2015 -­‐ 2016 CALENDAR for Units and Councils in Peralta District PTA Note: Please keep this for reference and planning. 1. Due dates are Peralta District PTA due dates; a council will have an earlier date in order to meet the Peralta due date. 2. Every month PTAs need to have an executive board meeting and remit per capita (membership dues) through channels. 3. If you are in Alameda, Berkeley, Fremont, Pleasanton or San Lorenzo “through channels” means submit/remit to your council. 4. Presidents or their representatives are expected to attend the Peralta District PTA association meetings. Peralta Dates DUE DATES -­‐ required submissions Typical unit tasks MAY-­‐JUNE 2015 JUNE if not already submitted to Peralta: President-­‐elect meets with Principal regarding summer plans for PTA & tentative calendar Attend all leadership training Have committee meetings, get organized, plan Organize files received from predecessor May 30 -­‐ Peralta's Annual Training and Association Meeting JULY 2015 AUGUST 2015 Aug 31 – Peralta training (Details still to be determined) ❏ Officer rosters for 2015-­‐16 ❏ Financial Reports/copies of tax filings ❏ 2014-­‐15 Annual Historian Report JULY or AUGUST ❏ Remit any per capita (“per caps”) –
the portion of membership dues not belonging to the unit -­‐ found in end of year audit to have not been submitted during previous year Copies of these reports to Peralta: ❏ Year End (2014-­‐15) Financial Report ❏ End of Year (2014-­‐15) Audit (Audit Report form, checklist and any recommendations/findings) Take office on July 1 Outgoing auditor prepares end of year audit Outgoing Treasurer prepares Year End Annual Financial Report Change signature cards at bank Executive board meeting during summer: • decide on goals, programs, review draft calendar • plan for Reflections, CAPTA grants, convention resolutions • present programs & budget to board for review • copies of bylaws to whole board, review • present financial reports & final calendar approval Peralta Dates SEPTEMBER 2015 DUE DATES -­‐ required submissions SEPTEMBER ❏ Per caps remitted Copies of these reports to Peralta: ❏ Year End (2014-­‐15) Financial Report ❏ End of Year (2014-­‐15) Audits ❏ Budget for 2015-­‐16 OCTOBER 2015 OCTOBER 1 -­‐ Submit Intent-­‐Convention Resolution ❏ Per caps for 30 members by 10/15 to qualify for Ready Set Remit Award 5 -­‐ PERALTA ASSOCIATION MTG Adopt program, budget, audit ❏ Remit insurance -­‐ $TBD for units 15 -­‐ CAPTA Grant Applications due NOVEMBER NOVEMBER 2015 ❏ File tax forms & RRF-­‐1 by 11/15 or 15 -­‐ Tax filing day for Peralta’s PTAs ❏ File for extension to submit tax forms 15 -­‐ Per capita for min. of 15 members ❏ Per caps remitted to remain a “unit in good standing” ❏ Remit insurance -­‐ $ TBD for units Typical unit tasks Association meeting: • Adopt year end audit & year end financial report • Approve proposed programs/projects and fundraisers • Approve updated budget Membership campaign kick-­‐off Reflections program kick-­‐off DECEMBER 2015 DECEMBER 1 -­‐ Insurance Premium must be remitted ❏ Insurance premium remitted -­‐ $ TBD ❏ Per capita remitted 9 -­‐ Reflections Entries to Peralta ❏ Copies of tax filings sent to Peralta JANUARY 2016 JANUARY ❏ Workers Comp Report submitted 9 -­‐ Peralta's Reflections Event ❏ Additional premium paid? Notify membership of slate of officers (28 days before election) Celebrate PTA Founders Day: • Award Honorary Service awards • Collect & remit Freewill Offering MARCH 2016 Association Meeting in March or April: 7 -­‐ PERALTA ASSOCIATION MTG Founders Day event APRIL 2016 MAY 2016 1 -­‐ Officer contact information due 5 -­‐ 7 Convention in San Diego • Elections for following year • Adopt mid-­‐year audit • Elect delegates to CAPTA Convention MAY ❏ 2016-­‐17 Officer Contact information entered into PTAEZ ❏ 2016-­‐17 Roster submitted Contact info for officers to council/district President-­‐elect meeting with officers-­‐elect: • Plan, ratify chairmen, discuss goals, proposed budget • Plan to send officers-­‐elect to training JUNE 2016 4 -­‐ PERALTA ASSOCIATION MTG and Annual Training JUNE ❏ Final per capita submitted by June 15 to be counted for 2015-­‐16 year.
