Index-1 Chapter 1 Read Me First Welcome to Lotus SmartSuite® for OS/2 Warp™ 4, a complete suite of award-winning products for OS/2 Warp from Lotus® Development Corporation. SmartSuite® is comprised of the following products: Lotus 1-2-3®, the only spreadsheet for you and your team Lotus Approach®, the high-powered database the whole team can use Lotus Freelance Graphics®, the presentation graphics package for everyday communication Lotus Organizer®, the personal information management tool Lotus Word Pro®, the team word processor How to use this book This book serves as an introduction to SmartSuite. In addition to providing the installation instructions and information for upgraders, this book includes information on: SmartSuite tools Team Computing concepts The types of assistance available Internet features LotusScript® Once you are familiar with the basics of SmartSuite, use the individual product Exploring books to learn more about the products. Complete information about the products is available in online Help. Conventions used in this book Both this book and the product Exploring books assume you know how to perform basic operations in OS/2®. All these books use the following conventions: Key names appear in small bold capitals, for example, ENTER. 1-1 Information that you are to type appears in a different typeface, for example, Operating Expenses. To get started gets you to the starting point—to the dialog box, InfoBox, or Assistant for the task you are doing. Then you can click the Help button or press F1 to display online Help. To do it describes all you need to do to accomplish a task. Checking your package Check the contents of your SmartSuite package against the following lists. If your package is not complete, contact your computer dealer or supplier. Software SmartSuite for OS/2 Warp 4 CD-ROM Documentation In addition to this book, the SmartSuite package includes the following printed documentation: Exploring 1-2-3 Exploring Approach Exploring Freelance Graphics Exploring Organizer Organizer Print Layout Guide Exploring Word Pro Lotus Customer Support Guide 1-2 Installing and Using SmartSuite Products Chapter 2 Installing SmartSuite This chapter describes system requirements for SmartSuite for OS/2 Warp 4 and explains how to install IBM FixPak 5 “Special Edition” for OS/2 Warp 4 and the SmartSuite products on a stand-alone personal computer and on a network file server. The chapter also provides information about additional products and documentation included with SmartSuite. System requirements This section describes the hardware, software, memory, and disk space requirements for installing and using SmartSuite on a stand-alone computer, and provides information about supported networks. Hardware An IBM® PC or compatible (Pentium 90 or higher) with 32 MB of random access memory (RAM) A VGA or higher video adapter and display A mouse or other pointing device A CD-ROM drive (installed and running in OS/2) Software OS/2 Warp 4 IBM FixPak 5 “Special Edition” or higher 2-1 Disk space You will need approximately 20 MB of disk space to install FixPak 5 “Special Edition.” Other disk space requirements depend on the SmartSuite products you install. The SmartSuite products are listed below, with approximate disk space requirements for a default install on a stand-alone computer. SmartSuite for OS/2 Warp 4 Shared Components and Products Disk Space Required for Default Install Shared Components (installed once) 38 MB 1-2-3 18 MB Approach 15 MB Freelance Graphics 32 MB Organizer 12 MB Word Pro 48 MB Books and Scripts Default install of all products 5 MB 168 MB The Shared Components include DLLs and other files and tools that provide common installation, functionality, and integration for the SmartSuite products. The Shared Components are installed once and shared by each product. To determine the total amount of disk space required to install one or more of the SmartSuite products using the “Default install” option, simply add the disk space for the Shared Components (approximately 38 MB) to the disk space required for a Default install of each product you intend to install. You can use the “Custom install” option of the Install program to select and deselect certain features for each product, and thereby increase or decrease the disk space required, taking more or less disk space than that shown above. Supported networks For network installation, SmartSuite supports the following: IBM LAN Server, versions 3.0 and 4.0 NetWare Requestor, versions 2.11 and higher Novell NetWare, versions 3.12 (with current OS/2 patches from Novell), 4.0x, and 4.1 2-2 Installing and Using SmartSuite Products Installing FixPak 5 “Special Edition” for OS/2 Warp 4 You must install IBM FixPak 5 “Special Edition” or higher on OS/2 Warp 4 before you install the SmartSuite products. FixPak 5 “Special Edition” contains updates not contained in earlier versions of FixPak available from IBM. Additional detailed information about FixPak 5 “Special Edition” is available in the README.TXT file located in the root directory and the READ.ME file located in the OS2 subdirectory of the SmartSuite for OS/2 Warp 4 CD-ROM. 1. Close any applications that are running. 2. Insert the SmartSuite for OS/2 Warp 4 CD-ROM in the CD-ROM drive. 3. Open an OS/2 window. 4. Type x:\os2\os2serv (where x is the letter of your CD-ROM drive) and press ENTER to bring up the “Open 32 Easy Installation” screen. The Install program will take time to query your OS/2 system and make the Install button available for selection. 5. Click the Install button. The FixPak/Open32 install program may prompt you to name ARCHIVE and BACKUP subdirectories. If you want to watch the progress of FixPak installation in full-screen display, press CTRL+ESC to bring up the OS/2 Window List and select FSERVICE.EXE. 6. After the installation is complete, exit the Install program, shut down and restart your computer, and then restart OS/2 Warp 4. After you install this FixPak and restart your OS/2 system, you will be ready to install the SmartSuite products. Installing SmartSuite 2-3 Installing SmartSuite for OS/2 Warp 4 The SmartSuite for OS/2 Warp 4 Install program transfers the SmartSuite products to your hard disk or to a network file server. The Install program lets you install all SmartSuite products at once or the individual products as you need them. You can install one or more of the SmartSuite products: 1-2-3®, Approach, Freelance Graphics, Organizer®, and Word Pro. You can also select Books and Scripts, which installs the Installer for Adobe Acrobat Reader, online books about SmartSuite products (which you can open in the Reader), and sample LotusScript® application files. Obtaining technical information about SmartSuite products README files that provide important information about SmartSuite are available on the SmartSuite for OS/2 Warp 4 CD-ROM. The README.TXT file provides information about installing SmartSuite products, using other products with SmartSuite, and troubleshooting problems. READNET.TXT has information for network administrators. 2-4 Installing and Using SmartSuite Products These files are located in the root directory of the SmartSuite for OS/2 Warp 4 CD-ROM. You can read or print these files before you begin the installation by opening them in the Enhanced Editor (located in the Utilities folder in the OS/2 Warp 4 Programs folder). During installation, you can read these files by clicking “Open” when the Install program asks if you want to read them. To access README.TXT and READNET.TXT after you install one or more SmartSuite products, follow the procedure in the section “Product README files,” later in this chapter. Getting Help while installing SmartSuite Information about installing the SmartSuite products on a stand-alone computer and on a network file server is also available in online Help. Online Help is accessible from Install dialog boxes and provides information about dialog box options. To see information, click the Help button. To print any displayed Help topic, click the Print button. To switch between Help and the Install program, click the title bar of either the Help topic or the Install program. To return to the Install program from Help, press ESC or double-click the icon in the top-left corner of the Help window. Choosing products to install When you are installing SmartSuite, you can choose “Default install” or “Custom install.” Default install automatically installs the typical features of each SmartSuite product; this may not include all features of each product. For example, Default install includes all product Help files, but it does not include product Tours. If you want Tours and other features not installed by default, you must do a Custom install. Default install also automatically installs the Installer for Adobe Acrobat Reader, and the online version of this book, Installing and Using SmartSuite Products, which you can open in the Reader. If you want other online books and the sample LotusScript application files, you must do a Custom install. Custom install lets you decide which features, including additional SmartMaster™ templates, art, filters and so on, are installed for each application, and whether online books and scripts are installed. If you want to install additional products or product features, remove features, or install another language version of a product after you install SmartSuite, you must run the Install program again. Installing SmartSuite 2-5 Installing on a stand-alone computer To install the SmartSuite products on a stand-alone computer, follow the steps below. Note IBM FixPak 5 “Special Edition” or higher must be installed before you install SmartSuite products. 