lost, found, damaged, and pilfered bags. Records are created, updated, and maintained by each airport city, providing the data for online management reports which reflect current, daily, weekly, monthly and year-to-date baggage handling performance statistics. Reports can be requested for a particular city, specific division, or the entire system. The Baggage Management Analysis System offers the features listed below that assist the host airline in meeting the above objective of reuniting a passenger with their lost baggage. They are: • Record creation and update • Displays • Analysis displays and online management reports • Baggage Record transfer • Baggage Tracing • Match Records • Merge Records • Forwarding messages • Closing Records • Settlement fields • Interface capabilities with SITA, WORLDRECORD, ACTS and BCCFS (Baggage Claims Control File System) The greatest benefit to the airline is an automated system of locating a customer’s bag, therefore reducing the amount of time that would normally be spent on phone calls and Teletype messages. To access the Baggage Service function labels: • Airport users: Select <F7> • Reservations users: Select <F6> The Baggage labels are displayed: 4 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Baggage record A baggage Record is a record of the mishandling of a passenger’s bag, most often, a Record is created for a lost bag. Upon confirmation that the baggage did not arrive with the passenger, the Baggage Service user will take the steps outlined in this module to create a Record for tracking purposes. The required elements of a baggage record are: • passenger name(s) • bag tag(s) • itinerary and ticket number • address (local and/or permanent) • telephone (home and /or business, local and /or permanent) • description of bag • check-in information When the baggage record is complete and the transaction ended, a system search is completed to determine if the bag is being tracked in the airline’s host system for a possible match. This will only work if the airline also uses the tracking process to create Baggage Management Analysis System Records for any unclaimed bags, which are referred to as onhand bags. The same is true when a Baggage Service user enters an onhand bag into the system. A search of all Records is completed to determine if there is a match. The Baggage Management Analysis System searches all onhand bag Records for a match to the open Records, and searches all Records for a match to an onhand bag Record. Responses to the search are placed on a baggage message queue for review. (Baggage Message Queues are discussed in the Baggage Queues module.) Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 5 Baggage - Create Record The purpose of the Create Record label is to create a baggage record for any lost baggage, damaged baggage, or pilfered baggage. To access the Create Record functions, select <Shift+F1> from the Baggage tab. The Create Baggage Record pop-up window displays with three options. To create a baggage Record: • Select Option: – Create Record Without PNR – Retrieve PNR and Create Record 6 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 – Create Record With Active PNR • Depending on option selected, Flight and Last Name may be required in this pop-up window • Select <OK> In most cases, it is preferable to display the passenger’s PNR as the first step in creating a Record. By doing so, required information is automatically transferred from the PNR into the Baggage record file. However, in cases where the PNR cannot be retrieved, the user is still able to create a Record. For purposes of this lesson, the Create Record without PNR is discussed first, to permit detailed explanation of the steps in the process. Create Record without PNR From the Create Baggage Record pop-up window, • Select Option: Create Record Without PNR • Select <OK> The Add Bag Tags pop-up window displays. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 7 • Destination: Enter the three-letter Destination Airport or city code • Bag Tag Numbers (at least one is required): Standard IATA bag tags contain six numeric characters. The bag tag number input fields allow up to eight characters, as two additional spaces are provided for an airline 2-letter alpha code. Note: The two-letter airline code should precede the bag tag number only when the bag tag was issued by another airline (example: HA123456). • As advised, enter UNK if the bagtag number is unknown • Select <OK> As a pop-up window series is completed, the Record or any error responses display on screen. Duplicate bag tags 8 When the bag tag(s) are entered, the database is searched for any previously created baggage records that have the same bag tag number. If a Record with a matching bag tag number is found, the Duplicate Bag Tag pop-up window displays: Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 • Select either: – Continue Creating Record – Display Previously Created Record • Display Previously Created Select <OK> If Display Previously Created Record is selected, the Record currently being created is ignored and the