TEAM SELECTION PROCESS
1.1
Selection Standards & Criteria
BC Athletics will select the BC Senior, Junior and Legion (Midget 15/Youth) teams based
on the published selection criteria published earlier in the year.
1.2
Funding
Athletes will be selected based on available funding. Funding may change from year to
year. Due to limitations in available funding, achieving the selection standard DOES NOT
GUARANTEE selection

ANNOUNCEMENT OF TEAMS
2.1
Athletes & Coaches
Athletes who have been selected to a BC Team will be notified by BC Athletics via email and
phone. Personal coaches will also be notified via email. The email and phone contact used
will be the information submitted with the BC Team Athlete Declaration Form.
2.2
Website
After selected athletes and coaches have been notified, BC Athletics will publish a list of
selected athletes, on the BC Athletics website. Information to be included in the posted list
will include:






COMPETITIVE READINESS POLICY
Those athletes selected to a BC Team must report any pre-existing injuries that may impede
their competitive readiness for the BC Team competition (example: national championships
meet) at the time of selection.
“Competitive Ready or Readiness” is defined as the ability of the selected athlete to achieve
equal or superior performance(s) onsite at the scheduled BC team event, as compared to the
performance(s) the athlete achieved in qualifying for selection to the team.
If a selected athlete has a pre-existing injury, and that injury is reported to BC Athletics at the
time of selection, the selected athlete must provide BC Athletics with medical documentation
as to the status of an athlete’s competitive readiness and their ability to compete. In some
cases, the selected athlete may need to prove fitness prior to the departure of the BC Team.
BC Athletics understands that unforeseen injuries can occur during the competition
preparation (pre meet), warm-up and the competition itself. Therefore these are not
considered pre-existing injuries. It is highly recommended that if an injury does occur at the
national meet, the athlete obtain documentation from a doctor as to the nature of the injury.
This information may be required by BC Athletics at a future date (example: BC Athlete
Assistance Program, IPS Athlete & Coach Programs & Services)
4.0
MEET ENTRIES
4.1
Events
Selected athletes must compete in the event they were selected in unless otherwise
authorized by the BC Athletics Technical Manager. If an athlete wishes to be considered in a
different event, the athlete will be selected based on that performance. This may change
whether or not an athlete is selected due to available funding.
Upon selection to a BC Team, BC Athletics will contact the selected athlete and their primary
coach (if necessary) to finalize information on entries. Athletes must compete in their
selected events unless otherwise authorized by the BC Athletics Technical Manager.
4.2
Entry Fees
BC Athletics will pay for and complete the entries for all BC Team selected athletes. For
information on due dates for the various national meets, please consult BC Team Selection
Criteria and Standards located on the BC Team webpage. This information can also be located
on the championships’ websites by accessing the meet Technical Manual.
4.3
Non-BC Team Entries (Open)
For all National Championships, athletes who are not selected to a BC Team have the option
to enter the championship meet as an open and/or club entrant. Athletes who are not
selected to a BC Team must complete and pay for their own entry into the meet (entry fees).
4.4
TeamBC Canada Summer Games / Western Canada Summer Games
In the case of the Canada Summer Games (CSG), and Western Canada Summer Games
(WCSG), entries are limited to only athletes selected to a BC Team (TeamBC). Therefore,
athletes who are not selected to a CSG of WCSG team may not enter the meet.
5.0
BC TEAM FEES
Athletes who are selected to a BC Team must pay BC Team Fees. The BC Team fee is waived for
Nationally Carded Athletes or athletes whose travel costs are covered by the competition host
(example: Canadian Marathon Championships). The fees are as follows: $250.00 + GST for the first
out-of-province BC Team for the 12 month period (April 01 - March 31). Any subsequent out-or-
province BC Team that an athlete is selected to in the same 12 month period, the fee is $125.00 + GST
per team. For in-province BC Team competitions, the team fee is $100.00 + GST ($105.00) for the first
in-province BC Team. Any subsequent in-province team that an athlete is selected to in that same 12
month period, the fee is $50.00 + GST per team. Information on funding and BC Team Fees can be
found on the BC Athletics website (link below).
Athletes are asked to indicate the method of paying these fees on the BC Team Athlete Declaration
Form. If this method changes for any reason, it is the athletes and/or coach’s responsibility to notify
BC Athletics upon selection to a BC Team.