1. Start OS/2 Warp 4. 2. Insert the SmartSuite for OS/2 Warp 4 CD-ROM in the CD-ROM drive. 3. Open an OS/2 window. 4. Type x:\install (where x is the letter of your CD-ROM drive). 5. Press ENTER. 6. Follow the instructions on the screen. 7. After you have completed the installation, exit the Install program, shut down and restart your computer, and then restart OS/2 Warp 4. Installing on a network To install SmartSuite products on a network file server, you must have attribute and read-write authority for the server. Note IBM FixPak 5 “Special Edition” or higher must be installed before you install SmartSuite products. 1. Start the Install program (see steps 1 - 5 in the section “Installing on a stand-alone computer” above). 2. At the bottom of the Install program Welcome screen, enter your company name, select “Install on a file server,” and click NEXT. 3. Follow the instructions on the remaining screens. 4. After you have completed the installation, exit the Install program. Important additional information about network and CID (Configuration, Installation, and Distribution) installation is included in the READNET.TXT file located in the root directory of the SmartSuite for OS/2 Warp 4 CD-ROM. READNET.TXT provides information about installing to a node and installing multiple language versions of the SmartSuite products. Uninstalling SmartSuite for OS/2 Warp 4 products When you use Uninstall, you can select which SmartSuite for OS/2 Warp 4 products (1-2-3, Approach, Freelance Graphics, Organizer, Word Pro, and Books and Scripts) to remove. To remove these products from a stand-alone computer, follow the steps below. 1. Double-click the Lotus SmartSuite for OS/2 Warp 4 folder. 2. Double-click the Lotus Accessories folder. 2-6 Installing and Using SmartSuite Products 3. Double-click the Lotus SmartSuite for OS/2 Warp 4 Uninstall icon. 4. Select the SmartSuite product version from which to remove products, and click NEXT. 5. Select the products to remove, and click NEXT. 6. In the Confirm Uninstall dialog box, click YES. 7. Follow the instructions on the remaining screens. 8. When uninstall is finished, exit the Uninstall program, and then shut down and restart your computer. For information about uninstalling products from a network server, see the READNET.TXT file. Additional products and documentation The following sections describe additional products and documentation available with SmartSuite that are not installed by the Install program. You must copy these products and files to your hard disk. Additional products in the \EXTRA directory Additional products that you can copy to your hard disk and use in OS/2 Warp 4 are included in the \EXTRA directory of the SmartSuite for OS/2 Warp 4 CD-ROM. These include language dictionaries you may want to use with the SmartSuite products, and the 1-2-3 and Freelance Graphics File Translator, which you can use to share files between older OS/2 versions and this release. Information about these products is included in the \EXTRA.TXT file and other text files included in the EXTRA directory. You can read or print a text file by copying it to your hard disk and opening it in the Enhanced Editor. Product README files README files are available for each SmartSuite product you install. These files contain information about using the individual products that is not included in online Help and printed books. Product README files are located in subdirectories on the SmartSuite CD-ROM and, after installation, in each product subdirectory. You can read or print these files by opening them in the Enhanced Editor. The following table lists the location of product README files on the CD-ROM and online after they have been installed. On the OS/2 desktop, double-click the Lotus SmartSuite for OS/2 Warp 4 folder. 2. Double-click the Lotus Assistance Center folder. 3. Do one of the following: To open a product README file, double-click the Product Updates icon for the product. To open the README file for SmartSuite, double-click the SmartSuite Product Updates icon. To read information for network administrators, double-click the Network Administrator’s Guide icon (only available if SmartSuite has been installed on a network file server). Starting the SmartSuite products After you install SmartSuite products and restart OS/2 Warp 4, you can: Run the SmartSuite applications Install Adobe Acrobat Reader Open online books (.PDF files) in the Reader 2-8 Installing and Using SmartSuite Products Running SmartSuite products 1. Double-click the Lotus SmartSuite for OS/2 Warp 4 folder. 2. Double-click the icon for the product you want to run. Installing the Adobe Acrobat Reader Note If you already have Adobe Acrobat Reader 3.0 (for OS/2) or later installed, you do not need to install it from the Lotus SmartSuite folder. You can open the online books in your copy of the Reader. 1. Double-click the Lotus SmartSuite for OS/2 Warp 4 folder. 2. Double-click the Lotus Assistance Center folder. 3. Double-click the Online Books folder. 4. Double-click the icon for installing the Adobe Acrobat Reader. This starts the installation of the Reader and creates an Adobe Acrobat folder. Opening online books in the Reader 1. Double-click the Lotus SmartSuite for OS/2 Warp 4 folder. 2. Double-click the Lotus Assistance Center folder. 3. Double-click the Online Books folder. 4. Double-click the icon for the book you want to open. To change the size of the text while you are viewing a book, from the View menu, choose Zoom To and then select a magnification level in the Magnification drop-down box. Installing SmartSuite 2-9 Chapter 3 What’s New in SmartSuite Products This chapter describes key new features in the SmartSuite products and tells how to use files created in earlier releases of the products. New features in 1-2-3 for OS/2 Warp 4 This release of 1-2-3 provides new team computing features, Internet access, and a variety of other features that help you become productive quickly. Assistants Assistants give you step-by-step instructions for performing complex tasks such as creating charts and maps, publishing a range to the Internet, and managing multiple versions of data. You will see Assistants throughout 1-2-3. AutoTotal You can use AutoTotal to sum values automatically by simply typing the word “Total” or “Totals” as a column or row heading in your sheet. Enter the word "Total" or "Totals," and 1-2-3 automatically sums your columns or rows. Comments You can improve communication with other members of your team by attaching comments to any cell. Visual markers indicate at a glance which cells contain comments. You can also display markers on cells that have formulas to make those cells easy to find. To get started Click the cell you want to add a comment to, and from the Range menu choose Cell Comment. 3-1 InfoBox Use the InfoBox to view and change properties for any object in 1-2-3; you can see the changes as you make them. You can leave the InfoBox open while you work, or collapse it to view more of your workspace. To get started From the Range, Sheet, or an object’s menu, choose the Properties option. Internet access Feature To get started You can open files from the Internet and from FTP servers, and can save files to FTP servers, directly from 1-2-3. From the File menu, choose Internet, and then choose Open from Internet or Save to Internet. LotusScript can also work with the OS/2 REXX scripting language to help automate complex tasks. To get started From the Edit menu, choose Scripts & Macros, and then choose Show Script Editor. Outlining Use the 1-2-3 outlining features to collapse and expand data so you can view and print summary data or details. To get started From the Sheet menu, choose Sheet Properties, and click the Outline tab. Print Preview Use dynamic print preview to check your work before printing, make adjustments, and see the results immediately. You can even print out formulas and cell comments. To get started From the File menu, choose Preview & Page Setup. 3-2 Installing and Using SmartSuite Products SmartMaster templates You can use the pre-designed SmartMaster templates to speed up the preparation of expense reports, invoices, purchase orders, and other frequently used forms. To get started Select a SmartMaster in the Welcome dialog box, or from the File menu choose New Workbook, and then select a SmartMaster. Team computing features Feature To get started TeamMailTM lets you distribute data to coworkers from within 1-2-3. From the File menu, choose TeamMail. TeamReviewTM helps you incorporate comments and changes you’ve received from coworkers. From the File menu, choose TeamReview. However, there is no support for .DSK files. Using the 1-2-3 and Freelance Graphics File Translator If you have macros in .WG2 files, you must first use the File Translator to convert the .WG2 files to .WK4 format. 