¾ Is this a new user to the system?
o Have the User’s First & Last name, Employer, Business Phone
Number & Email Address available if think they are not already on
another Expesite project. The most important information to
have correct is the user’s Email Address as this is how they
are uniquely identified within the system.
Step One – Navigate to Project Team Area
Navigate to the project they need to be added to in Expesite & Go to the ‘Team’ list.
You should not see the user listed in either the ‘View Users’ tab, or the ‘View Contacts’
tab. Click on the ‘Add New User’ Button.
Step Two – Search for User
Type the user’s First name, Last name, Company OR email address into the ‘Search
for:’ field and click on the ‘Search’ button. If your search returns the user click on
their name (which should appear blue & underlined) and it will move their name over to
the box on the right hand side.
Step Three – Add New User (Optional)
If you were unable to find the user you were looking for, click on the ‘Add New User
Button’. Enter in all required user
information (indicated with a red *).
Please note that the user will
be asked to update their information during
the ‘first time login’ process. Click on the
‘Continue’ button when form is complete.
Quick Tip: If you think the user is in the
system, but didn’t find them in your original
search, enter in just their email address and
select continue. If they are in the system a
box will pop up saying ‘is this who you are
looking for’?
Step Four – Review New Team Member List
Review the list of users in the box on the left hand side of the screen.
Single Project - If you need to add the users to only the current project, click the
‘Continue’ button. Multiple Projects - If you plan to add the users to multiple projects,
click the ‘Select Projects’ button.
New Users will be indicated
with an * following their name.
Choose One
Step Five – Select Additional Projects (Optional)
Type any part of the project name or company name into the ‘Search’ field and click
on the ‘Search’ button. From the list of projects returned, click on the project name
(which should appear blue & underlined) and it will move to the box on the right hand
side. Once you have the set of projects selected, Click on the ‘Continue’ Button.
Step Five – Select Security Groups
For each user, select the appropriate security group from the dropdown list. If the user
is already on several projects in the system, the dropdown will default to the security
that the user has elsewhere in the system.
IMPORTANT: Choosing groups will determine what access the new user will have
to the system. If you need assistance on choosing which group to select, click
the “Help Me Choose” button at the top of the page.
Note on New Users: If you have added a new user to the
system, this screen will show an option to email the login
information to the new user and allow you to add a custom
note. Always leave the checkbox checked, and personalize
the note so that the user realizes that the message is a
legitimate email from you. It is always a good idea to have
someone follow up with the new user to make sure they
understand why they have been added to Expesite.
Step Six – Request Access
Choose the person who must approve these user addition(s) to the project team from
the dropdown list. User(s) will not be added to the projects until this access request has
been approved.
Note on Approver: This area allows you the opportunity to
type a personalized note to the person you are requesting
approval from. Please provide information so that the person
understands who the user is and why they need access to this
project.
Congratulations! You have successfully
submitted your Request for Access!