previously created Record is displayed on screen. Record Continue Creating Record If no duplicate bag tag number was found by the system, or if the user chooses to Continue Creating Record, the Add Passenger Name popup window displays. When creating a Record without a PNR, no information will be present. Enter all necessary information. • Select Permanent Address and/or Local Address • For each address field selected (Permanent and/or Local), either: enter the Street Address, City, State / Province, and Postal Code, or select Passenger Will Contact – Select Passenger Will Contact if any or all of the Permanent/Local address information is not currently available – If Passenger Will Contact is not selected for a category (Permanent/Local), the Street Address, City, State / Province, and Postal Code fields are required for that category • Select <Next> Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 11 Add The Passenger Phone pop-up window displays. Passenger Phone • Enter passenger telephone contacts as available: – Permanent Phone: Home – Permanent Phone: Business – Local Phone: Home (or hotel, as applicable) – Local Phone: Business – Alternate number: Mobile – Alternate number: Fax – if No Phone information is available, select Passenger Will Contact • Select <Finish>, as this will finish the Passenger Information part of the Record. To further enhance the search for the lost bag, the itinerary and ticket information are required in the baggage Record. 12 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Add Itinerary The Add Itinerary pop-up window displays. (Passenger / Baggage) Enter: • The 2-character Airline code and Flight Number – The flight number must have a minimum of two digits. If the flight number is a 1-digit flight number, add a 0 (i.e. flight 2 should be flight 02). • Date – Select month from drop-down list – Date must be either a past date (up to 330 days past) or the current date – cannot be a future date • Class flown • Origin (enter three-letter city or airport code) Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 13 • Destination (enter three-letter city or airport code) – If any data is entered in the boxes outlined above, all boxes must then contain data • Ticket Number (enter UNK if ticket number is not available) – The Ticket Number or UNK must be included with the first itinerary segment in the Baggage record • Select Type of Itinerary being entered: – the Passenger’s itinerary – their Baggage’s itinerary When the passenger’s itinerary is different than the routing of the baggage, the user should enter the itinerary for each leg of the itinerary. Enter the Passenger itinerary first. • Select Add More if more itinerary segments need to be entered If Add More is selected, the Add Itinerary pop-up window is returned. The other options are covered in subsequent modules.) • Color: select from pull-down list • Bag type: enter the two-numeric bag type code – To view a list of bag type code numbers, select Display Bag Type Baggage Type The Baggage Type pop-up window immediately displays: Use the up and down arrows on the keyboard to view the entire list. This listing should be used in conjunction with a hardcopy of the IATA baggage chart, so that non-zippered bags (codes 1-11) and zippered bags (codes 20, 22-29) can be described accurately. Note that this is an informational pop-up window only – highlighting an item from this list does not move it into the Record Options: Bag Description pop-up window. – Select <Previous> Focus returns to the Record Options: Bag Description pop-up window. 16 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Descriptive • Select Descriptive Elements from the pull-down lists: Elements Up to three descriptive elements may be indicated. Note: Elements selected must be entered in the alphabetical order of their codes. The individual element codes are: C Combination locks H Handles (retractable) P Pockets S Straps W Wheels X No element present To assist in proper entering of the elements, the three-letter total element code displays to the right of the third element box. Select an element and tab to see the total element code updated: If only one or two elements are entered, leave the remaining options at “No Elements.” If no descriptive elements at all are selected, the default total element code is XXX. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 17 • The following fields are optional: – Material (what the bag is made of: metal, plastic, etc.) – Manufacturer (this field allows up to six characters. Enter SAMSON for Samsonite, AMERIC for American Tourister, etc.) – Initials on bag – Surname on Bag (must be at least two letters; can be surname on bag or in the bag) (Please recall that it is easier to trace lost baggage when the maximum amount of descriptive information is provided.) • Remarks should be applicable to this specific bag – add any additional information that may be helpful in tracing the bag, such as YELLOW YARN ON HANDLE, etc. – If your carrier does not participate in Content Categories, use Remarks to document the bag contents • Select <OK> If your carrier participates in Content Categories, continue to the next section. If your carrier does not participate in Content Categories, the Content Categories pop-up window will not display. Please continue to the section of this module concerning the Add Check In Information pop-up window on page 21. 