1-2-3 for OS/2 Warp 4 will then be able to read the macros in the .WK4 files. The File Translator is in the \EXTRA\TRANS directory on the SmartSuite for OS/2 Warp 4 CD-ROM. Additional information on the File Translator is available in the TRANS.TXT file in the same directory. To read or print TRANS.TXT, open the file using the OS/2 Enhanced Editor (located in the Utilities folder in the OS/2 Warp 4 Programs folder). What's New in SmartSuite Products 3-3 New features for Approach 96 users Approach provides many new features to help you work more productively and better manage your data. DB2 Binary Large Object (BLOB) support You can now store and retrieve pictures and sounds in DB2® databases. Enhanced SQL support Approach now offers significantly improved speed and flexibility when accessing and analyzing SQL data. IBM QMF support You can now display the results of QMFTM Queries and Procedures in Approach forms and worksheets and import QMF Forms to create an Approach report. Internet capabilities You can save Approach .APT files to the Internet or to an FTP server, as well as open .APT files from the Internet or an FTP server. Approach lets you save views in HTML format, which you can then upload to the Internet or an FTP server. To get started To save files to or open files from the Internet or an FTP server, from the File menu choose Internet, and then choose Save to Internet or Open from Internet. ISO and system date identification Approach lets you easily identify and select International Standards Organization (ISO) and system date formats. To get started In Design, double-click the date field, click the Format tab in the InfoBox, and select the date format you want to use. LotusScript support Approach extends the power and flexibility of LotusScript with the Find and Sort class and enhanced online Help. LotusScript can also work with the OS/2 REXX scripting language to help automate complex tasks. To get started From the Edit menu, choose Show Script Editor. 3-4 Installing and Using SmartSuite Products Recording macros and scripts You can now record, name, and save operations in Approach as either scripts or macros. To get started From the Edit menu, choose Record Transcript. RTF support You can save an Approach view in .RTF format. You can also copy .RTF text from Approach and paste it into other applications without losing character and paragraph formatting. To get started From the File menu, choose Save View As or select the text you want to use in another application, then from the Edit menu choose Cut or Copy. Send Key A new macro command lets you compose sequences of keystrokes to include in your macros. To get started From the Edit menu, choose Macros. New features for Approach Release 3 users The following lists describe features that will be new to Approach Release 3 users. Usability features The Approach Welcome screen, the first dialog box you’ll see, gives you easy access to your most recently opened files and to the wide range of database templates and applications you can use to start your database application. The action bar provides immediate access to the most frequently used Approach commands. New SmartMaster applications are complete database applications for common tasks such as managing contacts, entering orders, keeping a video library, and more. Named finds and sorts make your most used finds immediately available from the action bar. What's New in SmartSuite Products 3-5 The new Find Assistant helps you find specific records using language phrases instead of operators or symbols. Top and lowest value finds are available through options in the Find Assistant. This release also brings you Query by box so you can construct finds using graphical representations of find conditions and use the mouse to change logical relationships between the conditions. The one-step find-and-replace text features makes updating data easy. The Envelope Assistant helps you design envelopes for your database of addresses. Moving between fields in worksheets and crosstabs is done just like it is in spreadsheets. Context-sensitive online Help provides focused answers for your current activity. Analysis features The Chart Assistant helps you analyze and present data. New series charting provides comparisons. Drill-down to data instantly shows you the individual values that make up the summarized results in a chart or crosstab. Custom grouping options in the Chart, Crosstab, and Report Assistants help you present data in meaningful groupings. You can group dates into months, quarters, or years; group numbers by tens or hundreds, and so on. Crosstabs and reports properties in the InfoBox now include a control for whether zero-valued records display with crosstab header or report summary. New speed-optimized caching and indexing give you dramatic performance improvements when finding, sorting, and displaying records. Run SELECT commands from inside Approach. The SQL Assistant helps you generate the SQL command using intuitive dialog boxes. Automation features LotusScript, a BASIC-compatible cross-product scripting language, allows you to automate your applications beyond the already powerful Approach macros. Use Approach UI controls to create customized lists, check boxes, and radio buttons for non-database selections. 3-6 Installing and Using SmartSuite Products Forms can display as dialog boxes that contain controls for your macros or scripts. Macro message buttons enhance your custom application interface. Design features Use new data-entry controls in worksheets to simplify data entry and find selections. Rearrange radio buttons with a simple click and drag of the mouse. Drag a selection rectangle around a group of radio buttons to rearrange them. Your views can be any size; resize view margins by dragging the mouse or using the InfoBox. Integration features Lotus Notes® PowerKey® enhances database access and makes data entry and analysis on live Notes data faster and easier. The common menu structure across Lotus products helps you find your way around quickly. Team computing features TeamSecurity enables your entire team to share information from the same database at the same time. You can set up customized access privileges to data and views. TeamMail lets you send and route Approach views using electronic mail systems like NotesTM and cc:Mail. Upgrading from earlier releases of Approach When you open and save Approach Release 2.x .VEW files, Approach Release 3.x .APR files, or Approach 96 for Windows .APR files in Approach for OS/2 Warp 4, Approach converts the files to Approach for OS/2 format. Once converted, you cannot open the .APR file in an earlier release of Approach. Approach for OS/2 files are fully compatible with Approach 97 for Windows files. You can open and save Approach 97 for Windows files in Approach for OS/2 without conversion, and vice versa. What's New in SmartSuite Products 3-7 Note Approach for OS/2 does not convert the actual database file. You can still open the database using Approach 3.x or Approach 96. To open the databases in the 2.x release, you must delete the Approach index (.ADX) files associated with the database. To ensure that any information in your database and/or APR or ADX files is not lost, you should make backup copies of your data before opening these files in Approach for OS/2. Enhancements for Freelance Graphics 96 for OS/2 Warp users Freelance Graphics for OS/2 Warp 4 is functionally similar to Freelance Graphics 96 for OS/2 Warp, but offers improved performance and the following enhancements: Interoperability enhancements for cross-suite product tasks Increased customizable settings of Undo (up to 25 levels) A 1998 SmartMaster look International character set handling for Eastern European languages and Cyrillic Improved printer output Fixes for customer-reported problems New features for Freelance Graphics 2.1 users If you’re upgrading from Freelance Graphics release 2.1 or earlier, you will see many new features. This section describes some of these. Copying pages from other presentations You can now easily copy pages from one presentation to another. The copied pages automatically take on the look of the presentation you copy them to. To get started Open the presentation you want to paste pages into, and go to Page Sorter or Outliner view. Then from the File menu, choose Copy Pages from Other Files. 