SHIPPING INSTRUCTION 1.1 Consignment Instructions a) Shipments to Bahrain All exhibition goods on the shipping documents, Bill of Lading / Air Waybill on Freight Prepaid basis must be consigned to: Agility Fairs & Events For Gulf Interiors 2014, Bahrain P.O Box 2758 Hidd Town Kingdom Of Bahrain Tel:+ 973 17 461034 Fax: + 973 17 461036 Notify Party : Exhibitor Name _____________________ Stand No. _____________________ Exhibition Name: Gulf Interiors 2014, Bahrain 1.2 Documents Required Prepare separate documents for temporary and permanent import and should correlate each other and with Bill Of Lading/Air Waybill. Hand written documents are not acceptable. The entries on the Invoices must be in the English Language and in accordance with the rules and regulations of the Bahrain Customs Authorities. Details on all documents must tally with the actual shipment. Following documents are required for purpose of import clearance on arrival. By Seafreight / Airfreight 2 sets of original signed & stamped Commercial Invoice in English 2 sets of original Packing List for in English 2 sets of original Certificate of Origin for Air freight & Sea freight 1 original and 3 non-negotiable Air waybill / Bills of Lading 1 original and 1 copy of Insurance Certificate (if insured) By Road freight 19.06.2013 2 Gulf Interiors 2014 from 6th – 8th May at BIEC Kingdom Of Bahrain 2 sets of original signed & stamped Commercial Invoice in English 2 sets of original Packing List for in English 2 sets of original Certificate of Origin 1 original and 3 non-negotiable Truck waybill 1 original and 1 copy of Insurance Certificate (if insured) COMMERCIAL INVOICE The signed (blue ink)& stamped commercial invoices must be in original on shipper’s(exhibitor’s) letter-head and bear the following information: Number of packages, itemized description of goods, itemized visible engraved serial number, itemized harmonized code, itemized value, total CIF value indicating currency code, total number of packages, total weight, country of origin and the remark: 1) We hereby guarantee that this is a true and correct invoice, and that the goods referred to, originate form, are manufactured and produced in ………. (country)………….(signature in blue ink) …………….(designation) and company stamp. 2) Temporary export for Gulf Interiors 2014 and will be re-exported after the exhibition. Giveaways, brochures, catalogues, magazines, printed matters, CD Rom etc are dutiable on final basis and must be given a value based on CIF basis. DO NOT INDICATE ‘No Commercial Value’ on the invoice. Failure to comply with documentation and accuracy will result in delay and undue inconvenience, storage and other dues which shall be for account of the exhibitor. The acceptance of the shipping documents as originals is subject to the sole discretion of the customs as per their defined parameters. PACKING LIST The Packing List must give details of the number of packages, weight and measurement of individual package including shipping marks of the goods. CERTIFICATE OF ORIGIN Certificate of origin must be issued from the local Chamber of Commerce at origin & should be attested by any Arab consulate or by Arab embassy at origin. Failure to submit the same while clearing cargo will be subject to pay USD 160.00 and same will be refundable if exhibitior can produce the same within 30 days. 1.3 Deadline for dispatch of documents (Pre-alerts) To ensure no delays or undue inconvenience to customs clearance on arrival, it is imperative that copy of the above documents must be forwarded well in advance to the arrival of shipments in Bahrain to: Mr. Hewa A. It is also advisable to use bolts, screws and hinges whenever possible if your cases are to be used for return or onward transport. Cardboard cartons should be avoided if they are intended for onward use. 1.5 Restricted Cargo 1. Import of alcohol or food items containing alcohol is prohibited. 2. Radio/ wireless/ telecommunication equipments or accessories require telecommunication regulatory Association (TRA) approval and the approval has to be obtained by the respective exhibitor well in advance to arrival of shipment into Bahrain. A copy of the approval has to be provided accordingly. 3. Dangerous Goods(DGR) need to be accompanied with the MSDS enabling us to avail necessary approvals from the concerned ministries. 