18 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Content Categories SITA World Record is a worldwide interline tracing service offered jointly by IATA and SITA. For those carriers who subscribe to World Record, there are standard content categories for each baggage description item that assist World Record in finding possible baggage record matches outside of the Host partition. Each carrier hosted within the Sabre system has the option to activate or deactivate the Content Categories function. For those carriers who have activated the content categories function, after the Record Options: Bag Description pop-up window has been completed, the Content Categories pop-up window displays: Use the <Tab> key to move through the Content Categories pop-up window line by line. Use <Shift+Tab> to back up. The up and down arrow keys move the cursor up and down the first column of categories. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 19 • Click with the mouse or use the space bar to place a check ; before each category that applies Up to a maximum of 12 items may be selected. (The “Bag Locked” content category would be used when creating an on-hand baggage record.) • Select <OK> The Category Descriptions pop-up window displays. The number of lines displayed in this pop-up window matches the number of items selected in the previous pop-up, each line matches one of the catergories previously selected. See the example display below: (If “Bag Locked” was selected in the previous pop-up window, alone or in combination with other items, the Category Descriptions pop-up window will not display.) • Fill in the descriptions for each category – Every category item that was selected must have a description added • Select <OK> The baggage description displays on screen. 20 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 If multiple bag tags were entered at the start of the Create Record process, the Record Options: Bag Description pop-up window returns to permit description of the next bag. Add Check-In Information Once all bags (and contents, as applicable) are described, the Add Check-In Information pop-up window displays: • Number of Bags Checked: enter the total number of bags checked by the passenger. • Number of Bags Received: enter the total number of bags received by the passenger. – When creating a Loss baggage record, the number of bags received must be less than the number of bags checked • Last City Seen: enter the three-letter city or airport code where the passenger last saw their baggage • Minutes Before Departure: enter the number of minutes before departure that the passenger had checked their baggage Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 21 • Select Check-In Location: select from list – – Customs – Departure Gate – Other Airline – Skycap (includes curbside, check internally with your carrier) – Ticket Counter – Untagged – Unknown (hotel, ship, etc.) • Remarks Select <OK> The Baggage Record redisplays on screen and the Remarks pop-up window displays. This screen allows the user to document any additional information or advice given to the passenger. 22 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 • Fill in the Remarks • If more remark spaces are needed, check More Remarks and the popup is re-displayed blank. • If there are no remarks, leave the window blank • Select <OK> Note: End Baggage Record The only baggage record field that can not be changed or deleted after end transaction is the Remarks field. Therefore, it is very important that this information is input correctly. Once end transaction occurs, the remarks become a permanent part of the record and can not be deleted or changed. The baggage record, built without an active PNR, is now complete. An End Transaction is required to complete the Record, so the End Baggage Record pop-up window displays: • Select Option: – End – End and Retrieve – End and Clear Windows Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 23 – End and Sent to WorldTracer The response depends upon the option selected: • If the End or the End and Clear Window options were selected, the on-hand baggage record is ended • The End and Send to WorldTracer option displays a response similar to the following: ET/ETC LIR.U0.347834.LIR.31MAR.1749.SVFROM-MSG SENT (The WorldTracer option is further discussed in the Baggage Queues module.) • For purposes of this lesson, select End and Retrieve. • Select <OK> Upon End Transaction, the Record is assigned a locator number of six alpha characters. SVEPUU L/SJU NAME EMILY/HEMMINGWAY-P BAG TAGS 1 CRC U0 975126 The baggage record file contains a signature field on the bottom line that displays the location, user sign, time and date, indicating where and when the file was originally created: CRC.CRC3KL 1642/11AUG04 SVEPUU 24 