3-8 Installing and Using SmartSuite Products Current Page, Page Sorter, and Outliner views In this release of Freelance Graphics, you can easily switch from one view to another by clicking a tab at the top of the presentation window. Current Page view offers a cleaner, less-cluttered look at the current page. In Page Sorter view, you can zoom out to view more pages, or zoom in for a closer look. Outliner view can display page images in the left margin, so you can see the page design and layout without moving between views. Outliner view also has an improved toolbar that makes it easier to manipulate the outline. Improved and new text features Handling text is now faster and more powerful. Feature To get started New text effects, such as shadowed text, Click the text block, then from the superscripts, and subscripts are now available. Text menu choose Text properties. You can now adjust the space between bullets and text. Click a filled-in bulleted list text block, and from the Text menu choose Bullets & Numbers. The Reset to Style command removes all local character formatting. Click the text block, and from the Text menu choose Named Styles, and then choose Reset to Style. You can globally change the text font for an entire presentation. From the Presentation menu, choose Change the Typeface Globally. To get started From the Edit menu, choose Script, and then choose Show Script Editor. New Drawing & Text palette The Drawing & Text palette has a new look and new functionality. It now has ready-made shapes with text, a selection of flowcharts, and connectors. To get started In Current Page view, click the Drawing & Text button. Printing enhancements New printing features include the ability to preview a presentation before printing it. Also, you can now easily change the font of headers and footers, and add page numbers, dates and times, and the presentation file name to headers and footer. To get started From the File menu, choose Preview or Page Setup. Ready-made diagrams There are over 100 ready-made diagrams — just choose the diagram you want and type the text, or customize a blank one to suit your needs. To get started Click the New Page button, select the diagram page layout, and click OK. Then click the “Click here” diagram block, and select “Use a ready-made diagram.” SmartMaster content topics SmartMaster templates called content topics provide suggested content for your presentations. Content topics guide you through the process of creating different types of presentations, such as business plans or project updates. Freelance Graphics content topics provide: “Click here” blocks that prompt you for relevant information or graphics (for example, “Click here to add organization chart”) Content advice to help you complete a page Pages with text and graphics already filled in, to keep or change as you see fit Ready-made chart types — all you need to do is enter the data To get started Choose a SmartMaster content topic from the Freelance Graphics Welcome screen. If you are in the product, from the File menu choose New Presentation. 3-10 Installing and Using SmartSuite Products Upgrading from Freelance Graphics Release 2.1 This section describes how to work with files from Freelance Graphics Release 2.1. Converting Freelance Graphics 2.1 presentations to Freelance Graphics for OS/2 Warp 4 1. From the Freelance Graphics for OS/2 Warp 4 File menu, choose Open. 2. Under Type of file, select “Lotus Freelance 2.x for OS/2 (PRS).” 3. Locate the drive and directory where the Freelance Graphics file resides. 4. Select the Freelance Graphics file to convert. 5. Click OK. 6. From the Freelance Graphics for OS/2 File menu, choose Save As. 7. Under Type of file, select “Lotus Freelance Presentation (PRZ).” 8. Specify the drive, directory, and name for the Freelance Graphics file. 9. Click OK. Using the 1-2-3 & Freelance Graphics File Translator If you want to share a Freelance Graphics for OS/2 Warp 4 (.PRZ) file with someone using Freelance Graphics 2.1 for OS/2 (.PRS file format), you need to save the file as a .PRE file and use the File Translator to make it a .PRS file. The File Translator is in the \EXTRA\TRANS directory on the SmartSuite for OS/2 Warp 4 CD-ROM. Additional information on the File Translator is available in the TRANS.TXT file in the same directory. To read or print TRANS.TXT, open it in the Enhanced Editor (located in the Utilities folder in the OS/2 Warp 4 Programs folder). New features in Organizer for OS/2 Warp 4 Organizer includes a new, more graphically manipulated Calendar; support for automated dialing; sounds and symbols that make Organizer fun to use; expanded support for international addresses; and a variety of additional enhancements. What's New in SmartSuite Products 3-11 Calendar features A new graphical Day per Page view using time slots and a time ruler lets you display and block time for your appointments. Organizer provides an easy way to view your To Do tasks, Calls entries, Planner events, and Anniversary entries in your Calendar. Your entries in the To Do, Calls, Planner, and Anniversary sections are now shown into the Calendar section by default. A new graphical Multiple Calendar view lets you display more than one calendar. Organizer lets you display two or more calendars side by side using Multiple Calendar view so you can review your calendar and another user’s calendar at the same time. To get started In Day per page, time slot view, from the View menu choose Multiple Calendars. Calls features Both the Calls and the Address sections have support for more streamlined automatic number dialing capabilities. Calls remain active from one day to the next until the call is completed. File enhancements There are new ways to set access rights to your file using passwords. There is easy conversion of Organizer 2.x and Organizer 97 files to Organizer for OS/2 Warp 4 files (with the new .OR4 extension). Internet access Support for linking World Wide Web (Web) URLs is available on Notepad pages. 3-12 Installing and Using SmartSuite Products A new icon available in your set of SmartIcons lets you go directly to the Web page (www.lotus.com/Organizer/content) where you can download an updated and expanded Almanac file (ALMANAC.OR4). You can consult ALMANAC.OR4 for reference information that includes holidays, time zones, telephone area codes, important 800 telephone numbers, travel tips, time management information, and more. Printing features Professional-looking printout combines information from several sections. For example, print your Calendar appointments and To Do tasks in a trifold printout. Organizer provides address label and envelope printing for International address formats. To get started From the Address menu, choose Change Envelope, and then choose Label Format. Text enhancements Notepad has rich text formatting, such as bold, italic, underlining, and font size, type, and color. Upgrading from earlier releases of Organizer Organizer has a new file format, and the extension is .OR4. You upgrade existing Organizer Release 2.x .OR2 or Organizer 97 .OR3 files to Organizer for OS/2 Warp 4 .OR4 files by converting them. When you upgrade a file, Organizer creates an Organizer for OS/2 Warp 4 file and leaves the old file in its original format and location. After you convert your 2.x or Organizer 97 file, the new Organizer file will be larger than your original file. This is due to the many new features in Organizer. You can archive your new Organizer file to delete information that’s no longer needed on a daily basis. You can also compact your converted Organizer file to reduce its size. When you convert a file from earlier releases of Organizer (2.x or 3.0) When you convert a file, Organizer changes the file extension from the 2.x extension (.OR2) or Organizer 97 (.OR3) extension to the most current Organizer extension (.OR4). You can’t use an .OR4 file with Organizer 2.x or Organizer 97. Your Organizer 2.x or Organizer 97 file still exists in its original format and location. In Organizer for OS/2 Warp 4, when you open a file created in earlier versions of Organizer, you’re automatically prompted to upgrade (or What's New in SmartSuite Products 3-13 convert) your file to the new file format. Organizer keeps the file information in the converted file as it appears in the original version, with the following exceptions: Anniversary entries are set to repeat annually on the same date. Included sections from Organizer 2.x or Organizer 97 files aren’t automatically included in the new Organizer file. Only Organizer (.OR4) sections can be included in the new Organizer file. The conversion process automatically removes included sections from Organizer 2.x and Organizer 97 files. For Organizer 2.x files, addresses without company names show alphabetically under the tabs where they were placed originally. Caution The default extension for Organizer for OS/2 Warp 4 is .OR4. When you convert a file, Organizer changes the extension from the Organizer 2.x .OR2 extension or Organizer 97 .OR3 extension to the new Organizer .OR4 extension. After you convert the file, the Organizer 2.x or Organizer 97 file still exists in its original format and location. While you may open an Organizer 2.x .OR2 or Organizer 97 .OR3 file in Organizer for OS/2 Warp 4, you can’t open a new Organizer .OR4 file in Organizer 2.x or Organizer 97. Converting an Organizer file from a previous release 1. Compact your Organizer 2.x or Organizer 97 file. Note You compact your Organizer 2.x file in Organizer 2.x; you compact your Organizer 3.x file in Organizer 97. 2. Start Organizer for OS/2 Warp 4. 3. From the File menu, choose Open. Note By default, the most current release of Organizer displays Organizer for OS/2 Warp 4 (.OR4) in the file list of the Open dialog box. Click the “Files of type” box and select Organizer 2.x (.OR2) or Organizer 97 (.OR3), depending on which release of Organizer you’re upgrading from, to display your files. Select the drive, directory, and file name, if necessary. 4. Select your file. 5. Click OK to open the file. 6. Click OK to confirm that you want to convert the file. 7. Click OK when you see the message saying that the upgrade is complete. 8. Click Yes if you want to open this file automatically every time you start Organizer. Click No if you don’t want to open this file automatically. 