F U N CT I O N S 3 MORTLOCK ROOM ROOMS AND FACILITIES The function floor, located on Level 1 of the Port Lincoln Hotel has 5 flexible function rooms, plus a pre function foyer, undercover function courtyard and pool deck canopy allowing every event to have a unique layout and feel. All of the function rooms at the Port Lincoln Hotel are soundproof for your privacy and with retractable walls, can easily be transformed into large plenary sessions or break out rooms if required. With the latest in Audio Visual equipment, including custom lighting and sound as well as wall mounted projector screens with roof mounted projectors, the Lincoln Ballroom can cater for all your presentation needs. It is also suited to dinner meetings and smaller social events. The Flinders and Mortlock Rooms offer the flexibility of being combined for additional space. Please contact us for more information F U N CT I O N S F U N CT I O N S 24 25 T E R M S & CO N D IT I O N S WH&S COMPONENT All displays, plant and equipment brought into the hotel should be risk assessed for its erection and dismantling as well as during its duration of display. A plan of the display should be forwarded to the hotel two weeks prior to the event. All electrical equipment to be tested, tagged and in safe working order so as to not compromise the safety of staff and the general public and be compliant with all WH&S Regulations. FUNCTION ROOMS We reserve the right to reallocate function rooms due to circumstances beyond our control. If the final numbers increase or decrease significantly from those advised at the time of the reservation, we may substitute a more appropriate room for your choice. We will discuss any changes with you when the decision is made. ADVERTISING Prior permission is required to use the hotel name and/or logo in print or audiovisual display. All contractors to have a Work Cover registration number or proof of Self Insurance Policy. All contractors are to be inducted prior to commencing work onsite. The term contractor refers to anyone other than Port Lincoln Hotel Staff who are providing a service for a client. SECURITY Arrangements for additional security requirements over and above the existing service provided by the hotel may be requested at our discretion. This cost will be charged to your account. BOOKING/CONFIRMATION GUIDELINES An initial deposit equivalent to 10% of the total estimated event charges (food, beverage, venue hire) or the value of the room hire, along with the signed Terms and Conditions will be required to confirm the booked space. At your request, the Port Lincoln Hotel will forward a Pro-forma Tax Invoice based upon your selection for this purpose. DAMAGE Loss or damage to any part of the Hotel or its equipment will be the financial responsibility of the organiser. Nothing is to be nailed, screwed, stapled or adhered to any wall, door, window or other part of the building. The hanging of banners must be approved by the Hotel prior to the function. FOOD & BEVERAGE No food or beverage may be brought onto the hotel premises during an event. Corkage charges will apply for any pre organised wine and sparkling only. Special occasion cakes are welcome upon prior arrangement. INSURANCE We cannot take responsibility for damage to or loss of items before, during or after an event and recommend that you arrange appropriate insurance cover.