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 The Record is automatically placed on the station’s list of lost baggage (Record list) and placed on the station’s baggage queue D. These lists and queues are used in the system to assist in tracing lost baggage. These items are discussed in detail in the modules covering Baggage Tracing Techniques and Baggage Queues. Print Claim Receipt Upon redisplay of the baggage record, the Claim Receipt pop-up window displays. This pop-up window provies the option to print a claim receipt for the passenger. The Claim Receipt option is part of Baggage Print Form, which is an elective option in the system and is controlled by an internal bit. • Do you want a Claim Receipt?: Select Yes or No Note: • a hardcopy printer must be assigned in order to print a Claim Receipt. (For printer assignment assistance, please refer to the Printer module.) Select Language: select one of the languages offered. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 25 – English (default) – Spanish – German – Portuguese – French – Italian • Claim Receipt: enter an optional, alternate phone number for the passenger to call to check on claim status • Select <OK> The Claim Receipt is generated. 26 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Creating Records from PNRs As previously stated, It is recommended, whenever possible, to create a baggage record by using a passenger’s reservation record (PNR). By doing so, the system transfers selected PNR data into the baggage record. The PNR is automatically ignored and the User Assembly Area (AAA) is placed into Baggage mode. The following elements are captured from the PNR and placed in the Baggage record: • Passenger Name - The first surname in the PNR is used • Passenger Itinerary - This field is searched for yesterday's and today's segments. The system searches for a match between the AAA of the user’s workstation and the offpoint of an itinerary segment. • Remarks Line - This field is searched, checking for baggage related remarks (identified by the word BAG at the beginning the remarks line). A maximum of 85 characters per line is saved. Total remarks cannot exceed 375 characters. • Ticket Number (if system generated) - Ticketing field is searched for a system generated ticket number. If one exists, it is added to the first itinerary line. • Phone - The system searches for -B and -H designators in the phone field of the PNR. If these designators are found, the numbers are added to the baggage Record. If not found, the first valid phone number is added to the baggage Record as the home phone. A valid phone number is considered to be all numeric. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 27 Note: The data captured from PNR elements is not displayed in the Baggage Create pop-up windows. Review the work area behind the pop-up see if the required data is captured. See the following example: This Baggage record was created from a PNR and is at the “Add Passenger Address” step. Per the “Address” display in the work area, there was no address information transferred from the PNR to the baggage record. Therefore, the address information should be entered into the Add Passenger Address pop-up window. 28 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Next, the Passenger Phone pop-up window displays: Because a home phone number was listed in the PNR record, the phone number was picked up by the baggage record. Therefore, this phone number does not have to be re-entered into the Passenger Phone pop-up window. If any changes must be made to any of the fields captured from a PNR, (for example, if the phone number captured is the local home instead of the permanent home), the Modify Record option <Shift + F4> must be used once the Create Baggage Record workflow is completed. When the baggage record is completed and the transaction ended, a search is made to determine if the bag is already on the onhand list in the airline's host system for a possible match. This will only occur if the airline also creates files for unclaimed baggage in the Baggage Management Analysis System. As stated before, when a baggage service user enters an unclaimed bag into the system, a search is made of all baggage records to determine if there is a match. Responses to the search are placed on baggage message queues for review. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 29 Retrieve PNR and Create Record Follow these steps to retrieve a PNR and create a baggage record: Select <Shift+F1> from the Baggage tab, to access the Create Record functions. The Create Baggage Record pop-up window displays. • Select Option: Retrieve PNR and Create Record • Flight: enter an active flight number from the PNR • Last Name: enter the passenger’s last name • Date (optional): enter date and select the month. – If the date is left blank, today’s date is assumed. 