President John Crutchfield called the meeting to order at 11 :35 a.m. He reviewed Board of
Governor attendance noting that a few were getting close on attendance. Crutchfield reported
that new appointments were confirmed.
Approval of minutes: In the form of a motion, Susan Kamas presented the September 11th
Executive Committee meeting minutes. One correction was noted. Second Larry Phelps. Motion
carried.
Chapter Activity Report: Kamas referenced the list of 54 CARs submitted to date. Members
discussed activities that should be reported and agreed to send information to Kamas for
submission.
Crutchfield reported that Doris Santos would continue to provide some of the support activities
previously handled by Ron Taylor. However, her work would not extend to the work he did
onsite at the unit level. Crutchfield explained that responsibilities were being redistributed
noting that Santos had already begun coordinating soldier support requests. Crutchfield indicated
that Santos would e-mail Kamas with completed requests to document the process in related
CARs.
HOSS Bar-B-Que was identified as a Corporate Member providing solider support. It was agreed
that Executive Committee members would work with HOSS to explore opportunities to
document the organization's efforts.
Financial Reports: J.D. Johnson e-mailed financials. There was no discussion.

Standing Committees
Communications:

Michael Street reported that the next Chapter Newsletter would go out on October 281h.
Content of the Newsletter was discussed. Efforts to promote Adopt-A-Unit were also
referenced.
Fund Raising:
•
Bubba Silverblatt reported that the Herzstein Foundation grant application for approximately
$30,000 was pending with decisions being made until the fall.
Adopt a Unit
• Larry Phelps reported that activities were progressing as planned. He described issues with
the unit/employer spreadsheet noting that information did not reflect recent changes on Fort
Hood and in the surrounding communities. Phelps noted that the initial goal was to get
Battalion level Fort Hood information updated and confirmed as accurate. Regarding
businesses that participated in the past, he reported that many no longer existed. Phelps
recognized the potential issue of starting over and potentially offending units and businesses
that were still actively supporting past Adopt-A-Unit initiatives.
Chapter Activity:

Peter Beronio indicated that he met with Bill Parry who provided signed certificates and
metals for ROTC initiatives. He reported that ROTC activities were on schedule.
Membership:
•
Mark Chockran reported 6, 100 Individual Memberships and 197 Corporate Memberships.
Efforts to reduce the targets set by National were discussed.
Past Presidents Council:
•
Bobby Hoxworth requested additional information about the reduced-cost memberships
available at the National Conference. Crutchfield will follow-up.
Meetings:
•

Regarding the national meeting, Stephanie O' Banion reported that 70 were registered
including 13 military. She noted that the NCO and Soldier of the Year would not be able to
attend because of work obligations. O'Banion stated that tickets were purchased, rooms were
confirmed, and she is ready to develop packets. On-site logistics were reviewed and special
arrangements for new attendees were considered.
Kamas reported that she would not be able to attend the Board of Governors meeting on
November l 81h. O'Banion stated that she would coordinate with Kamas and take notes for the
meeting.
Discussion Item
•
SAMC Car Charity- Crutchfield provided information from the Fort Hood Chapter of the
Sergeant Audie Murphy Club regarding a Car Charity event that the Club and Roger Beasley

Mazda were sponsoring for needy military families. He explained that the organizations were
seeking financial assistance to cover the cost of tax/document fees that were estimated to
range from $120 to $600 per quarter. Bubba Silverblatt made a motion to donate funds to the
Fort Hood Chapter of the Sergeant Audie Murphy Club in an amount not to exceed $600 per
quarter for the current AUSA program year, contingent upon the program going forward.
Second by Bobby Hoxworth. Motion carried.
Santa's Workshop on Fort Hood- Phelps reported that Santa's Workshop on Fort Hood
lost a grant and a substantial amount of funding to support Christmas giving for soldiers'
families. He noted that a significant amount of the funding deficit had been replaced.
However, the program was still in need of additional contributions to avoid shortages. Phelps
proposed donating $1,000 to support needy soldiers and their families. Second Michael
Street. Discussion confirmed that the Chapter had a history of donating $500 to Santa's
Workshop. Motion carried.
January Kickoff Meeting - Crutchfield noted that historically Ron Taylor was responsible
for the January Kickoff Breakfast. He identified some of the activities that needed coverage
and asked whether the Breakfast was feasible in January. After considering funding
requirements, Stephanie O'Banion moved to continue the January Kickoff meeting, and, if
possible, seek outside resources to help support the event. Second Bobby Hoxworth. Motion
passed.
There being no more business, the meeting adjourned at approximately I :05 p.m.
