Dear Sir/Madam,
Your diplomatic mission, embassy and/or consulate is invited to attend a four-day seminar
on diplomatic protocols and etiquette. The seminar is scheduled to take place from the 21st to
the 24th of July, 2015 in Johannesburg South Africa.
1. Aim:
The aim of this resourceful seminar is to build capacity to strengthen the diplomatic
community with coherent and practical skills and techniques to observe a set of protocols
and etiquette rules in the course of official state functions, ceremonial occasions and
diplomatic events.
2. Benefits:
At this seminar, delegates will learn how to:
1. Observe courteous rules to confer respect and warmth in diplomatic settings.
2. Demonstrate knowledge of international and regional protocol principles.
3. Apply the principles of protocol at diplomatic functions.
4. Apply professional etiquette in diplomatic environments.
5. Display an understanding of diplomatic immunities and privileges; and
6. Use the national flag and national anthem correctly.
3. Audience:
The seminar is open to diplomatic and protocols personnel in permanent missions and
consular posts, specialized organizations working in multilateral settings, government
officials and politicians.
4. Format:
The seminar will be conducted in English. It will include presentations, interactive
discussions, questions and answers, formative and summative assessment.
5. Outcome
At the end of this seminar, delegates will receive a certificate in “Managing and applying
protocols and etiquettes in a diplomatic context” NQF level five (5), ten (10) credits.

6. Facilitators:
The seminar will be delivered by highly qualified, experienced and SAQA accredited
facilitators, assessors and moderators.
7. Content:
The content of the seminar is comprised of seventeen modules each with its own outcome.
The modules are consists of the following:
Module 1:
Overview of diplomatic protocols and etiquette.
Module 2:
The official order of precedence at national level and specific target country.
Module 3:
Managing and applying protocols for incoming and outgoing state visits.
Module 4:
Protocols pertaining to second and third spheres of government.
Module 5:
Twinning agreements.
Module 6:
Investigating and applying etiquette rules of a specific target country.
Module 7:
Protocols regarding ceremonial functions and gifts.
Module 8:
Writing and issuing diplomatic invitations appropriately.
Module 9:
Applying seating arrangements in the appropriate order of precedence.
Module 10:
General etiquette appropriate to a diplomatic environment.
Module 11:
Capacitating staff members in the relevant etiquettes required of them.
Module 12:
Forms of diplomatic address, introductions and dress code.
Module 13:
Monitor the use of the national flag for ceremonial and other occasions.
Module 14:
Apply the correct procedures in the use of the national flag and anthem.
Module 15:
Convention on the privileges and immunities of the United Nations.
Module 16:
Convention on the privileges and immunities of the specialized agencies
Module 17:
Immunities, security and privileges pertaining to diplomatic appointments
1. Registration fees:
US$ 2,750.00 per delegate. This includes airport shuttles to and from the O.R Tambo
International Airport in Johannesburg, four-night accommodation, breakfast, lunch,
refreshments, learning materials and certificate. Confirm your participation by the 15th of
July 2015, as seats will be reserved only on first come, first served basis.

IMPORTANT INFORMATION
1. Venue information:
Protea Hotel Parktonian, 120 De Kort Street, Braamfontein Johannesburg. The venue offers
excellent security services 24 hours a day.
2. Airport arrival:
Alibelle Institute Management Studies will arrange airport shuttle for international delegates
upon arrival at the O.R Tambo International Airport in Johannesburg. Trained and
professionally well versed staff will be at the airport to assist all delegates. Delegates are
advised to send their travel details to the seminar secretariat via the following email:

3. Accommodation:
Alibelle Institute of Management Studies will make the necessary accommodation on behalf
of all international delegates. The accommodation package will include a three night
accommodation, dinner, bed and breakfast at the Protea Hotel Parktonian.
4. Internet connection:
Internet connection will be available for use by delegates in the hotel. An IT technician will
be on standby to assist delegates with any IT requirements.
5. Visa requirement:
All visa enquiries should be directed to South African diplomatic representatives in the
delegate’s home country. In terms of existing arrangements, passport holders of certain
countries may be exempt from visa requirements.
6. Standard time:
The South African standard time is two hours in advance of the Greenwich Mean Time
(GMT+2), one hour in advance of Central European winter time and seven hours in advance
of the United States Eastern standard time throughout the year. There are no time zones
differences within the Republic of South Africa.

7. Health precautions:
No international immunisation is needed when travelling to South Africa. The only
inoculation requirement is a yellow fever vaccination certificate. Delegates are advised to be
inoculated against yellow fever before travelling to South Africa.
8. Language:
South Africa has eleven (11) official languages. However, English is spoken nationwide.
9. Safety and security:
The safety and security of all delegates will be ensured at all time. However, delegates are
advised to take a few basic precautions. All valuables, passports, cameras, should be locked
in the safe of your hotel.
10. Communications:
The international dialling code for South Africa is +27. The outgoing code is 00 followed by
the relevant country code. If you wish to make a call overseas, you must first dial 00, which is
South Africa's international access code. You then dial the country code, area code of the city
or region and the number of the person you wish to call.
The telephone system is relatively reliable, but most people use mobile phones. Business
centres, telephone, fax, internet and email services are available at Protea Hotel Parktonian.
Delegates are also encouraged to purchase local SIM cards for mobile access.
11. Climate and weather:
South Africa's climatic conditions generally range from Mediterranean in the south western
corner of the country to temperate in the interior plateau, and subtropical in the northeast.
Temperatures are influenced by variations in elevation, terrain, and ocean currents more
than latitude.
12. Electricity voltage:
The South African electricity voltage is 220/230 volts AC at 50 cycles per second. Three
pronged plugs are universal, so take an adapter. All hotel rooms have 110 volt outlets for
electric shavers and small appliances.

13. Currency and foreign currency:
The official currency of South Africa is the Rand. One Rand (R 1) = 100 cents (c). Notes issued
R200, R100, R50, R20, R10; coins R5, R2, R1, 50c 20c, 10c, 5c. Currency exchange rates are
available at banks and are published and updated daily in all hotels.
US Dollars are widely accepted. It is advisable to keep currency exchange receipt in order to
be able to re-exchange when departing. Banking hours are usually from 08h30 to 16h00
Monday to Friday. Credit cards are generally accepted. American Express, Diners Club and
Visa Cards enjoy full acceptance.
