Tips for Fall 2015 Registration

Registration-FAQ can be found on the website of Vesalius College. Please read it carefully.

Before meeting with your Academic Adviser, fill out your Weekly Timetable and Registration
Form as far as possible. The Academic Adviser will check and approve your course selection and
sign your Registration Form. After meeting your adviser, please leave your Registration Form
with your adviser instead of coming to the Administration. If for some reasons you can’t
register during pre-registration week, be sure to obtain your adviser’s signature before the end
of the semester!

Maximum course load - approval from the Academic Standards Committee is needed prior to
registration for more than 30 ECTS credits (4 to 5 courses depending on whether you take
courses with P-code – 7,5 ECTS credits each or with G/E-code – 6 ECTS credits each).
Exception: when you combine 6 and 7,5 ECTS credits courses, you only need ASC approval if your
course load exceeds 33 ECTS credits.

Select one or two alternative courses and record these on the Registration Form in the section
called “Alternative Courses” in case you have chosen a course that is already full.

Check that you will have the class standing and prerequisites needed to take the courses you
have chosen. You must have completed HUM201P (new students & those who entered the College
as of Fall 2013) in order to take 300-level courses. For students who entered the College before
Fall 2013, you need to have completed HUM111E/112E before taking 300-level courses.

Make sure the major elective courses you are taking are on the approved major electives list for
your major.

You must indicate which courses should be counted as a minor course if a minor has been chosen.
You must submit a written declaration to that effect along with your Registration Form.

You cannot register for an Internship (INT381G/INT381E). They are decided through
application to the individual sponsors, who make the selection after candidate interviews.
Register for another course now. If you are selected for an internship in the Fall 2015, you can
drop this course and add the internship course.

Honors Essay? Complete the appropriate forms and have them approved before registration.

SY2 and TY1 planning to graduate at the end of December 2015? Make sure you have met all
the graduation requirements (see “Academic Requirements” in your catalogue, and check with
your adviser and the Administration).

-
If you plan to study abroad in the Fall 2015, you must
Obtain an “External Courses Approval Request” Form from the Reception and fill out the form
Submit the syllabi for the courses you wish to take abroad to your academic adviser for approval
Sign and ask your adviser to sign the above form, and then turn the signed form to the Head of
Academic Administration
You will NOT need to pre-register for Fall 2015 courses at VeCo (unless you are not certain
whether you will go studying abroad). However, you will still be considered as a VeCo student

If you do not register now, you will lose your right to be considered when courses are changed,
cancelled or fully booked.

You cannot register if you owe the College money (financial audit) or must still provide an
official transcript or documents (admissions audit). Please sort this out now.
REGISTRATION – FAQ
(The General Academic Regulations, specifically with regard to policies on
Waiting Lists
& Dropping /Adding Courses, can be found on the College web-site)
* What is the maximum and minimum course load for a full-time student?
 The acceptable maximum course load for a full-time student is equivalent to
- For those who entered the College BEFORE Fall 2013: 24-30 ECTS credits (4-5 courses)
- For those who entered the College as of Fall 2013: 22.5-33 ECTS credits
If you take courses less than the minimum credits stated above, you must submit a “Part-time Status” Form to
the Reception.
* Is it possible to exceed the maximum course load?
 Yes, but you must obtain a written permission from the Academic Standards Committee (ASC) prior to
registration. In addition, an extra fee is imposed per credit on a credit load over the maximum course load.
* May I register for any courses I select?
 Language courses: Unless you have a High School Education diploma in a language other than English, or a
certificate from a language institute recognized by the College proving knowledge of a language other than
English, you must take the Placement Test organized during Orientation and register for the course
corresponding to the level at which you are placed.
 Other courses: You must meet all co-requisites, pre-requisites and other requirements. You should take the
courses listed in the degree requirements of the chosen major field as described in the catalogue. In order to
take 300-level courses, you must have completed
- For those who entered the College BEFORE Fall 2013: the HUM111E/112E sequence
- For those who entered the College as of Fall 2013: HUM201P
* Can I add or drop a course after registration?
 Yes, but you must submit a Drop/Add Form to the Reception. This form MUST be signed by your adviser.
* What are the deadlines for adding and dropping courses?
 Adding: The adding period closes at the end of the second week of the semester (Friday, September 4, 2015).
 Dropping: (1) If you drop by the end of the 2nd week of the semester (Friday, September 4, 2015), the course
will not appear on your transcript. (2) If you drop by the end of the 9th week (Friday, October 23, 2015), the
course remains on the transcript and is coded “WP” (Withdrawal Pass).
* What happens if I drop after the final deadlines for dropping a course?
 The course remains on the transcript and is coded “WF” (Withdrawal Fail), which is calculated as an “F” for
the GPA, unless you submit a written request for a waiver of the deadline to the ASC and receive permission.
* Does my Drop/Add Form have to be signed by my adviser?
 Yes, the adviser’s signature is required throughout the entire semester for all students. That way the adviser
can keep track of your current courses.
* May I drop courses to less than the minimum course load?
 No, unless you submit a written request to the ASC for part-time student status and receive its permission.
* Can I change between two sections of the same course without informing the Administration?
 No. To change sections, you must fill out a Drop/Add Form.
* What happens if I am placed on a waiting list?
 Being placed on the waiting list for a course does not mean you are registered for the course. You should
register for another course in the meantime.
 If you are placed on the waiting list and wish to stay on the list, you should a) attend the course from the
beginning; b) if a place becomes available, you will be notified by the Administration and must then summit
a Drop/Add Form to add the course. At that time, you will be officially registered for the course.
 If you do not wish to remain on a waiting list, do nothing unless the Administration notifies you that a place
has become available; at that point, you should decline, in writing.
 NB: Do NOT assume that a place will become available in the course for which you are wait-listed.
Therefore, you should attend ALL the courses for which you are registered, in addition to attending the course
for which you are wait-listed. If an opening becomes available, you may then fill out a Drop/Add Form to
drop one of the courses for which you are registered and to add the course for which you were wait-listed.
