The account team has many years of experience in market planning, public relations, sales promotions, and advertising, as well as trade show marketing. When involved in the planning process, Exhibit Resources can provide input on appropriate promotions, use of graphics, and effective exhibit strategies for generating interaction. As much as we think of our own capabilities, it would be highly unusual for an exhibit house to be the primary marketing agency for a client. However, in a tightly integrated marketing plan, the exhibit house serves on the team with other marketing agencies. Our staff includes professionals with Interior Architecture and Design degrees, but we have found that it is both more efficient and a better value to our clients to select from a talented pool of expert contract designers for conceptual design and creative services. We first listen and learn about a client’s needs and goals from both a functional and aesthetic perspective. We learn about any marketing-based initiatives and how those are being incorporated into the event marketing a client is planning. We then select the designers best suited to work on the design project. For new project builds or for new exhibit program development, we bring in the design team for initial consultation, design development meetings and presentations. In addition to our four key contract designers who develop the bulk of our creative design work, we have additional resources at each of our vendor partners whose expertise we can tap for quick-turnaround projects or for back-up for our primary designers. As an authorized Nomadic partner, we have access to a team of eight exhibit designers. And through our partnership with Exponents, we have an additional five designers and a team of engineers. Finally, as member of the Octanorm Service Partner International (OSPI) program, we have access to designers throughout the world experienced in using the Octanorm structural design system. PROJECT MANAGEMENT Project Assessment: Your Account Team would meet to determine scope of project, determine timelines, discuss exhibit property and graphic requirements, address special requests, and plan any required coordination with advertising agencies, promotional products suppliers, caterers, or other service providers. Project Initiation: Your organization would have a dedicated Account Manager that would initiate internal documents alerting the team to details of the project. An estimate would be prepared detailing the project and would be submitted to your organization for review, approval and a 50% deposit request. Upon approval, the Exhibit Resources Account Manager would initiate Production Orders, schedule freight, complete the various service order forms contained in the exhibitor kit, pay deposits, coordinate travel plans and provide a project timeline to your organization. Trade Show Activity: The Account Manager or the Client Logistics Coordinator would arrive on show site to coordinate installation of electrical services, carpet, exhibit properties, graphics, giveaways, literature, catering, floral, etc., in a timely manner before the show opens. The Account Manager or Client Logistics Coordinator would stay on show site for daily inspection and act as back-up throughout show schedule, if required. Upon close of show, they would be responsible for repacking all materials and exhibit properties, and ensuring the freight ships to either the Exhibit Resources warehouse, or on to the next event or trade show Completion: Upon arrival at the Exhibit Resources warehouse, properties will be inspected for any damage, inventory will be reconciled, and properties will be returned to storage. An Inspection Report will be completed by the Client Logistics Coordinator and turned in to the Account Manager. If repairs are required for any returning property, it is the responsibility of the Account Manager to supply your organization personnel with a damage report and an estimate for repair or replacement of the affected property. The Account Manager is responsible for reconciling all invoices, expenses and charges for the project and closing out the project for Accounting to send a final invoice to your organization. Staging & Previews •Convenient Location for Previewing Your Exhibit Properties • •Account Management and Production Under the Same Roof As new clients plan their new exhibit and event marketing program, we would recommend a comprehensive assessment of all booth properties. Upon arrival at our facility, all crates, pallets, boxes, etc. should be opened and inspected by our staff alongside yours to identify and discard outdated graphics and unused or damaged properties. The remaining materials could then be cleaned, photographed, added to our new inventory system, labeled, and repacked in preparation of shipment to a show site. We would recommend the best crating, container packing, or palletization of the resulting inventory for the next shows. We would propose a strategy for handling interchangeable graphics that require multiple movements or immediate retrieval. We may suggest optimizing the storage of graphics for easy access to accommodate quick ship programs. It is important to have a “staging” area for trade show exhibit setup. At Exhibit Resources, this space is under the same roof that the account managers, designers and fabricators are, making it very easy for our team to collaborate and to ensure quality and accuracy. Walk-through inspections with clients are just as easy. She has held positions in the trade show industry as an Account Executive for a national portable manufacturer and GM of a national trade show builder before creating Exhibit Resources in 1991.