30 • Origin (optional): enter the three-letter city or airport code where the passenger boarded the flight. • Select <OK> Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 If a single PNR matches the flight/date-name entered, the PNR is displayed on screen and the Add Bag Tags pop-up window displays: If multiple PNRs match the flight/date-name entered, the list of PNRs is displayed on screen and the Select Line Number pop-up window displays: • Select the Line Number of the PNR from the list that is to be displayed • Select <OK> Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 31 The Add Bag Tags pop-up window displays. The workflow loop to create a baggage record with a PNR is the same as when creating a baggage Record without a PNR. The pop-up windows are presented as follows: • Add Bag Tags • (Note that the Add Passenger Name pop-up window is not displayed when creating a baggage record from a PNR. The first passenger’s name field in the PNR is taken into the baggage record.) • Add Passenger Address • Passenger Phone – Check the work area to see if a phone contact has been captured • Add Itinerary – Check the work area to see if the itinerary has been captured • Add Baggage Description • Add Check-in Information • Add Remarks • End Baggage Record If an error is made during the create process, it is advisable to continue through the process to the End Baggage Record pop-up window before selecting Modify <Shift+F4> to make any corrections. If a Record is not ended, the incomplete Record will remain in the user’s work area until the user chooses to Ignore Transaction or to End Baggage Record. 32 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 Create Record with an active PNR When selecting the Create Record from Active PNR option from the Create Baggage Record pop-up window, the user must have an active PNR already displayed in their work area. The same succession of pop-up windows are displayed to input the required fields. These are the same series of pop-up windows mentioned in the Retrieve PNR and Create Record workflow: • Add Bag Tags • (The Add Passenger Name pop-up window is not displayed) • Add Passenger Address • Passenger Phone – Check the work area to see if a phone contact has been captured • Add Itinerary – Check the work area to see if the itinerary has been captured • Add Baggage Description • Add Check-in Information • Add Remarks • End Baggage Record Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 33 Create Record via Components If, for any reason, the workflow is interrupted from the Create Record label <Shift + F1>, the baggage record can be completed by using the Add option on the Modify / Close label <Shift + F4>. In order to end a Baggage record, the following fields are required: • Bag Tag • Baggage Description • Passenger Name • Address (or PWCT) • Phone (or PWCT) • Itinerary (ticket number required on first itinerary line) • Check-in field Detailed use of the Modify option is discussed later in this module. 34 Agent Interface: Baggage - Overview and Creation Sabre Airline Reservations Training Guide August 2004 End Baggage Record / Ignore Baggage Record hotkeys In order to end a Baggage record outside of the Create Record workflow, use the End Baggage Record hotkey <Ctrl+B>. When selected, the End Baggage Record pop-up window displays: End Baggage Record hotkey • Select Option: – End – End and Retrieve – End and Clear Window – End and Send To WorldTracer • Select <OK> The requested action is performed. Note: The PNR End Transaction hotkey <Ctrl + E> can also be used to end a baggage record; however, if used, do not enter any Received From data or select any PNR options other than Redisplay. Sabre Airline Reservations Training Guide August 2004 Module: Agent Interface: Baggage - Overview and Creation 35 Ignore Baggage The same Ignore hotkey used for ignoring a PNR <Ctrl + I> is also used to ignore a Baggage record. Record hotkey Ignoring a Baggage Record while in initial Create Record mode (before performing an End transaction) will remove all record of the baggage transaction from the database. Ignoring a retrieved baggage record will return the baggage record to the original form as when it was last ended. (Usage of this option is discussed in further detail in the Forwarding and Delivery module.) This option prints a system generated Damaged Bag Authorization form which advises the customer to return the damaged article along with this form, the original baggage claim check and the original ticket receipt (a copy is acceptable only for ticketless customers) within 30 days from the day the notice is issued, so that repairs can be done on the article. (Usage of this option is discussed in further detail in the Damaged Bag Record module.) These options print a system-generated form for documenting and reconciling the disposition of a Lost Article or a Found Article. (The resulting form contains the same information, no matter which option is selected.) The system will automatically assign a unique report number to each copy printed. The report contains the city code corresponding to the station performing the entry, otherwise, the form is a template that the user would complete by handwriting the necessary data. Form duplicates for Lost/Found Articles are retained according to local policy and procedures set by your airline.