Example: Jane Smith is a junior aged athlete. Jane qualifies for the BC Senior Track & Field Team
competing at the Canadian Track & Field Championships in Regina, SK. Jane also qualifies for the BC
Junior Cross Country Team competing at the Canadian Junior Cross Country Championships in Trail,
BC. The BC Team Fees for Jane will be: ($250.00 + GST) + ($100.00 + GST) = $350.00 + GST

6.0
TRAVEL INFORMATION
6.1
Travel Itinerary and Ticket
The BC Athletics office will provide selected athletes with their travel itinerary and ticket
information. This usually occurs via email and only after the selected athlete has signed and
returned the BC Team Selection Acknowledgement Form. If you have not been contacted
with this information within a reasonable time period prior to your departure, please contact
the BC Athletics office immediately.
6.2
In-Province Competitions - BUS
If team competitions are located in-province, BC Athletics will make arrangements to
transport the team by motor coach (bus) if feasible. In such cases, athletes will meet at a
designated location and travel together to the competition.
6.2a
Legion National Championships (In-Province)
For BC/Yukon Command Team traveling by bus, selected athletes must depart with
the team at the designated meeting location. No exceptions. At the completion of
the Legion Championships event, parents can make arrangements to collect athletes
from a designated area upon prior approval by the Track & Field Technical Manager.
6.3
Team Travel Bookings
BC Athletics will arrange for a group reservation for BC Team travel and make arrangements
based on the most economical routing that is also conducive to high performance results. In
most cases, BC Team group travel will originate and return to Vancouver International Airport
(YVR). For those athletes who live outside of the Lower Mainland and Fraser Valley,
arrangements will be made for either:
a. Connecting flights to and from Vancouver (YVR); or
b. Flights originating from the nearest major airport, connecting with the team (team
staff) at the destination airport, or other connecting airport (example: Toronto en
route to Moncton)
It is BC Athletics policy to not purchase trip cancellation insurance. Travel bookings will be
made according to the information provided by selected athletes on the BC Team Athlete
Declaration Form. Ticket changes after issuance will be the responsibility of the individual
responsible for the change. For example, changes made by a selected athlete after submitting
this declaration will be 100% paid for by the selected athletes.
Due to different flight schedules, selected athletes connecting to Vancouver may require an
overnight stay to and from the BC Team event. In this case, BC Athletics will make and pay
for arrangements for accommodations for the overnight stay.
6.4
Departure Policy
It is the policy of BC Athletics that all selected athletes may stay for the duration of the event
and depart on the last official BC Team departure date. The last departure date is usually set
either on the last day of competition after the last event (if time permits) or, one day following
the last scheduled event. For selected athletes that wish to stay longer, they may do so at
their own expense.
6.5
BC Senior Team
Understanding that selected athletes on BC Senior teams may have conflicting schedules
(example: work schedule), selected athletes may make their own reservations for travel to
and from the BC Senior Team event only upon prior approval from the BC Athletics Technical
Manager. In this case, BC Athletics will reimburse the cost of airfare up to the cost it would
have been to fly the selected athlete from Vancouver (plus connecting flight) to the BC Senior
Team event and back. All receipts must be submitted to the BC Athletics Technical Manager
no later than 2 weeks after the return of the BC Senior Team.

BC Junior Team
Selected athletes to a BC Junior Team must travel with the BC Team on the travel dates
indicated. Deviations will not be allowed unless accompanied by a parent, and approved prior
to departure by the BC Athletics Technical Manager and BC Junior Team Head Coach.

BC/Yukon Command Legion Team
Selected athletes to a BC/Yukon Youth (16/17) or Midget 15 Team must travel with the
BC/Yukon Command Team on the travel dates indicated. No exceptions. Athletes may
request to leave with parents only on the day of departure of the BC/Yukon Team and no
earlier. Legion Command rules dictate that team athletes (BC/Yukon Command), “must
attend the Championships for the duration of the event. Early departure is not permitted.
Athletes must adhere to this rule upon signing the form [Legion Athlete Profile Form] or forfeit
their position on their provincial command team and future legion teams.”
Any athletes from outside of the Lower Mainland, Fraser Valley, Victoria or Nanaimo will have
connecting flight arrangements made prior to the departure of the team. BC Athletics will
transport them from Vancouver Airport to the meeting location (Minoru) and back.
BC Athletics will be making arrangements for Bus Transportation of the Team. Athletes from
Vancouver and/or Nanaimo will board the bus at the Tsawassen Ferry Terminal. From there,
the bus will pick up remaining athletes at Minoru Park in Richmond, BC and make its way to
Trinity Western University in Langley.

