Contact Tracking Mini Binders What You’ll Need: • 2 Mini Binders or “Half Binders” (Wilson Jones makes colored ones) • 1 Mini 3-Hole Punch • Numerous copies of Customer Tracking Sheets (front & back) • Stick-on tabs (Post-It® brand, etc.) • 1 Print each of the following: ★ Small Covers (2pp) or whatever you prefer ★ Customer Contact Tracking Dividers (print on a loud colored paper) ★ Months for Contact Tracker (print on loud colored paper) How to Use Them: Binder 1: Contact Notebook This is where you will keep all your current, HOT contacts! Any new lead or new booking goes in here as well as customer service and all others. Includes: • 1 Mini Binder • “Contact Notebook” Small Cover • Customer Contact Tracking Dividers • Numerous Customer Tracking Sheets This is your “everyday, everywhere” binder. Always have it with you with extra blank Customer Tracking Sheets. EVERYTHING goes in and through this binder! Section Breakdowns: 1. 2. 3. 4. 5. 6. 7. 8. 9. Hot & New Leads: All new leads go here. BOOK: All prospective bookings and in-process of being booked go here. COACH: All current hostesses and bookings go here. Customer Service & Follow-Ups: All Customers you need to contact in the current month as well as 2x2x2 contacts. Reschedule/Call Back: ... Personal Prospects: Recently interviewed, people you’re layering, people scheduled for interviews, etc. Unit Prospects: (Directors) HOLD: After contacting a customer or within the 5 contacts (see Ultimate Scripts) and waiting on a response. Return to Monthly: Completed contacts or non-responses from HOLD who need to be cycled into the Monthly Binder. Follow the “Contact Frequency” (explained below) on the Customer Tracking Sheet accordingly. Binder 2: Monthly This is where you will keep all your customers and other leads or contacts who have requested to be contacted in a later month, not the one you’re currently in. Keep this at home. Includes: •1 Mini Binder • “Monthly” Small Cover • Months for Contact Tracker • Filled out Customer Tracking Sheets Loud Paper offsets the white Tracking Sheets to easily look ahead! Check off her preferred frequency of contact and cycle through your Mini Binders accordingly Her Level of Interest in the Business Opportunity The way(s) she would like to be contacted. Pay attention to this! In the circle write 1 of the following: G = Guest of R = Referral of L = Lead of and write on the following line accordingly Use letter codes: D = Dry C/O = Combination Oily (Ranges) Etc. Use letter codes to itemize products: LG = Lip Gloss BasicMS = Basic Miracle Set (Cleanser & Moisturizer) LWF = Luminous-Wear Foundation Etc. All of her Foundation Shades All of the products she listed on her Wish List or Profile Card (however you do it) that she didn’t take home with her already. You may want to use the letter codes so you can squeeze a lot in over time. On the Notes on the reverse side, document anything you like! Make sure to note specifics like if she has children or shares a story with you and you want to follow up with her about it! So on! Form those relationships!!! Reverse Side: List all the times you contact her as a record. the Code is listed at the bottom. Check off when you’ve made contact or if she returns the call/text later.