3-14 Installing and Using SmartSuite Products Your Organizer 2.x or Organizer 97 file is now an updated Organizer file with the same name, but with the new extension .OR4. Archiving information Organizer for OS/2 Warp 4 lets you archive any information in your file that isn’t needed on a daily basis, for example, a previous year’s appointments or To Do tasks. You still have access to archived information; however, it is stored in a separate file. Archiving streamlines your Organizer file. New features for Word Pro 96 users Word Pro provides new formatting, Internet access, and printing features that enable you to create and distribute more professional-looking documents. Booklet printing You can use the booklet SmartMaster to set up a document that prints so you fold the pages in half and staple them. For example, if you have a document with the page settings 8.5” × 5” that you want to print as a booklet, Word Pro first checks to see that the pages will fit on a landscape 8.5” × 11” page. It then prints the pages so that you can fold them to create a pocket-size book. To get started To print any document as a booklet, from the File menu choose Print, click Options, and select “As booklet.” To create a new document as a booklet, from the File menu choose New Document, and select the Booklet SmartMaster. Cross-references In Word Pro, you can reference a page number, section number, or title in your document from another location within that document. For example: For more information, see Chapter 15, “Organizing a Document” on page 56. Word Pro fills in the chapter number, the page number, and even the title of the chapter for you. The numbering stays correct no matter how much editing you do. To get started From the Create menu, choose Other Document Part, and then choose Cross Reference. What's New in SmartSuite Products 3-15 Drop caps You can insert a drop cap into your document to highlight a letter. For example, the classic drop cap is used in stories for “Once upon a time...,” where the point size of the letter “O” is larger than the rest of the word. To get started From the Create menu, choose Drop Cap. Internet access The updated Internet features in Word Pro include: Web authoring tools HTML SmartMaster templates Automated process for creating links Previewing HTML documents in a Browser Publishing HTML documents as Web pages Setting import and export options Viewing source code Linked frames Using linked frames, you can create documents where text automatically flows from one frame to the next as you insert and delete text. You can create special effects, such as starting an article on page one, and continuing it on page four. You can link together as many frames as you want, and the text will continue between the frames. To get started Place the insertion point in the first frame you want to link. From the Frame menu, choose Link Frame Contents, then click on the next frame you want the data to flow to. Open and Save to Lotus Notes You can open and save files directly to Lotus Notes. You can open files that are attached to Lotus Notes documents without having to open Notes itself. You can also save any Word Pro file as an attachment to a Notes document. 3-16 Installing and Using SmartSuite Products To get started From the File menu, choose Open or Save As, and then click the Lotus Notes button. Watermarks A watermark is a background graphic that you can apply to pages, tables, table cells, frames, headers, footers, and columns. For example, if you are working on sensitive government documents, you can display the “Confidential” watermark on every page to remind the reader to keep the information secure. You can also import your own pictures as watermarks. For example, you can import a favorite vacation photo as a page watermark and create custom stationery. If you want to add a caption to a graphic, you can import a picture as a watermark and then type the caption in the same frame. To get started From the File menu, choose Document Properties, and then choose Page, then click the Watermark tab in the InfoBox. Upgrading from Ami Pro 3.0 for OS/2 This section describes the appearance of the new Word Pro window and provides information on how to open and save your Ami Pro® for OS/2 documents in Word Pro, run Ami Pro macros, and save Ami Pro style sheets as SmartMaster templates. The Word Pro window Word Pro has a new look and dozens of new features that help you work more productively. One of the first things you’ll notice when you start Word Pro is the new window. Some of the new features that enhance productivity are: Divider tabs represent divisions or sections in a document, and allow you to organize and navigate easily inside a document. The status bar has new functionality that lets you quickly apply fonts, paragraph styles, and attributes like underline, bold, italics, and color to selected text. New SmartIcons provide shortcuts for repetitive tasks. Bubble Help displays a description of the action an icon performs. The menus have been streamlined. Some are context-sensitive and appear only when you need them. What's New in SmartSuite Products 3-17 Converting Ami Pro 3.0 files to Word Pro format Documents saved in Ami Pro 3.0 can be opened and saved in Word Pro. The procedure below provides the steps to convert an Ami Pro 3.0 file into a Word Pro file. 1. In Word Pro, from the File menu choose Open. 2. Under Type of file, select “Lotus Ami Pro.” 3. Locate the drive and directory where the Ami Pro file resides. 4. Select the Ami Pro file to convert to Word Pro and click Open. 5. From the File menu, choose Save As. 6. Under Save file as type, select “Lotus Word Pro.” 7. Specify the drive, directory, and name for the Word Pro file. The default directory is \LOTUSW4\SMASTERS\WORDPRO. 8. Click OK. You can also convert a Word Pro file to Ami Pro 3.0. Simply follow the same procedure above and substitute the appropriate file type and file name for the steps. For example, in step 2 select “Lotus Word Pro” instead of “Lotus Ami Pro.” The new Word Pro features that are not available or supported in Ami Pro will not be converted. Running Ami Pro 3.0 macros in Word Pro Macros created in Ami Pro will execute properly if there are comparable functions available in Word Pro. More complex Ami Pro macros may require some modification in order to execute properly in Word Pro, especially macros that use operating system calls. Instructions for playing Ami Pro macros in Word Pro are available in online Help. Note Ami Pro macros created using Record and Playback are not supported in Word Pro. You will need to recreate these macros in Word Pro. Saving Ami Pro 3.0 style sheets as SmartMaster templates Style sheets created in Ami Pro can be saved as Word Pro SmartMaster templates. 1. In Word Pro, from the File menu choose Open. 2. Under Type of file, select “Lotus Ami Pro 3.x Styles.” 3. Locate the drive and directory where the Ami Pro style sheet (.STY) resides. 4. Select the Ami Pro style sheet and click Open. 5. From the File menu, choose Save As. 6. Under Save file as type, select “Lotus Word Pro SmartMaster.” 3-18 Installing and Using SmartSuite Products 7. Specify the drive, directory, and name for the Word Pro SmartMaster. 8. Click OK. Automated Ami Pro style sheets that contain macros may need to be modified before they can be used in Word Pro. SmartMaster templates offer a whole new range of functionality. For example, the Word Pro “Click here” blocks can be used to enhance Ami Pro style sheets that have been converted to SmartMaster templates. In some cases where an Ami Pro style sheet is very complex, it is beneficial to create a new SmartMaster. What's New in SmartSuite Products 3-19 Chapter 4 SmartSuite Tools All SmartSuite products offer you common tools to help you work more productively. SmartSuite products have a common look and feel, so you can focus on your work and not the software. This chapter shows you where to find these tools and how to use them. Once you know where to go and what to do, you’ll save training costs and time because you’ll learn all the products more quickly. The right tools The following illustration shows some of the tools described in this chapter. Menu bar SmartIcons Tabs InfoBox SmartMaster Status bar 4-1 How context-sensitive tools work Tools in SmartSuite products are context-sensitive — they appear when you need them. For example, if you are working on a chart (as shown below), the menu, SmartIcons, InfoBox, and status bar reflect options specific to charts. When you click outside the chart, the options for charts disappear. Compare this window with the one on the previous page, where the tools reflect options for working with ranges. Menu items InfoBox Status bar 4-2 Installing and Using SmartSuite Products SmartIcons Common menus All SmartSuite menus work the same way, with the same basic commands. Once you know that User Setup is under the File command in Approach, you know that it is under File in 1-2-3, Freelance Graphics, Organizer, and Word Pro as well. Menus are also context-sensitive, meaning that the commands change depending on what you are doing. For example, when you select a chart, the menu bar displays the Chart menu; when you select a table, the menu bar displays the Table menu. SmartIcons SmartIcons are small pictures that appear in a row just beneath the menu bar. They give you single-click access to frequently used features. Click an icon to save a file, cut a selected object, preview what you are printing, and perform dozens of other actions as you are working in SmartSuite products. Many SmartIcons are common to all SmartSuite products, so when you learn to use an icon in one product, you learn it