6.8
Missed Reservations Policy
If a selected athlete misses a BC Team departing flight for reasons other than those out of
their control, the selected athlete will be responsible for the full cost to change their
reservation, or purchase a new ticket entirely. If an athlete misses their reservation for
reasons other than those out of their control and thereby misses their event, BC Athletics
reserves the right to recoup all or part of the cost of the ticket.
6.9
Travel Documents
Photo Identification is required for travel. You MUST have a government issued photo
identification for airline travel (example: passport or driver’s licence). There are NO
EXCEPTIONS, please take photo identification with you. If you are unable to board the plane
due to not having a valid piece of identification, please see above regarding missed
reservations.
6.10
Baggage & Shipping of Equipment
Javelins should be checked during check-in. You may be charged for excess baggage. If you
are, please keep you receipts and submit them to the team manager. BC Athletics will
reimburse this cost for all BC Team selected athletes. Receipts must submitted to the BC
Athletics Technical Manager no later than to 2 weeks after the team return.
Normal airline excess baggage costs will be the responsibility of the selected athlete.
Track Spikes may have to be removed at airport security. It is advised that you take out
(unscrew and remove) your pin spikes and place them in your check-in baggage.
Pole Vault Poles will require separate shipping from BC to the Host Organizing meet. BC Team
selected athletes must contact the Technical Manager for Track & Field prior to making
arrangements, or if they require BC Athletics to make those arrangements. Please note that
in some cases, poles my need to be shipped to Vancouver 5 days prior to the start of the
national championships.
7.0
ACCOMMODATIONS
BC Athletics will make arrangements (group reservations) for all BC Teams. It is the responsibility of
the selected athlete to pay for all accommodations and meals. In most cases, selected athletes will be
required to pay for accommodations upon check-in to the team hotel (or dorm). For this, selected
athletes will need to have either a credit card, or cash upon check-in. BC Athletics will release specific
accommodations information for each team prior to selection of the BC Team including contact
information and cost.
A practice of two (2) persons per room will be followed. In some cases, 3 people may be roomed
together. In that case, BC Athletics will notify the team hotel (or dorm) for use of an extra bed
(example: pull-out bed or cot). BC Athletics will assign athletes rooms based on event and competition
schedule. BC Athletics will make every attempt to accommodate roommate requests, but does not
guarantee those requests will be met.
7.1
Dietary Issues
It is recommended that selected athletes notify team staff of any dietary issues that may be
serious in nature (example: extreme food allergies). BC Athletics will make every attempt to
situate team accommodations close to a variety of meal choices.
7.2

8.0
DISCIPLINARY ACTIONS BY STAFF
Selected athletes are required to abide by the BC Athletics Code of Conduct and the BC Athletics Policy
on Harassment (see Useful Links below).
It may be necessary for the team staff to take disciplinary action while at a BC Team event (in addition
to any that may result from a BC Athletics Discipline Committee review) for violation of the codes of
conduct and Rules of Individual Behavior. Discussions on these topics are necessary because:
a. You have been selected by BC Athletics (or your club) and taken to the National
Championships or BC Team event with one of the purposes being to compete at your
highest level possible;
b. You may be roomed with someone who has a competition schedule different from
yourself;
c.
There are issues of safety, liability, your well-being and duty of care that BC Athletics takes
on and provides while you are a part of a BC (or Club) team or traveling with the BC Team;
d. Your need to respect your teammates, coaches and other athletes and guests in the same
accommodation and their needs for rest in preparation for their events.
8.1
BC Team Selection Acknowledgement Form
BC Athletics will require all BC Team selected athletes to fill out a BC Team Selection
Acknowledgement Form This form must be completed and submitted before any specific
information regarding BC Team travel is released. This form will need to be filled out and
signed by the Selected Athlete, Personal Coach. For athletes under the age of 19 years old, a
Parent will also need to sign the form.
