This exhibitor manual is designed to provide you with everything you will need for a successful event. It has been written with the intention of removing as much stress as possible in the planning of your exhibition stand and to help you enjoy a smooth and trouble free event. If you have any questions please contact: Paul Rawson, Local Project Manager for The Skills Show Experience, [email protected] or 07747 868067 P2 GROW 2014 CAREERS & SKILLS EVENT GLOUCESTERSHIRE PREPARING YOUR STAND Your stand package includes: Shell scheme stand Stand lighting Carp Nameboard Wifi Tables, chairs & electrics (Dependant on requirements) Shell Scheme Shell scheme walls are 2.4m high and built using Velcro compatible covered poly-weave material. If you wish to fix graphics to your stand you can do so using Velcro. Fascia boards will be erected on each open side of your stand. Your company name will appear on this fascia board on each open side as black lettering on a white background. Risk Assessments You must complete a risk assessment that looks at the hazards, risks and control methods you have in place for your exhibition stand, including the build-up, open period, breakdown and general activities where appropriate. Be Interactive It is important that where possible all exhibitors ensure their stand offers an element of interactivity or something that is exciting and visual. The more interactive you are, the more successful your exhibiting experience will be. We all want the visitors to leave feeling inspired and motivated. P3 GROW 2014 CAREERS & SKILLS EVENT GLOUCESTERSHIRE We have come up with a few interactive ideas to help you engage with the visitors and encourage them to try something they may not have ever thought about. Let us know what you will be doing by emailing [email protected] . Furniture and Electrics Our team will be in touch to discuss your stand activity and demonstrations. Based on your activity; basic tables and chairs will be provided and 500 watt socket if required will be supplied. All other equipment will be the responsibility of the exhibitor. Audio Visual Equipment Should you wish to enhance your stand further you can order a variety of AV equipment. Our AV contractors will have your equipment delivered to your stand and a technician will set it up for you. Pictured: 3m x 3m shell scheme for example purposes only. THE VENUE Travel, Parking and Accommodation The Centaur, Cheltenham Racecourse, Cheltenham, Gloucestershire,GL50 4SH If you are travelling by car, check your best route with the AA Road Planner. Nearer the racecourse, you'll find AA signage directing you to the racecourse. For Sat Nav purposes, we recommend using postcode - GL50 4SH. Parking Parking spaces are available for the duration of the event at the Hall of Fame car park and are free of charge. P4 GROW 2014 CAREERS & SKILLS EVENT GLOUCESTERSHIRE Accommodation Cheltenham is a stunning Regency town at the centre of the Cotswolds. The town and the surrounding areas boast a fantastic array of hotels, B&Bs and even private houses for rent. Deliveries If you have any goods to be delivered by courier you must clearly mark them with: Your Contact Name Your Company Name Stand Number Address: The Centaur, Cheltenham Racecourse, Cheltenham, Gloucestershire, GL50 4SH All deliveries must be scheduled during the build-up times, if deliveries arrive outside these times they may be turned away. The organisers will sign for any deliveries made during build up where available, but will not accept any responsibility and cannot guarantee their safety. Please ensure that deliveries are not made on pallets as there is not a fork lift truck available. Catering Complimentary refreshments are not included but a range of refreshments will be available to purchase, with receipts available. Complimentary water will be placed on your stand. Complimentary catering will be served during the interval between 3pm and 4pm on Tuesday 7 October for exhibitors only. Please note access during build up is via the loading doors. Entry on the event open day will be available through the front doors of The Centaur. Build Up If you are arriving at The Centaur in a vehicle and need to unload your stand items for build up, you will be directed to a loading bay by a traffic marshal. Once you have unloaded you will need to park your vehicle in the Hall of Fame car park. P6 GROW 2014 CAREERS & SKILLS EVENT GLOUCESTERSHIRE Open Times Stands must be set up by 8.30am on Tuesday 7 October. We recommend you set up on Monday 6 October 2014. Do not leave your stand unattended at any time during the open times. If you have any questions or problems please call the events team on 07747 868067 or visit us Reception. Breakdown For health and safety reasons goods cannot be removed from your stand until an announcement that the event has closed is broadcast and all visitors have left the hall. Your goods should not be left unattended at any time during breakdown and any goods remaining after 6pm on shell scheme stands will be disposed of at the exhibitor’s expense. Organisers Office The Organisers Office will be operational throughout the event at reception. A member of the events team can always be found here. To contact one of the events team in an emergency contact: 07747 868067. Porters Porters will be on hand during build up and breakdown to assist you. EVERYTHING ELSE Badges Exhibitor badges will be provided when you arrive on site. These should be worn at all times to assist with security. Access may be refused if the badge is not displayed. These are not personalised and are available at all times from the Organisers Office or event reception. P7 GROW 2014 CAREERS & SKILLS EVENT GLOUCESTERSHIRE Balloons Helium balloons are permitted but these must be tethered and secured. Costs apply for any balloons that escape into the roof of the halls and have to be retrieved. These costs will be passed onto the exhibitor. Cleaning We ask that any rubbish is placed in the aisles at the end of the day. Please note any excess literature left after the show has closed may result in a charge from the venue. Disabled Facilities Exhibitors are reminded that all stand designs and exhibits must be arranged to conform to the Disability Discrimination Act 1995. The venue is fully accessible for disabled access. Duration Exhibitors must staff their stand throughout the entire event including evening opening. Please refer to the event timetable. Health and Safety An event Risk Assessment must be completed by each exhibitor. All exhibitors must comply with our Health and Safety Guidelines can be download from this site. Height Restrictions Any stand that exceeds 4m in height may have special conditions imposed and a structural engineer sign off maybe required. P8 GROW 2014 CAREERS & SKILLS EVENT GLOUCESTERSHIRE Insurance Whilst we take every precaution to protect your property during the event, we are not responsible for any loss or damage. We therefore highly recommend that you check your own policy or take our event insurance. Clarity Events Insurance specialises in this and can offer help and advice, please contact us on 07747 868067 for more information. Medical and First Aid Trained first aiders will be onsite during the event, including build up, open times and breakdown. Music If you propose to play music on your stand or use electronic means to play sound recordings or show films, you must obtain the appropriate licenses (PRS & PPL). Security Gloucestershire College and the venue accept no responsibility for losses or damage to any exhibitor materials or any property of the exhibitor or the contractor in any circumstances. Special Requests If you intend to have any of the following please contact the organisers as special permission may be required: animals, background or live music, cookery demonstrations or vehicle displays. Storage We recommend storing any excess literature or empty storage cases in the non secure storage available at the event.