for all products. Each product also has SmartIcons to perform tasks specific to that product. To display the description of the action an icon performs, let the mouse pointer hover on the icon. A description appears in a bubble. To make it easy to get started, each product contains several sets of SmartIcons. Once you gain experience, you can: Remove SmartIcons you don’t use or add SmartIcons you want from the many SmartIcons that come with the products. Size and move the SmartIcons to any position on the screen. Create your own icons and assign actions to them. Turn off bubble help. To get started From the File menu, choose User Setup, and then choose SmartIcons Setup. SmartSuite Tools 4-3 The status bar The status bar, located at the bottom of the product window, offers immediate feedback on current selections and shortcuts for many commands. The status bar lets you display and change settings, such as font and point size in Word Pro, number formats in 1-2-3, page layouts in Freelance Graphics, and views and environments in Approach. Some status bar buttons display a list when you click them; other buttons toggle between options. Tabs Tabs make it easy to organize and manage large volumes of information. In 1-2-3, sheet tabs organize your sheets within a workbook. In Approach, tabs let you see all the views of your database application. In Word Pro, you can use divider tabs to organize all the sections of a long document or to keep related documents together. Freelance Graphics provides tabs for views that make it easy to concentrate on the text in your presentation or to rearrange your presentation. In Organizer, tabs let you move to different sections of your Organizer notebook. 4-4 Installing and Using SmartSuite Products In addition, the tabs on assistants lead you through all the steps in a procedure. For example, tabs lead you through all the steps in setting up a team review of a document. SmartMaster templates A SmartMaster is a professionally designed template that gives you a quick start with everyday tasks—all you do is add your own data. 1-2-3, Approach, Freelance Graphics, and Word Pro each come with a library of SmartMaster templates. You can start any new workbook, database, presentation, or document with a SmartMaster. The InfoBox stays open so you can make multiple changes. The options change as you change the focus of your work. For example, if you click inside a table in Freelance Graphics, the InfoBox displays options for changing the table’s properties. If you click in the text above the table, the InfoBox displays options for text. SmartSuite Tools 4-5 The illustration below shows how to use the InfoBox to modify a table. Here is what you have selected Lines & Colors tab Click a button to choose the option. Click the arrow to see other line styles. What makes the InfoBox so useful? It stays open and on top so you don’t have to open and close multiple dialog boxes. It displays different options as you change your selection. You immediately see the results of options you select. To display the InfoBox Select the text or object you want to change, then from the object’s menu choose the Properties option. You can also display the InfoBox by clicking an InfoBox icon: InfoBox SmartIcons vary somewhat because they show you what you have selected, but you can recognize an InfoBox icon by the yellow diamond on a blue square: 4-6 Installing and Using SmartSuite Products To display different InfoBox options You can click the “Properties for” box in the InfoBox to see a drop-down list of other InfoBox options. For example, if you selected text when you clicked the InfoBox icon, the “Properties for” box will read “Text.” But you can click the down arrow to see a list of options currently available. Collapsing the InfoBox When you expect to make multiple changes to the look of something, collapse the InfoBox to keep it handy without crowding your desktop. 1. Help also contains reference information on all LotusScript objects and language elements, @functions, and macros. To get started From the Help menu, choose Help Topics. The Help Contents window displays on top of your workspace. In this window, entries that have a plus (+) or minus (-) sign next to them are category names and do not link directly to Help topics. To display a Help topic, click the plus (+) sign to expand each category until Help topic titles appear. Then double-click the title of the topic you want to display. The graphic below shows how to navigate in the How Do I? category to a specific topic. Start by clicking the + button that precedes How Do I? Help displays a list of general How Do I? topics. Click + buttons until you find the Help topic you want. Double-click the Help topic to display it. Learning More About SmartSuite Products 5-3 There are several ways to look for information in Help: To find information by reading a Contents page and selecting a Help topic (like using the Table of Contents in a book), click the Contents button. To display a Help topic, click the plus (+) sign to expand each category until Help topic titles appear. Then double-click the title of the topic you want to display. To find information by searching for a Help topic by keywords (like using an index in a book), click the Index button and then double-click an index entry. If an index entry is associated with only one Help topic, that Help topic appears. If an index entry is associated with multiple Help topics, a list of Help topic titles appears in a small window. To display one of those Help topics, double-click a title. To find information by searching for specific words or phrases, click the Search button. Select “All sections” to search all the Help topics for the words or phrases you want. Select “Index” to quickly locate a particular word or phrase in the Index. When you find the information you need in Help, you can leave the Help windows open while you work. The Help windows stay on top of the product window, so you can follow a procedure as you perform the task. You can also print a topic when it is open. What sort of online Help is available? The SmartSuite product Help systems contain different types of information that assist you in completing your work. Overview topics provide general information about a feature. Steps topics guide you through a task step by step. Details topics provide additional information about the task you are performing. Examples topics identify parts of the screen, illustrate types of data, or visually illustrate a concept. Definitions appear in pop-up windows. Tips are integrated into the procedures so you can quickly learn shortcuts and cool tricks. 5-4 Installing and Using SmartSuite Products Accessing Help The following table describes ways to access Help in the SmartSuite products. To get Help: Do this: In a dialog box Click Help or press F1. In the InfoBox Click the Help question mark button or press F1. Whether you are working on a project with one person or working in a large, structured group, team computing tools automate how you gather, work with, and distribute information. Here’s a list of the team features covered in this chapter: TeamMail lets you mail a file directly from any SmartSuite product. TeamReview lets you automate and control reviews of 1-2-3 ranges, Word Pro documents, and Freelance Graphics presentations. TeamConsolidate™ lets you put all review copies into one file to simplify updating your Word Pro document or Freelance Graphics presentation. TeamShow™ lets you deliver a Freelance Graphics presentation to remote locations. TeamSecurity provides controls in Approach and Word Pro to secure data in files you store across networks. 6-1 TeamMail: versatile and quick If you use an electronic mail system like cc:Mail™ or Lotus Notes, you can send a mail message without leaving your SmartSuite product. You can attach a file to a mail message and send it to a list of people. For example, suppose you are working in 1-2-3 and remember you need to send information to two coworkers. From 1-2-3 you can create a note, attach your workbook, and send it to your coworkers using your e-mail system. To get started From the File menu, choose TeamMail. 6-2 Installing and Using SmartSuite Products TeamReview: getting feedback efficiently TeamReview lets you send a range of data, a document, or a presentation to review. With TeamReview, you can send a message to reviewers and control the editing privileges for individuals or for teams. You can also distribute the material for review in a number of ways: on a network drive, through e-mail, or by floppy disks. Mark-up tools let reviewers highlight information and tie the highlighted information to a review note. These notes are color-coded so that when you consolidate the range, document, or presentation, you can easily identify the reviewer. To get started From the File menu in 1-2-3, Freelance Graphics, or Word Pro, choose TeamReview. Team Computing with SmartSuite 6-3 TeamConsolidate: keeping it all together TeamConsolidate lets you consolidate multiple documents into one file so you can easily evaluate reviews from your coworkers. This feature also lets you consolidate presentations. To get started From the Freelance Graphics File menu, choose TeamReview and then choose Consolidate Comments. From the Word Pro File menu, choose TeamConsolidate. Here’s what a consolidated document looks like in Word Pro, with the edits for each reviewer appearing in identified sections. Toolbar lets you control consolidation. Color coding also helps you keep track of each editor's changes. 