How to use this induction planner
Insert school name Community participation officer induction planner V2 June 2014 How to use this induction planner This induction planner is a Word document that may be used to determine the content of induction and the delivery methods appropriate for newly appointed Community Participation Officers. Supervisors are encouraged to complete administrative requirements prior to the employee’s arrival in the workplace. Orientation, introductions and local information provide reassurance and help generate enthusiasm for induction. Shaded content indicates the mandatory induction program. Training must be delivered in a suitable format for the employee, not necessarily using the online courses. Asking an experienced team member to be the inductee’s mentor and support them through their first weeks in the workplace is strongly recommended. Subject matter - may be included or deleted (other than mandatory programs) as appropriate for the specific role - where indicated add or specify information and training necessary to the role Delivery method(s) - to cater for diverse learning preferences and abilities, a range of delivery methods are suggested - select one or more delivery methods to facilitate understanding Reasonable adjustment - delivery should enable access for people with disability where applicable - if individuals require any adjustments to delivery of induction materials, this should be noted on the planner Suggested timeframe - timeframes given are suggestions only and for non-mandated content may be adapted to the needs of the individual and the workplace - a + sign indicates that the timeframe is flexible — quality induction is expected to take several months Who - certain training is best provided by the supervisor or the mentor — the position responsible can be recorded in this column record other providers where appropriate Date - dates to be inserted when the responsible officer has confirmed the new employee’s understanding Signatures - supervisor and new employee to sign when planned induction is completed and understanding has been confirmed A copy of the completed and signed planner is to be filed in the employee’s personnel file and a copy provided for the new employee. It is suggested that inductees are asked to complete an evaluation of their induction upon completion. An example questionnaire is provided in the Induction Guidelines. Feedback will inform updates to local induction to ensure consistent quality and appropriate delivery. 1 Insert school name Community participation officer induction planner V2 June 2014 Community participation officer induction program planner Employee: ______________________________ Start date________________________ Employee Number: _______________________ Position title: _____________________ Supervisor: _____________________________ Mentor___________________________ Pre-commencement Who Advise iRegister of new user (if appropriate) and provisioning requirements Provide information about parking, where, when and who to report to Suggest new employee looks at Induction website prior to commencement Allocate and prepare workstation (if appropriate) Prepare Commencement documents Prepare ID card/badge application form Prepare tax declaration form Prepare staff data sheet for completion Prepare Blue Card application Prepare OneSchool user access agreement Add new employee to MIS mailing list Note new employee’s email address Arrange for an experienced person to mentor/support the new employee Add new person to phone list, OnePortal Directory, Outlook Distribution List for branch and Emergency Contact List Email staff to let them know the new person is starting and when Schedule follow up appointment with supervisor in four weeks Subject matter Delivery method(s) Reasonable adjustment Date Supervisor Suggested timeframe Who Supervisor/ Mentor Date Orientation and socialisation Orientation and introductions move around 1st day Workstation ergonomics and necessary resources are available physical and administrative 1st day Roster, timesheets, leave applications discussion and demonstration 1st day Supervisor Organisational structure of the school web-based information discussion 1st day Supervisor/ Mentor Organisational Structure – DETE, region, district web-based information discussion 1st week Supervisor/ Mentor Supervisor/ WHSO (where available) 2 Insert school name Community participation officer induction planner V2 June 2014 Delivery method(s) Subject matter School priorities and vision Names of key personnel First aid officer WHSO Rehabilitation officer Regional advisors Attendance at staff meetings Suggested timeframe Who discussion 1st day Supervisor one-to-one information sheet 1st day Supervisor/ Mentor 1st day Supervisor 1st week + Supervisor/ Mentor 1st week+ Principal/ supervisor one-to-one reading discussion Responsible use of social media Reasonable adjustment Date Mandatory induction online Student protection training one-to-one staff PD Code of Conduct and DETE Standard of Practice online reading discussion 1st week+ Principal/ Supervisor 1st week Principal/ Supervisor staff PD online Curriculum risk assessment training one-to-one staff PD Keys to managing information: Information Privacy Health, safety and wellbeing If you are aware of it, take care of it.
