Shree Vidyadhiraja Kalolsavam 2014-Manual 36th SHREE VIDYADHIRAJA KALOLSAVAM Manual Ver 2.0 1 Shree Vidyadhiraja Kalolsavam 2014-Manual 2 PREFACE In order to give a desirable level of emphasis to the co-scholastic activities and to specially foster the creative and artistic talents of our students, every year Shree Vidyadhiraja Vidya Samajam together with Shree Vidyadhiraja Sabha, Ettumanoor Education Society and National Education Society has decided to conduct an School Level (For LP, UP,HSS,HSS) Kalolsavam in this academic year, on 13th, 14th and 15th of October 2014 at Theerthapada Mandapam, Rajadhani Auditorium and Abedha Ashram Thiruvananthapuram. For conducting the School Kalolsavam in a meticulous way, we are bringing out this manual which spells out required guidelines for conducting the competitions. We place on record our deep indebtedness to the Founder and Patron of Shree Vidyadhiraja Group of Institutions, Sri .R .Ramachandran Nair IAS (Rtd) for his initiative and benevolent patronage without which this would not have been materialized. We sincerely hope that the Kalolsavam will certainly help to unearth the hidden talents of the students of Shree Vidyadhiraja Group of Institutions and give ample opportunity for their capabilities to break into full bloom. The committee will take all major decisions. The committee will oversee proper utilization of the fund allotted for the purpose. Integrating the activities of the different subcommittees is one of the chief responsibilities of the organizing committee. Sub Committee 1. Reception Convener – Saraswathi S M, Head Mistress, SVEMS, PTP Nagar, Thiruvananthapuram. The committee is responsible for giving wide publicity through all available media about the festival prior to and during the Kalolsavam. It has to prepare the list of persons to be invited, get the invitation letters printed, invite the Guests required for the inaugural and valedictory function and ensure that the functions are conducted in an orderly manner. The Committee has to receive the guests coming from the different schools. 2. Programme Convener – K.Sukumaran Nair, Principal, SVEMHS, Attingal Shree Vidyadhiraja Kalolsavam 2014-Manual 4 The programme committee has the onerous responsibility of conducting the Kalolsavam competitions without any flaw. The committee has to ensure the following things before the competitions start. (a) Examine the lists coming from the different schools and prepare the final list of participant’s category wise. (b) Prepare detailed programmes for competitions in the different venues. (c) Prepare the score sheets, consolidated sheets for recording results and score boards required for each item. (d) Give necessary instructions to the participants (e) Give code numbers to the participants. (f) Ensure required facilities for the judges to evaluate the competitions. (g) Prepare certificates to be distributed to the participants immediately after each item. 3. Food and Accommodation Convener – Padmakumar P, SV Samajam, Thiruvananthapuram. Prabhakaran Nair R, Teacher, SVVMHS, Althara, Thiruvananthapuram. The committee is responsible for providing food to the students who come from schools and refreshment to the teachers who accompany them, guests, judges, officials, volunteers etc at appropriate place. The committee, in coordination with the Registration Committee has to arrange accommodation to the teams coming from other schools. It has to ensure that light, water, toilet facilities etc are properly provided in the places where participants are accommodated. 4. Stage and Decoration Convener – Prabhakaran Nair R, Teacher, SVVMHS, Althara, Thiruvananthapuram. The committee has to ensure that the stage, gate, seating arrangement etc. are properly set. Green rooms have to be properly maintained. The stage, gate and surroundings have to be attractively embellished. Furniture required for the stage has to be made available. Seating arrangement has to be made for different sections and a convenient space has to be reserved Shree Vidyadhiraja Kalolsavam 2014-Manual 5 for judges, Banners, stage numbers etc. have to be displayed on the stage 5. Transportation Convener – Gopinathan Nair P, Principal, SVVMHSS, Vazhuthacaud, Thiruvananthapuram The committee has to make arrangements for transporting the teams coming from different schools to their places of accommodation and thereafter ensure the transportation of the participants, judges and officials to different destinations as per requirement. 6. Tabulation Convener – Gopinadh K, Principal, Shree Vidyadhiraja English Medium High School, Ettumanoor. The committee is responsible to evaluating the marks entered by the judges for each item and to enter the data in correct and prescribed format to the registers. 7. Trophy Convener – Jayakumari,Head Mistress, SVBB, Patoor, Thiruvananthapuram The committee has to enter the details of the newly procured trophies in the Trophy Register. Each day, the certificates have to be arranged according to the results provided by the programme Committee and distributed to the winners from the venues decided by the programme committee. Keep a register for getting the signature of the team manager as proof of having received the Trophy. Make arrangement for giving away overall championships, their certificates and special prizes at the valedictory function of the Kalolsavam. 