INTRODUCTION
Introduction
This document explains how to use the DHL IntraShip Shipment Import Mapping
function. There are two types of specifications highlighted for both TD (AIR) and
DD/DDI (ROAD) shipments. The specs are:

How to use this document
1. The first part of this document shows the available fields (mapping items),
Maximum character lengths, format and examples for the TD and DD/DDI
Shipment Import Schema.
Please note that all Shipment Import files must either be stored as a .csv or .txt. In
addition some piece of data may have leading zeros such as some Account Numbers
and/or schedule numbers. When creating/saving the files using applications such as
Microsoft Excel please ensure that the leading zeros are still present in the final
import file. (0001 may turn into 1)
2. The second part of this document explains how to create the Shipment Import
mapping schema within DHL IntraShip.
3. The third part of this document is optional and explains how to validate and
modify the Shipment Import mapping schema with a preview of the first line
of the Shipment Import file within DHL IntraShip.
4. The fourth part of this document explains how to run the Shipment Import
routine using the defined Shipment Import Schema and then print off the
shipments.
5. Appendixes in this document include an explanation of all available product
codes, a sample spreadsheet and output file with layouts.

How to create a Shipment Import Mapping Schema
1. Log in to your IntraShip entity
2. Click on Client Options within the main navigation bar on the left side of the
screen

3. A new navigation panel will open at the middle of the screen. Click on
Shipment Import Mapping

4. The Shipment Import Mapping panel will now open up
5. Define the field delimiter – this should be the character that separates each
field in the Shipment Import file. So if the Shipment Import file is a CSV file
it would be comma (,).
6. Define the text delimiter if required – please note that ‘and “ are not
allowed.
7. Give the Schema a Name
8. Please define your required mapping schema against your Shipment Import
file.
a. Simply click the drop down box of the field you wish to define and
select the contents of your shipment import file at the position shown.
• Example: If the second field in the import file is the Shipment
date then you would choose Shipment date as the second field
within the Shipment Import Mapping Schema
b. Any fields within the Shipment Import Mapping Schema that are
empty or to be ignored should be populated with ---

Please note when clicking and selecting an item in the drop down boxes the
IntraShip page will refresh. Please wait for the refresh every time before
changing the next drop down box.
9. Click on “Save Scheme” to store the layout for future use.

How to import Shipping Orders using a Shipment Import Schema
1. Log in to your IntraShip entity if not already logged in
2. Click on Client Options within the main navigation bar on the left side of the

4. Click on “Browse” and select the Shipment Import file. Please note that the
file extension must either be .csv or .txt
5. In the next drop down box select “Personalized Shipmentimport”
6. In the next drop down box select your Shipment Import Mapping Schema
7. Click on “Import file” to start the shipment import process

8. DHL IntraShip will now validate the data against the embedded business rules
and defined Shipment Import Scheme. A log advising of any errors, warning
and successful records will appear.
9. All successfully imported shipments will now appear in the Shipment list
overview. Please note that shipments with a future date will not show
immediately in the Shipment list overview.
10. Click on “Shipment list overview” in the main navigation
11. All shipments with the status set as Authorized are ready to be printed.
12. Simply tick the shipment you wish to print or click “Select all” and click on
“Print”

10. The Ad hoc Shipment Import Mapping screen will now appear
11. Scroll to the bottom of the screen and select the Shipment Import Schema you
wish to use/apply
12. Click on “Load Scheme”
13. You will now notice that the first Line of your Shipment Import File is shown
mapped against the corresponding fields on DHL IntraShip. It is here where
you could rectify the mapping schema if required.

14. Once the mapping has been finalised it can be updated or stored as a new
Shipment Import Schema
15. To proceed with the Import simply click on “AdHoc File Import forward”
16. Click on “AdHoc” File Import start
17. DHL IntraShip will now validate the data against the embedded business rules
and defined Shipment Import Scheme. A log advising of any errors, warning
and successful records will appear.
