up to 350 guests or in the versatile River & Oak rooms for the smaller
family gatherings

Our Reception Suites
THE OAK SUITE, OAK ROOM OR THE RIVER ROOM
The OAK SUITE is the perfect venue for your special day, offering seating for
up to 350 guests for the main wedding breakfast, for dining or for dancing the
night away.
The RIVER ROOM offers seating for up to 100 guests & THE OAK ROOM for
50 guests, both are perfect for a more intimate gathering. With their own bars,
you can truly sit back and relax while we look after your every need.
In order to take some of the stress out of your special day, we can tailor table
decorations, entertainment, chair covers, floral arrangements and much more.

All our food is freshly prepared on site meaning we can tailor a menu to suit
your taste. Whether you are looking for a relaxed buffet or a more lavish

Our award winning park is set within 55 acres of parkland situated next to
the Hurn Forest on the Dorset/ Hampshire border.
We are able to offer a variety of accommodation for you and wedding guests,
from lodges with hot tubs to caravans which are a home away from home.
Leisure
Take some time out to unwind in our leisure club with a swim in the indoor or outdoor
pool or maybe a Jacuzzi or sauna. If you still have some energy to burn off, why not
take advantage of our fully equipped gym.
You can enjoy our Go Active activities on site, ideal for hen and stag parties as well
as your wedding guests.

In these terms and conditions ‘Park’ shall mean Oakdene Forest Park and ‘Client’ shall mean the person whose
name is stated on the contract as the person making the contract with Shorefield Holidays Ltd. Please ensure you
read the Terms and Conditions carefully before signing. If you are unsure about any of the points listed, please do
not hesitate to call our Events Department on 01202 865624 for clarification.
All weddings booked at Oakdene Forest Park will be subject to the following:
1. Confirmation
i. A completed and signed copy of the Terms and Conditions contract and a non refundable deposit of
£500.00 is required within 14 days of the original verbal booking. The park may cancel the booking if
the terms and conditions contract are not returned and signed by the due date and the deposit paid.
2. Payment
i. A non-refundable deposit of £500.00 is required to secure your booking. Full payment of the balance is
due 14 days prior your wedding reception date. The deposit is non refundable and non transferable. We
do not offer credit facilities.
ii. The whole balance is due no later than 14 days prior to the function date , if the balance is withheld,
the park reserves the right to cancel the function.
3. Cancellation & Changes by the Client
i. Should you have to cancel your booking notification must be received in writing. Shorefield Holidays
Ltd will charge a % of the total anticipated booking value as follows:
Within 24 weeks of the event
25% of the total booking value
Within 12 weeks of the event
50% of the total booking value
Within 6 weeks of the event
75% of the total booking value
Within 3 weeks of the event
100% of the total booking value
ii. Any postponement of confirmed business will be considered as a cancellation
iii. If the client desires to increase or reduce guest numbers, the client must tell the park by phone 14
days
before the function date. The park reserves the right charge the client according to the guaranteed minimum numbers shown in these terms and conditions.
4. Cancellations by Shorefield Holidays Ltd
i. Shorefield Holidays Ltd reserves the right to cancel the booking if:
a. any part of the Licensed Club is closed due to events beyond our control
b. if either party becomes insolvent
c. if the company, persons making or associated with the booking may damage the reputation of Shorefield
Holidays Ltd.
d. to avoid the breach of these conditions
ii. In the event of the park cancelling the booking it is at the parks discretion, refund any advance payments made but in any case will have no further liability to
the client.

5 . Liability
i. Shorefield Holidays Ltd will be liable to the Client and/or persons attending the function for injury to
persons or loss or damage to property only where and to the extent that it has been negligent but otherwise will be
under no liability whatsoever
ii. The client is responsible for the display and removal of all gifts, cards, cakes and other items. The park does not
except liability for any such items that are displayed or left in public areas of the park.
6. Information Supplied to the Park
i. The client must give details of timings, menus, final numbers and any special requirements (including
dietary requirements) 14 days before the function date.
ii. If the client requires extra facilities, the park will do its best to accommodate the client, but can give no guarantee . If the client requires fewer facilities, or reduces the number guests below the guaranteed minimum numbers
as stated in these term and conditions, the client will have to pay the park cancelation charges for the cancelled
facilities or numbers.
7. Health & Safety and Equipment and Suppliers
i. Outside suppliers i.e. bands/entertainers/DJ’s must have their own Public Liability Insurance to a
minimum of £2m. They must supply copies of electrical testing certificates and insurance documentation (PAT
Testing) before the event. Without this information, bands and entertainers will not be permitted to perform.
ii. A license fee will be charged for use of outside bands/entertainers and/or DJ’s that will be agreed between the
Park and Client.
8. Other
i. At our discretion, we may request a damage deposit of up to £1000. This is to cover any damage that may
occur to the Park or our property during your event. In this instance, all or part of the deposit may be
withheld to cover costs.
ii. The client shall not be entitled to assign the booking to any third party nor utilise the parks facilities, other than
for the purpose stated in the contract , without the parks written approval.
iii. The park reserves the right to pass on any additional costs to the client incurred by it in the aspect of goods and
services requested during the course of the function.
iv. The Client and persons attending the function shall:
a. comply with all licensing, health and safety and other regulations relating to the park
b. not buy or sell goods on the premises or within the Licensed Club
c. not consume any food or drink in the function that is not supplied by the park
d. not bring any dangerous or hazardous items onto Park and remove any such items when asked to do so by management / employees
e. not act in a disorderly manner, leave promptly at the appropriate time and comply with the reasonable
request by the Park’s management /employees.
v. Any person in breach of these conditions may be refused admission or removed from Park.
vi. For Health & Safety reasons children (under age of 16) are to be supervised at all times. The Park does not accept responsibility or liability for children being left unsupervised in the Park or grounds.
vii. All bookings are held on option until the contract and these terms are signed by the Client and Park and deposit paid.