4. Food Stuff needs to be accompanied with ‘Certificate of ingredients and quality” issued by the Health authority of the country of production / manufacture & attested certifying fitness for human consumption. Certificates issued by ‘Food Controlling Committee’ are not accepted by Bahrain authorities. In such case it must be attested/legalized by Bahrain consulate from the shipment’s originating country. For document requirements, please contact us. In order to arrange for these importations (subject to approval), we suggest you send us information of such materials at least 45 days prior to dispatch of shipment from origin. Any fee arising from such application shall be additional for account of the exhibitor as per actual receipts plus a processing fee of US$ 150.00 for our agency fees. If the above mentioned documents are not in order /available at time of clearance it may delay the customs clearance formalities for which Agility will not be held responsible. Thus, do not ship these goods into Bahrain without our prior confirmation of approval from the authorities. 5. Ensure that no labor, capital, parts or raw materials of ‘Israeli origin’ have been used in the printing, publishing or manufacture of the goods and none are part or parent companies of firms included on the Israeli Boycott Blacklist. 1.6 Courier Shipments 19.06.2013 4 Gulf Interiors 2014 from 6th – 8th May at BIEC Kingdom Of Bahrain Do not send courier shipments addressed to exhibition hall or hotel as it will probably not arrive on time. Prabhath Tel: +973 17461034, Fax: +973 17 461036 Name of Exhibitor : __________________ Stand Number : _________________ 1.7 Customs Duty / Deposits Present Customs regulations impose a customs duty @ 5% CIF value for permanent import and Customs Deposit @ 6% CIF value for temporary import. For Temporary Import, the serial number of the items must be engraved on each item and the same should be mentioned in the Invoice too. If there is no serial numbers, then customs authority will not accept temporary import and customs duty should be paid on final basis(non refundable). Customs deposits are subject to refund on re-export. Custom Duty / Deposit must be settled by the exhibitor before customs clearance procedure. It may take 4-6 months to provide the actual customs duty amount / Bill of Entry after re-export. Customs charges applicable for return shipments: 1.25% of the duty deposit outlaid, minimum US$ 100.- per shipment per exhibitor. 1.8 Re-export / Permanent Imports At the end of the show, all exhibits must be re-exported out of the country. Freight and other related charges will be on account of the exhibitor. In the event the exhibitors would like to leave the exhibition goods in Bahrain for disposal or giveaways, the permanent import is subject to Bahrain Customs approval and once it has been agreed, the exhibitors or the buyers are required to pay all duties and taxes including the formality to convert the temporary import to permanent import. Even if goods are to be disposed, duties and taxes are payable by the exhibitors and any additional disposal charges shall be additional for account of the exhibitors. Agility’s representatives will be on-site during the show dates to help exhibitors with the re-export, disposal or giveaways. Note that if the shipments are re-exported to any GCC country then customs duty has to be paid in Bahrain (first port of entry) prior to re-export, it will take minimum one week. 1.9 Hand-carry Shipments Overseas exhibitors are not encouraged to hand-carry exhibits which will be subject to customs clearance on arrival. In event the exhibits are stopped at airport on arrival, exhibitors are required to handover the shipment along with the Invoice and Packing list to Customs Authorities at airport against issuance of Custody Receipt. Thereafter, handover the original Custody Receipt along with copy of invoice and packing list to us urgently for customs 19.06.2013 5 Gulf Interiors 2014 from 6th – 8th May at BIEC Kingdom Of Bahrain clearance. In which case, please allow up to 2 working days for customs clearance with the Bahrain Customs prior to delivery to the booth. All charges for this urgent clearance shall be for account of the exhibitors. 1.10 Insurance As our tariff is computed on the basis of volume or weight and has no correlation with the value of exhibits, it follows that the cost of insurance cover is not included in our charges. It is the responsibility of each exhibitor to arrange Marine (Transport) Insurance covering transport to the exhibition, during the exhibition, and the return of the exhibits to domicile, including the period the exhibits are handled by us, and also ensure that Transport Insurance is arranged for exhibits sold locally. Upon written instructions, Agility – Fairs & Events can offer the exhibitor insurance coverage at competitive premiums. 