6-4 Installing and Using SmartSuite Products TeamShow: serving a far-flung audience TeamShow lets you deliver a Freelance Graphics presentation to an audience in another location. When you use the Mobile Screen Show Player, a viewer in another city can watch your presentation or give you feedback on a presentation you are planning — even if the viewer doesn’t have a complete copy of Freelance Graphics. When you use TeamShow, you see the speaker notes as well as the presentation, while your audience sees only the presentation. To get started From the Freelance Graphics File menu, choose TeamShow. . Team Computing with SmartSuite 6-5 TeamSecurity: sharing data safely Team Security lets you protect your data while sharing it. You set file-sharing controls to secure your data while your coworkers view or manipulate it across a network. You can set access privileges for teams or individuals. In Approach, you can set privileges that range from reading, editing, designing, and managing a database that you have created. In Word Pro, you can set privileges for a document from reading it, editing it, and designing it. To get started From the File menu in Approach or Word Pro, choose TeamSecurity. Read-only with no print and no save Owner privileges 6-6 Installing and Using SmartSuite Products Chapter 7 The SmartSuite – Internet Connection With SmartSuite products, you have direct access to the Internet or an intranet. You can open, save, or share files from an FTP (File Transfer Protocol) server or a World Wide Web (Web) server. When you find information on the Web that you want to use, you can open the document in HTML (Hypertext Markup Language) format and use the data in a SmartSuite product. You can also create HTML files and publish them to the Web. Note For information on the Internet features available in each product, refer to that product’s book or online Help. Publishing to the Web You need no special know-how to publish to the Web using SmartSuite products, which means you don’t have to hire a specialist or buy and learn add-ons to create your own Web pages. To get started From the File menu in Approach or Word Pro, choose Internet, and then choose Publish as Web Page(s). From the 1-2-3 File menu, choose Internet, and then choose Publish a Range to the Internet. From the Freelance Graphics File menu, choose Publish to Internet. Approach lets you publish reports, tables, and forms in HTML format. Word Pro is the perfect Internet publisher because it lets you use an HTML SmartMaster to create home pages that you can design with URLs (Uniform Resource Locator), graphics, tables, and even wallpaper backgrounds. The process is as simple as creating a regular word processing document. 1-2-3 lets you create an HTML table from a range, which you can then merge into an existing Web page or use to create a new Web page, complete with title and text. Freelance Graphics supports HTML frames for layouts so that text and graphics are automatically converted to HTM and GIF formats. Readers can set up a Web browser to navigate through a Web-based presentation. 7-1 Internet SmartIcons SmartSuite products have Internet SmartIcons that allow you one-click access to Internet functions. The following illustration shows some of the SmartIcons available in the different products. The graphic below shows how to display the Internet SmartIcons set in Organizer. Click the arrow to select the Internet SmartIcons set. You can hide the Internet SmartIcons set by repeating these steps. 7-2 Installing and Using SmartSuite Products Sharing files on the Internet SmartSuite products let you use the Internet to share files with others. Opening files from the Web or from an FTP server In 1-2-3, Approach, and Word Pro, you can open files from the Internet and copy them to your computer, where you can edit them. To get started From the File menu in 1-2-3, Approach, or Word Pro, choose Internet, and then choose Open from Internet. The graphic below shows the Browse from Internet dialog box that displays in Word Pro. Choose the server type. Enter the server or Web address and the file name. Choose the type of file. In 1-2-3, Approach, and Word Pro, you can maintain an address list of the FTP servers and Web sites you use. The SmartSuite – Internet Connection 7-3 Distributing files using the Internet By saving documents to the Internet or an intranet, you can share data using SmartSuite features like TeamReview, TeamConsolidate, and TeamShow. For example, you can send your Word Pro document to colleagues half-way around the world to get feedback. Your colleagues can use the Word Pro editing tools and send back notes, and marked up and highlighted copy. To get started From the Word Pro File menu, choose TeamReview or TeamConsolidate. From the Freelance Graphics File menu, choose TeamReview or TeamShow. The graphic below shows how you can distribute a Word Pro file by saving it to the Internet. The How tab of the TeamReview Assistant lets you distribute a document using the Internet. 7-4 Installing and Using SmartSuite Products Chapter 8 Using LotusScript with SmartSuite Products This chapter introduces you to the basics of LotusScript, describes how you can use LotusScript with REXX and SOM, and tells how to get more information on LotusScript. What is LotusScript? LotusScript is an object-oriented scripting language that is available in 1-2-3, Approach, Freelance Graphics, and Word Pro. LotusScript lets you automate tasks and develop your own products. With LotusScript you can: Write programs that store and manipulate data Test conditions in data so that you can control when actions are performed Automate repetitive tasks Pass data to and from parts of products Note 1-2-3, Approach, and Word Pro use LotusScript Release 3.1; Freelance Graphics uses LotusScript Release 3.0. LotusScript is a version of BASIC that offers not only the standard capabilities of structured programming languages, but a powerful set of language extensions that enable object-oriented development within and across products. If you have worked with other versions of BASIC, you will be on familiar ground during your first sessions with LotusScript. SmartSuite products are composed of many objects — text, columns, rows, cells, and so on. To develop applications that manipulate these objects, you need a programming language that knows the structure of objects — classes, methods, properties, events, inheritance, and containment. With LotusScript, you can work with all the objects in SmartSuite products and new classes of objects that you define as you go. 8-1 Automating frequent tasks There are some tasks you probably do over and over again. LotusScript lets you automate tasks that involve a series of steps or require integrating files from one SmartSuite product into another. For example, with LotusScript you can: Instantly incorporate the latest currency exchange rates into your expense reports Automatically import up-to-the-minute customer information into your sales presentations Get monthly data from your corporate files and quickly turn it into a graph You don’t have to be a programmer to automate simple tasks. In 1-2-3, Approach, and Word Pro you can perform a task while the product automatically records your mouse clicks and keystrokes as LotusScript code. To perform that task again, simply run the recorded script. Customizing SmartSuite products When you install SmartSuite, all the menus, SmartIcons, commands, and display options appear in a default configuration. Although these defaults work for most people and for most tasks, you may find that the way your workgroup uses a product may differ from the way the defaults are set up. You may want to modify the menus or hide SmartIcons that people do not use or create a custom dialog box assisting people through a difficult task. This is all possible with LotusScript. All the menus, SmartIcons, commands, and display options in your SmartSuite products are programmable with LotusScript. You can write scripts to modify the defaults or to create an alternate interface for the tasks that your group performs most frequently. Customizing SmartSuite products so they support your work helps you manage change. You can update a dozen memos each time your business encounters a new requirement or you can invest in LotusScript to manage new requirements centrally. An example Suppose that your underwriting department uses Word Pro to build profiles of potential clients. To evaluate clients consistently, the profiles must be developed with accurate data and in a consistent format. You could write a five-page memo explaining how to create and manage these profiles, but there’s a better solution with LotusScript. You can use the Lotus Dialog Editor to create a custom dialog box that presents people in your group with the most common tasks for managing 8-2 Installing and Using SmartSuite Products client profiles. People in your group can launch this dialog box every time they start Word Pro or only when they need it. Adding the name of this dialog box to a Word Pro menu is easy. If the document containing the dialog box is stored on a department server, you can make changes to that master copy of the dialog box and everyone in your