Pact has been working in Myanmar for 17 years. Pact implements a wide range of
development programs in Myanmar, which focuses on promoting the lives of the vulnerable
community. Pact in Myanmar is currently working in the Dry Zone and South-Eastern
Corridor, with various projects including Primary Health Care, Livelihoods and WASH.
Pact in Myanmar is currently seeking a motivated, experienced and dedicated candidate
for the position of Administrative Officer.

Position Summary:
The Administrative Officer is responsible to coordinate required administration support regarding
to Office and general logistics in order to make sure that all provision of admin, logistics support
& warehousing support to Yangon office & Program efficient and timely manners. The position
holder is responsible to assist Senior Administrative Officer.
Primary duties include:
 Effective and timely provision of quality logistics services to Pact office and program.
 Initiate & facilitate the proactive support of warehousing functions.
 Organize the compilation of monthly, quarterly inventory report to Sr. Administrative
Officer & AIS coordinator.
 Office assets are registered, allocated and tracked properly by coordination with program.
The Administrative Officer will also be a key member of Administration Department of Pact.
She/he will be responsible for promoting effective communication and coordination between and
among sections and departments within the division and Pact in Myanmar.

 Monthly, Quarterly inventories & Store Status report are done in
time.
 Proactively support of warehousing functions.

Facilitate the Inventories policies & procedure.
Carry out regular physical random warehouse checks of
commodities and inventory at Yangon Office & Filed Offices.
SPECIFIC DUTIES AND RESPONSIBILITIES:
1. Administration, Logistics & Warehousing
Under supervision of Senior Administrative Officer, this position holder is required to
engage with respective line managers as needed for assisting:
 Keep Inventories system is up to date.
 Manage to seek timely registered Ware housing. Keep store stock in/out lists up to
date.
 Oversight the provision of office supplies including stationery and sundries items
are provided regularly.
 Maintain documents and information with confidentiality, ensuring that all records
pertaining to the project are properly completed and stored in a secure place.
 Prepare and support necessary support on the contracts for Office vehicles lease &
Office security services and others as necessary.
 Organize office compound and office asset are in secure situation.
 Ensure the logistics & administrative processes and procedures in-line with donor
regulations and best practices related to support services.
 To ensure a time-bound quality service delivery mechanism is enacted across
different units of Shared Services.
 Expected Results:
o Ensure & accurate timely provisions of admin, logistics support to Country Office
efficiently.
o Having Inventories up to date. office compound and asset are in secure situation.
2. Staff Management
 Manage; supervise Admin Assistant
 Upgrade and encourage capacity and capability of admin as and when necessary.
 Expected Results:
o Ensure admin support staffs are well trained to provide maximum administration
service.
o Ensure the work plans of supervisees are updated and shared.
3. Coordination


Coordinate with other staff members to ensure the offices, warehouse and field
offices receive adequate supports from admin unit;
Facilitate and organize regular submission of Inventories & asset registered report

Participate as a representative of admin unit in the Procurement selection
committee when required.
 Expected Results:
» Ensure the offices, warehouse and field offices are well equipped and supplied
» Ensure having AIS Coordinator review for Inventories list
» Ensure to have admin’s quality involvement in Procurement Selection meeting
4. Others
 Provide necessary assistant to AIS Coordinator and Deputy Country Director.
 Representing the role of Sr. Admin Office while s/he is away from the office
 Expected Results:
» AIS Coordinator and Deputy Country Director receive secretarial supports
» Ensure Admin Unite is under continuous supervision
EDUCATION &EXPERIENCE REQUIREMENTS AND QUALIFICATIONS:












Myanmar nationality.
University degree – Bachelor’s Degree and or related field.
Minimum of (3) years of experience in administrative and logistic related field.
Ability to coordinate team and provide supervision and mentoring to team member.
Sound analytical and problem solving skills.
Strong organizational skills and ability to prioritize multiple tasks.
Ability to work quickly and accurately under time pressure and tight deadlines.
General computer skills including Microsoft Word, Excel are required;
Excellent interpersonal skills and ability to work both independently and as the
member of a team.
Demonstrated ability in oral and written English communications skills in order to
effectively present detailed information and respond to questions in a professional
manner.
Willingness to learn or adapt to new ideas and procedures.