1.11 Terms of Payment Inward Outward : : Upon uplift of goods, prior to delivery to stand. Upon presentation of invoice/prior to dispatch of shipments All payments must be made without any deduction or deferment on account of any claim, counterclaim or offset. Personal or foreign cheques are not acceptable. Container demurrage, Trailer detention, Port storage and removal charges if incurred due to late receipt of negotiable shipping documents will be charged accordingly at cost. Shipments arriving prior / after the mentioned deadline are subject to storage charges. B/L exchange fee @US$ 100/- per issue is applicable if various consolidators are involved and delivery order needs to be collected from third party agent. Bill of Lading Fee for export shipment : US$ 85.00 per issue. *Refer note 11.12 pertaining to TIB details. 3. TARIFF- HAND CARRY EXHIBITS From arrival airport to delivered booth including all urgent processing of customs formality and clearance. Consignment service charge US$ 100.00 per consignment per exhibitor Clearance and delivery charges As per airfreight tariff TIB Fee (non-refundable)* 0.5% of CIF value Minimum US$ 75.00 per consignment per exhibitor Note *Refer note 11.12 pertaining to TIB details. At the end of show closing, the re-export formality at site is: Re-export Consignment service US$ 100.00 per consignment per exhibitor fee Thereafter, exhibitor can hand carry the exhibits on return to the airport of departure. If via air freight, then charges will be applicable as per airfreight tariff. 5. TARIFF- ROAD FREIGHT 6.1 INWARD/ OUTWARD HANDLING CHARGES Customs clearance from free arrival Bahrain border, offloading at exhibition center(FOT) & delivery to stand, inclusive removal and temporary storage of empties on site & return of empty cases to exhibition stand, re loading of truck (FOT), export customs clearance to Bahrain border. TARIFF-FILMS& VIDEO TAPES From arrival Bahrain International Airport to exhibition site excluding censorship fee levied by Board of Film Censors. Handling rate US$ 25.00 per piece Minimum charge US$ 100.00 per consignment per exhibitor 8. TARIFF-ADDITIONAL SERVICES (Applicable if required extra services other than above services). 8.1Heavy-Lift Surcharges Heavy-lift surcharge for over 2000kg per unit or for units in excess of 2.5x2.5x2.5 meters for sea freight & 2.0x1.5x1.5 meters for air freight is charged at Tariff Plus 50%. Exhibits exceeding 8,000 kg per package will be subject to an individual quotation when the dimensions and weights are provided. 19.06.2013 10 Gulf Interiors 2014 from 6th – 8th May at BIEC Kingdom Of Bahrain These additional heavy-lift charges will apply for inward movements as well as for outward movements. 8.2 Rental of Forklift Rental of forklift is available for set-up of exhibits if required. 2,000 kilos forklift US$ 50.00 per hour Minimum charge 1 hour per order 8.3 Manpower If exhibitor likes to hire additional labour for standing dressing, etc., the manpower rate shall be as follows: Saturday to Thursday US$ 20.00 per man per hour Minimum 1 hours per order Friday & Public Holiday US$ 25.00 per man per hour Minimum 1 hours per order 9. STORAGE/ARRIVAL SURCHARGES 10.1 Storage Charges 1. For early arrival shipments, storage charges will be applicable (irrespective of the cargo arrival deadline mentioned in the shipping manual).The free time permitted for the shipments to Bahrain port is 5 days from the shipping line/consolidator and 10 days from the Port authority effective from the date of arrival. LCL shipments if arriving early, double handling charges as per sea freight handling tariff will be applicable for transportation from port to warehouse & then to site. Alternatively storage charges at port will be applicable. 5. LCL consolidator storage charges (at actual & vary from liner to liner-Subject to change) + 10 % service fee First 5 days free There after US$ 9.00/per cbm/ per day Please note for some consolidators, if the cargo is not cleared within the first 5 days, then the storage starts from day one. 10.2 Late arrival surcharges The following surcharges will apply for consignments arriving after the advised Timeframes. SEA FREIGHT 4 days before the required delivery on site 50% SURCHARGE AIR FREIGHT 4 days before the required delivery on site 50% SURCHARGE 11. NOTES TO TARIFF 11.1 All rates are quoted in U.S. Dollars. 