8. Finance Convener – Harikumar.P, SVVS, Thiruvananthapuram. The overall finance responsibility will be hand of finance committee together with the organizing committee to meet the financial needs that arises during the program days. Discipline Convener – Dr.B.Vasanthakumar,Prinicpal, SVVMHS,Althara, Thiruvananthapuram The responsibility of this committee is to ensure disciple in all the areas where Kalolsavam takes places. The committee has to seek the assistance of Volunteers assigned for duties, to ensure that no untoward incident occurs till the Kalolsavam comes to a close. 10. Judges Convener –Padmakumar P, SV Samajam, Thiruvananthapuram The committee will be responsible for arrangement of judges for the concerned item. 11. Appeal G.Sadasivan Nair Dr. B .Vasanthakumar K.Sukumaran Nair Padmaja S Menon Gopinathan Nair P There will be an Appeal Committee to hear complaints against the judgments of the School Kalolsavam competitions and to take appropriate decisions thereon. The appeal committee will examine the complaints scrupulously and take judicious decisions and inform them to the persons concerned in writing. The decisions of the Appeal Committee shall be final. The Minutes of the Appeal committee will be recorded in a register which will be kept in the Head office. Shree Vidyadhiraja Kalolsavam 2014-Manual 7 GENERAL INSTRUCTIONS 1. Shree Vidyadhiraja School Level School Kalolsavam is organized for the students of the Shree Vidyadhiraja Institutions under the Administration of Shree Vidyadhiraja Vidya Samajam, Shree Vidyadhiraja Sabha, Ettumanoor Education Society and National Education Society. 2. The competitions will be conducted for the following categories Category I - Classes 1 to 4 Category II - Classes 5 to 7 Category III – Classes 8 to 10 Category IV - Classes 11 and 12 3. Grade are awarded as follows Grade A Grade B Grade C Grade Percentage 70% and above 60% to 69% 50% to 59% Points 5 3 1 *In Competitions, for items obtaining below 50% will not be given grade or point. If an candidate/group appear for an competition and if there is no other competition team or individuals, based on the marks (points and grade will be given to the individual as well as school). 5. Please be noted that any change arising after 08/10/2014 will not be considered on any grounds. 6. All entry form provided should to be filled with atmost accuracy and clearly to avoid confusions. 7. Persons posted for duty will not be allowed for any kind of leave unless approved by the General Convener or General Co-ordinator. 9. Attendance will be monitored during three days. 10. For the smooth functioning of the kalolsavam escorting teachers must bring the participants at the right time to the designated stages. 11. Uniforms for students are compulsory with ID card^. Head of the Institutions/Escorting staff will have the full responsibility in maintaining discipline in all aspects. 12. Duration of time fixed for each item will not be extended in any case. 13. All the staff and the students must be present for the inaugural function and concluding function. 14. Head of the institution must collect food coupon from the Registration desk/Enquiry office and distribute among the staff and students. No person will be allowed to enter the dining hall without food coupon. 15. For group items, number of participants for each items is specified and the participating groups have to strictly follow the rules. 16. For all competitions, those who are in receipts of first places will be given trophies. If any trophy is to be issued by school, that trophies should be given from during school assemblies/other functions. 17. On the Kalolsavam day all participants are advised to report on correct time. Programmme are scheduled to start at 9:00 AM. School authorities and escorting staffs may please check the time with the programme committee and make arrangements for the smooth running of kalolsavam. 18. Food arrangements are made as previous years. Food coupon will be available at the registration desk/ information desk in the venue .You may please collect the same from the registration desk, information desk or concerned authorities. 19. Under certain circumstances competitions will be advanced before the scheduled time, if the programme is over before the allotted time. Escorting teachers on duty in different stage should know the correct time from the stage managers/stage in charge of each stage. 20. Code numbers will be provided for each candidate. When the instructions are given over the public addressing system/mic the escorting teachers/teachers in charge should get the students and be present in the concerned stages. Shree Vidyadhiraja Kalolsavam 2014-Manual 9 21. Request for inclusion of names of pupils and modification in the list for competitions, sent from schools, will not be considered at any grounds. No fresh name will be included. 22. Request for postponding any item will not be entertained. However if the General Convener/General Co-ordinator/Concerned authorities agrees for the same, it will be allowed if there is no objection. 23. School authorities should take care that, pupils should not be allowed to roam about freely without escorting teachers. 24. The maximum number of items that can be enrolled for a participant (appearing for single item) is seven including non stage, and maximum number of items that can be enrolled for participants (appearing for group item) is three, including school prayer.
