VOLUNTEER EVENT GUIDELINES Hello and welcome to the first annual Fetch A Friend Adopt-a-thon! We are so excited to be partnering with you on this event that we hope will result in findng homes for a large number of animals and also help to raise awareness for homeless pets in our community. Thank you for so generously giving of your time to support this event. As this is our first ever mega pet-adoption event we expect to learn a lot. As we embark on this journey, we know that we will be facing a lot of questions and situations we may not have anticipated. We are asking that all event participants direct questions to volunteer coordinators, points of contact, etc. and we will work to find the answers. Contained in this guide are the event guidelines and information that you will need to have a successful and fun day! GENERAL EVENT INFO Location: Ohio Expo Center, Lausche Building 717 E 17th Ave, Columbus, OH 43211 Date: May 9, 2015 Time: 10am-7pm Entrance/Registration: Enter at drive-in freight entrance at north side of building. Please check-in at the volunteer desk at least 10 minutes before your scheduled shift. Parking for volunteers will be on the north side of the buidling directly in front of the entrance. The OEC charges a $5 parking fee. VOLUNTEER COORDINATORS: email [email protected] Emily Gates Taylor Yurick Vendor/Participant/Volunteer Registration Concessions Meet & Greet Rooms Pup Playpen Prize Wheel/Raffle VOLUNTEER EVENT GUIDELINES CONDUCT GUIDELINES • Must present a positive attitude at all times and greet everybody with a smile. • Abusive language towards a committee member, volunteer, members of partner organizations, attendees, or another participant is unacceptable. • Must be courteous at all times to all attendees, participants, vendors/sponsors, etc. • Must be aware of your surroundings at all times. If you see potential issues with safety please report it immediately to a volunteer coordinator or committee member. • Unless your volunteer role specifically requires it, please do not handle the animals. • Please remain in your designated area at all times. Please be sure that you are alerting your volunteer partners when you need to leave your post to ensure we have coverage. • You must be willing to sub in other areas of the event if needed. • Smoking is strictly prohibited in the facility. DRESS CODE • Must wear Fetch A Friend Volunteer shirt for the entirety of your time. • Wear comfortable, closed toe shoes (tennis shoes or rubber soled shoes preferred). Open toe shoes, flip-flops, sandals and heels pose a danger and are not allowed. • Must wear pants (jeans preferred). No uncovered legs. CHECK-IN PROCESS Please report to the volunteer check-in desk at least 10 minutes before your scheduled volunteer time. You will be directed toward your work area and given any additional information and supplies you may need at that time. When you have completed your volunteer slot, we are asking that you return to the check-in desk to have your exit documented. AMENITIES The following will be available on the day of the event: • Concessions for purchase • ATM machine • Water/light snacks (provided by SAVE Ohio Pets) IN CASE OF EMERGENCY Please notify a committee member immediately so that we may call 911. We have an event radio for purposes of reporting emergencies. Avoid rushing up. Avoid rushing up. Approach slowly (at a relaxed walk). Avoid interactions without asking. Avoid interacting with unfamiliar dogs, especially if they're tied up. Ask if you can interact first. Avoid staring at people. This is scary. Avoid staring at the dog or approaching head-on. Approach sideways and look using your peripheral vision. Avoid looming over. Avoid leaning over or towards dogs even when you change position to squat or get up. Stay outside the dog's bubble and present your side to the dog. Avoid reaching into personal space. Avoid reaching your hand out for the dog to sniff. Let the dog approach at his own rate. Avoid close interaction if the person is afraid of you. Avoid petting if the dog looks nervous or tense. Just admire him instead. It's OK to pet the dog if he looks relaxed, comes up to you, and solicits your attention by rubbing against you. Avoid touching inappropriately. Avoid hugging, kissing, and patting roughly. This is too familiar and disliked by many dogs. Assist vendors/rescues with unloading vehicles and carrying to booth space • Teardown 7:00-8:00 pm: 10 people needed. Post-event cleanup • Information Booth 10:00-2:30 and 2:30-7:00: 3 people per shift. Direct visitors and provide them with information from info table. • Foster Booth 10:00-2:30 and 2:30-7:00: 3 people per shift. Explain fostering to visitors and pass out foster applications, etc. • Rescue Concierges 10:00-2:30 and 2:30-7:00: 10 people per shift. Assist rescues/shelters by getting water/leashes, etc. Any assistance needed so they do not have to leave their tables. Ideally these volunteers will have animal handling experience. • Greeters 10:00-2:30 and 2:30-7:00: 4 people per shift. Pass out brochures, greet patrons, etc. • Pup Playpen 10:00-2:30 and 2:30-7:00: 3 people per shift. Monitor for appropriate play and ensure visitors do not enter. • Registration booth 10:00-2:30 and 2:30-7:00: 9 people per shift. Check in vendors, participants, volunteers. Organize paperwork. • Adopters area 10:00-2:30 and 2:30-7:00: 4 people per shift. Assist adopters with paperwork goody bag and directing them to photo area and Byers booth for tag. • Meet and Greet Rooms 10:00-2:30 and 2:30-7:00: 4 people per shift. Manage use of rooms to ensure safety. Make sure appropriate play and interaction is taking place. Make sure signs on door indicate when in use. Volunteers need to be animal savvy with the ability to read cues and assess for stress. Animal handlers are ultimately in charge of their animals. • Floaters 10:00-2:30 and 2:30-7:00: 4 people per shift. • Traffic Counter 10:00-2:30 and 2:30-7:00: 2 people per shift.
