15 – 16 May 2015 Dural Sport and Leisure Centre Exhibitor Prospectus The Event Revive will be held at Dural Sport and Leisure Centre from 15-16 May 2015. The story of Revive goes back way further than the first gathering in 2006. In fact the idea of "Revive" was bubbling in the heads and hearts of a group of Baptist Pastors and Leaders for years. We have always had a strong conviction that local Churches are the best way to reach local communities, but we hadn't figured out how or even what it meant to be together in this vision. As our gathering, Revive is about celebrating what God is doing in our communities; in our Youth Groups, in our Play Time ministries, in our Seniors Groups, in our Kids Clubs and all the other brilliant local missions operating in our Churches. In short, Revive is about us - when we celebrate what's happening in your Church, in reality we celebrate what's happening in God’s Church. Revive is about Us: • Inspiring the church in building kingdom communities. • As a whole we are greater than the sum of our parts. • A movement of people committed to growing in faith and working together for the glory of our Lord and Saviour. Revive is seeking the support of leading organisations who would like to demonstrate their products and services to a targeted audience of passionate and interested Christians. Excellent exhibition opportunities exist at reasonable rates, offering exposure and direct access to conference delegates. 2 GENERAL INFORMATION Bumpin Thursday, 14 May 2015 from 2:00pm onwards. Bumpout Saturday, 16 May 2015 from 5:00pm until 11:30pm. All exhibitors must be offsite by 11:30pm. Exhibitor Passes All names for exhibitor passes must be submitted by Thursday, 30 April 2015. Exhibition Contractor Ardek Exhibitions has been appointed as the official exhibition contractor for Revive. Ardek Exhibitions can assist with a range of services including: • Furniture • Electrical • Signage • Stand design • Audio visual For more information, visit www.ardek.com.au Exhibitor Kit All exhibitors will receive an exhibitor kit after confirmation of booking space with Revive. Public Liability Insurance Please forward a copy of your Public Liability Insurance to: Kylie Hood – Events Manager E: [email protected] A copy of your insurance is due by Thursday, 30 April 2015. 3 Security The venue will be securely locked at night; however it will be open throughout the course of the day. All due care will be taken, however all goods are displayed at the risk of the exhibitor and must be adequately covered by your insurance. Setup Finalisation All displays must be finalised by 8:00am, Friday 15 May 2015. Approximate Show Times Friday 8:30am-10:00am 12:45pm-2:15pm 6:30pm-7:30pm (optional) Saturday 8:30am-10:00am 12:45pm-2:15pm 4:30pm-5:00pm Stand Space Exhibitors may only demonstrate products, distribute marketing collateral and approach Revive delegates within their contracted space. Subletting and Sharing of Space Subletting of space is not permitted under any circumstances. Sharing of space is permitted provided both companies are approved by the event organiser, there is only one point of contact, one insurance certificate to cover both companies and no conflict of interest with any other exhibitors. COSTS Booth Rates All booths are 3m x 3m and include the following: • Octonorm walling • 3 spotlights • 1 x 4 amp power point • 1 x corflute fascia sign with black text Single booth rate: $320 ex. GST Larger booths available: POA Space Only Rates: POA 4 There is no additional cost for a corner booth. Please note: there is no walling between booths. Send your form to: Kylie Hood – Events Manager Baptist Churches of NSW/ACT PO Box 122 EPPING NSW 1710 [email protected] TERMS AND CONDITIONS Alterations to Space The organisers reserve the right at any time to make such alterations to the space as they consider necessary in the best interest of Revive, including altering the size, shape or position of the space. Should alterations be necessary, all care and consideration will be taken to ensure minimal disruption to exhibitors. Animals Only assistance animals are permitted onsite. Cancellation of Space Cancellations must be advised in writing. Any exhibitor cancelling prior to Thursday, 18 April 2015 will receive a refund of monies paid less a $100 administration fee. No refunds will be issued for cancellations made after 18 April 2015. 5 Electrical Installation All electrical work will be carried out by the official exhibition contractor or a licensed electrician. Exhibitor Conduct Exhibitors must ensure their stand is open to view and staffed by competent representatives for the duration of the exhibition opening times. The exhibitor shall ensure the aisles, passageways and walkways are kept free from obstruction for the duration of the show, including bumpin and bumpout times. Sound levels caused by the exhibitor’s use of display equipment such as videos, televisions and sound systems shall not be intrusive on other exhibitors. The organisers reserve the right to terminate the use of such equipment on the basis of unacceptable sound levels. Food and Drink Giveaways The exhibitor must notify the organiser in writing of their intention to give away food or drink on their stand. Indemnity The exhibitor shall indemnify and keep the organisers indemnified against all losses, claims, demands, actions, proceedings, damages, costs or expenses or other liability arising in any way from the use of the site by the exhibitor, except to the extent that the same is caused or contributed to by the negligence of the organisers. Legal Requirements Exhibitors must comply with all applicable laws, industrial agreements, industrial awards, venue requirements, workplace health and safety and consumer protection practices. Payment All payments are due within the terms and conditions outlined on the invoice. All monies are due prior to the commencement of the exhibition bumpin. Any monies still owing at the time of Revive may result in the exhibitor being refused access to the exhibition area. 6 Postponement, Abandonment or Cancellation If, for any reason beyond the reasonable control of the organisers, the holding of Revive is postponed or abandoned or the site becomes wholly or partially unavailable for the holding of Revive, the organisers may at their discretion cancel Revive and return such portion of the sums paid to it by the exhibitor. In any case, the organisers shall not be liable and are hereby released from liability for any damage, loss (including consequential loss) or expense occurred by the exhibitor as a result of the postponement, cancellation or abandonment of Revive. Removal of Goods The exhibitor shall not dismantle or remove any part of its stand, goods or exhibit until 5:00pm on Saturday, 16 May 2015. All goods and exhibits must be removed by 11:30pm on Saturday, 16 May 2015. All sites must be left clean and all rubbish must be removed.
