In-House Coordinator Guide
2015 campaign strategies United Way of Northwest Arkansas plan a successful Campaign Set your Goals • Dial in to a United Way In-House Coordinator Web-Ex, or get caught up to speed on your own time at: www.unitedwaynwa.org/campaigntoolkit. • Establish a participation and dollar goal for your campaign. • Call United Way with any planning questions you might have: 479.750.1221. Rally the Troops • Meet with your management team to confirm their commitment. • Gather a planning committee, if needed, and check out www.unitedwaynwa.org/campaigntoolkit for the best tools and techniques for a successful campaign. • Set the dates for your campaign – we suggest a time-span of 1 to 2 weeks total. "I would definitely recommend working with a committee because you get the opportunity to share the workload, network with peers, support each other and share new creative ideas." -Alaina Guillen, Rockline Industries Kick it off • If possible, schedule your campaign kick-off to correspond with your company’s weekly or monthly meeting. • Consider asking a member of your management team to speak about why they support United Way, or ask a fellow employee to share a testimonial. • Invite United Way staff – we can bring partner agency speakers, videos, handouts and anything else to make your kick-off a success! Share your progress • Track your team’s progress by printing progress bricks (toolkit available at www.unitedwaynwa.org/campaigntoolkit). Each brick represents an employee in your organization who donates to this campaign. • Add campaign announcements and updates to existing company newsletters prior to, during and after your campaign. • Share daily or weekly updates on bulletin boards or via email – these messages can include inspirational stories or statistics, in addition to your campaign numbers. Celebrate • At the close of your campaign, host an ice-cream party, pancake breakfast or pizza party to celebrate your company’s success. • Ask your CEO to thank employees for their support and participation. • Deliver your completed pledge packet to United Way by November 21, 2015 so we can send tax receipts to employees in a timely fashion: 100 Parkwood St, Lowell, AR 72745. "The one piece of advice I would give may not be applicable to all coordinators but it is something I found useful in our smaller company: Make your ask face-to-face. Individual attention is more effective than a quick group presentation." -Nate Bachelor, CEI Engineering Associates, Inc. Campaign incentive Suggestions suggestions Incentives create an enthusiastic atmosphere and encourage giving during your United Way Campaign. Try one or more of these ideas from other In-House Coordinators or come up with some of your own! "Think outside the walls of your organization. In 2014, we expanded our efforts into the community to drive greater awareness and fundraising. We organized the first ever NWA Food Truck Festival which had a great turnout and generated a lot of PR buzz. In addition, we solicited local business involvement for our office silent auction which doubled the amount of money we raised for that event while also spreading the word about the impact of United Way in the community." -Mike Klaas, General Mills Inc. individual incentives • • • • • • • • • • Live United t-shirts Reserved parking space(s) Jeans day/week for giving Time off with pay Lake trip Ride to work with CEO Lunch with an executive Golf or tennis outing with a company executive Tickets to athletic, civic, or arts event Dirty Dozen Dinner- top 12 givers get dinner • • • • • • • • Employee made items Low cost items contributed by the company Executive pie toss or dunk tank Vote in executive competition (kiss the pig, shaved head, etc.) Use of regional vacation spot (Branson, Beaver Lake, Hot Springs, etc.) Solicit local businesses and vendors for donations Offer company suite/tickets to local events Donated gift certificates "The most creative part of the campaign involved the everyday hero theme—we had folks from all over campus send us pictures of themselves in hero garb which we posted to our campaign facebook page. We also reintroduced paper 'hero cards' in addition to having our online donation system and we believe that really helped." -Kathy Deck, University of Arkansas company-wide incentives *Consider inter-department competitions if appropriate • • • • Corporate match Movie/game night Cookout or pizza party Meal prepared by supervisors • Leave early Friday • Extended lunch/break • Tricycle race "One year we had an officer challenge where the officers of the bank were put into teams and tasked with coordinating with each other to get donations.