11.2 Above Inward / Outward tariff is applicable separately per movement. 11.3 The rates are applicable to exhibits not exceeding the following sizes & weighing up to kg: Seafreight - 300 x 200 x 200 cm per case/unit Airfreight - 200 x 150 x 150 cm per case/unit 11.4 11.5 2000 Our tariff are based on work hours (with one hour lunch break) as defined as: Sunday to Thursday - 0830 to 1700 hours In the event of overtime, overtime surcharges shall apply. Cargo arriving after our deadline shall be subject to late arrival surcharge. 19.06.2013 12 Gulf Interiors 2014 from 6th – 8th May at BIEC Kingdom Of Bahrain 11.6 Storage charges for containers if applicable at site (subject to venue approval) will be @ US$ 400.- per 20’ Cntr and US$ 800.- per 40’ Cntr. 11.7 Container detention or Port demurrage or Trailer detention charges if applicable, then the same will be additional. 11.8 Any container remains out of the port for more than 5 days, a Port Receiving charges (PRC) will apply in addition to the storage charges @US$ 265.00/20’ cntr & US$ 390.00/40’cntr. 11.9 Storage charges per shipment (HAWB or HB/L) for exports delayed by air or sea more than 15 days Min US$ 70.00 or US$ 30.00/cbm/month or part thereof from day of closing of show. 11.10 If itemized H.S code is not mentioned in invoice/packing list US$ 10.00/- per item will be charged additionally. 11.11 Failure to declare true and accurate values on the shipping invoice including miss- declaration of the Country of Origin against the physical cargo, the Customs re-evaluation penalty US$ 175.00 per document. 11.12 All shipments are cleared into Bahrain on temporary basis for exhibition, provided all items have engraved serial number enabling temporary import to Bahrain. Temporary import is subject to a Temporary Import Bond Fee (non-refundable) and is not applicable if duty / deposit amount in full transferred to Agility – F & E, Bahrain prior to customs clearance. If shipment is declared as permanent import prior to customs clearance, customs duty will be applicable on final basis and no TIB Fee will be levied. 11.13 For valuable cargo, serial number, tag number, art number with pictures must be provided and should be mentioned on all shipping documents. 11.14 Amendment/surrender charges for AWB or MB/L if any will be charged additionally as per the actual receipts. 11.15 Re-export shipments that are delayed for more than 15 days by air or sea after closure of show will be moved to our warehouse and double handling charges will be applicable as per tariff. 11.16 Non-Delivery of goods to site to be reported before opening of the show to the site office. For instances: Delay due to incorrect documents. Delay in customs approval. No pre-alert/documents. For which Agility Fairs and events will not be held responsible. 11.17 Special handling / services / transportation if required, then the charges for the same will be additional based on the scope of work. Please advise us the details of such shipments prior to the dispatch from origin. 19.06.2013 13 Gulf Interiors 2014 from 6th – 8th May at BIEC Kingdom Of Bahrain 11.18 For re-export road freight shipments to GCC translation charges will be applicable as per actual receipts. 11.19 GCC Re-export details: All exhibition shipments are customs cleared on temporary import basis (subject to customs authority’s discretion) and have to be re-exported within 15 days from date of arrival in to Bahrain. Otherwise, customs duty will be applicable on final basis (non-refundable). Note that if the shipments are re-exported to any GCC country then customs duty has to be paid in Bahrain (first port of entry) prior to re-export. For sea freight it may take 2 weeks and for air freight one week to obtain the GCC statistical declaration (subject to customs authority discretion). To avoid delay, other option is to re-export as a normal export shipment by paying duty in Bahrain and destination GCC country. Re-export documentation + Certificate of origin issuance/attestation charges for road freight shipments will be additional and applicable on case to case basis. IMPORTANT All business is only transacted in accordance with our Standard Trading Conditions, copy is available upon request. Use of Agility – Fairs & Events (Agility Logistics) Bahrain services – be it partly or in full – and any requirement for additional services at any time before, during or after the exhibition express orally and/or in writing.
