MINUTES OF ECOLE DOROTHY LYNAS ELEMENTARY SCHOOL
PARENTS ADVISORY COUNCIL
HELD April 23, 2015

MEETING
1. Call to Order – 7:00 pm meeting called to order by Craig McMahon.
2. Agenda adopted.
3. Approved Minutes from February 23, 2015 GM.
4. Treasurer’s report – Wayne Audette:
 Next year Gaming Grant (2015/16) application has been submitted.
The Gaming Grant funds must be spent within three years. Current
cash balance available is $10,100.
 Total funds available (non-gaming cash, saving account and
Seycove auction) are approximately $129,000.
 No overspends to date.
 The 2015/16 Budget will be discussed at the May PAC GM and
voted at the June PAC AGM.
5. Technology plan – Approved are additional $50,091 as a supplement to the
expenditures outlined in the original 2014/15 budget. Therefore the total budget
supplements to date are $62,511, including $12,420 for the nine Redcat audio
systems approved at the November PAC meeting (For more details see
“Summary of Technology plan” attached to the Minutes).
6. Principal’s Report – Arlie Thompson. –
6.1. School fees for next school year:
 Kindergarten school supplies fee - $ 40.00
 Planners - $ 6.00 ( or buy it from somewhere else)
 Gr.1 – Gr.7 school supplies – either ordering through the
school supplier or purchasing by yourself.
 Learning activities - Field trips on a cost-recovery basis (not
to exceed $50/student per year excluding Grade 7 special
field trips); Craft supplies - $10-15 per year; Enrichment fee $30.00 per year. Teachers are asked to not go over these
amounts.
6.2. Earth week activities – taking the kids out, lights out for lunch,
learning about the environment, clean the outside school area. There are
new recycling bins placed throughout the school that are getting very
popular between the students and increase their involvement in saving the
planet.
6.3. Band demonstration in this week.
6.4. French classes performances in this week.
6.5. Track and field – Practices between 8 am and 4 pm during the week.
First mini meets at Sherwood Park Elementary and Windsor Secondary
school in next week.
6.6. Big House for Gr.4 and Outdoor school for Gr.3 in May. Some
planning has already started.
6.7. KM club for K – Gr.3 starts May 6th through June 5th. Organization is
in process
7. Committee Reports:
7.1. Seycove auction –. Huge success! Thanks to the volunteers this
year! Kathy Overgaard, Michelle Lewin and Crystal Dobmeier on
acquisitions. Susan Olson and Lori Gunson coordinated the homeroom
baskets. Thanks to all of the class reps who collected from parents and
created the baskets. Thanks to Lisa Hammermeister for coordinating the
sale of the tickets for the event. Everyone who helped set up, tear down,
donate prizes and attend the event. In terms of numbers this year venue
brought in:
 247 people (100 less than last year)
 $ 14,177 more in net income than the last year ( in total $
39,226)
 $ 1,000 bar sales than last year
 Sponsorship up to $9,100 ( $400 up than last year)
 Auction sales - $ 25,803 (approximately $ 2,500 higher than
last year).
Tickets sales are down due to the smaller venue and expenses are down
from $30,362 to $17,107 !(No rent, saved on credit card charges for ticket
sales, lower catering costs, lower security costs)
7.2. Spring Carnival – Save the date – Saturday, May 30th! The
organization is still in process – raffle tickets are printed out, all permits
are obtained. Volunteers are needed – the idea for this year spring
carnival is to assign a booth to each class that will hopefully bring enough
volunteers to run the carnival. The committee is working on attracting
more sponsors. In consideration is the idea of reducing the price of the
food (concession). The Pony ride has been replaced with a new Wipeout
style ride.

The next PAC Meeting will take place Tuesday, May 19th at 7:00 pm