department will see the changes automatically. When they need to create, edit, or submit a profile, they click a button in the dialog box and Word Pro handles the mundane tasks of loading the appropriate SmartMaster and retrieving the appropriate default values for the SmartMaster. Here’s how it might look. You might even use LotusScript to launch other SmartSuite products from this custom dialog box. For example, the button labeled “View evaluation tables” could start 1-2-3 and open a workbook containing tables for evaluating clients. Integrating information If your organization stores important information in several products or at multiple sites, LotusScript can help you integrate that information and make it work for you. Gathering the information and getting it into shape for a report can be time-consuming work. And sometimes not all of that work is really necessary. If the tools that contain the information are not designed to work together, you can spend more time reformatting the information than analyzing it. SmartSuite is already great at integrating information. SmartSuite products are designed to share text, graphics, multimedia, database tables, and spreadsheet ranges. LotusScript provides the glue to assemble and update these pieces of information. Using LotusScript with SmartSuite Products 8-3 An overview of the LotusScript development process Whether you’re writing a simple script to automate a task or you’re developing a large application, the process is essentially the same. Here are the basic steps you follow to develop a LotusScript application: 1. Create some objects like text, graphics, or tables in a SmartSuite product. These are called LotusObjectsTM. 2. Write some LotusScript code in the Integrated Development Environment (IDE) to program the behavior of these objects. The code can be stored in one script in your document or distributed across multiple scripts and documents. 3. Optionally, add some code that takes advantage of the advanced programming features in LotusScript. 4. Run and debug the scripts in your document. 5. Save the document containing your scripts. 6. Distribute the document containing the scripts to others in your workgroup. The LotusScript Integrated Development Environment and the Dialog Editor The LotusScript IDE and Dialog Editor offer all the specialized programming tools that you would expect in a professional programming environment. If you have used the development environments of other scripting languages, you’ll be on familiar ground with the LotusScript IDE and Dialog Editor. However, the LotusScript IDE and Dialog Editor are different from other programming environments, such as Visual Basic or Visual Age, in the following ways: The IDE and Dialog Editor are not stand-alone applications. Instead, the IDE is incorporated into each SmartSuite product that supports LotusScript, so you get the full complement of development tools where you need them. Script applications that you write in LotusScript are stored in SmartSuite product documents. You do not have to create separate files for your scripts, dialog boxes, or data files. The IDE does not use a separate window for each tool. IDE tools are conveniently integrated into one IDE window. The Dialog Editor is the only tool that uses a separate window. 8-4 Installing and Using SmartSuite Products To get started To display the IDE window in 1-2-3, Freelance Graphics, or Word Pro, from the Edit menu choose Scripts & Macros, and then choose Show Script Editor. To display the IDE window in Approach, from the Edit menu choose Show Script Editor. To display the Dialog Editor in 1-2-3 or Word Pro, from the Edit menu choose Scripts & Macros, and then choose Show Dialog Editor. The following illustration shows the parts of the Integrated Development Environment (IDE). Script drop-down box Object drop-down box Script Editor pane Errors drop-down box Pane splitter Browser panel Breakpoints panel Ouptut panel Variables panel Using LotusScript with SmartSuite Products 8-5 The Lotus Dialog Editor, illustrated below, provides a workspace to create dialog boxes and write scripts for individual controls. To navigate to a dialog box, click the dialog box tab. Click the plus or minus scroll buttons to navigate to a dialog box that isn't visible. Use the Toolbar to add controls to your dialog box. Creating a simple script Do the following to create a very basic script. 1. Start any one of the SmartSuite applications that support LotusScript: 1-2-3, Approach, Freelance Graphics, or Word Pro. 2. From the Edit menu in 1-2-3, Freelance Graphics, or Word Pro, choose Script, and then choose Show Script Editor. From the Edit menu in Approach, choose Show Script Editor. 3. From the Create menu in 1-2-3, Approach, or Word Pro, choose Sub. From the Freelance Graphics Script menu, choose New Sub. The Create Sub dialog box appears. 4. In the “Name” box, type samplesub and click OK. The blinking cursor in the Script Editor indicates that the editor is ready for you to type your first LotusScript statement. 5. Type the following statement and press ENTER: MsgBox "So this is LotusScript!" 6. From the Script menu, choose Run Current Sub to see the script execute and display the following message box. 8-6 Installing and Using SmartSuite Products 7. To close the message box, click OK. This one statement does a lot — displays the message box, displays your message in the box, adds an OK button, and defines the behavior of the message box when you click OK. LotusObjects: The SmartSuite application programming interface SmartSuite products can be easily automated, customized, and integrated because they have compatible user interfaces, functionality, and a common application programming interface (API). The SmartSuite API is composed of LotusObjects, which are blocks of code that describe a component of a SmartSuite product. LotusObjects are specific to Lotus products. Each Lotus product that uses LotusScript has its own set of LotusObjects that can be programmed with LotusScript. LotusObjects are comprised of properties, methods, and events. Properties Objects have characteristics called properties that allow you to control the way an object looks or acts. Properties have predefined values that you can change or set to control the behavior or appearance of an object. For example, in a script you can set the Visible property of an Approach FieldBox object to TRUE, causing the field box to be displayed. Similarly, when you name the FieldBox “IncomeSummary,” you are changing its Name property. Methods Objects also have methods, which are actions performed on or by the objects. The actions change the object or give you control over certain aspects of the object’s behavior. For example, the FieldBox object has a Refresh method, which refreshes the value in a field box. Events Most objects respond to one or more events. When an object in your document receives an event, for example, a mouse click, it looks for a script associated with that event and executes it. For example, each FieldBox object in an Approach form can have a script associated with the click event. To make FieldBox1 display a message box when it is clicked, add a message box statement to the Click script for FieldBox1. By writing scripts for objects and their events, you determine the overall behavior of your application. Although objects differ in individual SmartSuite applications, they share a common design. This allows you to manipulate one SmartSuite product’s objects with another SmartSuite application. Using LotusScript with SmartSuite Products 8-7 Using REXX and LotusScript together REXX, a scripting language provided with the OS/2 Warp 4 operating system, allows you to pass data to and from the operating system. You can use REXX with LotusScript to create programs to automate complex tasks. For example, you can write a LotusScript program that calls a REXX command file to retrieve sales data from a mainframe or another OS/2 application. Once the data has been retrieved, LotusScript can manipulate the information in the SmartSuite products. You can also write REXX programs that invoke the SmartSuite products, and execute a specific LotusScript file to initiate actions across the operating system. Using the System Object Model (SOM) and LotusScript together The System Object Model (SOM), a standard component of OS/2, enables objects to interact with other objects by exchanging messages. By using SOM, objects written in different programming languages or running on different platforms can work together. To enable cross-application scripting in SmartSuite for OS/2 Warp 4, LotusScript has been enhanced with the SOM Adapter. The SOM Adapter is a LotusScript Extension (LSX ) that allows you to use objects that are derived from SOM Classes. The SOM Adapter is automatically loaded when you use any of the SmartSuite products in conjunction with the Dialog Editor and when you load the Lotus REXX Manager. The Dialog Editor’s dialogs and controls and the Lotus REXX Manager are implementations that use the SOM Adapter to expose their class interfaces. Then click the plus sign (+) next to “LotusScript.” Within the Script Editor, you can get context-sensitive Help on any LotusScript statement or LotusObject by selecting the statement or object and pressing F1. The LotusScript Extension (LSX) Toolkit has information about developing LSX modules.
