Dear Vendor / Exhibitor:
The Central Louisiana Garden Expo Committee invites you to exhibit in the Central Louisiana Garden
Expo 2015 Show and Sale being held in the Alexandria Evacuation Shelter (on the south side of the
LSUA campus) on April 10-11, 2015 from 9:00 a.m. to 7:00 p.m. on Friday and 9:00 a.m. to 2:00 p.m. on
Saturday. Doors will open to the public at 9:00 a.m. each day. We want you to participate! This will be
the premier Garden Expo for Central Louisiana. Garden folks will come from everywhere.
Booth Requirements: Skirting, background and ambiance are vendor/exhibitor's responsibility. One
table and two chairs available if requested. Extra tables will be available at a cost of $5.00 per extra table.

Parking and Camper Hookups:
There is unlimited parking at the Evacuation Shelter for Garden Expo vendors and participants. There are
10 Camper hookups available for vendors with Camper trailers. Three-day packages are available for
$25.00/days. Hookups provide 30 amp breakers, sewerage & water. The camper area lends itself to
family atmosphere.
Set up time:
Thursday, April 9: 9:00 a.m. – 4:00 p.m.
Friday, April 10 – Saturday, April 11: carry-in items only
Breakdown time:
Saturday, April 11: 2:01 p.m. until 5:00 p.m.
Sale hours:
Friday, April 10: 9:00 a.m. - 7:00 p.m.
Saturday, April 11: 9:00 a.m. - 2:00 p.m.
Cancellation Policy: If cancellation (received in writing) is made prior to March 15, 2015, a full
refund will be made, less $10.00 administrative fee.
A confirmation letter will be sent to you upon receiving your completed registration/contract form,
and a welcoming package will be available at the Garden Festival Plant Health Booth on arrival at
the Garden Festival.
Please review the Booth Layout Floor Plan of the Garden Festival (see attachment). Electricity will not
be available for center booths (numbers 41-80), and limited to 12 booths on row with booth numbers 1-20
and 14 booths on row with booth numbers 61-80. Please indicate your Booth Number for 1st, 2nd, and 3rd
choices of location on the enclosed Registration Form. Space is offered on a first come, first served basis.
Deadline for registration is April 1, 2015
Please return your registration as soon as possible. Be sure to fill out the Registration Form completely
and mail in with your check for the amount of booth space you want. Your letter of confirmation will
serve as your receipt.

AGREEMENT OF UNDERSTANDING FOR PARTICIPATION
The LSU Agricultural Center, Louisiana Cooperative Extension Service, and the State Evacuation Center hereby
disclaim any and all warranties, express or implied, including warranties of fitness for a particular purpose, related
to premises and services involving the above named entities and the 2015 Central Louisiana Garden Expo.
VENDOR/EXHIBITOR hereby waives any all claims for all loss, however characterized, or damage to property
resulting from any cause whatsoever, including without limitation: theft, wind, fire, or water. Insurance for the
property, employees and activities of VENDOR/EXHIBITOR is the sole responsibility of VENDOR/EXHIBITOR.
VENDOR/EXHIBITOR hereby agrees to defend, indemnify and hold harmless the LSU Agricultural Center,
Louisiana Cooperative Extension Service, the State Evacuation Center, and all members or employees of the above
named entities for any and all losses or damages, of any nature or character whatsoever, including third party
claims, that may occur related to the activities, conduct, participation or performance of VENDOR/EXHIBITOR or
employees of VENDOR/EXHIBITOR related to the 2015 Central Louisiana Garden Expo within the exhibit area,
or otherwise during the 2015 Central Louisiana Garden Expo.
